For the Love of Angels Employees are often referred to as “angels” by residents and their loved ones for representing our Mission of Love each day. For the last several years, Masonic Village has provided an opportunity to honor such angels with the annual Love of Angels appeal and event. Again this year, we are inviting you to consider giving to those in need through the Love of Angels appeal. For each donation of $25, an Angel tree ornament bearing the name of a co-worker, resident, friend or family member who you would like to honor will be hung on a tree in the Atrium of the Freemasons Cultural Center. With your donation, you and your friends and family are also invited to attend a tree lighting service on Sat., Dec. 2, when the Angel ornaments are placed upon the trees. Music begins at 2:45 p.m. in the Brossman Ballroom, with refreshments served at 3:30 p.m. In addition to the Employee Assistance Fund, you may optionally designate your gift to Masonic Village Hospice or more broadly to Masonic Village at Elizabethtown. For employees working on Thanksgiving Day, we realize many of you will miss having dinner with your families. Therefore, we invite you to join our residents in celebrating Thanksgiving with a meal provided as a token of our appreciation.

The Food Services department will offer holiday meals in the Village Café at lunch and dinner on Thurs., Nov. 23. For employees working third shift, a specially prepared, pre-plated meal will be provided in the Village Café on the first floor of the Washington Building on Thurs., Nov. 23, from 2 - 3:30 a.m.

This is the fourth article in a series explaining our strategic plans for the projected trends in each of the key service areas on campus. As difficult as it is, we do strategic planning annually and do our best to anticipate these key shifts to ensure ways to continue delivering our Mission. After covering our three main lines of business: skilled nursing, personal care and retirement living; this segment is focused on ancillary and Home and Community Based Services (HCBS). Ancillary services are the supporting services such as our various clinics and the pharmacy. After a recent renovation, we currently provide the following services in this area: podiatry, dental, ophthalmology, behavioral health, orthopedics, continence management and lab services. We purposely made most of our exam rooms as flexible as possible, so providers could share the space on various days. Our strategy in this area is guided by two key questions: 1.) Which services should we provide on campus? 2.) Should we be the provider? Some recent examples are the decision to outsource dental services to White Family Dental, the decision to keep and expand our pharmacy operation to serve our other campuses, and a recent decision to lease space to a dialysis provider in 2018. We want these services to be convenient for all our residents, but it's especially nice for those in skilled nursing and personal care who can avoid tiresome transport elsewhere. As we look ahead, we continue to search for partners that can fulfill the specialized clinical needs of our residents. We would like to have a dermatologist, a cardiologist and possibly an oncologist and a palliative medicine clinic. Although we are looking for a provider for just a few days a month, the shortage of physicians is making this challenging . Another approach is to work with our hospital partners, Penn Medicine/Lancaster General Health and Penn State Hershey Medicine, to share resources. We will explore all options to provide the right services conveniently on our campus, including telemedicine as that technology evolves and insurance companies will reimburse for it. The second part of this segment is HCBS. Included in this is home care, home health and hospice. Knowing how important this business line will be over the next decade, we opened Masonic Village Home Health (Ashlar) this year and combined these teams into a single department. Additionally, we partnered with Senior Options, LLC to provide the back-office support and assist with securing our Medicare certification for Home Health. That important step occurred earlier this summer. At the time of this article, all services are growing and continue to serve both on campus and off-campus customers. The reason HCBS will be so critical is the focus on Medicare quality outcomes and cost reduction. If you compare the approximate cost for: a day in the hospital ($4,000) a day in a skilled nursing facility ($400) a home health visit ($250) ... it's clear where the focus of government reimbursement will be. Additionally, we have consistently provided high quality service and care management, so while Washington, D.C. struggles to determine the future of affordable care and bundled payment regulation, we are preparing our HCBS to be a critical post-acute partner. Lastly, our investment in and deployment of smart home technology with K4Connect will enable things like remote health monitoring, telemedicine and other assistive care and support. These tools will likely change the way we provide HCBS services, and allow many residents with chronic conditions to remain in their home longer and healthier. With so much insurance and Medicare uncertainty, having an even stronger home and community-based service offering will position us to serve our residents with more options and provide them even greater peace of mind.

Reminder that the Masonic Villages campuses require a mandatory flu vaccination or an exemption. The deadline for compliance is Dec. 1, 2017. If you have not had a flu vaccination, please obtain one by the deadline. There is one more flu clinic on Nov. 25, from 7 - 11 a.m., in the Outpatient area of the Masonic Health Care Center. Otherwise, you may receive an immunization from your physician or alternative flu shot site. If completed at an outside site, please be sure to submit proof to Connie Kopp, director of risk management. If you are not able to be vaccinated, please call Connie Kopp at ext. 33310 to set up an appointment to discuss an exemption. Please help us protect our residents and your co-workers and families from the flu by being vaccinated today.

Masonic Village has begun construction on a 2 MW solar photovoltaic system, adding to an existing 1 MW solar array, located on the hillside behind the Masonic Children’s Home and Bleiler Caring Cottage. Once the project is complete, after more than a decade of investing in clean energy, the not-for-profit continuing care retirement community (CCRC) will produce 23-25 percent of its electricity using a mix of solar panels and microturbines. Completion of the expansion is expected by Feb. 1, 2018, and it will produce 2.2 million kWh per year. In 2011, Masonic Village constructed a 1 MW ground-mounted solar photovoltaic system, which produces approximately 1.2 million kWh of electricity per

year and results in costs savings of between $40,000 and $60,000 annually. Combined with the new addition, the system will produce approximately 15 percent of the campus’ electricity, including for the Masonic Children’s Home, and generate a rate of return of between 14 and 20 percent. As part of a production sharing agreement (PSA) with Solar Renewable Energy, Masonic Village will invest approximately $1.8 million in the expansion over six years. Solar Renewable Energy will finance the remainder of the project costs and will remain the owner of the array for six years, after which Masonic Village will purchase the system. After completing an energy benchmarking study last year, Masonic Village determined that energy costs between 2009 and 2015 decreased by 15 percent while the campus grew by 9.4 percent. Microturbines currently generate 10 percent of the campus’ electricity. The heat created as a by-product of the microturbines, in turn, heats water for a portion of resident apartments and the Masonic Health Care Center, reducing the use of gas boilers. Five microturbines were installed in 2002 (with a sixth added in 2010) and upgraded in 2007. The turbines reduce emissions by as much as planting 1,000 acres of forest per year. Clean energy is part of Masonic Villages’ four-legged energy efficiency plan, the other legs being conservation, efficiency and smart technology. Other efforts at all five of our Pennsylvania campuses include the use of water and electricity-saving fixtures, co-generating electricity and motion detector-controlled lights. In 2006, Masonic Village at Elizabethtown restored 3,200 feet of the Conoy Creek located along its property with the assistance of a Pennsylvania Department of Environmental Protection Growing Greener II grant and self-funding.

You can still exercise outside when the temperature falls. Changes in temperature and air quality strengthen the immune system! Our bodies counteract the cold with an increased pulse rate (thermoregulation), which increases energy consumption immensely. As a basic principle, everyone has an individual temperature sensitivity, which should always be taken into account. It is important that you follow a few rules in winter: Invest More Time in Your Warm UpThe body takes longer to warm up in winter. A cold start can result in injury.

Keep MovingCool down for a few minutes before moving immediately into the warmth in order to stretch and make sure you don’t sit or lie down immediately after reaching exhaustion. Circulation can drop very fast, and your muscles will stiffen.

Dress WarmDress in easy-to-remove layers to allow for changes in body temperature. Be sure to wear enough layers and that extremities are covered since they radiate a large amount of heat.

Pay Attention to Your BreathingThe typical burning or irritation of the throat is felt when a lot of cold air is inhaled, causing a slight inflammation and a very clear sign that it is too cold to exercise in the fresh air. Pay attention to this as much as possible by inhaling through the nose and exhaling through the mouth. Breathing like this gives air a longer route to the lungs and more time to be moistened and heated through the nasal mucosa and mouth.

Don't Stay Outside Too LongAfter training, make your way as quickly as possible into the warmth, and take off any wet or sweaty clothes. During this time frame, the body is particularly susceptible to colds and infections.

Exercise During the DayExercising during daylight hours is the warmest and the sun is best positioned to stimulate the production of vitamin D.

Eat Plenty of Fruits and VegetablesBe sure to support your immune system with a balanced vitamin and mineral rich diet. Fruits and vegetables should already be the focus of your diet, and winter fruit, like tangerines, pomegranates and all-season varieties of pears and apples, provide you with an extra dose of vitamins to make you resistant to the cold.

Floating Holidays

All full-time employees hired prior to Jan. 1, 2017, will be eligible to use the three floating holidays at their discretion.All full-time employees hired after Dec. 31, 2016, but prior to Oct. 1, 2018, will be eligible for one floating holiday to use at their discretion. Full-time employees hired Oct. 1, 2018 or later will not be eligible for the one floating holiday until 2019. Full-time employees' last day to use the floating holiday(s) will be Dec. 31, 2018.

All part-time employees in benefit status hired prior to Jan. 1, 2017, will receive four hours of holiday pay for nine holidays (six major holidays and three floating holidays) in lieu of time off. The total of 36 hours of time will be paid in the pay period in which the six major holidays occur in the amount of six hours per major holiday. All part-time employees in benefit status hired after Dec. 31, 2016, will receive four hours of holiday pay for seven holidays (six major holidays and one floating holiday) in lieu of time off. The total of 28 hours of time will be paid in the pay period in which the six major holidays occur in the amount of 4.67 hours. The hours paid will be prorated in the first calendar year of hire, depending on the date of hire.

In order to reward our employees for spending their holidays providing care to our residents, for all hourly employees, our benefit package includes paying the rate of time and one-half of your hourly rate of pay for hours worked between midnight beginning the holiday and midnight at the close of the holiday. Due to increased scrutiny and focus on HIPAA violations, Masonic Village is required by regulations to have a specific HIPAA Sanctions Policy. The corporate policy establishes guidelines to address privacy and security violations of Protected Health Information, electronic Protected Health Information and Confidential Information. Confidential Information also includes photography and images. The policy provides examples of privacy and security violations (that can follow Masonic Village group violations noted in the Personal Policy Handbook). Please review policy COMP-020 for details.

HIPAA Policy

Did you receive a gift card for the Wellness Rewards or for an Employee Recognition Years of Service Award? If so, the amount of the gift card is considered “cash,” which makes the amount taxable earnings for the employee. Masonic Villages will be paying the employee and employer taxes on these gift cards. 2017 Flex Time Payout!

The Masonic Villages will issue the 2017 unused flex time payout on Jan. 5, 2018. If you currently are paid via direct deposit, the flex time payout will be issued as a direct deposit Automated Clearing House (ACH) transfer to the bank account you have set up for your net pay. If you currently receive your wage payment on a check, the flex time payout will be paid on a check. This payment will reflect any flex time remaining as of Dec. 31, 2017. In keeping with previous policy, any remaining time that is less than one hour will be forfeited because of the de minimis value. For eligible employees, 2018 flex time will be available for use effective Jan. 1, 2018. These available hours will be shown on the payroll wage statement received Jan. 5, 2018. Employees will have until Dec. 31, 2017 to use available 2017 flex paid time off hours.

During the holiday season, residents and their family members may wish to express their appreciation for the services you provide by giving gifts. Masonic Village employees are not permitted to accept individual gifts regardless of the value. However, perishable or consumable gifts given to a department or group to share, is permissible. Please contact Human Resources at ext. 33698 with your questions and/or refer to the Code of Conduct for more details.

Since you last filed a Form W-4 with your employer, did you: Marry or divorce? Gain or lose a dependent? Change your name? Were there major changes to: Your non-wage income (interest, dividends, capital gains, etc.)? Your family wage income (you and your spouse started or ended a job)? Your itemized deduction? With year-end quickly approaching and W-2s and 1095 forms needing to be mailed to employees' homes, it is very important to have accurate addresses documented in Workday. Please validate your address and Social Security number in Workday.

If you have a change of address, remember to complete and submit the local residency form, as Payroll is unable to update address changes without the accompanying tax form.
