1. Go to http://webgenesis.yourcls.com.2. To log into Webgenesis use your Genesis:

a. Username: (lowercase, no spaces)b. Password: (capital T, no spaces)

You will be prompted to change your Password the first time you long in.

3. To check the status of a reservation: a. Click Reservations either from horizontal or vertical menus on the Home screen.

b. You can sort

reservations by clicking on any of the column headers on the dark blue line. c. To view details click view

i. This will show all the details of the reservations including additional information such as when it was booked, who last modified it, and the hotel information.

ii. Stay total is room and estimated taxes for entire length of stayd. Use the search bar with date range to search for specific names, cities, etc.

4. To view Requests:Enter Search Criteria

a. Click Requests either from the horizontal or vertical menus on the Home screen.

b. You can sort reservations by clicking on any of the column headers on the dark blue line.

c. To view details click This will view the detail of the Request/Names & Dates/Preferences/Correspondence/Reservations

i. Under Correspondence-add notes to the request, this is how requestors can communicate any changes to the request or reservations without calling CLS. All correspondence for that request with time and date will be entered under the message box.

ii. Under Reservations- see any reservations CLS has booked and attached to this request.

5. To Make a Request:a. Click Requests from the List

All Communication is tracked with time and date.

Only reservations connected to this Request will show on this screen.

If Work Site Information is unavailable, enter City and State, and then enter a note in the note section stating a landmark or intersection you near work address. This information ensures CLS is able to get accommodations as close to Work Site as possible.

b. Click button in the middle of the screen

c. Enter Worksite Information/Requestor Information, click Next

Do not use the Forward and Back browser buttons in WebGenesis, this will result in the loss and reenter of request information.

When submitting Request use the , or menu buttons to move within the Request.

Click Request to start a New Request. A New Request Screen will appear like the one below.

Enter Requestor Information by typing in fields or selecting the and selecting the requestor’s name from a list. A list of travelers must be provided to CLS for the List feature to be available.

d. Enter Names/Dates of Travelers, click Next

i. Add or subtract rooms by clicking or .

ii. To request a Room with 1 Bed for 1 traveler, type the first and last name or select the traveler’s name to auto populate the Guest 1 field.

iii. To request a Room with 2 Beds for 2 or travelers, type the first and last name of select the traveler’s name to auto populate the Guest 2 field.

iv. If the Traveler(s) name is unknown at the time the request is entered you can enter Guest 1 as the requestor’s name and type “Double Room” as the name for the Guest 2 field. Example below:

* Room 1 is a request for 1 room with 1 bed for Billy Jackson (foreman).* Room 2 the travelers are unknown so the Request was entered under the Foreman’s

name for Guest 1 and “Double Room” for Guest 2. CLS will know this request is for 1 room with 2 beds

e. Enter Budget/Preferred Amenities, click Next

Add up to 10 additional Rooms by clicking on the , or remove rooms by clicking on the .

Enter Traveler’s Name by typing in Guest 1 fields or selecting the and selecting the Traveler’s Name from a list. A list of travelers must be provided to CLS for the List feature to be available If wrong name is selected in error, remove it by clicking on the .

Different Arrival: and Departure: dates can be entered for each room added.

Room 2 is a request for Billy Jackson to have a double room with two beds. CLS identifies this by seeing the Guest 2 field has either a guest name or “Double Room” listed.

Room 1 is a request for Billy Jackson to have a single room with one bed. CLS identifies this by seeing the Guest 2 field is left empty.

f. Select one of the two booking options. After choosing one, click Nexti. Book Room-Client picks the one in-network hotel they want.

ii. Research Options-CLS picks the hotel options to send to the Client

1. Each hotel has a segment indicated by stars. Hover over to see what each means. Green= Extended Stay, Yellow=Regular Stay

2. Each hotel has a value rating. This indicates how deep of discounts the hotel is providing.

3. You can expand or narrow the search by clicking or . The search defaults to a 15 mile radius from work address give, by clicking the this increases the search radius showing more hotels.

g. Pick Urgency, add any Notes, and Coding Information, click Nexth. Review the Request, click Submit Request

Normally this field isn’t used since Per Diems are provided to CLS in the beginning of the partnership. However, should a need for a lower or higher budget for a room arise that defers from the predetermined Per Diem, it should be entered here. Keep in mind only the contract signer or approved requestors can request budgets that are higher than the Per Diem provided to CLS.

Preferred Amenities will auto populate from the preference given to CLS at the Launch these preferences can be changed by checking and unchecking the boxes. If a preference is not listed, please note that preference on the “Notes and coding” tab.

Book Room – select 1 hotel from the list and if the hotel selected falls within the guidelines the company provided CLS then CLS will book the room and send confirmation. If the hotel desired is not listed then enter a note with the name of the hotel in the “Notes and Coding” tab.

Pick it for me – CLS uses the company guidelines provided and selects the options that are best fit for the company keeping in mind budget, amenities, location, and any other preferences provided to CLS, by the client.

CLS will provide – 1 best hotel option for a stay that is 1-4 nights. – 2-3 options for stays that are 5+ nights.
