Cognos Report Navigation Navigation: UCPath Portal > Dashboard Menu > Quicklinks > Cognos Reports
Step Action 1. Navigate to your UCPath Portal home page.
2. Under the Dashboard Menu select Quicklinks.
3. In the Quicklinks menu select Cognos Reports.
4. From the dropdown menu select University of California, Riverside and click Next to continue.
Select the ‘Remember my selection permanently’ option to keep UCR as the default school.

Initiate Cognos Report Search
Initiating search for reports from the Cognos home page.
Step Action 1. The Cognos home page defaults to the Public Folders tab. The UCPath Reporting main
folder link appears.
2. Click on the UCPath Reporting main folder to view all subfolders available.
Click each subfolder to view all reports available to run within that folder.

Execute a Cognos Report Example #1
There are several differences in running reports. The steps to execute a report can vary from one report to another. This user guide will show 3 report examples with the different steps you may encounter in order to run a Cognos report. Navigation: Cognos Home Page > Public Folders > UCPath Reporting > Absence Management Reports.
Step Action 1. From the Absence Management Reports subfolder click on the R-373 Leave Accrual Tier
Movement Report.
2. In the Pay Period End Date field, click the drop down arrow and select the pay period end date for the report. The drop down menu will display the older date available first.
3. In the Business Unit(s) field select RVCMP from the drop down menu.
4. Click the Execute Report button at the bottom left corner of the page to run the report.
In the Pay Period End Date menu, scroll down to select a pay period end date from 2017 or 2018.

Select RVCMP to include UCR data in the report.

After clicking the Execute Report button, a message will display indicating your report is running with an option to “Select a delivery method”. Ignore this message and let the report run. The report may take up to a couple of minutes to execute.
To navigate between report pages click the Top, Page up, Page down or Bottom arrows.

Execute and Export to Excel a Cognos Report Example #2
Navigation: Cognos Home Page > Public Folders > UCPath Reporting > Payroll Reports
Step Action 1. From the Payroll Reports subfolder, click on the R-366 Employee Total Hours Report.
2. Select the UC_PY007_EES_HOURS option and click Next at the bottom of the page to continue.

In the Business Unit(s) field select RVCMP to include all UCR data available in the report.
In the From Date and To Date fields you must click on the calendar icon to open the calendar and select the report begin and end dates.

Click the Execute Report button at the bottom left corner of the page to run the report.

Report View: R-366 UC_PY007_EES_HOURS report appears for RVCMP and Date parameters selected.
To Export Report to Excel: From the menu bar on the top right hand corner of the page, click the HTML icon to view formats available to export. Select the View in Excel Options and select View in Excel 2007 Format.
Select the folder and location where you wish to save your excel report. Click Save to continue.

A separate browser window will open with a message at the top of the page indicating the report is ready to open. The Excel report downloads at the bottom of the page. Click the arrow to open the report in Excel.

Execute a Cognos Report Example #3
Navigation: Cognos Home Page > Public Folders > UCPath Reporting > Workforce Administration Reports.
Step Action 1. From the Workforce Administration subfolder, click on the R-364 Vacation Accruals Report.
In the Business Unit(s) field select RVCMP from the drop down menu to view UCR data in the report.
Click the calendar icon and select a Pay End Date. You MUST select an accurate Monthly or Bi-Weekly end date or the report will return a No Data Available message.
Jan 1, 2018 is NOT a valid Monthly or Bi-Weekly Pay End Date and therefore returns no data. To find valid pay end dates, visit the UCR Payroll Calendar: http://accounting.ucr.edu/payroll/pay_cal.html
Select the Union Code or leave blank to select all union codes.

Troubleshooting COGNOS Reports Submit a case to UCPath
1) From your UCPath Portal Click on “Ask UCPath Center”
2) Select University of California, Riverside.

3) Click on Submit an Inquiry
4) Enter your inquiry information: a. Select a Topic and Category for your submission. b. Enter a Subject (i.e. Cognos Report R-108 not running properly). c. Enter a Description of your issue. d. Confirm Best Contact phone number and Email. e. Click Submit inquiry.
5) Once submitted, UCPath Center staff will review the inquiry and submit a Service Now ticket to UCOP as needed.

Appendix A: Cognos Connection Toolbars and Buttons
Note: Toolbars and buttons are based on security roles. You may not be able to see or use all buttons described in this job aid.

Sign out of Cognos.
Refresh the current page.
Search toolbar: • Enter Search Criteria field. Type search criteria in the unlabeled field. • Search button. Click the Search button to display the reports that match the
search criteria. • Search Options List: Click the Search Options List drop-down arrow to the
right of the Search button to specify whether you want to search for the criteria in the:
o Full text and all fields o Name field o Description field o Name or description field
Return to the Cognos home page.
My area options: • My Inbox: Click to views secure approval requests, ad-hoc tasks and
notification requests that are pertinent to you. • My Watch Items: Click to view and manage alerts for new report versions and
rules. • My Preferences: Click to modify general, personal and portal preferences. • My Data Sets: Click to import Excel and text files for use in analysis or
reporting. • My Activities and Schedules: Click to manage scheduled reports and review
past, current and upcoming activities.

Home Page Toolbar
Component Definition
Add a tab to the home page.
View buttons: • List View button: Display the folders and reports in a list; this is the default view. • Details View button: Display the folders and reports in a list with descriptions
displayed below the folder/report name.
New buttons: • New Folder button: Create folder to organize entries to easily locate report. • New Workspace button: Open Cognos Workspace in a separate window. • New Job button: Schedule multiple entries to run together. • New URL button: Identify the location for external files or Web sites used
most frequently. • New Page button: Create new page in Cognos to group different types of
information into a single view.
Edit toolbar: • Cut button: Cut the selected item; available only on the My Folders tab. • Copy button: Copy the selected item to the clipboard; available on Public Folder
and My Folders tabs. • Paste button: Paste the item from the clipboard; available only on the My Folders
tabs. • Delete button: Delete the selected item; available only on the My Folders tab.
Modify properties to control the way reports appear and behave.
Change the order of reports in the selected folder. The default order is alphabetical.
Page toolbar:
• Entries fields: Type a range in these fields to disply the specified items in the list.
• Go To button: Type a number to display a specific item. • First Page button: Go to the first item in the list. • Previous Page button: Go to the previous item in the list. • Next Page button: Go to the next item in the list. • Last Page button: Go to the last item in the list.

Component Definition
View in HTML Format
Set properties, such as the output format and prompt values, for a report view.
Display the Run with options page for the report so that you can specify the report output and other options for the report.
Create a report view of this report on the My Folders tab so that you can set default values for prompts and the output format.
Open the Perform an action page.

Component Definition
Keep this version links: • Email Report link: Send the report output to another user via email. • Save Report link: Save the report output. • Save as Report view… Save the report output, with parameters results, in
order to keep a “snapshot” of the report details.
Run the report.
Drill-through toolbar: • Drill Down button. Drill down to the select item. • Drill Up button. Drill up to the selected item. • Go To button. Jump to a specified drill through item.
View links: • View in HTML Format link: Display the current report in HTML format, allows
filtering and excluded page numbers. • View in PDF Format link: Display the current report in Adobe PDF format, best
for printing or saving. • View in XML Format link: Not recommended. • View in Excel Options link: Send current report to the specified Excel format,
best used with extract reports that are specifically designed for export to Excel. Choose the version of Excel installed on your computer.
Add this report: • Add to My Folders: Save the report to My Folders tab. • Add to Bookmarks: Save the report as a bookmark.
