Trillium Web Elementary Achievement (TWEA) is the application that teachers across the TDSB use to prepare the Progress and Provincial Report Cards for Grades 1-8. The application is available to all teachers with a valid Trillium account at any time during the school year.

COMPUTER STANDARDS Trillium Web based Report Cards can be accessed from any internet enabled computer. A high-speed internet connection is recommended for best performance.

The following table outlines the configuration for using Trillium Web Elementary Achievement (TWEA).

CONVENTIONS USED IN THIS MANUAL Throughout the manual, certain symbols are used to provide you with helpful information or warnings.

This symbol is used to indicate special Tips & Tricks to save you time and effort or provide other helpful information.

This symbol is used to indicate Warnings about potential problems you may encounter, and instructions on how to avoid them.

This symbol is called the focus indicator and is used to point to the row of data you are working with.

This symbol indicates that the mouse click button should be pressed to perform an action or make a selection.

This symbol indicates new enhancements to this version.

This symbol refers to the Alternative Report Card (ALTRC) application and/or process

SECURITY Because security is such a critical component of any web application, Trillium includes several layers to ensure the confidentiality and safety of the data. The web applications have built-in security and uses encryption to ensure that confidential textual information is transmitted over the internet in a secure manner.

Sign onto TWEA using your TDSB Network account (6-digit employee number i.e. 012345 including the leading zero) and password.

UNSUPPORTED FEATURES

The Refresh button and the Back button on your browser are not supported within this application. If you attempt to press these buttons while you are logged into the application, you will lose any information that has not been saved.

Back button message:

If you are redirected to the log on window you must re-enter your user name and password to log back into the application.

COUNTDOWN CLOCK

A countdown clock appears at the top section of all TWEA windows with the label “Session Expires in”.

The application considers activity to be the use of the Save button. This can be done at any time by the user. The application will also prompt you to save your data if you move from one Tab to another; or from one student to another.

Typing is not considered activity by the application until the data is saved.

A warning box will appear 5 minutes before you are logged out and provide you the opportunity to save your data and reset the session timer.

In order to see the warning pop up on your screen, you must have the pop up blockers disabled. In other words, your computer must be set to allow pop ups.

If you do not press the Save button before moving to another student or another tab, the application will prompt you with the following message:

To invoke a save you MUST press the Save button on the Tab (simply selecting OK on the warning Tab will not save your data).

1. From the TDSB internal Website’s Home Page (http://tdsbweb/) 2. Select Teachers Tab. 3. Select Quick Links pull down.

4. From the Quick Links pull down select > Report Cards Grades K-8. 5. The TWEA Home Page will be displayed.

7. Enter your TDSB network account (6 digit employee number and network password).

Important: After ten unsuccessful attempts you will be temporarily “blocked” from logging in for a period of 30 minutes. After the 30 minutes has elapsed try logging in again. Verify your user id (employee number) and password before attempting to log back into TWEA.

If you are experiencing log in issues speak with the Report Card Administrator (RCA). You may require TWEA security access.

If you get the message “Not able to detect working Report Period” either achievement records have not been generated for the current Report Period or the Mark Entry End Date has passed. Both of these tasks are controlled by the Report Card Administrator (RCA) Principal or Vice Principal.

After five unsuccessful attempts, the following information message will be displayed:

As a result, you will be temporarily “blocked” from logging in for a period of 15 minutes. After the 15 minutes has elapsed, you will be granted five new attempts to login. If you are experiencing problems logging in contact the Report Card Administrator (RCA) in your school.

If you get the message “Not able to detect working Report Period.” either achievement records have not been generated for the current report period or the Mark Entry End Date has passed. Both of these functions are controlled by your Report Card Administrator (RCA), Principal or Vice Principal.

Multiple Trillium Accounts

For TWEA, you may have one account to log into the web for Report Cards and also a Guidance account you use in Core Trillium for example.

This tab is for viewing only and can be used to verify the students that are assigned to a specific subject/homeroom class.

The subject to be worked on in subsequent tabs can be selected here, or on the other tabs.

When a subject is selected on the left hand side of the window, the students in the class will appear on the right hand side.

• Report Card Administrators (RCA’s) see a list of all the Subjects taught by every teacher in the school.

• RCA’s may also check off the box found in every

tab in TWEA with the exception of Comment Builder and Change Password tabs. The application identifies either a homeroom teacher or subject teacher.

• Homeroom teachers see a list of all the subjects taught to the students in

their homeroom class.

• Non-Homeroom teachers see only the subjects they teach.

• Teacher Name at the top may be different depending on the Trillium profile used e.g. Homeroom Teacher, Subject Teacher, Report Card Administrator

This tab allows teachers to create a bank of comments which can be applied to an individual student or multiple students.

This window has two parts, the top for creating the comments and the bottom for searching and retrieving comments. There are two minor tabs associated within this tab, Personal and Group.

Trillium uses Arial font 9 pt. as per Ministry Guidelines.

PERSONAL COMMENTS Personal comments can be created by any teacher and can only be selected and modified by that teacher.

Personal comments created by a teacher will be available to that teacher in any TDSB school in which they teach.

1. the Comment Builder tab.

2. the tab. The cursor will be flashing in the comment box. If not,

then in the comment box and the cursor will move to the box.

3. the drop down arrow under Comment Type. Indicate whether the comment you are creating is related to “Achievement” (i.e. for specific subjects), or “Learning Skills”.

By setting the following parameters, it will make it easier for retrieving comments.

The upper portion of this window is used to create the comment.

The lower portion of this window is used to search and retrieve comments.

When creating comments for French, specify the Delivery Mode (Core, Extended, Immersion)

A new IEP Type Comment is being added to Comment Builder that reads “Refer to the attached Alternative Report Card”. This should appear on the Progress/Provincial Report

Cards for students being reported on an Alternative Report Card.

4. the drop down arrow under Achievement Level, Subject/Skill, Strand (if applicable), and/or Grade to further qualify the comment.

TWEA allows for a comment to be created up to the maximum number of rows available for the subject based on the Report Card template. In order for TWEA to determine the correct number of available rows, when creating comments, teachers should specify the Subject, Grade and Report Period for the comment. If not specified the comment will be sized to match the smallest comment box for that Subject/Grade/Report Period.

5. In the Title field, type the name that is to be assigned to the comment. i.e. a

descriptor which will help to identify the type of comment later.

6. Type the comment in the comment text box. Where applicable, double click on the appropriate pronoun to insert it within the comment.

The maximum number of rows allowed per comment box is displayed just below the text box.

Do not use the “Enter” key when creating ANY comments. Do not type the pronouns in the comments. Double click on a pronoun from the, “Insert Pronoun” box. When the pronoun is inserted, Trillium will match it according to the student’s gender in Trillium.

7. the button. Words spelled incorrectly will be highlighted

in red. Select the correct word from the list and Change. The spell check will move through the entire comment highlighting all the spelling errors. Once the errors have been changed, the Apply button. Note: If a word is not recognized by Spell Check, manually type the word into the “Change to:” field, Change and Apply.

8. the button to save the comment in the “Personal” comment bank once it has been completed.

9. the button just below Personal tab to add another new comment. Copy to New feature: When creating a number of new comments that are similar, it is possible to create the

first comment, SAVE it, and then use the button to create another comment, which can then be modified and saved as a new comment.

The Copy to New function will copy all parts of the original comment, including the comment text. If the Comment Type, Achievement Level, Subject, Grade etc. previously been selected these settings will be applied to the new comment. The newly created comment can now be used or modified as required.

The "Copy to New" function in Comment Builder inserts a space at the end when a comment is copied to new, even if the original comment did not have a space.

When building a comment and pronouns are used, Trillium inserts a code (i.e. *4*, or *N* for first name). When that comment is assigned to a student, Trillium will convert that code to the corresponding masculine or feminine pronoun, depending on the gender of the student. The table below shows the pronouns and the corresponding codes.

MINISTRY EXPECTATIONS The Ministry Expectations appear in the format the vendor received from the Ministry of Education. Teachers can use them as the basis for creating Personal or Group comments and save them in comment bank.

Specific Expectations comments in the Ministry Expectations exceed the 380 characters; therefore it is recommended that Overall Expectations be used.

1. In the Comment Builder tab on the Personal or Group Minor tab, depending

on the type of comment that is being created. 2. In lower part of the window, the Ministry Expectations radio button.

3. In the field to the right of Ministry Expectations, the drop down arrow and

select Overall Expectations.

4. If comments are being created for a particular Subject, Grade, etc. select the Subject, Grade, etc. from the dropdown in the <Subject/Skill> field and a specific Grade in the <Grade> field. For subjects that have a strand, use the <Strand> field. This will filter out all other subjects and narrow down the number of expectations that appear after clicking Select.

6. A message box will appear showing the number of comments available. OK.

Comments will be listed at the bottom of the window.

7. Double on a comment to move it to the text box. Edit comment.

8. Set parameters in the upper part of the window to specify the <Subject/Skill> and/or <Grade>, etc. for the comment being created.

9. the button to save the comment.

MEANINGFUL REPORT CARD COMMENTS

Meaningful Report Card comments are available for all teachers to use. Each Overall Expectation has a corresponding Meaningful Report Card comment.

• Meaningful Report Card comments and corresponding Overall Ministry

Expectations are accessed from “Board” comments.

• To view both the Overall Expectations and their Meaningful Report Card comment equivalent together, on the blue column heading “Title”.

The Overall Ministry Expectation is on one row and the corresponding Meaningful Report Card comment can be viewed immediately below.

The Ministry Expectation has the suffix MET in the Title column and the Meaningful Report Card comment has the suffix TDSB.

For the Progress Report Card, only the Overall Ministry Expectations will be available.

The corresponding Meaningful Report Card Comments will be available for the first Provincial Report Card.

GROUP COMMENTS Group comments provide the ability for teachers to “share” a comment bank. Any member of the group will be able to add/modify/delete group comments. The RCA must create the group within Trillium and add the appropriate staff members to the group.

This will allow teachers to have access to all comments associated with that group. Teachers within the group can delete or modify the comments.

1. Comment Builder tab.

2. Select the minor tab. A blank comment text box will be available.

3. the <Group> drop down menu to choose the group.

4. Indicate whether the comment you are creating is related to “Achievement” or “Learning Skills”. Select the applicable option from the <Comment Type> drop down menu.

5. To further qualify your comment, select the appropriate values from the <Achievement Level>, <Subject/Skill> and or <Grade> drop down menus.

6. In the Title field, type the name that is to be assigned to the comment. i.e. a descriptor which will help to identify the type of comment later.

7. In the comment text box, type in the comment. Where applicable double click on the appropriate pronoun to insert it within the comment.

Do not type the pronoun as it will not respect the student’s gender.

8. Once the comment has been edited, click on the button to make

any necessary corrections.

9. the button to save the comment to the “Group” comment bank.

COPYING A GROUP COMMENT TO A PERSONAL COMMENT BANK

Comments can be copied from a Group comment bank into a Personal comment bank.

1. In the Comment Builder tab select the minor tab in the upper portion of the window.

2. Ensure that the Group radio button is selected in the lower portion of the

window. 3. Using the dropdown arrow to the right of the Group radio button, select a

group. (Note: You must belong to the selected group).

4. the button. The list of comments will appear at the bottom of the window.

5. in the checkbox to the left of the comment to flag the comment to copy it. The Copy to Personal button will become active.

6. the button. 7. To view the comment that has been copied to the Personal comment bank,

select the Personal tab in the upper portion of the window and ensure that the Personal radio button at the bottom of the window is also selected.

COPYING A PERSONAL COMMENT TO A GROUP COMMENT BANK

1. In the Comment Builder tab, select the minor tab in the upper portion of the window.

2. Ensure that the Personal radio button is selected in the lower portion of

the window.

3. the button. The list of comments will appear at the bottom of the window.

4. in the checkbox to the left of the comment to flag comment to be copied.

5. The button becomes active. 6. Using the dropdown arrow in the text box to the left of the Personal radio

button select the group to which the comment will be copied.

7. the button. To view the comment that has been copied to the Group comment bank, select the Group tab in the upper portion of the window and ensure that the Group radio button at the bottom of the window is also selected.

If criteria are set in the Personal comment, i.e. Achievement Level, Strand, Grade, when the comments are copied from the Personal comment bank to the Group comment bank, they will also copy.

RETRIEVING/REVIEWING OR PRINTING BOARD COMMENTS Board comments are centrally created and maintained. They may not be modified; however, they can be retrieved and applied to students. Board comments include the Meaningful Report Card comments and corresponding Ministry Expectation; Learning Skills comments, the IEP comments and Promotion/Transfer/Retention (PTR) comments. If required, Board comments may be copied to Personal or Group comment banks, or printed by following the steps below.

1. In Select Comments: the Board radio button. 2. The search criteria can be narrowed down by selecting the subject and grade

using the dropdown list.

3. the Select button to display the comment(s) that match the criteria.

4. the magnifying glass to the left of the comment to expand the view of the

comment

• To expand or collapse all of the comments at once, use the zoom buttons found under the select button in the Headings section.

• Before printing the list of comments, click on any column heading to sort the comments by that column.

5. the button to print the comments if a hard copy is required.

MAINTAINING COMMENT BANK The upper portion of the comment builder window is used to create new comments or edit existing comments. The lower portion of the window is used to retrieve existing comments.

EDITING AN EXISTING COMMENT To edit a Group or Personal comment, or to change the criteria associated with the comment (Comment Type, Achievement Level, Subject/Skill and Grade) the comment must first be retrieved.

1. the Comment Builder tab to open the window. 2. Select either the Personal or the Group minor tab, depending on which

comments will be edited. 3. in the Group or Personal radio button in the lower portion of the window.

4. Use the drop down menus in the <Comment Type>, <Achievement Level>, <Subject/Skill> and or <Grade> to narrow the search criteria further.

5. the button to display the comment(s) that match the criteria.

6. Single the Edit button next to the comment to be modified. This will load the comment into the text box.

The Edit button will only be available when editing Group or Personal comments.

7. Edit the text by typing in the comment text box. The selection criteria may also be changed in the upper portion of the window by using the drop down menus. Ensure that spell check is used for the comment.

8. the button. The comment bank will automatically be refreshed to reflect the change.

DELETING AN EXISTING COMMENT Only Personal or Group comments (if you are part of the specified group) can be deleted.

1. If the criteria is known it can be used to define the comment, i.e. Subject/Skill.

Select the appropriate criteria from the drop down options available in the lower window.

To view or print all or selected comments from your comment bank: 1. Comment Builder tab.

2. Select either the Personal or Group minor tab. Use the drop down in the lower window to select the criteria for the comments being printed.

The Elementary Progress Report Cards are used to inform parents of the progress students are making towards achievement based on the curriculum expectations for subjects. Teachers will check one of the following to indicate progress in Report Period P for each subject.

PWD - Progressing With Difficulty PW - Progressing Well PVW - Progressing Very Well

This tab allows teachers to enter progress check marks for their students by Subject. All three Report Periods may be visible (depending on the time of the year). Only the current Report Period is available for input as long as the “Mark Entry End Date” has not passed.

2. Use the dropdown arrows to select the correct Homeroom and Subject. 3. in the appropriate check box (PWD, PW, or PVW).

To remove a checkmark click in the checkbox again, and the checkmark will be deleted.

4. "Enable Multi-Update" box appears to the right of the Subjects drop down list. When this is checked on, checkboxes will appear at the beginning of each student's row. Check the boxes for the students who are to be assigned the same mark (or NA value), and then enter the mark for one of the students. All students selected will be automatically given the same mark.

This tab is used by teachers to enter comments by class for an individual student. Comments can be manually entered or selected from a comment bank.

Comments entered manually in this tab WILL NOT be saved to a Comment Bank.

Teachers MUST ensure that they have selected the appropriate Subject first before entering comments in the Comment box.

When the 31 lines of text has been reached the box will turn red and the following message will appear in the row count area. The comment cannot be saved until the extra line(s) have been deleted.

To insert the student’s name or a pronoun within the comment text box, double the pronoun.

1. Choose the applicable search criteria from the drop down menus, i.e. Comment

Type, Achievement Level, Subject/Skill, Strand (if applicable) and Grade.

TEXT SEARCH FOR COMMENTS FEATURE (COMMENT OR TITLE)

It is possible to search for a word or phrase within the title of the comment or within the text of the comment. Comment radio button is the default and Title radio button is optional.

This feature facilitates locating specific comments within your comment bank. The criteria used to do a search in this tab would have been set up in the upper portion of the Comment Builder tab when the comments were first created.

1. Select either the Comment or Title radio button. Comment is used when searching for a comment containing a specific word or phrase. Title is used to search for comments created under a specific title i.e. Progress Report.

2. Type a word or phrase i.e. for Comment OR

for Title in the search field. 3. Narrow the search by choosing additional comment criteria from the drop down

(i.e. <Comment Type>, <Achievement Level>, <Subject/Skill>, and <Grade>). Be careful not to narrow the search so much that no comments will be retrieved.

4. the button.

Comments matching the search criteria will be displayed in the lower portion of the window.

ENTERING LETTER GRADES OR PERCENTAGE MARKS:

2. From the <Subject> drop down select the applicable subject.

5. To enter numeric marks (Grades 7 and 8), type the mark in the applicable column and row (where multiple strands exist, ensure the mark is being entered against the correct column).

As per Growing Success Policy, numeric marks under 50% are not allowed for grade 7 and 8 subjects. If used in TWEA, they will be rejected and a message will appear stating that an ‘R’ should be used instead.

The Mark Entry window shows N/A checkboxes (for applicable subjects) in the active Report Period section. These can be checked for individual students or for all students (either at a strand or a subject level). This is done by clicking the (select all/unselect all) buttons that appear at the top of the mark column.

For guidelines on reporting expectations according to Growing Success Policy, refer to Appendix A - Reporting Check List for Provincial Report Card 1 and 2.

If an attempt is made to check the N/A box when the student has a mark for the corresponding Subject or Strand, the following message will appear.

Comments may be selected from Personal, Group or Board comment banks. Ensure the cursor is positioned within the comment text box.

5. Double the comment. This will insert the selected comment into the comment

box.

More than one comment may be inserted into the comment box, although each comment must be selected individually. As comments are selected and copied into the text box, the rows are counted.

When the box is full, the box turns red and the following bolded message appears in the row count area. Comment can’t be saved until excess number of lines is deleted. To resolve this, remove the excess text from the comment box.

APPLYING A COMMENT TO MULTIPLE STUDENTS Procedure:

1. the Student Comments tab.

2. either the Board, Group or Personal radio button depending on the comments being selected.

3. the drop down under Subject/Skills and select a specific subject.

4. the button to retrieve the comments.

5. Single on the selected comment.

6. the button. The multiple apply window appears displaying a list of students for the selected Homeroom and Subject.

7. the column heading to sort the list of students into the order you require.

8. the checkbox at the end of the student row to select individual students or

the Check All box to flag all students in the list to whom you wish to copy this comment.

If you wish to remove the checkmarks for all students selected, the Uncheck All button.

If a student already has comments the comment being applied will go at the end of the existing comments for the students you check off.

If you are assigning multiple comments to students, this window will only reflect the comment you are currently assigning. Once you close this window, you will be able to see all the comments assigned.

The button can ONLY be accessed through the multiple apply window.

WARNING: When deleting comments through this window, be aware that ALL comments assigned to the selected students for the selected subject will be deleted, NOT just the comment seen in the comment box.

When using the “Copy To” function, if the comment exceeds the available space, it will not be saved. A message appears in red that lists the names of the students for whom comments will not be saved.

10. the Edit Comment button. An edit window opens and the comment appears in red. If you wish to view the entire comment, click the Show entire comment box. The excess lines must be deleted in the upper portion of the window. Once the comment does not exceed the maximum row count, the comment box will no longer appear in red and the edit button will disappear.

11. the button. Repeat the process for any other students for whom the comment exceeds the maximum row count.

FIND/ REPLACE FEATURE The Find/Replace feature allows for the search and replacement of comment strings within the Copy To window.

1. Select the student(s) to be included in the search by putting a checkmark in the Select checkbox.

The Learning Skills Tab is where Teachers enter the Learning Skills letter symbols and comments. Only the Homeroom teacher can update the Learning Skills letter symbols. However, and according to the Growing Success Policy document, page 55, other subject teachers may enter comments for any of the students they teach.

2. In the Learning Skills area the drop down arrow to choose the appropriate letter symbol (E,G,S,N) to assign the Learning Skills for the six categories. This screen capture is for the Progress Report Period .The process will be the same for the Provincial Report Periods. Appropriate fields will be enabled.

RETRIEVING THE LEARNING SKILLS COMMENTS: 1. the Board radio button in the lower portion of the window. 2. the drop down under Comment Type and select Learning Skills. 3. the drop down under Subject/Skill and select a specific Learning Skill.

5. If you have manually typed in Strengths/Next Step comments for an individual student remember to use the feature.

PROMOTED, TRANSFERRED OR RETAINED (PTR) STATEMENT

As per Operational Procedure PR548 SCH, for all Elementary schools’ final Report Cards (i.e. June Report Card), the last statement in the Learning Skills comment section must state whether a student is Promoted or Transferred to the next grade, or Retained. All valid statements have been created centrally and placed in Comment Builder as Board comments.

1. the Learning Skills tab. 2. the Board radio button in the lower portion of the window. 3. the drop down under Comment Type and select Learning Skills. 4. the drop down under Grade to select the ‘promoted to’ grade.

Only a Homeroom teacher has the ability to assign PTRs. Where the cursor is flashing when the PTR comment is applied is where it will appear in the text comment box.

The button is available in this window. This will allow you to copy the same comment to multiple students but only in the top portion. See “Applying a Comment to Multiple Students” section for more details.

APPLYING LEARNING SKILLS COMMENTS TO INDIVIDUAL STUDENTS As per Growing Success policy, page 55, other teachers wishing to highlight some aspect of a student’s development of Learning Skills and Work Habits may comment in this space as well. Subject teachers therefore are now able to comment on a student’s Learning Skills. They can do this either in the Learning Skills or Report Card tabs.

1. the Learning Skills tab. 2. the Board radio button in the lower portion of the window. 3. the drop down under Comment Type and select Learning Skills.

4. the drop down under Subject/Skills and select a specific Learning Skill.

5. the button to retrieve the comments.

6. Double on the selected comment. This will insert the selected comment into the comment box.

• The Learning Skills Strengths/Next Steps section is treated as a shared comment box. The Homeroom teacher's comment always appears as the first comment, regardless of when the Homeroom teacher entered the comment.

• Any comments from the Subject teachers appear after the Homeroom

teacher's comment.

• The Subject teachers comments are sorted in the order that the comments were added (comment creation date).

• Teachers sharing this box must be aware of the row count.

• Subject teachers have access to enter comments in the Strengths/Next Steps text box. They do not have access to enter the Learning Skills letter symbols.

A checkbox is available to display the entire Learning Skills comment box, but will not allow editing. the checkbox again to close.

2. HOMEROOM TEACHER

• Only Homeroom teachers have access to enter the Learning Skills Marks

(E,G,S,N). An additional “footer” field has been added to split the Homeroom teacher’s comment area into two portions. This allows Homeroom teachers the ability to enter the last portion of the comment such as a farewell or summary statement (e.g. “Have a great summer!” for Report Period 2).

• RCA’s have access to view and/or make changes to all Report Card comments using the drop down arrow to select the Subject teacher.

APPLYING LEARNING SKILLS COMMENTS TO MULTIPLE STUDENTS

You must save first after making changes to individual students in the Learning Skills Comment box before using the Copy To function.

Procedure:

1. the Learning Skills tab. 2. the Board radio button in the lower portion of the window. 3. the drop down under Comment Type and select Learning Skills. 4. the drop down under Subject/Skills and select a specific Learning Skill.

5. the button to retrieve the comments.

6. Single on the selected comment.

7. the button. The multiple apply window appears displaying a list of students for the selected Homeroom and Subject.

8. the column heading to sort the list of students into the order you require. 9. the checkbox at the end of the student row to select individual students or

the Check All button to flag all students in the list to whom you wish to copy this comment.

10. the button to apply the same comment for the flagged/selected students.

If assigning multiple comments to students, this window will only reflect the comment you are currently assigning. Once you close this window, you will be able to see all the comments assigned in the Student Comment tab.

When using the “Copy To” function, if the comment exceeds the available space, it will not be saved. The message appears in red and lists the students affected.

DELETING COMMENTS FOR MULTIPLE STUDENTS

The button can only be accessed through the multiple apply window. WARNING: When deleting comments through this window, be aware that ALL comments assigned to the selected students for the selected Subject will be deleted, NOT just the comment seen in the comment box.

1. the check box to select the student(s) you need to delete the comment(s)

from.

2. the button. You will be prompted with a warning message.

3. No if you want to change the selected students OR Yes if you want to continue. The checkmark will disappear for the selected students and the entire contents of the comment box deleted.

MISSING ACHIEVEMENT DATA REPORT The Missing Achievement Data report can be accessed from both the Student Comments and Learning Skills tabs. This report indicates by the presence of an “X” where data is missing on each student’s Report Card for the Subjects where you are the assigned reporting teacher. This report is useful for verifying that your Report Card data is complete for the current Report Period.

Teachers should always produce this report, verify it, and make any changes before the Mark Entry End Date is reached.

PRINTING THE DRAFT PROGRESS REPORT CARD To build and/or print a Progress Report Card by student or by class access via Student Comments tab or the Learning Skills tab. Individual Student or Print by Class options available.

Official Report Cards (no Draft watermark) can only be printed by the Report Card Administrator, Principal and Vice-Principal.

Teachers may view or enter all Report Card data required for an individual student via the Report Card tab.

• Comments from a Comment Bank cannot be used in the Report Card tab.

• Only the designated subject teacher can make changes to his/her Subject Marks and Comments. For subjects not taught by the designated teacher, the comment box appears grey in colour.

• It is recommended that you save your data after each Subject area is

completed. When entering data in the Report Card tab, always be aware of the timeout that will occur after 30 minutes of inactivity.

• The comments in the Subject boxes will default from the “Student

Comments” tab.

• The Report Card tab will be displaying the Progress Report format for the first Report Period P. For subsequent Report Periods 1 & 2, the Provincial Report Card format will be displayed.

The “Max rows in group” comment will appear and also display the amount remaining.

If a comment is entered in manually for a student and it exceeds the allowable row count, the comment box will turn red and a message will appear in red just below the comment box showing the number of lines exceeded.

SPELL CHECKING The Report Card tab allows teachers to spell check either an individual student’s Report Card, or the entire class. Trillium security allows teachers to view the entire Report Card for any student they teach. However, teachers can only update the data for the subjects they teach that student.

SPELL CHECK INDIVIDUAL STUDENT When spell checking the Report Card for an individual student, the application will only check the comments for the Subjects taught by that teacher, and will allow for corrections to be made.

1. the button to spell check the individual student’s Report

Card. If any errors are found, they will be highlighted in red in the dialogue box with suggestions and most of the buttons will be available.

2. either Ignore or Change button to make the correction. If the word is not listed, simply retype the word in the Change To: field.

3. When “Not in Dictionary” changes to Finished (in red) either Apply or Skip to move to the next Subject.

4. Learning Skills comment box will be included in the Spell Check if you are the homeroom teacher.

5. When the Spell Check window no longer appears, the button to save the information.

Corrections to spelling errors may be made directly in the comment box for the individual student. If the comments were assigned from the “Group” or “Personal” comment banks, they should be corrected there as well.

SPELL CHECK ENTIRE CLASS

Spell Check by Class feature checks the comments for all Subjects. Corrections cannot be made for Subjects that were entered by another Subject teacher. Suggestion: Build report titled “Class Misspelled Comments” which identifies all errors. Report can be printed for follow-up by the Subject teachers.

PRINTING A DRAFT COPY OF THE PROVINCIAL REPORT CARD

Official Provincial Report Cards will be printed from Core Trillium > Report Launcher by RCA/P/VP. Teachers have access to print a Draft copy for verification purposes from the web (TWEA). Individual Student or Print by Class options available.

The Provincial Report Card is four pages long. If you are printing a hard copy, it is recommended you use the double sided feature on the Ricoh.

The Trillium Web Elementary Achievement application is also compatible with the Macintosh OSX Panther/Tiger operating systems and Safari browsers v.2.0.

As a result, the application might look and perform differently between the Macintosh/Safari and the Windows/IE environments due to variations in the operating systems and browser technologies. Every effort has been made to ensure that the user experience is as similar as possible between the two however there are some restrictions in the Macintosh/Safari environment that prevent exactly the same look/feel and performance as in Windows/IE. We offer this information to assist you in navigating through the application when working in the Macintosh/Safari environment.

checked.

POP UP BLOCKER Setting: under the Safari Menu, ensure that the “Block Pop-Up Windows”

option is NOT checked.

GENERAL FUNCTIONALITY

BROWSER BUTTONS

The Reload button and Back button on your “Safari” browser are not supported by this application. If you attempt to press these buttons while you are logged into the application, you will lose any information that has not been saved and receive the following warning.

Once you receive this tab, select Cancel to continue working within the application. If you select Send, you will be automatically logged out of the application and any data that was not saved prior to the message being displayed will be lost. You will be redirected back to the log on Tab where you must re-enter your user name and password to log back into the application to continue your work.

The application will automatically check your browser version and will display a message if you are attempting to use an unsupported browser. As a result, you will be denied access to the application. Once you’ve logged on, the instructions are the same as in the previous sections of this manual.
