Introduction

This user guide covers the standard system features and functions that are available to you as a user

of TransUnion Direct. This resource enables you to order products and reports suited to your business

needs. The following features and functions are covered in this user guide:

Login page

Navigating tabs

Mailbox

Subscriber settings, resources and quick links

Pinning and unpinning

Portfolio of services

Report functions

Table functions

Where necessary, you will be guided through a process in a step-by-step manner.

Login Page

When you launch TransUnion Direct by going to www.tudirect.co.za, you will be prompted to log in

using your username and password.

You will also see a third input field that has some random letters and/or numbers to the left of it. This is

a Captcha challenge-response test, which helps ensure that the response is generated by a person and

not a computer. Any user entering a correct solution is presumed to be human and therefore will gain

access to the secure site. You will need to type in the letters and/or numbers that appear. They will

never be the same so be sure to check carefully when typing.

Logging in

STEP 1: Type your username into the Username

field.

Note: You must use the email address

through which you activated your account.

STEP 2: Type your password into the Password

field.

Note: You would have chosen a

password during the account activation

process.

STEP 3: Type in the CAPTCHA code.

Note: The CAPTCHA input field is not

case sensitive.

STEP 4: Click on the Login button.

Forgotten your password

If you have forgotten your password, follow the steps below to reset it.

STEP 1: Type your username into the Username

field.

STEP 2: Click on the Forgot Password? link

STEP 3: When you set up your account, you

selected a challenge question and answer

to use to reset your password.

Type the answer to your challenge

question into the Challenge Response

field.

STEP 4: Click on the Recover Password button.

STEP 5: A message will appear in the top left hand

corner of the screen informing you that an

email has been sent to you with a link to

reset your password.

Note: You will need to open your email

programme and access the email sent to

you from the administration system to

click on the Reset Password link in the

body of the email.

STEP 6: Once you have clicked on the Reset

Password link, a window to TransUnion

Direct will open. You follow the same

steps as you did when you first set up

your account.

Click on the Reset >> button. You will be

taken to the login page.

STEP 7: If you have forgotten your challenge

question, click on the Send it >> link to

the right of the Forgot Your Challenge

Question? Statement.

A message will appear in the top left hand

corner of the screen informing you that an

email has been sent to you with your

challenge question.

Note: You will need to open your email

programme and access the email sent to

you from the administration system to see

your challenge question. Continue on from

Step 3.

Disclaimer

The first time you log in to the TransUnion Direct system, you will see the Disclaimer screen. Read

through the terms and conditions of use and if you want to continue, click on the I accept the Terms

and Conditions checkbox. The Next button will become active in order for you to click on it. You will

be taken to the Home page.

Note: The Terms and Conditions are available to read at any time using the blue terms and

conditions link at the bottom of the screen. If there are any changes to the Terms and Conditions, you

will receive a message in your personal mailbox, found in the Quick Links panel, informing you of these

changes.

System Header

The system header is standard on every screen of TransUnion Direct. It is made up of an information

bar and a navigation bar. The information bar contains the following elements:

TransUnion logo, which links to TransUnion.co.za

Your system status, i.e. that you are logged on

Your username

The navigation bar includes the following links:

Home – this will take you back to the Home Page.

Manage Profile – this will open the Mange Profile page where you can update details such as your job title.

Change Password – this will open the Change Password page where you can reset your password by answering your challenge question.

Note: If you have forgotten your challenge question, you can click on the Challenge Question button and an email will been sent to you with your challenge question.

Help – this will open the TransUnion Direct Help and Support pop-up window, where you can search through a table of contents for system help, product fact sheets, support and contact details. You can also search the Help content by using the search field in the bottom left hand corner of the pop-up window. To close this window, click on the ‘X’ in the top right hand corner of the pop-up window.

Logout – use this link to log out of TransUnion Direct after you have finished transacting on the system.

Tab Navigation Bar

The tab navigation bar offers the ability to navigate between active tabs that you have opened.

Note: The number of tabs that can be open at once is limited to eight.

To manage the number of open tabs, you can make use of the following functions:

Function Icon

If you can’t see all the active tabs due to limited screen space, use the left and right scroll arrows to scroll across the opened tabs.

To close a tab, you have two options:

Click on the ‘X’ inside the blue circle on the far right of the tab

Right click on the tab and select Close Tab

If you have a number of tabs open and would like to close them all at once, right click on a tab and select Close All Tabs.

Note: The Home tab cannot be closed.

You can also minimise or maximise the frames by clicking on the black ‘˄’ or ‘˅’ icons on the far left of the grey bar.

Mailbox

The mailbox displays all products that you have ordered within the last 14 days. Each order shows a

summary of information about the product, including the ticket number, the subject name, subscriber

number and the date submitted. It is important to note that the first time you use TransUnion Direct you

will not have any orders on the system. Until you have ordered a report the mailbox function will not be

activated.

You can view up to ten orders in your mailbox per page.

Note: If you can’t see all the information in a product, such as the expiry date, use the scroll bar at the

bottom of the mailbox list to scroll across to the right.

Status Delivery Bar: The mailbox also displays the percentage complete of a report. For example, if a

report that is on file and immediately available, the status will reflect as 100%. If it is an investigative

report that requires additional information to complete it, the status percentage will increase as the

investigation proceeds (from 25%). Once it is complete, the status will be 100%.

Mailbox Options:

There are a number of functions available in the product summary of your mailbox. These include the

ability to Monitor businesses directly from your mailbox, Order New products on the same entity and

the setting up of an automatic Recurring Order for business services.

Monitor >> button: By clicking on this button, a Registration Service tab will open where you can select

the business for monitoring.

Note: You can only use this service if you have monitoring available to you in your setup. It is a service

that is charged for.

Order New >> button: By clicking on this button, you will automatically be directed to the product order

screen for the same entity; this allows you to order further products on the business or principal without

having to search for the entity first.

Recurring Order >> button: By clicking on this button, you will be able to set up an automatic order

function that will reorder the report on the same entity at a frequency of your choice up to a period of 2

years. This is for business services only.

Note: The frequency of your Recurring order should be based on your credit policy. If you are required

to reorder a new risk report on your debtors every 6 months, you can set this up to automatically

happen within TransUnion Direct, saving you time and building efficiencies in your credit process.

To see your new order, click on the >> Refresh All link, located just above the first report in your list.

This will update your mailbox list.

To access your actual order from your mailbox, double click on an order, a new tab will open displaying

the Business Information Report.

Note: Report functions such as emailing, saving and printing are explained in more detail in the Report

functions section of this guide on page 20.

Quick Links Panel

The Quick Links panel, situated on the right of the screen, gives a range of functionality to help you

access the information you need.

Messages

The Messages link, located at the top of the panel, gives you access to a personal mailbox where you

will receive messages from the system regarding topics such as system maintenance, product or

service information and new releases of TransUnion Direct.

Subscriber settings

The subscriber settings display the following information:

Name of your company

Name of the administrator who created your system profile

Your subscriber code, which is unique to TransUnion.

The name of your TransUnion sales AE (Account Executive)

Change Subscriber link (if you have the On Behalf Of privilege allocated to your role)

Change Subscriber

STEP 1: Click on the Change Subscriber link

under Subscriber settings

STEP 2: A pop-up box will appear displaying your

Current Active Subscriber details and

below this, a drop-down list of the

Subscriber numbers that can be selected.

Select the Subscriber number that you

wish to use.

STEP 3: Click on the OK>> button in order to

continue.

STEP 4: The Subscriber Settings under the Quick

Links panel will reflect the Subscriber

name and associated code that you have

selected.

Note: Please note that orders will be

billed to this subscriber number.

Resources

Resources consist of the following links:

Link to the TransUnion Direct Demo, which can be accessed at any time

Help Section, where you can access the system guides and Frequently Asked Questions. These are regularly updated to help answer any questions you may have about TransUnion Direct, products or services

TransUnion Library which contains a list of publications that are sent to clients, including newsletters, case studies and articles.

Quick Links

The Quick Links section consists of links to useful external websites such as SARS and a Google

search box.

Pinning to Increase Workspace

You can increase the width of your workspace on the screen by clicking on the pin icon in the top right

hand corner of the Quick Links panel.

The panel will now be ‘pinned’ and appear as a button called Quick Links. To unpin the panel and

access information or links within it, simply click on this Quick Links button.

Portfolio of Services

The Portfolio of Services is a list of the major services offered through TransUnion Direct. They are

located in the left hand menu panel in the form of buttons, each with individual icons. Depending on

your access, they can include:

Business Services (these are covered in the Commercial user guide)

Consumer Services (these are covered in the Consumer user guide)

Tracing Services (these are covered in the Tracing user guide)

Fraud Services

Insurance Services

Monitoring Services (these are covered in the Monitoring user guide)

Data Services

Order History (these are covered in this guide)

User Management (if you are an administrator on the system, these are covered in the Administrator user guide)

By clicking on a service, a list of sub-services will appear at the top of the left hand menu panel. For example, if you are a business subscriber and click on Business Services, the sub-services available to you are:

Property

International

Decisioning

Note: Should you select a Service that is not available to you a lock icon will display on the sub-

services menu. Double clicking on the menu item will bring up a pop up communication explaining the

service.

Note: By dragging the horizontal resize bar downward, you can view more of the sub-services list. This

will create mini icons for each service in the bottom section of the panel.

Order History

Within the portfolio of services is the Order History. The sub-services under this service are:

Mailbox

Order Log

Recurring Orders

Mailbox

This is the same Mailbox that can be accessed from your Home page; however, instead of displaying

the content of your entire mailbox one under the other; you are presented with a search screen to find

specific mailbox items.

You can search using a specific subscriber number. This is relevant when you have the privilege to

“Order On Behalf Of” allowing you to swop between subscriber numbers to place different orders. You

may then search on a Service such as Business, Principal, Consumer or Trace. Once you have

selected a Service, you need to select search criteria such as the Ticket Number, the Subject Name or

a Date. Based on the selection you made in the Search On drop-down menu, input the relevant

information, for example the ticket number and click on the Search button. If the item was ordered in

the last 14 days, it will be available in your Mailbox. To refresh yourself on the properties of a Mailbox

item, please refer to page 10.

Note: The orange star indicates a mandatory field.

Order log

The Order Log presents a search screen that enables you to search for any products and/or

transactions ordered in the last 90 days. The search criteria are exactly the same as those available to

you in the Mailbox.

Once you click on the Search button, your results will be displayed in a log format summarising the

details of the order. These details include:

Subject Name

Subscriber Number Ordered On

TransUnion Ticket Number

TransUnion IT Reference Number

Order Date

User name

Service

From here you are able to email, save and/or print your reports.

Note: Report functions such as emailing, saving and printing are explained in more detail in the Report

functions section of this guide on page 17.

Recurring Orders

The Recurring Orders function presents a search screen displaying any transactions selected to be

automatically ordered. For each order you can identify the frequency set for recurring orders, the next

order data, the amount the original enquiry was for as well as the date the order was last processed.

Note: This service is available for business service reports only.

You can click on the Stop button, to cancel the recurring order, or alternatively you can click on the

Order Now button to immediately place a new order for that entity.

Should you choose to Order Now the next order data will automatically update and will reflect the next date from then based on the selected frequency.

Report Functions

Every report available to you is laid out in the same manner. A report is made up of a number of

modules, depending on the content within the report. Every report will start with a Summary module,

which summarises the details of the report, including the company name, the registration number and

the products ordered.

There is no limit to the number of modules in a report but, due to screen space, you may not be able to

see all of them. If this is the case, simply click on the white down arrow (see the image) and a list of all

the modules will appear. You can click on any of the list items to view the information in that module.

The products that you order will be displayed in a table under the heading Products Ordered. You are

able to sort the table information.

Note: This is covered under Table Functions section.

You are able to email, save and print any of your reports.

Email a Report

STEP 1: To have a report emailed to you, click on the Email link in the right hand corner of the grey Business Information Report header.

A blue information message will display above the grey header informing you that the system is busy emailing the report to you.

STEP 2: Once complete, a pop-up box will appear asking you to check your mailbox for a PDF version of the report.

Click on the OK >> button to close the pop-up.

Note: If you do not receive this email, please contact your TransUnion consultant.

Save a Report

STEP 1: To save a report, click on the Save hyperlink, located next to the Email hyperlink.

A blue information message will display above the grey header informing you that the system is busy downloading the report.

STEP 2: Once complete, a pop-up box will appear asking you to click on the Save >> button to continue.

Note: If you want to cancel this action, click on the ‘X’ in the top right hand corner of the pop-up window.

STEP 3: A Save As dialog box will open.

Select a location and click on the Save button.

Print a Report

STEP 1: To view or print a report from the system, click on the Print View hyperlink, located next to the Email / Save hyperlink.

A separate window will be opened showcasing a pdf version called Report Print View

STEP 2: To view the report within this window please use the play button to access all the pages of the report

STEP 3: From this window you can select the Printer icon

and print the report from the system as per your normal document printing processes.

Table Functions

When using any of the search functions in TransUnion Direct, the results will be displayed in a table

format. Each table is made of columns, depending on the search criteria used, and rows, depending on

the number of results available. There is a maximum of 10 rows per table displayed. If the search

criteria return more than 10, use the arrow keys located in the bottom right hand corner of the table to

navigate to the next set of results.

Filtering Information

All table information can be filtered using a number of filtering criteria.

STEP 1: Click on the funnel icon to the right of the column header.

A pop-up window will appear. Within this window, you can filter the information according to various criteria. For example, you can select from the list of business names or you can input specific values.

STEP 2: Once you have selected or input your criteria, click on the Filter button.

STEP 3: To clear any values you have input and start again, click on the Clear Filter button.

Sorting Information

You can also sort the table information to be ascending (A - Z or 0 - 9) or descending (Z - A or 9 - 0) by

clicking in the middle of a column header.

Note: An upward pointing black triangle indicates ascending values and a downward pointing black

triangle indicates descending values.

General Tips

Below is a list of general tips to remember when using TransUnion Direct:

If you have been inactive on the system for 25 minutes, you will receive a warning that your session is going to expire in the next five minutes.

Input fields are not case sensitive.

You can tab across respective input fields for quicker navigation.

When setting up a new password, remember to follow the stipulated password format: a minimum of eight and a maximum of 30 characters, including at least one upper and one lower case letter and one numeric value.

Your password is only valid for 90 days. You will receive a notification of expiry in your TransUnion Direct mailbox five days and two days before your password expires.

The mailbox only displays the last 14 items ordered.

The order history contains the last 90 days of products and/or transactions ordered.

When typing in monetary values, ensure that there are no spaces or commas between numbers and do not use currency indicators.

You can use the tab button on your keyboard to move from field to field.

You cannot use the enter button on your keyboard to activate a button. You must click on the button itself. The exception is the Login button on the login screen.

Because most of the screens are housed in tabs, do not use the Back button on your browser window to go back to a previous screen because this will take you to the Login screen. Instead, use the close buttons (the ‘X’) on each tab, or right click on the tab and select Close Tab. A message box will warn you when you are about to reach your limit of open tabs.

You cannot copy data directly from a TransUnion Direct Screen, should you need to copy data from the application for any reason, you can do so from the Print View page.

All search screens have the same buttons available to you:

- Search – view the results of your search criteria

- Reset – clears all values from the form

- Cancel X – exits the search page by closing the tabs

Error messages occur if you fill in a field incorrectly or if you do not fill in a mandatory field. The relevant field will then be highlighted in the general error colour red (see the error key below) and will include an error message.

If there is a field validation error, a general error message will display at the top of the page, in addition to the text that is displayed below the required field.
