Introduction This user guide supports ViewPoint users through the process of deploying surveys and uploading responses from a device

Museum Development North West (MDNW) manages a regional audience data collection programme using the ViewPoint system. Initiated in 2008 by Renaissance North West, MDNW have rolled it out since 2012 and there are now 79 devices capturing live audience data in Accredited North West museums.

ViewPoint is a data collection system produced and supported by CRT (Customer Experience Feedback Solutions) www.crtviewpoint.com. Audience feedback can be captured using ViewPoint surveys on a variety of platforms - on-site surveys on kiosks and tablets, ViewPoint survey app on secured tablets; SMS texts or smartphone surveys, online surveys via email or website or paper surveys. MDNW holds a licence for 100 channels, of which we currently use 79%. If you wish to explore using various methods to consult your audiences please contact MDNW.

ViewPoint enables museums to collect valuable audience data that:

• Supports regional and cluster benchmarking and marketing

• Can ask customised questions that are easy to ask and understand

• Allow questions to be targeted to different audiences

• Is useful for clusters where a network use the same questions

• Is useful for analysing audience data

• Identifies audience trends

• Has strength in its “anonymity”

• Can be significant for applying for external funding

• Can be used for advocacy

• Can signpost people to other heritage organisations within a cluster

• Is cheaper than other forms of market research

1 Deploying your survey

At the end of designing your survey you can choose to Assign your survey to your device (go to section 1a) or Finish (go to section 1b) to save it for future deployment.

1a Assign your survey straight away If you choose to do it straightaway, click the link Assign your survey to your device.

The link will take you to this page:

Then click Add to get to the survey deployment page.

Check the survey is correct in the top line. Select the region you are in (Cumbria/Lancashire etc) on the second line then choose your location (name of museum). You need to select the correct device id on the bottom line. This should be easy to find on the drop down list as your unique MDA code should be included. Otherwise you can use your device serial number located on your device casing to identify the correct ID.

Click Save button. This takes you to a list of your deployments. You can click Add to add another device if you want to deploy the survey over multiple sites. Otherwise click Finish.

You now need to save your survey to a USB stick to load it on to your ViewPoint device. To do this click the Surveys and Edit Survey tabs.

Find your survey and click Download.

You can then save it to a USB stick. Do not change the name of the file or the file type.

1b Deploy your saved survey

To deploy your saved survey you first need to assign it to your device. To do this click the Deployment then Assign Surveys to Device tabs.

Next, click the Add button under the Device heading.

Select your device from the list using the ID number, Description or Serial Number. You do this by clicking the small boxes on the left. Then click Add. You can select multiple devices to use the same survey at multiple sites.

A list of surveys will now appear. Find your survey, which should include your unique MDA code in the description for ease of identification. Then click on the View Locations link on the right of your survey line.

This will give you a list of locations. Chose your location then click Next. This takes you back to the survey list. You can then assign another survey to your device if you wish or click Next.

This takes you to the Active and Updated Deployments for Device list. This can be edited at this stage if there is an error. If the information is correct, click Finish.

To transfer your survey to USB to enable you to put it on your device, click the Surveys and Edit Survey tab on the top of the CRT website page.

Find your survey from the list and click Download. Then save the download to your USB stick without changing the file name or file type.

2 Putting your survey on your device(s) To do this you need to access the administration pages on the console.

Plug your USB stick, which has your survey loaded on it, into your device. Switch on your device and press Start Survey if you have an existing survey already loaded on the machine. Otherwise press Launch Console.

Find the hidden button on the first page question screen on your existing survey. This is located in the middle bottom of the screen. You will then be prompted Enter password to access the console. Contact MDNW if you have forgotten the password.

Then press OK. Press the Info tab for information on your device including device, survey and location details. Press the Surveys tab then Install Survey to upload your new survey.

Select the USB drive (there might be a small wait).

Then select the survey or surveys (if you want to upload multiple surveys from the USB drive) then press Install.

You can change between surveys at any time on your console by pressing Surveys then Change Survey before selecting the appropriate survey, region and location, then pressing Load.

You can also change the region and location of your device from this screen if you have moved your machine.

3 Downloading responses To download responses you need to start up your device and enter the administration pages through the console by pressing the hidden button on the first question page of your survey. Insert your USB stick into the device. Enter the password. Contact MDNW if you have forgotten the password.

It may take a few minutes depending on the number of responses (shown on the bottom right of the screen once you enter the administration pages). Press the Data tab on the screen then Save Active Responses.

Choose the USB stick listed then press Save.

When the responses are saved, a message will appear on the bottom of the screen. Click Done to go back to the main screen.

On the main screen you will see the number of responses is now zero. Remove the USB stick and click Start Survey or Shutdown the machine.

You will now need to upload the responses to the ViewPoint website.

4 Uploading responses To upload your responses data from your USB stick to your computer simply plug in your USB into your computer and go to the CRT website. Login to the account then click the Data tab and Upload Responses link.

To upload your file from your USB stick, select the Browse button and select your USB device and survey file. Then click Open. You will need to wait for about 10 minutes for the responses to load.

You can then create a report with the data. See ViewPoint User Guide III on how to do this.
