Tocal’s excellent accommodation, catering, education and meeting facilities make it an ideal venue for conferences, seminars and training. The Campus is located in a tranquil rural setting close to transport hubs and within easy reach of the attractions of the Hunter Valley. ACCOMMODATION Motel style accommodation is available at Glendarra 2 and Glendarra 1, which are located across the road from the College campus in a quiet rural setting. The rooms have tea and coffee making facilities, television and wireless internet. Up to 27 en-suite rooms are available. Glendarra 2 rooms can either accommodate triple share or a queen bed and bunk beds for families. Cottage/shared accommodation is available for large groups. The cottages have kitchenettes and a lounge area. Visitor flats are also available. 90 single student rooms with shared bathrooms are also available during College holiday periods. Phone for details. 1. DEFINITIONS“Booking” means the period for which you have paid to stay at the Accommodation.

“Accommodation” means Glendarra 1 and 2, Cottages, Flats, Student Accommodation and all its fixtures, fittings and equipment.

“Management” means the managers of the Accommodation.

“Guests” means the persons who stay overnight in the Accommodation during the Booking.

“Visitor” means a person a Guest permits to visit the Accommodation during the Booking.

2. ACCEPTANCE AND RESPONSIBILITYPayment of the Deposit constitutes acceptance of these Terms and Conditions.

3. CHECK IN/ OUTCheck-in time is not before 2pm on the arrival date and check out time is not later than 10am on departure date.

Early arrival & late departure is subject to prior arrangement and availability.

You must notify Management of expected arrival time and a mobile contact number at least 7 days before arrival.

Check-in/check-out and key collection/return procedure will be as follows :

• Accommodation: Check in from 2pm at Tocal College reception and check out 10am.

• Reception hours: Monday – Friday 8.30am – 4.30pm. • For late arrivals, weekends and public holidays contact

the duty officer on 0428 973372. Duty Officers will allocate keys from reception, unless special arrangements have been made before arrival.

• All keys must be returned. Keys can be; - Left at reception - Dropped in the letter slot at reception; or - Locked in the room unless directed otherwise.

4. PAYMENTA deposit of 20% is required at the time of booking or within 14 days. Full payment will be encouraged for bookings less than $200.

TERMS AND CONDITIONS OF ACCOMMODATION AT CB ALEXANDER CAMPUS, TOCAL COLLEGE, PATERSON

Bookings are not confirmed unless deposit or full payment has been received.

Payment in full must be received no later than 14 days (2 weeks) before your arrival.

Payments of the amount due must be received in Australian $ net of any bank or other transaction charges.

Please ensure payments are made within the specified time limits or the Booking will be cancelled automatically without notice or liability to you.

We accept payment by the following methods: Cash, Visa, MasterCard, bank cheque or money order. Invoices will be issued to existing clients.

Personal cheques will be accepted if received at least 30 days before arrival.

5. CANCELLATION OR VARIATIONIf you wish to vary or cancel your Booking, please contact us immediately on 02 49 398846.

A $15 administration charge in regards to cancellation fees as stated below will apply

You will be refunded if;• Cancelled or modified up to 30 days before date of

arrival, total price of the booking will be refunded less administration fee

• Cancelled or modified within 14 days, 50% of the booking will be refunded less administration fee

• In the case of no-show, the total price of the booking will be charged

A variation of the Booking that reduces the number of nights stay will be a treated as a cancellation of the Booking in respect of those nights.

A variation of booking that increases the number of nights must be fully paid when the variation is made.  Variations cannot be guaranteed and are subject to other bookings in place.

An administration charge of $15 will be charged for any variation or cancellation.

6. DAMAGES Charges may be incurred for accommodation that has not been deemed to be left in a similar state to your arrival.

A credit card authorisation must be provided to management upon confirmation of your booking.

7. UNAVAILABILITYIf the Accommodation becomes unavailable for your occupancy due to unforeseen circumstances (eg. fire, storm, damage, etc) then Management will inform you immediately and endeavour to obtain suitable alternative accommodation for your occupancy; failing which any moneys paid will be refunded in full.

8. LINEN AND TOWELSWe supply linen, pillows, blankets and towels that must be left where supplied in the bedrooms or bath room on departure. Pool towels are not included.

Glendarra Rooms are not serviced on weekends, therefore should you require extra towels please advise management at the time of booking.

Cottages, flats and students rooms are not serviced, however clean towels will be provided midweek for extended stays.

Guests may bring their own linen for cottages, flats and student rooms only at a pre-determined reduced rate. Arrangements must be made with management at the time of booking.

9. PETSPets are not allowed at the Accommodation

10. YOUR OTHER RESPONSIBILITIESYou must comply with all applicable rules and all instructions from Management of the Accommodation concerning occupancy, accommodation, health, safety and quiet enjoyment of the accommodation and other guests.

You are responsible for damage, breakages, theft and loss of the Accommodation and any part of it during your stay. You must notify us of this immediately. Management may recover from you repair or replacement cost (at Management’s discretion).

Disturbance to other guests, including excessive noise, is prohibited and may result in termination and eviction without refund and extra charges may be made for security and other expenses.

Before departure, all food must be removed from fridges, all rubbish put in the appropriate bins provided, and crockery and cutlery washed and packed away. The Accommodation must be left in a clean and tidy condition.

Extra cleaning charges may be incurred should cleaning be deemed over and above normal cleaning.

All furniture and furnishings must be left in the position they were in when you arrived

The Accommodation should be vacated on time and secured. All windows and doors are to be locked.

You are responsible for the safekeeping and replacement of accommodation keys. Duplicate keys will be provided at an additional charge of $30.

Smoking is not permitted in the Accommodation. There are designated smoking spots and Management can advise of these at time of booking.

11. PROBLEMS OR COMPLAINTSIn the case of any problem or complaint, you must inform Management at the earliest opportunity so Management has the chance to rectify the situation as quickly and efficiently as possible. You must allow repair/service access to the Accommodation during reasonable hours.

Any complaint that cannot be resolved locally must be notified in writing to Management before departure from the Accommodation. Failure to follow this procedure this may hinder the ability of Management to rectify the problem.

Management is not responsible for any injuries, illness or accidents that may occur while staying at our Accommodation.

12. RATESRates are reviewed annually and are applicable from JANUARY 1 in any year.
