OverviewCapacity Management System.
The ACS Capacity Management System (CMS) has been developed in order to allow an easy and fast way to Manage Bookings.
The bookings can be entered manually by DHL staffing, GSA’s / customers who use the Customer Booking part (Available on http://aviationcargo.dhl.com), or through IATA messaging.
The booking requests will either be processed manually or automatically depending on the acceptation rules that have been entered in the system.
Printing, mailing and reply messaging to error and confirmations are available in the system.
This document covers basic booking agent functions in the order that they will be performed within CMS.

Log on to CMS

Go to http://aviationcargo.dhl.com/capacity/app on a web browser (Internet Explorer or Mozilla Firefox).
Login in at the screen below.

Enter your username and password and ‘Log On’.

Search Route

From the default ‘Booking’ menu, ‘Search Route’.

The Search Route screen will load as follows.
Enter the preferred search parameters and/or select them from the dropdown boxes and the “Search” button.
Select the preferred routing from the results list. the pencil icon. The “New Booking” screen will open and the selected routing will be added to the “DHL Routes” tab.

Enter the preferred search parameters and/or select them from the dropdown boxes and the “Search” button.

Enter the mandatory “Account” field and the preferred search parameters and/or select them from the dropdown boxes and the “Search” button.

Note that the booking entry screen is now split into different tabs (Basic Information, DHL Routes etc.)

Complete the booking details within the Basic Information, DHL Routes, MAWBS, Customs Info, Special Handling Codes, Restricted Commodities, and Rate/Yield tabs (entry fields with orange background are mandatory) and ‘Save’ to create the booking request.

Note: When no Transport Rate is available and no Ad-hoc Transport Rate Request in the Rate/Yield field has been filled in during entering the booking details, the system will load the ‘Request Rate’ dialogue box. Complete the Ad-hoc Rate Request details and ‘Request Rate’ to finalize the booking request.

As in the case of booking against free capacity, complete the booking details within the Basic Information, DHL Routes, MAWBS, Customs Info, Special Handling Codes, Restricted Commodities, and Rate/Yield tabs (entry fields with orange background are mandatory).
Prior to ‘Save’ to create the booking request, go to the DHL Route tab.Here you will need to detail the feed, defeed sector as well as the specific sector(s) that you have an allocation against which you wish to book your shipment.
Example 1: Single Sector Route
Booking: BRU-LOSAllocation segment: BRU-LOSAllocation name: GMEBRULOS005
Step 1:
Org: BRU= origin of booking and allocation of segmentDest: LOS = origin of allocation segmentMovement: choose an existing movement or simply put DHL, this will also work. Date: date of delivery @ org
Space allocation code: choose the option: Selling space against allotment (CA) as you have an agreed allocation on this sector.
Allocation reference: if the booking has been done correctly at this stage by choosing the right movement numbers on assigned sectors, the respective CLIVE allocation name(s) will pop up. In case there is more than one, the correct one needs to be selected.

Example 2: Multi Sector Route
Booking: STR-LBVAllocation segment: BRU-LOSAllocation name: GMEBRULOS005
The shipment will move from Stuttgard (STR) through to Libreville (LBV) and Booker will book shipment into his allocation on the BRU-LOS sector on day 5.
Step 1: Feed sector to BRU is the 1st sector:
Org: STR = origin of bookingDest: BRU = origin of allocation segmentMovement: choose an existing movement or simply put DHL, this will also work. Date: date of delivery @ orgSpace allocation code: Choose the option: Request for Space, accept alternatives (NA) as you don’t have an allocation on this sector/movement. (This is important)

Step 2: 2nd sector against an allocation
Org: BRU = origin of segmentDest: LOS = destination of segmentMovement: type the exact movement where your allocation is on or click the pencil to choose the moment.Date: exact date of movement where allocation is onSpace allocation code: choose the option: Selling space against allotment (CA) as you have an agreed allocation on this sector.
Allocation reference: if the booking has been done correctly at this stage by choosing the right movement numbers on assigned sectors, the respective CLIVE allocation name(s) will pop up. In case there is more than one, the correct one needs to be selected.
In cases where the allocation is on more than one consecutive sector/movement, each sector needs to be entered individually as per above so exact movement, date, CA and CLIVE allocation name.

Org: LOS = destination of segment
Dest: LBV = destination of booking
Movement: choose an existing movement or simply put DHL, this will
also work.
Date: must be later or equal to 2nd sector
Space allocation code: choose option: Request for Space, accept alternatives (NA) as you don’t have an allocation on this sector. (This is important)

The search result is loaded as displayed on the print screen below.

: Indicates if the booking is allocated to a movement. Green = fully allocated, Orange = partially allocated, Red = not allocated.

: When hovering your cursor over this icon, the system will display the creator of the booking.

From the booking details page, edit the required information within any tab and ‘Save’.

Please note the following rules that apply to edit a booking:
When the booking is still in status Request (not confirmed by DHL), all info of the booking can still be edited.
When a booking is Allocated or Confirmed, and you want to edit one of the following data of a booking, the system will force you to cancel the booking;
•Booking pieces / weight or positions•Booking Type•Routing•Delivery at origin details•Scheduled uplift date•Latest arrival date•Origin and or destination•Account and or sub account•Goods description•Service / Commodity code•Special Handling Codes•UN number, DG type and or TI
When a booking has status RCG request (confirmed by ACS Capacity & Yield dept.), and you want to edit one of the above data of a booking, the system will set the booking back in status ‘Request’ and requires approval from the ACS Capacity & Yield dept. to return to status RCG Request.
When an operational event has been performed in TGV (such as a PPW check in, reload.) the system will not allow you to make any changes to a booking except to ‘re-submit’ the booking

1. From the booking search result, to cancel the booking
A booking can be cancelled from the search booking screen, or from the booking details screen.
2. From the booking search result screen, to load the booking details screen, ‘Cancel’ to reject the booking.

When a booking is being cancelled, the system will load a confirmation box. A comment can be entered in the free text field. To confirm the cancellation, ‘Ok’ to proceed.
When the cancellation is confirmed, the system loads the ‘Send booking information’ dialogue box. Verify the addresses and add recipients when needed. ‘Send’ to send the booking details to the selected recipients.

Copy Booking

A booking can be copied from the search booking screen, or from the booking details screen.
1. From the booking search result, to copy the booking
2. From the booking search result screen, to load the booking details screen, ‘Copy’ to copy the booking.
The system will create a copy of the selected booking in order to issue a new booking request (Note: the MAWB number will not be copied)
