Introduction

Introduction This guide explains the operation of the XN120 PC programming tool (PCPro) which includes the Quick Install (QI) operation. The Quick Install is intended to allow any installer to quickly setup the main functions of the XN120 telephone system. The QI will step the installer through each screen in turn and then prompt them to save/upload the configuration to the XN120 system. Once the QI is complete the installer can use all the features of PCPro in order to setup any advanced features or to ‘fine tune’ the configuration created by the QI. With QI you will be able to create a new customer configuration off line and upload to an XN120 system (you will need an EXIFU card installed in the XN120 system to upload the configuration). You can not edit an existing configuration with the Quick Installer. The Quick Installer supports the following system functions. �� Loads the default configuration script �� Build the XN120 system �� System numbering plan �� Extension name and number �� Extension auto trunk seize, Class of Service, Toll Restriction, Pick Up Groups, Page

Overview of the Quick Installer Procedure This is an overview of the procedure that must be followed when using the Quick Installer. Details of each step can be found within this guide. 1. Create your new configuration with the Quick Installer. This is done at any time ‘off line’

you do not need a connection to the XN120 system. 2. Install all cards in the XN120 including the EXIFU card required to connect to your PC.

Install the cards into the XN120 system IN THE SAME SLOT CONFIGURATION you created with the Quick Installer

3. COLD start the XN120 system to set the system to the factory default (set the NORMAL switch to OFF and power the system on).

4. Ensure you set the NORMAL switch back to ON (HOT start). 5. Upload the new configuration from the PC to the XN120. 6. Disconnect the session between your PC and the XN120. 7. Wait for LED4 on the XN120 main board to stop flashing. 8. Power off the XN120 system. 9. Power on the XN120 system. You can make further changes to the XN120 configuration with PCPro. You can not use the Quick Installer to edit the configuration, it is intended to be used once to create the initial installation configuration.

XN120 PC Programming Tool Minimum Requirements The Topaz PCPro will be installed into the following PC specifications; 1 Processor Pentium II 500MHz equivalent or higher 2 RAM 128MB 3 Hard Disk Drive

Space 20MB

4 Monitor Resolution 800 X 600 pixels or higher 5 OS

(Operating System) Microsoft Windows 98SE/2000/XP

6 Drive CD-ROM Drive Mouse

7 Others (depending on connection type) NIC - Network Interface Card Serial COM port

Important Points 1. Only one person is allowed in programming mode at a time. An error message will be received if trying to log on while another user is already in programming mode. 2. After connecting with PCPro to the XN120 System, if nothing is carried out for approximately 15 minutes, the session will be released by XN120 main software.

Opening PCPro 1. Double click the XN120 PCPro Icon. You will see the main PCPro screen as shown below.

PCPro Search Tree Bar When you open PCPro the list of program numbers may not be displayed down the right hand side. They can be enabled by selecting the Search Tree Bar as shown below. You must have the search tree bar displayed in order to use the Quick Install.

Starting the Quick Installer The Quick Install is started by selecting New from the tool bar.

�� If you have any unsaved changes (e.g. you have started a configuration using PCPro) you

will be prompted to save when you click the New button. If you do not save you will lose the changes as the Quick Installer will begin with a blank configuration.

�� Do not start the Quick Installer while you have a PCPro session in progress to the XN120, you may not be editing the correct default configuration script that the Quick Installer uses.

You will then be able to select the Quick Install Helper; select Yes as shown below.

If you select No you will skip the Quick Install Helper and go straight to PCPro (Refer to the PCPro guide for instructions on using PCPro).

Quick Installer Operation �� When you select the Quick Installer the default XN120 configuration script will be loaded

and you will be given a selected list of programming options within the Search Tree Bar. �� You can exit at any time and return to PCPro, any changes made within the QI will be kept

and can be edited further within PCPro. �� Each time you select a new Quick Install you will begin with a blank configuration; you can

not edit an existing configuration with the Quick Installer. �� At the end of the Quick Installer you have the option to save and upload the configuration

to the XN120 system (you will need an EXIFU card in the XN120 to upload the configuration).

Using the XN120 Quick Installer The Quick Installer has a selected list of configuration options that will allow you to quickly setup the main system functions. The options are listed within the Search Tree Bar

You can step through the options in order by clicking the Next button, or go back to the previous by clicking the Back button. You can also select any option by clicking within the Search Tree Bar. If you enter an invalid value you will see an error message, the error will be highlighted in red, enter a valid value and try again.

Exit Quick Installer If you want to exit the quick installer at any time click the Exit button. You will see the following screen when you exit the Quick Installer, click Yes to exit or No to return to the QI. (Cancel will also return to the QI). You will not lose any of your changes.

Making further changes within PCPro When you exit you will return to the PCPro application. You can edit the configuration generated by the Quick Installer. Any changes you have made within the Quick Installer will be highlighted on screen and within the Search Tree Bar as shown below.

Cards – Build the XN120 System The first Quick Installer screen allows you to build the XN120 system by dragging and dropping option cards into the system. The DSPDB and EXIFU cards do not need to be added. Remember that each XN120 unit (Main and Expansion) has 3 analogue lines and 8 extensions built in.

1. Add any expansion units if required. 2. Drag and drop your cards into the XN120 system. 3. Click the Auto Port Assign button, the ports will be shown for each card 4. Click >> to step to the next option

You may want to make a note of the ports allocated within the XN120 to help you setup the remaining options within the Quick Installer. The Station ports are indicated by an ‘s’ and the Trunk ports by a ’t’ for each card. Station ports = Analogue trunk ports = PGDU ports = ISDN trunk ports = The station and trunk ports of each unit/card are shown below. To add an expansion unit click the POW and select Yes

When you have added all cards click Auto Port Assign to align the port numbers. Click Init to remove all cards and try again

Drag and drop each card into a slot in the XN120 system. You must drop the card into a compatible slot.

System – Numbering Plan You can change the XN120 system numbering plan. You can edit the extension numbers in the Extension Properties screen.

1. Enter the number of digits the users must dial (0 to 4 digits) 2. Select the type from the drop down list 3. Click the apply button when you are done 4. Click >> to step to the next option

Note: It is recommended that you only use the Quick Installer to make changes to the extension numbers. These can begin with digits 1, 2, 3, 4, 5, 6 or 0 and be up to 4 digits long. All other dial numbers are displayed for your information. You can not edit the Service codes within the QI – if you change Dial 7, 8, 9, # or * you will need to use PCPro to make changes to the Service codes or Trunk Access code when you exit Quick Installer.

Extensions – Extension Properties You can change each extension’s properties.

1. Make changes to any telephones that you have installed 2. Click the apply button when you are done 3. Click >> to step to the next option

Extn No – Enter a valid extension number, you defined the numbering plan in the previous screen. Extn Name – Enter a name for the extension (up to 8 characters recommended). Auto Trunk seize – Do you want to seize a free trunk each time the phone goes off hook, useful for FAX machines. Class of Service – Select one of the pre-defined classes. The table below shows the setting for each class, the PCPro reference numbers are shown if you want to make changes when you exit the Quick Installer.

Toll Restriction – Select one of the pre-defined classes. The table below shows the actual numbers that are restricted. The PCPro reference numbers are included if you want to edit the toll restriction when you exit the Quick Installer. Note – Ensure that you confirm the toll restriction operation if you make any changes.

Pick Up Grp – Place the phone into one of the pick up groups (1-32). Pick up groups allow users to answer calls ringing at other phones. Refer to the user guide for the operation of call pick up. Page Grp – Place the phone into one of the internal paging groups (1-32). Place the phone into group 0 if you don’t want it any page group. Department Grp – Place the phone into one of the department groups (1-32). You assign a pilot number to the department group in the Department Group Properties screen. Dept Ring Order – You can choose the order that calls will be presented within the department group. Calls ring in numerical order 1-2-3 etc. You do not need to have each group ordered from 1 onwards, the calls will ring in order regardless of the actual order number, for example order 1-2-5-12 is acceptable.

Extensions – Extension Ring Groups Place phones into ring groups for incoming trunk call routing. All phones in the group will ring simultaneously. You route the trunk to the ring group in the Analogue or DDI trunk routing screen.

1. Enter the extension numbers of the phones you want to ring. A phone can be in more than one group

2. Click the apply button when you are done 3. Click >> to step to the next option

Extensions – Department Group Properties You can change each department group’s properties. You assigned the phones into department groups in the Extension Properties screen. Department groups can be used for both trunk and internal calls.

1. Make changes to any groups 2. Click the apply button when you are done 3. Click >> to step to the next option

Pilot number – Enter a valid pilot number, up to 4 digits. You cannot duplicate a pilot number or another extension number. You must enter a pilot number for the group to be active. Group Name – Assign a name to the group, this will be displayed at the display phone when you call a busy department group. All Ring mode – Select either All ring or hunt mode. All ring will ring all available phones for internal calls to the department group. Hunt mode will ring each phone in the order specified in the extension properties screen. Hunt stop or loop – Select either Stop at last member or Circular. Stop at last will try each available member once at stop at the last. Circular will continually search around the group. Hunt Timer – Set how long each phone will ring before the department group call steps to the next available member.

Extensions – Keytelephone Function Keys You can assign the functions to the programmable functions keys on the XN120 phones. The Quick Installer shows examples of the some common functions but you can enter any valid function code if you know it. See the user guide for other common function codes. The 22 function keys are listed along the top of the screen. Each function key has a function CODE, some also need additional data, for example for a Trunk key the additional data specifies the trunk port number. You can not duplicate the same key on any phone.

1. Make changes to the function keys 2. Click the apply button when you make each change to check for validity 3. Click >> to step to the next option

Note. The Keytelephone function key screen may take a few seconds to appear, this is due to the Quick Installer loading the default settings for all the keys/phones.

Trunks – Trunk Properties You can change the properties of the trunks.

1. Make changes to the trunk properties 2. Click the apply button when you are done 3. Click >> to step to the next option

Trunk Name – Assign a name to each trunk, this will be shown on the display phone when you seize the trunk. Up to 8 characters recommended. Trunk Type – Select the trunk type from the drop down list. If you have ISDN trunks with DDI operation you will need to select the ISDN option for any ISDN trunks you installed in the Cards screen. Alog trunks will use the Analogue Trunk Routing screen, ISDN trunks will use the DDI Routing screen. There are two options for Immediate and Delayed Auto Attendant, these are set later in the Auto Attendant screens. Trunk Group – Place the trunk into a trunk group (1-25). Any free trunk in group 1 will be seized when a user dials 9. Trunks are seized in port order from 1 upwards. Analogue Trunk Incoming CLI – Enable/disable CLI detection for each analogue trunk. Do not enable this unless you will be receiving CLI from the network.

Trunks – Analogue Trunk Routing You can setup the routing of incoming calls received on the analogue trunks. The analogue trunks route to Incoming Ring Groups, you place phones into ring groups in the Extension Ring Group screen. You can define two targets for Day and Night mode, calls ring at the first target until the no answer timer expires; they then step on to the second target. The analogue trunk no answer timer is set by the same no answer timer defined in the DDI Properties screen.

1. Enter the ring group number (1-10) for each trunk 2. Click the apply button when you are done 3. Click >> to step to the next option

You can set up some Day and Night mode function keys in the Keytelephone Function Keys screen. Ensure the phone with the day and night mode keys is in class of service 1 (Full Access) in order to change between day and night modes.

Trunks – DDI Routing You can setup the routing of DDI numbers received on ISDN trunks. You can have different DDI routing in day and night mode. Each DDI can have up to three targets.

1. Enter the received DDI numbers and targets for each day/night mode 2. Click the apply button when you have made each change to check the validity 3. Click >> to step to the next option

Received DDI – Enter the DDI number received from the network. The quantity of digits received should be defined in the DDI properties screen. DDI Name – Enter a name for the DDI, this will be shown on the display of the phone. Enter up to 12 characters. Target 1 – Enter a valid extension number or Department Group pilot number. You can leave target 1 blank if you want to route the DDI directly to target 2. Transfer Option – Select one of the options from the drop down list. If target 1 is blank the transfer option has no effect, calls will route directly to target 2 No Transfer – Calls will ring at target 1 and will never step on to targets 2 or 3. Busy - Calls will step immediately to targets 2 and 3 if target 1 is busy. No Answer – Calls will step on to targets 2 and 3 after the no answer timer set in the DDI Properties screen. Busy/No Answer – Calls will step on if target 1 is busy or ring no answer. Target 2 – Enter either a ring group or department group. Enter 0 if you want to ignore the target. The department groups are numbered from 201 onwards (201 is group 1, 202 is group 2 etc) Target 3 – Enter either a ring group or department group. Enter 0 if you want to ignore the target.

Trunks – DDI Properties Setup the DDI properties The number of received digits defines the number of DDI digits sent by the network. The no answer timer is also used for the analogue trunk no answer time.

Auto Attendant – Message Assigned to trunks If you want automated attendant operation on any of your trunks you must assign the message to be played to the callers. You can assign a different message in each day/night mode. For ISDN DDI’s routed to Auto Attendant you must assign the message to all trunk ports that the DDI number will be presented on. The message number is one of the 48 messages recorded on the DSPDB card with service 716, refer to the Voice Mail and Voice Response User Guide. You must have the DSPDB card installed in the XN120 system in order to setup auto attendant with the Quick Installer.

1. Enter the DSPDB message number for each trunk 4. Click the apply button when you are done 2. Click >> to step to the next option

Auto Attendant – Analogue Trunks Routed to Auto Attendant For each analogue trunk you can select the type of auto attendant operation, either none, immediate or delayed. None will not have any auto attendant operation, the calls will ring as specified in the Analogue Trunk Routing screen Immediate operation will answer the call as soon as it rings at the XN120. Delayed operation will ring as specified in the Analogue Trunk Routing screen and then after ring no answer will step on to auto attendant. The ring no answer time is specified by the Step on timer between ring group and auto attendant timer in the Auto Attendant Overflow Operation screen.

1. Select the operation for each trunk 2. Click the apply button when you are done 3. Click >> to step to the next option

Auto Attendant – DDI Routed to Auto Attendant You can route each DDI number to auto attendant by entering auto attendant (400) as target 2 or 3. For immediate auto attendant route the DDI directly to 400. For delayed auto attendant rout the DDI to an extension number/department group or ring group, enable the no answer transfer option and step on to auto attendant. Note. For DDI’s routed to auto attendant you must remember to define the message in Messages Assigned to Trunks screen to each trunk the DDI can be presented on.

Auto Attendant – Auto Attendant Single Digit Options You can setup a list of single digit translations that the incoming can dial; this allows you to play a message with “Dial 1 for sales…. “. You can translate the single digit into an extension number or department group pilot number. There are translation tables for each of the 48 messages assigned to the trunks.

1. Enter the destination extension or department group pilot number 2. Click the apply button when you are done 3. Click >> to step to the next option

Message No.- This is the DSPDB message number you assigned to the trunk in the Message Assigned to Trunk screen. Press 1 to # - This is the single digit the incoming caller will dial. Extension Digits or Pilot number – This is the translated number that the single digit will route to.

Auto Attendant – Auto Attendant Overflow Options You can setup the operation when the incoming caller mis-dials or the destination does not answer. These settings apply to all calls routed to auto attendant.

1. Make your changes 2. Click the apply button when you are done 3. Click >> to step to the next option

Step on timer between Ring Group and Auto Attendant – This is the delayed auto attendant timer for analogue trunks set as Delayed Auto Attendant. Destination if no digits dialled – This is destination ring group the call will route to if the incoming caller does not dial enough digits to allow the XN120 to route the call to a destination. Overflow destination – The destination ring group the call will route to if the destination does not answer the call. Ring tone before overflow – This is how long the destination will ring before the call overflows to the overflow destination ring group. If you do not want any overflow and do not want the call to disconnect then set the timer to 0.

Voice Mail – VM Box Setup You can setup the mailboxes for the DSPDB based voice mail system. You must have the DSPDB card installed in order to use the Voice Mail system.

1. Enter the mail box numbers and optional password 2. Click the apply button when you are done 3. Click >> to step to the next option

VM Box Number – Enter a number that the user will assign to the VM function key in order to access the mailbox. The number is usually the same as the extension number of the intended user. Password – You can assign an optional password to a mailbox, the user must enter this to gain access to the mailbox.

Voice Mail – VM Function keys You can setup the function keys at the XN120 phones, these are used to access the mailbox, show message waiting indication and forward calls to voice mail. For single line telephones the users can select the call forward (Auto Attendant operation) with voice mail Service Code 62# refer to the Voice Mail and Voice Response User Guide. You can not duplicate the same key on any phone.

Code 67 – This is the key used to access the mailbox. The additional data specifies the mailbox number that you assigned in the VM Box Setup screen. Code 70 – This is the call forward to voice mail (Auto attendant operation) key. Each press of the key selects a different type of call forward, All/Busy/No Answer.

Abb Dials This is the system’s telephone book. You can enter up to 900 numbers with the Quick Installer. Each entry can also be named, this can then be used to alpha tag incoming trunk calls. If the received CLI matches one of the Abb dial entries then the name will be shown on the phones’s display.

Abb Dial Number – The number dialled, up to 36 digits. Abb Dial Name – The name associated with the abb dial, up to 12 characters.

Finish – Save Changes This screen will allow you to save the configuration.

Finish - Connect The connect screen will establish a session between your PC and the XN120. You can connect either to the serial socket or Ethernet socket of the EXIFU card, refer later in this guide for further details. The screen below shows the default User Name, Password (12345678) and IP address of the XN120.

Ensure you have connected your PC to the EXIFU card (Ethernet or serial). Enter the user name, password and IP address of the XN120 system and click Connect.

Finish - Upload System Config Select the All option in the Select Range and click the Start button to upload the configuration from your PC to the XN120. (This may take a few minutes if you have a serial connection). When the upload in finished you will see ‘Complete’ within the Upload screen, click the Close button.

Finish - Disconnect When you have uploaded the configuration you must disconnect the session between your PC and the XN120. After you disconnect the configuration will be saved to battery backed memory within the XN120. This must finish before you continue - see the instruction below.

IMPORTANT ---- (First LED on motherboard top left) LED 4 will flash, fast red after disconnecting from programming (saving data) and the run light will flash in a triple flash pattern. Power XN120 off AFTER LED 4 has stopped flashing (the run light LED 2 (Yellow) is also flashing on/off). If the XN120 is reset when LED4 is flashing and before the run light begins flashing normally all uploaded data will be lost. You must then repeat the upload from PCPro to the XN120.

Important You can now power off the XN120 system and install the cards in the slots you specified in the Cards screen within the Quick Installer. When you power the XN120 back on ensure that the Normal switch on the main unit is set to ON, this will ensure that the configuration is not lost. Also, please refer to the following sections that explian in detail how to connect to the XN120.

Establish Communication with the XN120 Before you can upload the XN120 configuration you will need to establish communication between your PC and the XN120 system. The method of communication depends on how you are connection to the XN120: Ethernet or Serial.

EXIFU card and Connections for PCPro There are two methods of connecting your PC directly to the XN120 system in order to use PCPro. Ethernet Connection You will need the EXIFU-A card installed in the XN120. Connect the Ethernet socket of the EXIFU-A card to a NIC card on your PC. This can be either via LAN or directly via a LAN cross cable. You will need to setup the NIC in your PC before you can communicate with the XN120. Serial Connection You will need either the EXIFU-A or EXIFU-B card installed in the XN120. Connect the serial (RS232 9-pin) socket of the EXIFU card to a serial COM port on you PC. You will need to setup the COM port in your PC before you can communicate with the XN120.

Setting up TCP/IP Addressing on your PC You will need to setup the NIC on your PC before you can communicate with the Ethernet port on the EXIFU card. The setting will be different, depending on your connection method; via LAN cross cable or via the customer LAN. If you have a new XN120 system (at default) it will have:

IP address = 172.16.0.10 Sub Net Mask = 255.255.0.0

These are set by program 10-12-01 on the XN120. Your NIC card must have a fixed IP address within the range 172.16.0.11 to 172.16.254.254 and a suitable sub net mask. If the EXIFU is connected to the customers LAN then the IP address of the XN120 will be within the range of the customers LAN. You will need to confirm your NIC settings with the network administrator. The IP address of the XN120 is set by Program 10-12-01, you will need this when you connect to the XN120 via PCPro.

Procedure *The following windows are using Windows 2000 professional. 1. Click START-> SETTING-> NETWORK CONNECTIONS (Network and Dial-up Connection). The following Windows appears.
