Lehman College Quick Overview
Total undergraduate enrollment for Fall ‘18
69%
5,000
13,035
of Fall ‘18 entering degree-seeking students
were transfer students
Transfer credit evaluations completed per
year
Three Areas of Innovation
Utilizing student groups to impact college
option requirements in DegreeWorks
Evaluation of transfer courses in progress
Enhancing transfer credit evaluation process
for unevaluated courses
The College Option Challenge in DegreeWorks
CUNY’s College Option Structure 6/9/12 step function Campus guidelines
The DegreeWorks guessing game Impact on advising process
Frustration/confusion Time spent TAP implications
Then
The College Option Challenge in DegreeWorks
The latest DegreeWorks upgrade includes a new
top-of-the-line safety feature. When the College
Option section of the audit loads, an airbag is
deployed so you don’t bang your head in
frustration!
Then
College Option – Degree Works
The college option is accurately reflected at point of initial
transfer advisement!
Created student groups that assign the 6/9/12 credit
college option
Admissions uses queries to identify pending associate
degree holders at the point of admission and assign a 6-
credit college option student group
Admission staff assigns the 9 or 12 credit student group
during the transfer credit evaluation process
DegreeWorks audit is typically updated within 48 hours
Now
College Option – Degree Works
Impact on advising process
Initial advisement session is much clearer to students
No manual intervention required to correct audit
Assists with advisement of reverse transfer students
Now
Courses in Progress – Degree Works
Always recorded CIPs, even on handwritten evaluations
Listed CIPs with 0 credits
Impact on advising process
CIPs wouldn’t fit into audit
Advisors had to reference multiple systems to discern Pathways RD
Students couldn’t register for next level course if prerequisite was CIP
Then
Courses in Progress – Degree Works
CIPs are fitting into the audit!
University Registrar’s Office mass updated Lehman’s transfer
credit rules
0 GPA applies to equivalencies
Updated DGW grade table in CF to allow CIPs to bridge to audit
Impacts on advising process
Automates ‘fetch’ of CIPs, application of equivalencies, and RD
assignment
Initial advisement more accurate and seamless
No need to bounce between screens
Students have actual count of attempted and earned credits

Faculty Transfer Credit Review Form Then
Created ‘8888’ course in each
discipline
Students had to visit academic
departments to receive faculty
signature for each unevaluated
course
Faculty availability and CDADs
January/August frustration – terrible
experience for everyone involved
Faculty Transfer Credit Review Form Then
Service indicator would prevent
students from registering next
semester
No means of tracking how many
students needed signatures, how
long it took, or how many courses
needed evaluation
Faculty Transfer Credit Review Form
There must be a better way
Then
Faculty Transfer Credit Review Form / eTCE
Electronic workflow process!
Collaboration between Admissions, Information
Technology Division and Office of Student Success
Initiatives
Based on course content, not specific student
record/circumstance
Minimal student intervention
Course only has to be evaluated once

Impact on Advising Process
Quick, easy, and seamless process for all
involved:
No runaround / waiting in lines for students
Ability for faculty advisors to evaluate courses from
anywhere, at anytime
Faculty advisors can dedicate summer advising hours to
actual advisement
Students do not have to wait for CDADs to have courses
evaluated
No holds on student records

Lessons Learned / Challenges
Needed to update business practices to match new technology
Ongoing need for training and tweaking
Updating CIPs requires significant resources and manpower
Non-CUNY courses require transcripts; time lag
Inability to keep up with eTCE results
Academic advisors need access to eTCE system
Next Steps
Verification of pending degree holders
Involving the student in the eTCE process
Assistance from Central Office to further automate eTCE
Continued feedback loop between admissions and IT to create rules
and exceptions in eTCE script
Grant eTCE view access to advisors
