Since its inception in 2004, The Caribbean Council’s Annual Reception at the UK Houses of Parliament has developed a reputation as one of the best Receptions in the Parliamentary Calendar.

Each year, the Reception attracts an influential mix of MPs, Peers, High Commissioners, Ambassadors, UK Civil Service members from the Foreign Office, NGOs, members of the Caribbean community in the UK and business leaders invested in or working with the Caribbean region. The reception normally welcomes around 300 guests, the majority from Parliament, government and the business community.

This year, the Annual Reception is scheduled to take place on Tuesday 19th April 2016 between 6.30pm-8.30pm in the Cholmondeley Room and Terrace in the House of Lords. In his capacity as President of the Caribbean Council, Rt Hon Lord Bruce of Bennachie hosts the Reception.

This prestigious and beautiful venue with unrivalled views of Parliament and River Thames, offers sponsors a rare opportunity to be associated with a uniquely British institution and the values and traditions it represents.

The Caribbean Council Reception is the only Caribbean specific event on the calendar in the UK Parliament and it is for this reason that it consistently attracts high level speakers and attendance and receives significant media attention in the Caribbean where it is widely recognised as an important event.

The Caribbean Council believes that there is significant opportunity for increasing two way trade and development activity between the UK and the Caribbean and Central America and this event plays a vital role in putting the spotlight firmly on the Caribbean and Central America and highlighting the continuing and growing trade and investment relationship.

Music, Rum and Prizes – A Reception to Remember

Music is an important part of the Caribbean’s rich cultural heritage. With this in mind, the Reception always takes place to background music provided by a steel pan band. This has always been a popular and unique feature of this parliamentary event given that music is not normally permitted in the House of Lords.

Attendees enjoy top quality Caribbean rum brands at the event, as the House of Lords gives special permission for the Caribbean Council to supply high quality rum from specially identified Caribbean producers in the rum punch. The Caribbean Council is actively involved in the promotion of regional high-end products and rum punch is obviously a great way of promoting Caribbean rum!

At the end of this amazing event, those attending the reception are entered in to a free prize draw. The top prize is a Caribbean holiday for two with flights and accommodation included.

In order to secure the prize, the ticketholder must be present, ensuring high level of attendance throughout the entire event.

1. Sponsorship Conditions

1.1. The Caribbean Council, reserve the right to accept or reject any application for sponsorship at its discretion.1.2. Company advertisements and collateral marketing materials are subject to approval from the Caribbean Council.1.3. The Sponsorship Fees shall be payable in full no later than 15 days after the receipt of the invoice.

2. Cancellation Policy

2.1. Once the Confirmation Form has been received, any cancellation must be advised in writing to the Caribbean Council:- If the cancellation is

received up to 2 months before the Annual reception and administration fee of 25% of the total price will be retained.

- If the cancellation is received less than 2 months prior, no refund is applicable.

3. Exceptional Circumstances

3.1. The Caribbean Council reserve the right to change the venue and duration if exceptional circumstances demand.3.2. In the event of a change of venue/or duration, the agreement to participate will remain in force as long as the sponsor is informed at least one 30 days before the planned reception.3.3. The Caribbean Council will use reasonable endeavours to remedy the impact of the exceptional circumstances.

4. Display rules

4.1. No obstruction of any form will be allowed in the walkways.4.2. The sponsor will acknowledge that the Caribbean Council and The House of Lords will not be responsible for any loss or damage to the sponsor’s property and that all sponsors material and equipment is the sole responsibility of the sponsor.4.3. The sponsor and invitees of the sponsor are also to observe the rules, regulations and procedure as prescribed by the House of Lords.

4. Display rules

4.4. The sponsor is responsible for all personal injury, damage to property or other losses or claims arising in connection with the sponsor’s participation at the Caribbean Council Annual Reception 2016.4.5. The Caribbean Council and The House of Lords will take reasonable precautions, to ensure the building is secure.4.6. To assist us, all persons attending the Caribbean Council Annual Reception must wear the official name badge at all the times.4.7. Because of the House of Lords security rules: sponsors must provide all banners/displays in accordance with the timing set-up.

5. Detailed Requirements

5.1. Logos will be requested in high resolution format (PDF or JPEG).5.2. Should an alternative format be received, the Caribbean Council organiser cannot be held responsible for the quality of the logos displayed in any of the promotional material.

6. Sponsorship Packages

6.1. Any variations to the description of each package must be as agreed in writing with the Caribbean Council.6.2. Sponsorship entitlements will not formally commence until the Confirmation Form and the payment is received by the Caribbean Council, until that time entitlements will be provided at the discretion of the Caribbean Council.
