Unify Migration Procedures This document is for test centers numbered STNxxxxx and ITxxxxx that currently use the ETS iBT testing platform and are scheduled to migrate their computers to “Unify” the next generation testing platform. IMPORTANT: Once your center has agreed to a Unify migration schedule, the migration must be completed as planned to avoid affecting scheduled test administrations. Migration to Unify will begin when you launch the iBT cache proxy, and you will not be able to go back to the iBT platform. Migration Requirements A migration date must be set up in the ETS system. Test centers are contacted in advance to establish a time frame for their migration. Then a Unify start date for the center is assigned in the ETS system. The first time a TCA starts the cache proxy on or after that date, the system will detect that it is time to begin the migration process. No test administrations should be scheduled to occur on the migration date. Run the pre-migration readiness checks (instructions below) prior to your migration date. Administrator privileges are required to install and operate the software on each computer. The TCA must log in to Windows with a user account that has Administrator privileges. Only a certified TCA will be able to start the cache proxy. Schedule a round trip appointment on the installation date via the self-service scheduling tool. Unify Migration Procedures

This document is for test centers numbered STNxxxxx and ITxxxxx that currently use the ETS iBT testing platform and are scheduled to migrate their computers to “Unify” – the next generation testing platform. IMPORTANT: Once your center has agreed to a Unify migration schedule, the migration must be completed as planned to avoid affecting scheduled test administrations. Migration Requirements

A migration date must be set up in the ETS system. Test centers are contacted in advance to establish a time frame for their migration. No test administrations should be scheduled to occur on the migration date.

You will be prompted to save the file netversion.exe.

Save the file, and then run it.

A message will indicate the installed .NET version number and whether it passed or failed.

This is an example of a “check failed” message:

Important: Microsoft .NET 4.0 or higher is required on all computers. If the .NET version check failed, you can install .NET 4.6.1 as follows:

Go to the Unify Test Center Setup website at http://ibtprod.ets.org/ibt/unifyinfo.jsp Click the Download button in the Microsoft .NET Installer pane.

You will be prompted to save the file netframework.exe. Save the file, and then run it to install the Microsoft .NET software.

Step 4 – Verification Tool

When you click the Check button, you will be prompted to save a verification tool installer file. Save the file. Run the file “as administrator” to install the Unify verification tool software.

After successful installation, the standalone verification tool welcome page will be displayed.

For purposes of migration readiness, it is not necessary to proceed beyond viewing this screen:

When you have successfully completed the pre-migration readiness checks, you have finished the necessary advance preparation.

Step 1 – Cache Proxy Migration Schedule a round trip appointment on the installation date via the self-service scheduling tool. (See “Appendix: Self-Service Round Trip Scheduling” on page 11.) Then follow the steps below to migrate your cache proxy from iBT to Unify:

1. Start your cache proxy computer from the iBT URL: https://ibt1.ets.org/admin/stnlogin.jsp Do not use the iBT desktop shortcut.

Log in with your username, password and site code, as usual.

The following Unify migration notice will be displayed. Click OK to start the migration.

IMPORTANT: Clicking Cancel will terminate the migration process, and you can start it again later. However, you will be unable to deliver a test via the iBT software unless you call the Help Desk to remove your test center from the Unify migration list.

2. Once you click OK to start the migration, the installer software will manage the installation. When prompted, you will need to click the appropriate button (e.g., Next, Install, Finish) to continue.

A Unify CP shortcut will be created automatically on the computer desktop. In the future, use the shortcut.

3. When the successful installation message appears, click Finish.

4. A process of downloading and extracting files will start automatically. The file types include JRE, Tomcat, WAR and nLib. Following are examples of some screens you will see:

5. When the installation is complete, the cache proxy launch will start automatically, and the Site Selection for Cache Proxy Launch screen will appear.

Enter your site code (STN test center number) and your TCA username and password on the screen, and click OK.

6. If a second login screen appears (Cache Proxy Login), enter your username and password again, and click OK.

7. When the Create Admin Override Password screen appears, create a password of your own choosing, retype it for verification, and click OK.

8. The test packages will download. Wait for Cache Status: Ready to be displayed above the table.

Next, use the procedures in the following section to migrate the administrative station computer to Unify.

Step 2 – Administrative (Admin) Station Migration

1. Ensure that your Unify cache proxy computer is running.

2. Start your admin station computer from the iBT admin station URL: https://ibt1.ets.org/admin/adm.jsp Do not use the iBT desktop shortcut.

3. At the iBT Admin Station Launch screen, click the Launch button. When the application connects to the Unify cache proxy, migration of the admin station to Unify will begin.

4. There will be an installation process similar to the one you observed at the cache proxy. There will be an InstallShield installation followed by downloading and extracting files.

Note: A Unify Admin shortcut will be created automatically on the computer desktop for future use:

5. When the Enter administrative override (AO) password screen appears, enter the AO password that you created when starting the cache proxy, and click Continue.

6. When the Select a Program Administration screen appears, look under Today’s Certification Administrations to locate the round trip administration that you previously scheduled. The administration name will start with RND. Click in the row to highlight it, and click OK.

7. On the Start Test Setup screen, confirm that the round trip administration is displayed, and then click Start Test Setup. Follow the standard admin station procedures that you are familiar with from iBT for the camera check, resource availability, personnel, and accommodations screens.

8. When you arrive at the Workstations screen, the list will be empty because you have not yet start any workstations. Leave the administration station running while you perform the migration of the testing workstations.

Next, use the procedures in the following section to migrate the testing workstation computers to Unify. After all the workstations have been migrated, you will return to the admin station to finish the test setup and bring the admin station to the roster screen.

Step 3 – Testing Workstation Migration This procedure must be performed on each of the testing workstations:

1. Ensure that your Unify cache proxy computer is running.

2. Start your testing station computer from the iBT workstation URL: https://ibt1.ets.org/admin/wks.jsp Do not use the iBT desktop shortcut.

3. At the iBT Work Station Launch screen, click the Launch button. When the application connects to the Unify cache proxy, migration of the admin station to Unify will begin.

4. There will be an installation process similar to the one you observed at the cache proxy and admin station. There will be an InstallShield installation followed by downloading and extracting files.

Note: A Unify Wks shortcut will be created automatically on the computer desktop for future use:

5. When the Enter administrative override (AO) password screen appears, it will look different from the iBT version, but the procedure is the same: Enter the AO password that you created when starting the cache proxy, and click Continue.

6. The Select a Program Administration screen has a new look, but the functionality is the same.

Under Today’s Certification Administrations, locate the round trip administration that you previously scheduled. The administration name will start with RND. Click in the row to highlight it, and click OK.

Note: If there is no RND administration in the Today’s Certification Administrations list, make sure you scheduled a round trip using the self-serve round trip tool (see Appendix). Then restart the cache proxy.

7. The Testing Workstation Setup screen displays the verification checks. The look and functionality of the checks have been redesigned for Unify.

Click the Run all required checks button in the upper left area of the screen. The four automated checks will run unattended. For the Display Settings check, you will need to verify that you can see the entire red box.

Note: There is no audio check for TOEFL round trips scheduled via the self-service round trip tool.

The upper right-hand area of the screen summarizes the number of checks passed, failed, and not run. A circle to the left of each check provides visual confirmation of its status: Gray circle = Needs to be run; Green with a checkmark = Passed; and Red with an exclamation point = Failed

8. When all checks have been passed, click the Continue to Setup button.

9. The workstation will display the message This Workstation is ready to deliver a test. Waiting for candidate.

10. Perform the migration on all the remaining testing workstations, and bring them all to the ready to deliver a test status.

11. Return to the admin station, and finish the test setup process to display the roster.

The final step in the migration is to validate the software functionality by running a round trip on one testing station and a quick launch demo test on the remaining testing workstations. Use the procedures on the next page.

Step 4 – Round Trip and Quick Launch Procedures

1. Go to the admin station, and locate the round trip appointment on the roster screen. Click Check-in and follow the standard steps to check-in the appointment. Note the assigned workstation and click Finish.

2. Go to the assigned workstation, and follow standard procedures to launch the round trip demo test. Complete the round trip demo test all the way to the end.

3. On ALL the other testing workstations, run a quick launch demo test to verify the functionality after the Unify migration. Use the following steps for a quick launch:

a. With the workstation at the “ready to deliver a test” screen, click Admin Tools to display the tools list. Then click Launch Demo Test.

b. Follow the onscreen prompts to run the demo test.

Is it acceptable to quit a demo test without completing it?

One round trip demo test (started by checking-in the round trip appointment) should be completed end-to-end in order for ETS to confirm that it was successful.

For the quick launch demo tests (started via the Launch Demo Test button), it is acceptable to quit or exit without completing the test.

If you need to close a workstation that is in the “ready to deliver a test” state:

Click Admin Tools on the screen. Then click Shutdown Workstation from the Admin Tools drop down menu.

You will be prompted to enter the AO password and confirm that you want to shut down the application. If you wish to install the Unify software on workstations that do not have the iBT software installed:

First clear the Java cache.

Then go to the Unify Test Center Setup website at http://ibtprod.ets.org/ibt/unifyinfo.jsp to download and install the required software components.

Appendix: Self-Service Round Trip Scheduling

As part of the advance preparation for Unify migration, the TCA must schedule at least one round trip to be run on the planned migration date. Running the round trip will be required in order to validate the Unify installation.

How to Schedule a Round Trip:

1. Go to the Unify Workstation Setup website at http://ibtprod.ets.org/ibt/unifyinfo.jsp and click the Round Trip Tool button at the top of the page:

2. On the STN Login for Creating Roundtrip Admins/Appointments screen, log in with your site code and the

same TCA credentials that you use to launch a cache proxy.

3. Select the necessary information from the drop down lists on the scheduling screen:

Note for the Praxis® testing program only:

At centers running on the Unify test administration platform, the Program Name drop down list will present two options: Praxis(iBT1) and Praxis(UNF). Select “Praxis(iBT1)” for all Praxis round trips. Information regarding

when to start using the UNF option will be provided in the future.

At Praxis test centers running on the older iBT test administration platform, only Praxis(iBT1) will be available.

4. Click Submit Round Trip to create the appointments. An acknowledgement message will pop up to confirm the number of round trip appointments and their scheduled date.

You may wish to make a note of the round trip date that you scheduled. This is useful because round trips scheduled for future dates are not visible in the testing system. The system displays each round trip only on the date when it is available to be run.

5. Click Log Out when you are finished using the scheduling tool. The round trip administration will be listed under Today’s Certification Administrations on the program selection screen when you start the administrative station. A round trip can be launched at any time on its scheduled date. Round trip administrations scheduled by a TCA via the round trip tool will have the prefix RND. The appointment numbers will start with “RTP.” The first and last names will be “Test Roundtrip.”

Program Name displays the testing programs for which the TCA is certified.

Admin Date offers the current date only.

Number of Appointments allows you to select 1, 2, 5 or 10 appointments.

The default value is one appointment. There is no disadvantage to scheduling more appointments than you expect to need.
