Procedure for Awards:
President will introduce the Awards Chairperson and ask all award winners to remain up front until a group or individual picture is taken. The President will then go down to hand out awards. The President-Elect will get the correct award and hand it to the President and the President will hand the award to the recipient.
VIAAA Awards will be called first and the NIAAA Awards will follow. Recipients present should be called up for picture and then any not checked in should have award given to the Regional Representative.
The Awards Chairperson will call the state winners per group and then the NIAAA Liaison will read the names of those in attendance receiving a NIAAA Certificate. The group or individual picture will be taken and then the chairperson will ask the Regional Representatives to pick up the plaque for absent members as names are called.

Voting Procedure for VIAAA Athletic Director of the Year & the VIAAA Distinguished Service Award
1. The Past Presidents' Council will select the Athletic Administrator of the Year.
2. The Immediate Past President shall send the Past Presidents a copy of all nomination information and a ranking ballot to rank all nominees. This should be returned before the January meeting date.
3. Past Presidents shall have the opportunity to discuss the merits of each nominee prior to voting at the meeting. Committee members will be asked to speak to a candidate prior to the meeting. Any nominee not on the final ballot may be added by a majority vote of the members present.
4. Each Nominee will be ranked, one being the highest number, by the Past Presidents.
5. If there are more than three nominees, then the following procedure will be used:
a. The ranking ballot shall eliminate one-half the number of nominees.
b. The winner shall be determined by counting the total number of first place votes.
c. In case of a tie, the winner shall be determined by: Ranking all nominees with one being the highest and counting the votes-lowest number wins Holding further discussion and re-voting Other

John C. Youngblood Scholarship Award Criteria
The Virginia Interscholastic Athletic Administrators Association awards an annual scholarship in the amount of $1500.00 to a deserving high school student who will be graduating from a Virginia High School League member in honor of John C. Youngblood, the first Association president. The athletic director of the member school must be a member of the Virginia Interscholastic Athletic Administrators Association in order for the member school's student to qualify for the scholarship. Each school is limited to one nominee.
The scholarship will be awarded to a special and unique individual who:
Is definitely going to pursue higher education and has a need for financial aid;Has made a significant contribution to athletics;Will not receive any financial assistance in the form of an athletic scholarship; andHas the respect of coaches, peers, teachers, and community.
The Selection Committee of the VIAAA will select one individual who best exemplifies the description above. Attributes of athletic participation, leadership, service, and character will be considered.
CHARACTER: Reflects the qualities of honesty, integrity, and courage. LEADERSHIP: Possesses the capacity to lead and demonstrates the ability to provide direction that
results in group achievement.SCHOLARSHIP: Achieves above-average scholarship, evidenced by proof provided by the nominating
school that the student has been accepted by an institution of higher learning. ATHLETICPARTICIPATION: Must have received at least one varsity monogram during high school career and have participated in a varsity athletic program for a minimum of two years including his/her senior year.
These criteria are intended as guidelines for selection. Judgment of the Selection Committee will remain the determining factor in the selection process. The Selection Committee will consider only those nominations that have been postmarked on or before January 15.
The President of the VIAAA or his designee will notify the award recipient's school and visit the school to present the award at a time selected by the school. The award will be in the form of a check made payable to the institution in which the recipient has enrolled. A plague will also be presented to the recipient and a certificate to all nominees.

Standing Committee Descriptions
1. Awards - The committee exists to recognize and award individuals in and outside the field of athletic administration for their contributions to athletics.
2. Exhibitor Liaison - This liaison will encourage businesses from across the state to exhibit at our Annual Conference.
3. Membership - The membership committee shall encourage and promote VIAAA Membership by emphasizing benefits and services of the Association and by regularly contacting all state athletic administrators.
4. NIAAA Liaisons - The chairperson will be the VIAAA Representative to communicate with the NIAAA. Committee members will aid in the NIAAA membership drive and other projects of the NIAAA.
5. Public Relations - This committee will keep the Board of Directors abreast of political situations that could affect the interscholastic athletic programs in Virginia.
6. Publications - The committee is responsible for the Association newsletter and other publications that will be distributed to provide a source of communication, information, and the opportunity for professional growth and development of the membership.
7. Scholarships - This committee is responsible for issuing scholarship applications and selecting the recipients of the two scholarships given by this Association.
8. Ways & Means - The committee shall function to establish a financial program to enhance and promote the goals of the VIAAA.
9. Professional Development - This committee is responsible for developing professional meetings for the membership.
10. Leadership Training –This committee will oversee the implementation of the NIAAA LTI program.
11. Special Ad Hoc Committees - Ad Hoc Committees may be appointed by the President and approved by the Board of Directors to deal with matters not assigned to any Standing Committee.

Board of Directors Position Descriptions
1. PRESIDENT:Presides over all meetings of the Association as the Chief Executive Officer. Other dutiesduties include: appoints committees, appoints delegates, and represents VIAAA at officialfunctions.
2. PRESIDENT-ELECT:Assists the President with all Association business. Other duties include: drafts andproposes all by-law changes, coordinates committees, and proposes all nominations.
Time-line for application: October 1 - application with resume due. Prior to January VIAAA Board Meeting - candidate interview and name of nominee given to Board of Directors. January VIAAA Board Meeting - Board votes on President-Elect. Conference - new President-Elect announced.
3. SECRETARY:Responsible for all correspondence for the Association and minutes of all meetings.Other duties include: Updates the POP manual, mails agendas, and maintains allofficial records.
4. TREASURER:Receives all monies of the Association. Other duties include: keeps accurate recordsof all transactions, writes and issues checks for approved payments, prepares treasurer’sreport for all meetings, receives membership dues and issures membership cards.
5. REGIONAL REPRESENTATIVE:Serves as the liaison between the VIAAA and the athletic administrators in their region.Other duties include: attends all Board meetings, communicates with the membership chairpersons in their region, and informs the membership in their region of VIAAA business.
6. REGIONAL ALTERNATE:Assists the Regional Rep in their duties to VIAAA. Attends any Board meeting that the Regional Rep cannot attend.
7. DELEGATE AT-LARGE:Completes specific duties (duties may vary) assigned by the President. Attends all Board meetings. Serves on VIAAA board committees.
8. AT-LARGE ALTERNATE:Assists the At-Large Delegate in the completion of their duties. Attends any Board meeting the Delegate At-Large cannot attend.

VIAAA Educational Corporate Contributors
In 2004, the VIAAA implemented a special designation called Educational Corporate Contributors. The purpose of this designation is so that the VIAAA can encourage business/industries to donate financial support to the VIAAA in specific educational areas. Educational Corporate Contributors will be asked to enter into a contract with the VIAAA to donate money to a specific educational VIAAA goal, project or fund. The money will be made available through grants supported by the VIAAA. The education projects will include such programs the VHSL Coaches Education Program, the NIAAA Leadership Training Program and the VHSL/VIAAA New Athletic Director Workshop. These educational programs will help educate coaches and athletic administrators across the state of Virginia. The VIAAA serves over 180,000 students through the VHSL and the Independent Schools of Virginia. It is recommended that a copy of the Education Corporate Contributors contract be on file with the VIAAA and a copy be kept in the Corporate Sponsor Chairperson's notebook. It will be the responsibility of the Corporate Sponsor Chairperson to present an updated copy of the current Educational Corporate Contributors at the May meeting of the VIAAA.

Past Presidents Council - Items of Note
The Past President, in preparation for the annual Past President’s Council January Awards meeting shall assign one member of the council to speak on behalf of each person being presented for the Athletic Administrator of the Year Award (Feb. 2002)
The Past Past President is responsible for overseeing the At Large representatives and the Regional Representatives to ensure that there is a minimum of one name from each of the 16 classifications brought forward for the Athletic Administrator of the Year Award and that the proper application is completed. (Jan.2003)
Letters of recommendation are out of date for multiple year candidates and a formula needs to be in place to check on the candidates. While the letter that is sent to these candidates does remind them that they could update their nomination, it was decided that the Immediate Past President would be responsible for contacting individuals who had submitted letters of recommendation to make sure the information is accurate. (Jan. 2009)
It was decided by majority vote of the past presidents that two major awards could be presented to the same individual during the same year. (Jan. 2009)
All Past Presidents’ input is critical to the award process. All Past Presidents will continue to be on the awards committee and have all voting rights in choosing all award recipients. (Jan. 2009).

- 4 to 6 volunteers to help with tickets- 2 cash boxes- 1 roll (1000) double tickets- tear 600 to 700 tickets in strips of six(6)
3. Ticket prices are $5.00. All proceeds from the 50/50 raffle go into the Scholarship Fund.
5. The Ways and Means Chairperson is responsible for turning in the 50/50 raffle to the VIAAA Treasurer and reporting the results at the Board of Directors Meetings.
6. The Ways and Means Chairperson is responsible for any other fund raising activity that is approved by the Board of Directors.
