ProPortals  

This Guide will provide you with the basics to personalize the content of your ProPortal. All Proforma’s have a fully developed web page, called a ProPortal, at their disposal. While most of the content in these web sites has already been predetermined, each Owner has the ability to make significant changes to links and even verbiage that your visitors will read. These changes are made in Owner Administration’s ProPortal section.

You can turn on/off the options under Products and Solutions. Turning off an option turns it off anywhere it occurs on your ProPortal, not just the Main Page. Add and remove links from Catalog & Links.

Change the Main Page: Choose the advertising banner in the upper corner. Change the picture beside your Proforma contact information. Your Proforma address, email, and phone number are pulled directly from Owner Administration. Write a narrative about your Proforma and how it is unique in the industry.

Making Edits in Web Applications  Begin making changes to your ProPortal by click on Owner Administration, Maintain my Information, then ProPortal.

Web Applications allows you to make seven types of changes to your ProPortal: Navigating to your ProPortal:

1. Turn your website on/off and change what comes after www.proforma.com On the “front” or “main” page:

1. Change the banner image 2. Change the links and buttons to other websites 3. Turn on/off the Proforma Catalogs and show/hide suggested retail pricing 4. Turn on/off the starting links PFG provides all ProPortals 5. Change the introduction to your Proforma.

On the drop down menus:

1. Change what appears under Products and Solutions NOTE: Changing your Proforma’s address, email, and phone number is done in Owner Administration under the “Bill To,” “Phone Numbers,” or “Email” links. Your ProPortal will use whatever information you have chosen to be your default. To begin making these changes, simply click on the appropriate link:

About Us Images 

1. Click “About Us Images.” 2. Select which graphic you want to use

from the menu. 3. Click [Update About Us Images]. Advanced Feature: Add you own banner/image and link If you are comfortable creating your own images, you can upload your own banner or image and even turn it into a link. For best results, dimensions should be: Banner – 468 x 60 pixels Image – 210 x 114 pixels 1. Click [Browse] and locate where you

saved your image. 2. Enter the full URL (include http://) if

you want the image to be a link. 3. Click [Update About Us Images].

You can change: ● The advertising banner in the upper-right corner ● The image to the left of your Proforma contact information

Campaign  User the Campaign option to: 1. Turn your ProPortal on or off under Status. 2. Change your Campaign (what comes after www.proforma.com/...) through the URL field. Begin by clicking Campaign, then Edit.

When you are finished, click [Save Campaign].

Content  Change the two paragraphs (and the bold introduction statements) by clicking Content, then Edit. Type your new text, then click [Save Content].

NOTE: If you are familiar with HTML code, you can use it in the Content page to spruce up the appearance of your text. HTML will allow you to underline, bold, italics, change font size and color, and a variety of other options.

Channel Links and Buttons  Channel Links and Buttons appear on the Main page as well as the Catalog and Links page. They appear with the Global Links that all ProPortals begin with. You can further categorize (or “channel”) your text links, grouping links with similar content under the same heading. It makes for better organization and looks sharp on your ProPortal. The instructions for adding a text Link or Button are approximately the same, so will be handles together.

1. Begin by clicking either “Channel

Buttons” or “Channel Links Member.”

2. Click either “Add New Button” or Add New Links.”

3. Select a Category from the dropdown to organize your text links OR create a new Category by typing one in the New Category field.

NOTE: Category is a required field, but does NOT work for buttons. Only text links are categorized. 4. Type a Title. This is what will

appear below each button or will be the text a person clicks on to activate a link.

5. Enter the URL. You MUST include the “http://...”

6. Place a checkmark in the box to turn on the link. If the link is not “enabled,” it will not be seen on the ProPortal.

7. Description is optional. It will appear when someone passes their mouse over the link

in question. 8. Choose a frame type. A frame is a graphic with Proforma’s name that runs along one or

two sides of a webpage you link to. It makes the visitor think they haven’t left your ProPortal.

9. If you are creating a Channel Button, you will select one of the buttons in the menu. 10. Click [Add Link].

NOTE: To edit a link you created earlier, simply click on the link’s title, then “Edit.”

Global Channel Links and Buttons  All ProPortals start with the same links that are shared globally. These links can not be edited, but can be Enabled or Disabled (e.g. turned on or off). They all appear on both the Main page and the Catalog & Links page. The Global Text Links are under Product Search on the left side: • Promotional (Norwood) • Writing Instruments (Bic) • Corporate Casuals (Sanmar) • Logo Wearables (Alpha Shirt) The Global Buttons are the Proforma Catalogs on the right side: • Promotional Products • Golf • ProGear • Holiday Catalog (not available year-round) NOTE: Each catalog comes with the option to show or hide suggested retail pricing. There is also a Canadian and US version of most catalogs. Make certain to enable the correct catalog! To “Enable” or “Disable” a given text link or Catalog button: 1. Click “Global Channel Links and Buttons.” 2. To the right of each link is the option to Enable (if the link isn’t currently on your ProPortal)

or Disable.(if the link presently appears). Click which action you would like to take for any given link.

NOTE: Enabling one style of Catalog does NOT automatically disable the other style. Make certain only one style (US vs. Canada, Show pricing vs. Hide Pricing) is “Enabled.”

Products and Solutions Some Owners may not feel comfortable offering every product or solution listed on the ProPortals. You have the ability to remove these menu options. You can also add them back at a later date if you want. Any link that has been “Disabled” will disappear from the website. Their absence is transparent to the visitor. To Disable (or later Enable) any of these options: 1. Click “Products and Services.” 2. Click “Click here to Disable” (or “Click here to Enable”).

Changes on this screen affect: • The dropdown menus for Products and Services • Any link further inside your ProPortal related to the Title that was Disabled/Enabled.

Appendix  

Processing Online Catalog Orders  NOTE: This does NOT apply to the SP Richards/Office Supplies Catalog. The following occur when a visitor enters an order through one of Proforma’s Online Catalogs: • An email is sent to them confirming their order and contact information • That email is copied to the Owner You will then: • If you use catalogs that HIDE pricing, create an Order in ProOffice (or ProSTAR) • Contact the Customer to confirm the quote/order and determine payment arrangements • Process the order normally in ProOffice Order Processing or ProSTAR.
