INTRODUCTION
General
Candy Data by default is setup on the local drive. This is known as a Stand-Alone Environment. Users do however have the additional option of setting up a Multi-User Environment on a Central Server over a local area network. This enables users to share data centrally and enables multiple users to price the same job simultaneously.
The Candy is a Windows desktop application and not a web application.
Multi-User Environment
The complexity and size of modern construction projects require the input from numerous estimators and quantity surveyors working simultaneously on a large bid. Often, the chief estimator will break up the workload by individual expertise, or simply by sections of the Bill of Quantities.
Within certain guidelines, the Candy system supports more than one User working in a Candy Job concurrently. This is called Multi-User mode.
When Candy is used in Multi-User mode, some functions are disabled to minimize the interference of one User's input with another's.
The current configuration allows for up to 99 Jobs to reside in the shared data area. Many Users can be Enrolled to work in this data area. A maximum of sixteen (16) Users can be assigned to one (1) Job.
The Users working in Multi-User mode should be made aware of the limitations set for the Multi-User group.
Design
In the Stand-Alone environment, the Candy data area is best located on the User's local hard drive, within a Data Area folder/Company/Job structure. This configuration maximises performance for local Users.
In the Multi-User environment, the shared data must be located on a Data Server or Network. The Data location must be available in full read and write mode to the Candy User group.
The speed and process of the Candy system, when accessing the data on the Network, is highly dependent on the capacity of the hardware infrastructure, and the number of concurrent Users to the Network.
The month end network traffic might slow down when the same Network is used for other applications e.g. Accounting.
The Multi-User shared data environment differentiates from the normal Candy data arrangement and does not follow the conventional hierarchy of the Data Path/Company Manager/Job Manager structure.
The Multi-User shared Company will be re-directed to a different location (i.e. on a server) than the current selected data path like on the computer, for the other companies in the same Company Manager as it is effectively just a Single folder (a Company) of shared Jobs.
This shared folder can be created anywhere on the LAN (Local Area Network), preferably on the fastest server.
The Candy shared folder is a Network object in the Organizational Network structure. This implies that the access to the Candy shared folder is controlled by the network administrator and only the Candy User group is given permission to connect, write, and read from this folder.
The Candy User, that is allowed to participate in shared projects, can install the Candy shared folder and connect to the designated network folder location from within the Candy Company Manager.
Candy Users that have set-up the Multi-User access will notice a Company with the Company code SHARED in their list of available Company folders. The SHARED Company is located in a folder location as directed by the User

and saved in the User's My CCS folder.
Terminology Used
User Details
Each User is required to register “User details” before using the Multi-User Login process in Candy.
The Initials entered in the User details window will be used to control access to the Multi-User facility in Candy, and for data logging.
Protector
The Protector is the person who prepares the Multi-User Company and would generally be the Chief Estimator. The Protector has the authority to:
• Setup the Multi-User Company.
• Enrol Users which allow them to log in to the Multi-User Company in the Company Manager.
• Delete any User.
• Access any Job without restriction.
• Set Job Permissions like Single or Multiuser access.
• Change the Creator of any Job.
• Promote any User as Protector. A maximum of 3 protectors are allowed.
Creator
Any User with access to the Multi-User Company, may set up a Job and that user will be the Creator of that Job. A Creator may:
• May Add new Jobs.
• Delete any of their own Jobs.
• Add and remove user access rights to their own Jobs.
• Set user access modes to Single or Multi-User mode on their own jobs.
Enrolled User
Any User Enrolled in the Multi-User Company:
• May Add new Jobs. (Enrolled users become the Creators their own jobs).
• May Access to other users Jobs only if the Creators have given them User access.
Single-User Mode
Logon in Single User mode gives full access to all areas of the Job, provided there are no other current Users in the Job. All functions and columns in Candy are available to use as per the full Candy Software Package. Refer to SINGLE USER APPLICATIONS further down in the document.
Multi-User Mode
Logon in Multi-User mode gives limited access only to Multi-User functionality. The Multi-User will only have certain columns available to use. Not all the applications within Candy are available to the Multi-User. Refer to MULTI-USER APPLICATION further down in the document.

Personnel
There are a few categories of personnel within the Multi-User design philosophy:
• An IT Administrator capable of creating and setting User access rights to a folder on a server.
• A Chief Estimator or similar senior person (the Protector) who determines which Users may be involved in Multi-User tenders.
• Senior Estimators (or Creators) of new Job(s) who determine which operators should work in each tender project.
• Operators (or Enrolled Users) with estimating skills to perform the costing of the project.
Setup & Permissions
In summary, the setup and operation of Multi-User mode is as follows:
• The IT Department sets up a folder on a LAN (Local Area Network) with the correct filing access permissions.
• The Protector sets up a Shared Company within the folder, then Enrols Users to the shared environment.
• The Users may create a New Job inside the shared Company, which makes them the Creators of the Job. The Creator grants access to this Job from the list of Users. The Protector can change the Creator if the need arises.
• A maximum of 16 Users can access the Job simultaneously.
This process assists with:
• Duplications
• Changing of information
• Collaboration between Team members
• Faster results
Multi-User Mode: Advantages
These are the advantages of a Multi-User working environment:
• The Multi-User Company and related Jobs can be centralised in one place (i.e. on a data server).
• Access to the Single Multi-User shared Company is controlled by a Administrator.
• Any of these Users can be granted access to any Job.
• These allocated Users of a Job can Login with their details, from any computer connected to the Multi-User Company’s network.
• A maximum of 16 Users can access the Job simultaneously.
• Different Estimators can price different sections of the same Job concurrently to speed up the Tender process.
• Any changes made in the Job are known to, and available for, all Users enrolled on the same Job.
Multi-User Mode: Disadvantages
There are some disadvantages to using the Multi-User working environment:
• It is important that a disciplined work method is followed by all Users for the same Job. Changes made to Worksheets, Global Variables, Resources etc. by one person, will affect the other Users Values and Rates on the same Job.

EXAMPLE: If the same Resource Rate is used in different Trades, priced by different Users; a change of this Resource Rate by one User will change the Rates of all the other Users.
• The database will not be accessible, slow down or can appear frozen for a few seconds when certain operations like the calculation of Page Totals, viewing or printing of analysis documents, etc. These operations require all the Job data compiled by all Users to generate the Values and Rates.
• The speed of the network can affect and slow down operations, when all Users are trying to access the system simultaneously; all the Job data is centralised and when multiple applications are used from the same network.

SETTING UP - IT ADMINISTRATOR
IT Requirements
System Recommendations
• Desktop Operating System: Windows 10.
• Data Server: Windows server 2012 revision 2 or later versions.
• Application Server: Windows server 2012 revision 2 or later versions.
• The Microsoft recommended combination of desktop operating system, data server & application server as well as antivirus.
• All Candy Users must have the same version installation.
• LAN quality connection.
• Wi-Fi network connections not recommended.
• Preferred file operating systems windows NTFS or later.
IT Requirements
The following is required from the IT department:
• A data folder to be created on the network where only the Candy Users working in Multi-User mode will have Read & Write access.
• RIB CCS recommends creating a workgroup for only these Users on the network.
• Once this folder is set up, note the path to this folder (i.e. \NETWORK\CCSMULTI).
• This path needs to be set on all Users' computers that will be working in Multi-User mode.

CREATING & SETTING UP MULTI-USER COMPANY (PROTECTOR)
About the Protector
The Protector (Chief Estimator) is the person who will be in control of setting up the Multi-User Company and enrols Users, then assign Users to required jobs. Users cannot be enrolled, until the Multi-User Company has been setup.
How to set up the Multi-User Company on the Protector's Computer
To start the setup of the Multi-User Company profile on the Protector’s computer, take the following steps:
• Step 1: In Candy in the Company Manager window, select Tools > Multi-User options > Setup Multi-User shared Company.
• Step 2: Enter the Password obtained from the RIB CCS consultant.

• Step 3: Browse to the location of the Network folder, created by your IT Department.

The new Network folder path will now be allocated.
• Step 4: Enter the Login and Contact information.

• Step 5: Enter and confirm the Password, then click on OK to continue.
• Step 6: On the confirmation window, click on OK to continue.
The Multi-User Shared Company will be added to the Company Manager and will display the Code as Shared and the No. S.
The Protector will now be able to start the process of Enrolling Users to different jobs.

Create a Job in the Job Manager on Protector’s Computer
To create a Job in the Job Manager of the Multi-User Company, take the following steps:
• Step 1: Select the Multi-user Company Name, then click on Select.
• Step 2: Enter the Login details.

This will open the Job Manager window.
• Step 3: Select the New Job in the Job Manager. The default will be set on Single User, select Logon to continue.
The Candy application window will open.
By default the first Job in the Job Manager will be empty. The first person to rename and/or enter the Job in Single User Mode, will automatically become the Creator of the Job.

Enrolling Users on the Protector’s Computer
To start enrolling Users to the system, take the following steps:
• Step 1: Right click on the Multi-User Company Name, then select Add Protectors and Enrol Users.
• Step 2: Enter the Protector’s Login details.

The Enrolled Users List window will open.
• Step 3: Right click on a blank line, then select Add a New User.
The Add/Edit Shared Company User window will open.
• Step 4: Enter the Users Name and Initials, then select Save.
Add all the Users required to work on the system.
A maximum of 16 Users can be added and granted access rights to a specific Job.

The Protector can change two (2) normal Users to Protector level. A maximum of three (3) Protectors can be created. To change an enrolled User to a Protector, take the following steps:
• Step 1: In the Enrolled Users List window, right click on the Users name that needs to be changed to a protector.
• Step 2: Select Set user as Protector.
The Change Protector Status dialogue box will open.
• Step 3: Select Set as Protector.
• Step 4: Select Close to continue.

The User will now be changed to a Protector.
• Step 5: Click on Close when all Users have been added.
Setting Up the User
Setup a Multi-User Folder Path
The Multi-User folder path and access needs to be setup on each User's computer.
To start the setup on the User’s computer, take the following steps:
• Step 1: In the Company Manager, select Tools > Multi-User options > Multi-User folder path.

• Step 2: Browse to the location of Network folder, then select Open.

The new path will now reflect next to New Folder.
• Step 3: Click on OK to continue.
Create Entries in the Company Manager
Once the folder path has been created, the User can create an entry in the Company Manager.
To create entries in the Company Manager, take the following steps:
• Step 1: In the Company Manager, select Tools > Multi-User > Create entry in Company Manager.

• Step 2: A confirmation message will appear, select OK to continue.
The Company will display in the User's Company Manager.
When a new Job has been created and you access the job, you might be prompted to Select a Master before being able to continue. A few options are available at this stage, however, proceed by selecting OK. A Master may be selected at a later stage.

JOB CREATOR
Setting User Access Permissions
The first person to rename and/or enter a Job in Single User mode, will become the Creator of the Job. The Creator must give access to Users that will be allowed to work on the Job.
To set access permissions for users, take the following steps:
• Step 1: In the Job Manager, select the Job.
• Step 2: Enter the Job in Single User Mode.

• Step 3: Under the Estimating tab > Housekeeping > User access rights.
The Multi-User Access Mode window will open.
In this window there are a few different selections available, depending on what actions are required. The options available are:
1. Change to Creator
o The Protector can change a User to a Creator.
2. Add User
o This allows you to Add Users individually.

3. Remove User
o If a User is on the list that is no longer required on the Job, then the Protector can Remove the User.
4. Update Enrolled
o If Users have been added previously but are not visible on this list, then select Update Enrolled and the list will show all the User enrolled.
For this example, we are changing access permissions.
• Step 4: Next to each User, under Access Mode, select whether a User will be a Single User or Multiuser.
A Creator can grant a User full access by changing the User's mode to Single User.
• Step 5: When completed, click OK to continue.

Access a Multi-User Job
The Users that have been given access, can now start working on the Job.
• Step 1: In the Job Manager, select the Job, then click on Select.
If access was given as a Multi-User, by default, the Single User access will be greyed out.
• Step 2: Select Logon to continue.
Depending on the access rights given, a User can enter the Job only in either:
• Multi-User Mode (Restricted Access), or
• Single User Mode (Unlimited Access).

Users currently logged into the Job, will be displayed in the Shared Job Logon window.
When a User access a Job in Single User mode, no one will be able to access the Job.
When Users access the Job in Multi-User mode, others will be able to access the Job simultaneously with certain limitations to applications. To see the available columns for Multi-Users, refer to MULTI-USER APPLICATION.

MULTI-USER APPLICATIONS
Only the Candy Multi-User Application will be available for selection, to work in. The following applications are available in Multi-User Mode:
• Estimating
• Planning
• Cash Flow
• Valuations
• Subcontract Manager
Estimating
Several columns will not be available in Multi-User mode that will only be available in Single User mode. Refer to Appendix A, Appendix B and Appendix C for columns available in Multi-User mode.
Multi-user mode enables multiple users on the same bill. However only one user per page (Single page mode) is allowed on a normal bill view. A new non editable multipage view has been developed for Multi-User. To view multiple page bill do the following in any bill document. Click on View > Open full bill (read only).

Screen layout documents can be added and customised by Users in Multi-User mode, but these documents can only be deleted in Single User mode.
Planning
The Planning module must be booked out by a User. Only one (1) User at a time will be allowed to work in this module.
When accessing this application, you will be asked if you want to book it out. Select Yes or No.
If the application is available, you will be able to continue working.
If the application is not available, a message will open informing you that another User booked out the application and is not available.

When work is completed in the Planning application, you need to release Planning to make it available for other Users. On the menu bar, select Main > Release Planning.
The Planning application will Auto-Release when exiting Candy or closing the Job.
Cash flow
The Cash Flow module must be booked out by a User. Only one (1) User at a time will be allowed to work in this module.
When accessing this application, you will be asked if you want to book it out. Select Yes or No.
If the application is available, you will be able to continue working.
If the application is not available, a message will open informing you that another User booked out the application and is not available.
When work is completed in the Cash Flow application, you need to release Cash Flow to make it available for other Users. On the menu bar, select Main > Release Cash Flow.

The Cash Flow application will Auto-Release when exiting Candy or closing the Job.
Valuations
Several columns will not be available in Multi-User mode that will only be available in Single User mode. Refer to Appendix A, Appendix B, Appendix C and Appendix E to see columns available in Multi-User mode.
Screen layout documents can be added and customised by Users in Multi-User mode, but these documents can only be deleted in Single User mode.
Subcontract Manager
Several columns will not be available in Multi-User Mode that will only be available in Single User mode. Refer to Appendix F to see columns available in Multi-User mode.

SINGLE USER APPLICATIONS
In Single User Mode all the applications will be available to use. There will be no request to book out any applications. When a Single User is in a job, no one else will be able to access the Job.
