This guide will provide directions

to edit and update your contacts

and groups within Gmail.

Contacts & Groups in Gmail

Access your Gmail contacts and groups by

selecting the small arrow beside “Mail”

and then select “Contacts.”

Your current

“My Contacts” will be

displayed.

NOTE: All DPS employee email addresses are

automatically available. You can access these by

typing the name (first or last) of any employee in

the “To” section of a gmail message.

There are two likely

locations for your contacts:

1. My Contacts

2. Other Contacts

Accessing Your Current Contacts

The number in parentheses

refers to the number of

contacts within this group.

“Most Contacted” designates

your “Top 20” contacts based

on your email usage.

This can not be deleted and is

displayed by default.

Adding a New Contact Add contacts by selecting “New Contact.”

Select “New Contact” and access the screen below. Add the information you want to

save for the new contact. If there is information you don’t know or don’t want to

include, just leave those options blank.

This information automatically

saves as it is typed. You can

always select “Save Now” if that

is not the case.

Additional Contact Information

Selecting “Add” will provide additional options to add to this

contact including a nickname, birthday, and website address.

Add a Group in Gmail

Select “New Group” and the following text box will appear. Enter the name of

your new group and select “OK.”

Your newly created group will appear under “My Contacts.”

If you select this group, you will see the following message — “There are no

contacts in this group.”

Select the “Add to” icon and type the name of a contact you wish to add

to the group. Then select “Add.” See below.

Another Way to Add Group Contacts

1. Within the “My Contacts” or “Other Contacts” screen,

check the names of the contacts you want to add to a group.

2. Select the “Groups” icon.

3. Check the group you wish to add the contacts to.

NOTE: You can also create a new group once you have

selected the contacts to put into the group by selecting the

last option “Create new.”

Send an Email to a Group

Follow these steps to send an email

to a group:

1. Select “Compose.”

2. Type the name of the group you

wish to email.

3. Select the correct group.

4. All individual email addresses will

populate the “To” text box.

Other Options

1. Select a group.

2. Select “More.”

3. Several options become available

including renaming the group, exporting

(sharing) the group with someone else,

and finding duplicates.

Did you know?

If you select “Details” in the bottom-right corner of your inbox screen, you can view

every date, time, and location (IP address) your Gmail account has been accessed.

You can also setup an alert for unusual activity.
