Description:

Free Seating is designed for workplaces, which are used by more than one employees. With Free Seating every employee is able to login himself with his call number and PIN to a individual device for a defined time period. In this time he can use the terminal with or without his own settings.

How to set up Free Seating

Creating user In Aastra Management Suite 4.1 a user „FS user 1“ with the internal number 5780 is created without a assigned terminal. This user is here to figure as “Free Seater” in this example. Hint: Each user can log on to a Free Seating Pool device if the PIN is not the default PIN.

Insert Pool Create in Configuration manager 4.3 a Free Seating Pool with the call number 5770. It is possible to create several Pools, but a terminal can only be member of one Free Seating Pool.

In each Pool it is possible to assign 16 devices; one can be a DECT device. Per default the permission set 2 is set in each Pool. Trunk-Trunk connections are not allowed. For internal and external the digit barring 1 is set. There are no authorizations allowed. Means: Only emergency calls are allowed.

For all Pool devices where no user is assigned, the following settings can be done: User and CLIP informations, userrights and Free Seating Pool settings. For „Automatic logout“ there is the following choice:

„No“ means no automatic logout. The user stays logged in. If you set as „Logout after“ 02:00, then the user is logged out automatically 2 hours after login from the pool. „Daily at“ means, every day at this time all user will be logged out from this pool. It is possible to define if the personal terminal profile (display language, configurable terminal keys, audio settings…) should be used. If „Use personal terminal profile“ is set to „No“, the defined terminal profile in the pool is used (also in case a user is logged in). Default setting is “Yes”. Hint: For an automatic logout no PIN is needed. A logout while a conversation is not possible.

Terminals in the pool Assign terminals to the pool 5770. In this example a Office 5370 and a Office 5380. If internal number 5770 is called, this devices are ringing.

Hint: For Free Seating device the following devices can not be used: Office 10, 25, 35 und 45, Aastra 6751i. If no user is assigned to a pool device, the terminal configuration is barred. Only the loudness can be set.

While creating such terminal, a terminal profile is created automatically. For each pool and terminal type, a profile is created. Example: If 3 Office 5370 and 5 Office 5380 are assigned to a pool, for each device type a terminal profile is created.

Log on Free Seater If a user (Free seater) logs in to a Free Seating device, the terminal is moved from the Free Seating pool to the user. If the user logs out, the terminal is going back to the Free Seating pool, means the user just borrow the device. To log on a Free Seater to a pool device, press the Foxkey “Log on“ and enter user number and the PIN (PIN has been changed). Here FS user 1 with number 5780 is logging the first time to Free Seating pool device Office 5370. Now a terminal profile for this device type is created.

Now the profile in AMS 4.4 can be configured which is valid for this user and terminal type. If FS user 1 logs on the first time to the pool device Office 5380 also here is a terminal profile created.

Hint: If a user logs on to a other pool terminal, he will be logged out from this device, expect he is in a active call.

Terminal behaviour If the user which is logging in has a personal workplace and he is using there a Office 5380, then this terminal profile is use when he is log in to a pool device Office 5380. E.g.: Personal terminal profile for an Aastra 5380 has one M530 (KBM) + one M535 (DKBM). After login on a 5380 free seating terminal, these M530 and M535 will be used as below: - The free seating terminal doesn’t have any key expansion module � the M530 and M535 keys will be ignored. - The free seating terminal has a M530 and M535 in the same order or not � the M530 and M535 keys will be set on the available expansion keypad. - If a terminal profile contains 2 M530 and the free seating terminal has only one M530, the first one will be used. If the user has already a One Number with two Office 5380 in use and cause this also two terminal profile for Office 5380, only one of these profiles can be used.

What is happened if:

- A DDI is routed to a free seating user which is not logged in at a terminal? The configuration stays, the caller hears congestion tone.

- A DDI is routed to a free seating pool and to this pool is no free seating user logged in?

(All devices are busy by Free Seater) The caller hears Congestion tone.

- A Free seating user is forwarded and he is logging in to a free seating terminal? The user stays forwarded.

Hint: For unreachable destination “899” can be used. All calls are routed now to VM of a free seating user which is not logged in to a terminal More informations you will find in the online help from WebAdmin.
