More on Word 2007 - Revision

• Need to practice using the Ruler.• For positioning the Address towards the

RHS .• First Line Indent.• The two triangles and square below are

tiny. You need to be really careful with the mouse.

• Ribbon – Groups commands together.

Ruler Tab marks

• Just below the numbers on the Ruler are tiny black marks, these are tab positions. When the Tab key is pressed the cursor moves to be below the next one.

• If “Show Formatting” is on they are represented by -> marks.

• If the marks are dragged it turns into a small L and will be the new leftmost tab position.

Quick Access toolbar & Ribbon

• This “Quick access toolbar” is the only customisable part of Word. I have added – Print Preview, Draw Table. See next slide.• Ribbon – Is Commands in groups. The

first one “Home” has groups Clipboard, Font, Paragraph, Styles & Editing

In a Paragraph

• If you are typing in a paragraph and you want to start a new line without a bigger gap as would happen if you started a new paragraph with the Enter Key. DoHold the Shift Key down and at the same time press Enter.

• (This is what I did just after the word “Do”) above .

Spell Check

You probably have noticed that spelling errors are underlined in Red and grammatical errors in Green.

E.g. Should be underlined.

Should be- In there is a box.

All options are under the Review Ribbon. Or RH click to add a correctly spelt word to your dictionary.

Check the Dictionary language is English (U.K.) by click on Set Language.

More on Office Button• New – Shows a large number of example Template

documents you can start with and alter as you like.• Open, Save, Print – As says• Save As – 97-2003 - Allows you to Save in a way that

users of Office 2003 or earlier can use. There are still a large number of users of 2003 so for instance I am using this for the Word version of this presentation. The Save as PDF or Acrobat will save in a way that the recipient cannot easily alter.Save as word document brings up a box to allow where you are going to save the document. It has ...

• .... A Tools drop down with two useful options.1) In General Options allows you to set Passwords that are required if you want to open or modify the document. Answer No to question about XML.2) Compress Pictures. Digital Cameras produce very high definition photos and so large files. This can change to email (low) quality, is good enough and so a small overall file size.

• Prepare – In Properties, consider changing Author.• Send – As an Email attachment , but wont work

with web based email.• Publish – Rather advanced.• Close – Leaves Word still running.

Tables• Tables are an area split up into Rows and Columns.

They are setup under the Insert Ribbon.

• Click on table then move the mouse in the orange area. Click when you have the correct size table.

More Table Options

• When you have created a Table you will have two extra Ribbon Tabs – Design and Layout to make further changes – Size, joining cells, Inserting more rows or columns, margins etc.

Headers/Footers

• Create under the Insert Ribbon. Several templates are available.

• Header are at the top and Footer at the bottom of every page. You can type in what you like.

• The First page Header can be different from the rest. See Design, Options.

• Click on the red cross “Close Header and Footer “ to go back to the document body. Or just double click in it.

• Print Preview will show the results.

Footnote / Endnote• A Footnote is where a detailed reference to a

statement in the body of a document is made at the end of that page. A small numbered superscript links them. E.G. In the body Vets in Nantwich then in the Footnote List of Vets

• An Endnote is similar but at the end of the document.

• Insert from the References Ribbon when at the correct point in the document body. They appear just above any Footer.

Practical

• Copy S:\U3A\U3A – Monday Group\Wk 5\Example_letter d.docxto your own My Documents area.Then open it from your My Documents.

• Play with it – Fix the spelling. Move around the table.

• Add Print Preview to the Quick Access toolbar.• Add (another) 4 x 6 Table. Put some typing in it.

Practice moving around using Tab and Arrow buttons. Notice what Enter does. Change some colours. From Layout ribbon try merging two cells.

Practical continued• Understand the existing Header and Footer. Use

print Preview to see the result. Edit it or delete & re add another.

• Add another Footnote. It will be numbered 2• In the main part try the effects of – Home Ribbon,

Paragraph group, Centre and Align Right.

• Or if we have trouble with Example_letter_d.docCreate a new Word document, try using a template.
