1 Update on October 2020 Trimester and Academic Study and Course Pre-registration for January 2021 Trimester 18 November 2020 The media statements and the Standard Operating Procedures (SOPs) from MOHE have outlined that all academic activities at Institutions of Higher Learning during CMCO must be carried out via Online Teaching and Learning (OTL) where face-to-face teaching is not allowed. In view of the current COVID-19 situation, this is to inform you that for Foundation, Undergraduate and Postgraduate (coursework / mixed-mode) Programmes, all classes shall be conducted via OTL mode for the rest of this October trimester and subsequently followed by remote Final Assessment in December 2020, as announced earlier. Pursuant to the above and due to the current and changing COVID-19 situation in Malaysia, the University would also like to inform all students of the following in preparation for the start of the January 2021 Trimester: A. Commencement of the January 2021 Trimester 1. The January 2021 Trimester for Foundation Programmes, Undergraduate Programmes and Postgraduate Programmes (coursework / mixed-mode) shall start on 18 January 2021. for January 2021 Trimester

The media statements and the Standard Operating Procedures (SOPs) from MOHE have

outlined that all academic activities at Institutions of Higher Learning during CMCO must be

carried out via Online Teaching and Learning (OTL) where face-to-face teaching is not

allowed. In view of the current COVID-19 situation, this is to inform you that for Foundation,

Undergraduate and Postgraduate (coursework / mixed-mode) Programmes, all classes shall be

conducted via OTL mode for the rest of this October trimester and subsequently followed by

remote Final Assessment in December 2020, as announced earlier.

Pursuant to the above and due to the current and changing COVID-19 situation in Malaysia,

the University would also like to inform all students of the following in preparation for the start

of the January 2021 Trimester:

A. Commencement of the January 2021 Trimester

1. The January 2021 Trimester for Foundation Programmes, Undergraduate Programmes and

Postgraduate Programmes (coursework / mixed-mode) shall start on 18 January 2021.

Please refer to the latest Academic Calendar on UTAR website for the detailed schedules

(https://admission.utar.edu.my/Academic-Calendar.php).

2. Subject to the latest MOHE instructions and provided that physical classes can be

conducted with physical distancing on campus, the blended learning course delivery

method consisting of a combination of physical and OTL classes shall be conducted in the

January 2021 Trimester. Students will have the choice to return to campus for physical

classes or continue to take OTL classes. Table A1 shows a summary of course delivery

methods below:

mode concurrently.

iv. For details of the courses, please refer to your respective Faculty / Institute / Centre.

v. Remote Examination including Continuous Assessments (i.e. tests and assignments)

and Final Assessments (i.e. time-restricted open-ended assessments and online

examinations) will be implemented for the January 2021 Trimester.

vi. All Foundation, Undergraduate, and Postgraduate students (including EEP) who wish

to return to campus to use campus facilities, and meet with Academic Advisors, Project

Supervisors and Course Lecturers, can arrange by appointment for face-to-face

consultation in addition to online consultation, by following the physical distancing and

safety SOPs.

3. Table A2 (pages 5-7) shows a list of courses with compulsory physical tutorial or

practical sessions required by the professional body or faculty. However, if you are NOT

able to return to campus to carry out such essential physical hands-on classes / activities /

hands-on laboratory / practical training / clinical work due to unavoidable reasons, you

must apply to your respective Faculty Dean with the appropriate reason(s) for approval to

fulfil this requirement at a later time. Please contact your respective Dean for more

information if you need further clarification regarding this requirement.

4. Table A3 (pages 7-11) shows a list of courses that are 100% fully conducted via OTL

without any physical tutorials and practical classes. If ALL your registered courses for

January 2021 Trimesters are conducted via OTL mode only, then you need not opt to

“Return to campus”.

5. Table A4 (page 12) shows a list of Learning Spaces in both Sg Long Campus and Kampar

Campus. If you choose to “Return to campus”, you can access campus facilities at these

Learning Spaces with WiFi access during weekdays throughout the 14 study weeks (not

available on Saturday / Sunday / public holidays). These Learning Spaces are for you to

use your own device to attend OTL lecture / tutorial / practical classes at your convenience

as waiting places or conduct self-study in between classes that are conducted via physical

mode and OTL mode.

6. Students who have registered or plan to register for industrial training / clinical training

in the January 2021 Trimester and who will be attached to the company / institution outside

the University, need NOT return to campus. Please follow the instructions of your Faculty

for industrial training arrangements.

7. For FMHS students, due to the need of clinical placement and training, please refer to the

faculty for further information and arrangements.

8. For International students, please contact the Department of International Student

Services (DISS) if you need further information or have further queries.

9. For students of Postgraduate Programmes by research mode, you can continue your

R&D activities on campus as planned by following the latest MOHE instructions, physical

distancing and safety SOPs.

10. For Final year students who are doing final year projects, you can return to campus to

use the relevant campus facilities, and meet with your Project Supervisors by appointment

for face-to-face consultation in addition to online consultation, by following the physical

distancing and safety SOPs.

11. Students who need financial assistance can refer to https://deas.utar.edu.my/Financial-

Aid.php for further details on scholarships, loan and financial aid available to students.

Students may apply for the scholarship and loan via Student Portal > Information Gateway

> Student Scholarships and Loans Online Application.

B. Survey on Academic Study Mode (Existing Students)

1. In order to facilitate the academic planning of January 2021 Trimester, a formal online

survey on Academic Study Mode will be carried out. All existing students of the

Foundation, Undergraduate and Postgraduate Programmes (coursework / mixed-mode)

must indicate your preferred Academic Study Mode (Return, or Not to Return to Campus)

and Course Delivery Method (Physical / OTL) via the link to study survey

(https://unitreg.utar.edu.my/StudySurveyJan). Choose only ONE (1) option below:

2. The survey on Academic Study Mode is conducted from 18 November to 25 November

2020. You must complete this survey latest by 25 November 2020, 10pm. Your

participation in this survey is important for the University to plan out the January 2021

Trimester timetable for tutorial / practical classes via the physical and OTL mode.

3. You can confirm or change this Academic Study Mode and Course Delivery Method

during the course pre-registration exercise at https://unitreg.utar.edu.my/ following the

schedule of your Faculty / Institute / Centre as detailed in Section C.

C. Online Course Pre-registration and Confirmation of Academic Study

Mode for the January 2021 Trimester

1. Upon completion of the above Academic Study Mode Survey, all existing students of

Foundation and Undergraduate Programmes shall complete the Course Pre-registration

and Confirmation of Academic Study Mode online at https://unitreg.utar.edu.my/, starting

from 26 November 2020 according to the staggered schedule as follows:

(i) Undergraduate Programmes: 26 November to 10 December 2020

(ii) Foundation Programmes: 15 December to 17 December 2020

Please refer to Table C1 (pages 13-14) for the details of the staggered timetable allocated

to the programmes of Faculty / Institute / Centre for the January 2021 Trimester. Please

2. Please take note that all existing students of each academic programme is given a specific

time period according to the schedules in Table C1 to complete the following:

(i) Pre-registration of Courses and Course Delivery Method For course pre-registration, students (except for new students of the January 2021

intake) need to pre-register for courses to be taken in the January 2021 Trimester by

choosing the lecture groups (via OTL mode only) and the appropriate tutorial /

practical groups (via Physical or OTL mode), as allotted by the respective Faculty /

Centre for the registered courses, where applicable.

(ii) Confirmation of Academic Study Mode During course pre-registration, all existing students must confirm your selection

whether or not to return to campus to attend classes via Physical or OTL course

delivery method in the January 2021 Trimester. Your selection shall be auto approved

upon clicking the submission button.

After course pre-registration, if you wish to change your decision on the academic

study mode / course delivery method selected due to unforeseen reasons, please

contact your Faculty / Institute / Centre General Office, and apply to your Faculty

Dean / Centre Director for approval, subjected to the availability of the classes, before

the commencement of the January 2021 Trimester. If necessary, you may also change

the course lecture / tutorial / practical groups throughout the Add and Drop Period of

the January 2021 Trimester.

3. For new students of the January 2021 intake, you are required to complete the confirmation

of your preferred Academic Study Mode (Come to Campus; or Not to Come to Campus)

and Course Delivery Method (Physical mode / Online Teaching and Learning mode) via

https://unitreg.utar.edu.my/StudyConfirmJan. After you have confirmed your Academic

Study Mode and Course Delivery Method, your Faculty / Institute / Centre will pre-assign

the course lecture, tutorial / practical groups of all your registered courses. Please check

your timetable on the UTAR portal system for the details of assigned lecture / tutorial /

practical groups and contact your Faculty / Institute / Centre general office if you need

further clarification.

Please note that the conduct of all essential physical hands-on classes and activities in the

University campuses or the use of campus infrastructures and facilities, where relevant, will

also follow all the health and safety SOPs as per MOHE and the relevant authorities, as well as

the physical distancing SOPs issued by the University.

Any changes / updates to the above arrangements will be announced from time to time, in

accordance to the latest directives from MOHE, professional bodies and relevant authorities.

Learning Space with signage displayed at the main entrance is suitable for OTL and self-

study.

Seats are on a first-come-first-served basis, with priority given to students who attend OTL.

The list of venues available on weekdays is subject to change/update by the faculties and

university from time to time. Learning Spaces including the libraries are equipped with proper seating arrangements,

WiFi access for students to use own device to attend OTL lectures at their convenience.

Students can use these Learning Spaces as waiting / resting places or conduct self-study

during the change-over between classes conducted via physical mode and OTL mode in

the January 2021 Trimester.
