  • WHAT DOES THE LANDSCAPE FOR INTRANETS LOOK LIKE NOW – AND WHAT DOES THE FUTURE HOLD?At Microsoft Ignite 2016, we set out to learn more about company intranets: What software is currently being used, and how? What social tools and add-ins are the most popular? What upgrades are planned, and what does the future for intranets look like?

    We polled more than 100 people, from intranet administrators to users and everyone in between. Here are the results.

  • WHAT IS THE PRIMARY PURPOSE OF YOUR COMPANY INTRANET?The intranet continues to be a tool that primarily serves the needs of corporate communications to share news, events, and company information.

    Many companies are expanding the traditional use of the intranet as a platform for knowledge management, collaboration, and as a portal for accessing company tools.

    As intranet features evolve and improve, companies will have the ability to expand the purposes of their intranets. Employees use powerful technology in their personal lives and have come to expect that same level – or better – at work.

    Digital-minded companies can take advantage of improvements to intranet technology to improve their employees’ experiences and satisfaction.

  • DOES YOUR INTRANET PROVIDE MOBILE ACCESS TO YOUR CONTENT?The intranet still has a long way to go when it comes to mobile experience, with 57% of respondents indicating they have either no mobile access at all or no defined mobile experience.

    For those that do have mobile access, responsive design is still a primary form of delivery, with 19% indicating that their intranets are mobile responsive. Interestingly, the same percentage of respondents have access available through mobile applications.

    Intranet access through mobile applications appears to be a growing trend, and will continue to be, with a growing remote workforce.

  • WHAT ENTERPRISE SOCIAL TOOLS DOES YOUR ORGANIZATION USE? Microsoft technologies Yammer and Office Groups dominate the enterprise social tools used within respondent organizations.

    Facebook at Work, a newcomer to the enterprise social space, has gained significant traction.

    With the release of Microsoft Teams in 2017, Microsoft’s chat-based collaboration feature in Office 365, it will be interesting to see how the popularity of these tools shift in the future.

  • WHAT PLATFORM DOES YOUR COMPANY INTRANET RUN ON?SharePoint remains the dominant platform for intranet delivery, with the largest concentration running on SharePoint 2013 On-Premises and SharePoint Online (Office 365).

    This appears to correlate with a industry trend of migration from on premises to SharePoint Online. By migrating to the cloud, organizations can receive the following benefits of digital transformation:• It makes businesses more agile from an infrastructure perspective.• It speeds time to market, and enables more rapid product innovation.• It lowers barriers to enhance responsiveness.• It offers a manageable fee that allows you to operationalize the cost of

    the cloud instead of undertaking massive capital expenditures.

    It’s important to note that there is still a significant base of older SharePoint installations. 5

  • WHAT IS YOUR COMPANY’S TIMELINE FOR MIGRATING TO A NEWER SHAREPOINT VERSION OR SHAREPOINT ONLINE?Fifty-two percent of respondents indicated plans to migrate to a newer version of SharePoint within the next 12 months, while 24% indicated plans to migrate in 12+ months.

    Companies appear to be sticking with their SharePoint investments and showing a commitment to migrating to the next version or SharePoint Online.

  • WHAT WORKLOADS DOES YOUR COMPANY CONSUME IN OFFICE 365/AZURE?OneDrive and Exchange Online lead the way in Office 365, with Groups and SharePoint Online also seeing significant consumption.

    Azure IaaS and PaaS services are gaining broader adoption as companies shift infrastructure and solutions to the cloud.

    Ancillary services such as Yammer, Planner, Flow, and video are being consumed modestly, presumably as companies roll out the services internally and offerings such as Flow and PowerApps mature in the market.

  • WHAT WORKLOADS DOES YOUR COMPANY PLAN TO ROLL OUT IN THE NEXT 12-18 MONTHS? Again, cloud adoption plays a strong role in future plans. The move to Office 365 continues as companies plan rollouts of SharePoint Online, Exchange Online, and Skype for Business.

    Infrastructure is also shifting to Azure IaaS as companies move away from on-premises servers to cloud hosting in Azure.

    Interesting, relatively few companies have plans to roll out Yammer, perhaps due to the increasing usage of Office Groups or the anticipation of Microsoft Teams.

  • WHAT THIRD-PARTY TOOLS DO YOU USE WITH YOUR INTRANET?A wide variety of third-party tools are being integrated into company intranets.

    Google Analytics is used extensively for measuring usage statistics.

    Some of the traditional SharePoint third-party vendors such as Metalogix, Nintex, Bamboo, and K2 are also well represented.

  • WHAT THIRD-PARTY INTEGRATION REQUIREMENTS DO YOU HAVE ON YOUR INTRANET?The intranet is increasingly becoming a hub for enabling sales and marketing teams, as shown by the prevalence of integrations with CRM systems such as Salesforce and Dynamics.

    Integrations with popular HRIS systems such as Workday, Peoplesoft, and Taleo were also prevalent, further supporting the intranet focus on corporate communications and human resource enablement.

    Both of these upward integration trends – in sales/marketing and HR/corporate communications – are expected to continue.

  • CONCLUSIONThe modern intranet is here — but what it will look like in the future remains to be seen. A few things are certain:

    • Companies will continue their investments in cloud solutions including Office 365, SharePoint Online, and Microsoft Azure.

    • Intranets will remain a top priority for corporate communications, with an increasing focus on HR and sales and marketing solutions.

    • Mobile access is a must, especially with a growing remote workforce.

    Some areas are less predictable, however. As more third-party solutions enter the market, will it become too saturated and result in consolidation? How will enterprise social tools evolve and change the way employees collaborate?

    Staying at the forefront of these innovations will be necessary to maintaining a useful intranet that provides the best employee experience.
