User Role Matrix

The purpose of this document is to provide the information needed to assign user roles to user accounts within PearsonAccessnext. The first section of this

document defines each user role and Conferrability. The second section of this contains a matrix that details permissions granted to each user role. This

document can be used to determine which roles each user should have in order to support the PARCC administrations.

• User Roles - PearsonAccessnext users must be assigned roles. Roles are named according to the level of support a user will provide; for example, State,

District Test Coordinator, School Test Coordinator, etc. • Conferrability - Defines the list of roles that a one user can grant (confer) to another user account during user account management. • Permissions - Each User Role, in turn, contains a set of permissions that determine which tasks that specific User Role can perform in PearsonAccessnext.

Permissions are not assigned directly or individually to User Roles. Instead, permissions are bundled into User Roles.

Important Users can have one account to access the PearsonAccessnext Live Site (Production Site) and the PearsonAccessnext Training Site. This means the User ID and Password are the same for both sites. However, the configuration of each user account is independent in each site. A user accounts can be granted organization and user role assignments in one site, but not the other. If you are responsible for creating user account, you may consider configuring account access at the same time for both sites. If a user is configured in one site, but not the other, then they will receive the following error for when attempting to log into the site for which their user account is not configured: “User has not yet been created in this website and therefore does not have assigned authorization privileges. Please contact a representative to assist you in the user creation process in order for you to gain appropriate access.”

Role Types Base Roles have been created with abilities that generally align to the organization level and title of the user (LEA/DTC, School Test Coordinator, etc.). A user account needs at least one base role to be functional. A user account generally only needs one base role but can be assigned multiple base roles if needed. For example, a school may have user who is the School Test Coordinator and Technology Coordinator. This user’s account would be assigned both the School Institution Test Coordinator Base Role and Technology Coordinator Base Role. List of Base Roles

State Role – Assigned to state-level user accounts.

LEA/District Test Coordinator Role – Assigned to LEA/District Test Coordinators user accounts.

School Institution Test Coordinator Role – Assigned to School Test Coordinator user accounts.

Test Administrator Role – Assigned to users that will administer computer-based tests.

Technology Coordinator Role – Assigned to users that will support technology for computer-based tests.

OnDemand Admin Report Access Role – Assigned to users that should access OnDemand Reports and setup limited access for other users.

OnDemand Teacher Report Access Role – Assigned to users that should have limited access to OnDemand Reports.

Published Report Role – Assigned to users that will be able to access published reports.

Add-on Roles have been created to enable states to continue with their current policies and abide to state specific laws. Add-on Roles enable additional functionality that can be assigned to a user account in addition a user’s base role assignment. List of Add-on Roles

Organization Add-on Role – Assigned to users that will create and modify organizations within PearsonAccessnext.

Enrollment Role – Assigned to users that will set an organization as participating in an admin and enter enrollment counts.

Request Additional Order Role – Assigned to users that will place an additional order.

Approve Additional Order Role – Assigned to users that will approve an additional order.

Delete Student Role – Assigned to users that will be able to delete students from PearsonAccessnext.

Sensitive Data Role – Assigned to users that will be able to view and edit Student Sensitive Data and import/export a student registration file.

Rejected Student Test Role – Assigned to users that will be able view and resolve rejected student test alerts.

Student Test Update Role – Assigned to users that will be able to update student data post testing including Not Tested Code/Reason and Void Test Score Code/Reason.

Summative Update Role – Assigned to users that will be able to import a summative data file.

Irregularity Resolution Role – Assigned to users to move a test attempt from one student record to another student record, un-submit completed test attempts and void a unit of a test.
