1. Once you receive a TES Evaluation Tracker Alert in an email on behalf of Jennifer Moody, Karen Nelson, Mandy Morgan Ross, David Kenley, or Marjorie Armon, this means you have been prompted for the potential evaluation of a transferred course. Please follow these directions to let us know how you wish to act on this transfer coursework. The TES Evaluation Tracker Alert email will include a notification stating: “a course evaluation task(s) has been assigned to your queue.”

2. Login to TES at tes.collegesource.com using your login and password. If you don’t have an account, speak with Jennifer Moody in the UALR Office of Transfer Student Services by calling (501) 682-1286 or sending her an email at [email protected].

3. Click on the Manage tab and then select User Preferences. This a recommended step to make evaluations easier to find. This is not a required step for evaluations to take place.

- Select User Preferences from the Manage menu.

- You will be taken to a User Preferences page (as shown on the following page).

Continued from page 1. Once you have selected User Preferences from the Manage menu, you will be directed to the following page:

- Click the radio button next to My Evaluations.

- Click Submit to enforce this change. You will now be directed to the My Evaluations screen so you may work with the evaluations you’ve been assigned.

- You can now continue using this guide to proceed to your assigned evaluations.

4. This will be a listing of all the campuses from which you have been asked to accept or deny coursework. Click on the associated arrow to choose the institution in order to determine the transferability of the course(s).

5. Select the course you want to evaluate from the complete list of all courses you’ve been assigned to evaluate.

6. On the following page, you will see a course description from the transferring institution as well as the description from the potential UALR course. At this time you have the option to approve, deny (select from a list of denial options), select ‘Need more Information’ if you need more information from a syllabus for example, ‘Re-Assign’ to another person within your department or college, or you can ‘Add/Edit Equivalent Course(s)’. The image below shows your options.

Review the following page which is designed to give you the ability to select an action for the transferred course. If you have any questions, feel free to contact the Office of Transfer Student Services at (501) 682-1273 or by responding to the email you received initially (in item #1).

This area is for comments given by the Office of Transfer Student Services for this potential evaluation.

NOTE: To ensure the transfer course is evaluated correctly, you will need to review the course description from the time of completion at the transfer institution. For example, the student you are evaluating may have taken a course and the course description may have changed between then and now. Also, any prerequistes or corequisites might have also changed.

This feature in the TES software is designed to compare the Version History of previous course descriptions with the courses prerequisites or corequisites. In the following evaluation tools, you may specify the transfer of coursework for previous or current coursework in the Notes section. This is useful for blanket evaluations for future students who may be attempting to transfer similar coursework under a different catalog term.

To see the previous course descriptions of a particular course, click on the hyperlink beside Version History at the bottom of a course description (see the images on pages 5-6).

The following image is an example of how to find the Version History for a particular course:

NOTE: As you can see in the image on the following page, when you view the Version History for a particular course at a transferring institution, you may see the descriptions for a course at another location of the campus. In the following example, the University of Idaho has a catalog listing for their Independent Study courses. Please contact the Office of Transfer Student Services at (501) 682-1273 for questions on different types of catalogs in the Version History.

The following page shows what a Version History looks like and the catalog information has been circled to show the variety of description in a particular course over time. (Refer to the image in Page 6)

7. These next steps will show you how to give a decision to the transferability for the course sent to you by the Office of Transfer Student Services:

Once you select an action from the drop down menu, you will automatically be transferred to the screens shown in the following steps.

A. Approving a course for evaluation with a recommendation. Follow directions on page 7.

B. Approving a course sent with no recommendation, but the course can be used as a departmental shell (i.e. BIOL xxxx). See instructions

on pages 7-8.

C. Add or edit equivalent course(s) related to this evaluation. See more information on pages 8-9.

D. Denying a course for evaluation. Follow directions on pages 9-10.

E. Denying a course because of the subject listed. Follow directions on page 10.

F. Denying a course because of the level listed. Follow directions on page 10.

G. Denying a course because of the lab (or concurrent) coursework listed. Follow directions on page 11.

H. Denying a course because of the course sequence at the transfer institution. Follow directions on page 11.

I. Denying a course because of another reason. Follow directions on page 12.

J. Stating you will need more information in order to proceed with the evaluation of this course. See page 12.

K. Stating this evaluation should be re-assigned to another faculty or department chair. See directions on page 12.

A. Accepting a transfer course for evaluation.

- To accept this course as a blanket evaluation for all future students, write the following text in this section: “Please allow this course to be transferred as a blanket evaluation for all future students who have successfully completed this course.” This action can be updated at any point with your permission. Select Confirm once you have made your evaluation decision.

B. Approving a course sent with no recommendation, but the course can be used as a departmental shell (i.e. BIOL xxxx).

Add the following text: “Approve: Shell Course Articulation Biology 2000 4 hours. Counts as Lower Level Biology Elective Credit for majors or minor.”

Shell courses are an easy way to award credit towards major/minor electives. See the image below of how the articulation will appear in the Transfer Equivalency Guide at ualr.edu/records/transfer/tca.

C. Add or edit equivalent course(s) related to this evaluation.

- To select an equivalent course, you will need to choose the dataset based upon the catalog term which matches the course transferred by this student. Press Select once you have made your evaluation decision.

To continue with the Select Equivalent Course(s) function, advance to the following page to continue the process for articulating the transferred course.

Once you select the dataset, you will be moved to another screen so you can select the equivalent department from a drop-down list. Then, you can select the equivalent course. The image will be viewable on page 9.

- To select the equivalent course, place a check in the box to the left of the course information. Choose Select Course(s) once you have made your evaluation decision. This will make the course you selected equivalent to the transferred course.

D. Denying a transfer course. Steps for a denial are listed in the following steps:

- For a denial, please tell us why so we can proceed. If there is a more exact denial reason, please continue in this guide to specify the reason. (i.e. “This institution isn’t accredited by our accrediting body so we cannot accept up-per level courses from this institution. We can give a competency exam if any students would like to contact me.”)

Select Confirm once you have made your evaluation decision.

E. Denying a course because of the subject listed.

- For a denial based upon the subject, please describe the error. It is possible the course is not taught in the same subject area at UALR. Please let us know and we will contact the appropriate department. Select Confirm once you have made your evaluation decision.

F. Denying a course because of the level listed.

For a denial based upon the level, please describe the error. It is possible the original course is taught at a significantly different division/level. Select Confirm once you have made your evaluation decision.

G. Denying a course because the lab or other concurrent coursework is not listed.

- For a denial from a lab or other concurrent course, please describe the error. It is possible the course is not taught with a lab (or other concurrent course) like at UALR.

- Please note that a student may still receive credit from a science lecture even if they didn’t take the lab (if it’s offered on the campus).

Select Confirm once you have made your evaluation decision.

H. Denying a course because of the course sequence at the transfer institution.

- For a denial based upon the sequence, please describe the error. It is possible the course is not taught in a sequence compatible with the equivalent course at UALR. Select Confirm once you have made your evaluation decision.

I. Denying a course because of another reason.

- If you are denying this course for a reason not listed in this guide, please describe the error in detail. Select Confirm once you have made your evaluation decision.

J. Stating you will need more information in order to proceed with the evaluation of this course.

- If you are requesting more information about this course, please describe what you are requesting in detail. For example, if you request a syllabus, please request this so we can inform the student so they can provide it for you. If you are requesting other information, please request it in writing with this screen in TES. Select Confirm once you have made your evaluation decision.

K. Stating this evaluation should be re-assigned to another faculty or department chair.

- To re-assign this message to another faculty or department chair, select the appropriate colleague from the drop-down list and leave a detailed note. TES will send them an email to re-assign this evaluation. Select Confirm once you have made your evaluation decision.
