1- Business needs: currently, all the makeup stores that exist in Bahrain are providing makeup
products that contain different types of chemicals. However, there aren’t actual stores here in
Bahrain that produce or sell natural / organic makeup. Therefore, females are forced to buy and
use makeup products that contain chemicals which can cause skin problems such as skin irritations,
allergies, as well as preventing the skin from “breathing” by clogging the pores. Some types of
makeup may contain toxic ingredients that may damage the skin cells and more likely cause cancer
such as lipsticks with lead which are very dangerous to use. There are no physical stores in Bahrain
that provide organic makeup.
To determine the desired status 100 surveys were handed out to females from different ages and
different nationalities. The results of these surveys show that almost all females wish to have
makeup which is not harmful for the skin. They want makeup products that are suitable for daily
use, safe, and benefit their skin if possible (by using moisturizing and beneficial ingredients).
Our project is to create an actual store for organic makeup. NVEY Eco is an organic makeup store
and we want to create their physical store for Nvey Eco in Bahrain as a franchise.
2- Project description:
Nvey Eco will be providing organic makeup products for eyes, lips, face as well as skin care products
and different types of brushes. The most impressive part about their chemical free products is
thatthey are made out of ingredients that will provide the skin with proper dosages of the skin’s
need of vitamins A, C and E and other beneficial ingredients that will improve skin appearance over
time.
Our plan is to open the physical store in Seef mall in Muharraq, which will offer organic makeup
(franchising Nvey Eco). The main three colours that will be included in the design of the store are
Green, White and Black, which represent Nvey Eco’s environmentally friendly image. Therefore, we
have chosen Green to be the main colour to be used in store decoration.
The design of the store will consist of display table and shelves that will present our products to the
clients in an attractive way. Tables and shelves with drawers installed underneath them will be
provided in order to store all the different types of makeup products. Next to the table we are go-
ing to place comfortable chairs for customers that will try our makeup products.
Since it is a makeup store, having mirrors and white clear lightening is essential to help customers
to have a clear vision of the products they are trying out and to avoid choosing wrong shades. A
cashier table for the purchasing process will also be provided as well.
Finally, some equipment will be needed in the store which is for Safety, security, cleaning as well as
a cash register.
3- Project rationale: according to our surveys, females in Bahrain are suffering a lot from chemicals
in makeup. NVEY Eco (organic makeup store) will be the solution to prevent them from facing the
risks that can be created by using makeup with chemical ingredients.
As a solution for this problem, NVEY eco will provide natural/ organic makeup products which con-
tain only ingredients that are gentle and beneficial to the skin. Therefore, the customers will be
satisfied with their makeup products and the results.
4- Stakeholders: there are three types stakeholders involved in the project (franchising an organic
makeup store):
- Authorizing stakeholder: The authorizing stakeholder for our project (organic makeup store) is
Geraldine Cunnane.
- Principal stakeholders: since it is a makeup store, our targeted customer will be females of all
ages from different nationalities and all types of skins. Moreover, Nvey Eco, rent centre (Seef
Mall in Muharraq) and the project team members.
- Project managers: In this project,Shaikha Alshirawi will be responsible for managing the process
of her team members.
5- Constrains:
Internal constrains:
- Shortage in the financial resources: the budget allocated (which is BD 75,000) may not be
enough to plan and execute the project.
- Mandatory deadline: the project must be done within 9 months, which is a short period of
time, while procedures that are necessary for the project (approving and designing a physical
store for organic makeup) may take a longer time.
- Since this project is franchising an existing online store and the logo of the store has already
been designed using three colours (Green, Black and White), the internal designing of store will
be limited to these colours in order to suit the logo.
- Restricted working hours due to Seef Malls policies which will require the staff to put more ef-
forts to the process of decorating and opening the store.
External Constrains:
- Political risks:
a- Nvey Eco headquarter regulations might not approve the offers that we are providing. For
example they might not approve the location of the physical store.
b- If the project fails to meet government regulations and standards, this might lead to legal
consequences, and might delay phases of the project, such as designing.
6- Assumptions:
- According to the 100 surveys, 70% of females stated that they prefer using organic makeup as
it is not harmful for the skin unlike the other types of makeup. As a result, we assume that the
demand of the organic makeup will be high.
Moreover, since NVEY ECO provides high quality products, this will be beneficial not only to the
customer but to the company as well, which will increase the revenues.
- Good reputation: the assumption above might affect the reputation of the NVEY ECO in a good
way due to the customer satisfaction that will create a good image for the company.
- The costs of the products are subject to change, due to market price change or an increase in
the production cost. Therefore, the store might have to change the selling price of the
products. Example, if a production cost of an item increases, the items selling price will in-
crease.
Scope statement
In scope:
1- Project product
The store will provide makeup, brushes and skin care products.
The makeup contains organic and natural elements which are chamomile, Almond oil, castor oil,
jojoba oil, fruits and flowers. These ingredients will provide the skin with vitamin A, C and E which
is beneficial for the skin and can create a smooth formula that suite all types of skins (oily, dry and
sensitive skins).
The products that will be applied on the eyes are shadows provided with different shades that can
be shimmery or matte, volumizing mascaras and cake eyeliner with black and brown shades. Lips
products are Lip lusters and lipsticks which provided with different and fashionable colours and
these lips products do not contain any chemicals or lead that may be harmful to the lips.
Regarding the face products, the store will offer fluid foundation, compact powder, crème
foundation and concealer. All these face products can create soft and flawless finish for the skin
and suit all skin tones and types. Also, there will be 8 shades of blushers that can be easily blended
to create a natural look. Moreover, Nvey Eco store will provide different types of brushes which
can be used for face, eyes and lips. The brushes that will be presented are Concealer Brush, Large
Eye shadow Brush, Foundation Brush, Eyeliner Brush, Powder Brush, Brow Comb Brush, Blush
Brush, Lip Liner Brush and Small Eye shadow Brush. In order to have and maintain a healthy facial
skin, women should take a good care of it, therefore we are going to provide a skin care products
range for customers to choose from according to their skin types, these products include:
cleansers, toners, moisturizers, and eye care masks.
Nvey Eco store will be located in the new Seef Mall in Muharraq. The store has a rectangle shape
and the size of the ground will be 374 m2. The front door and the interface of the store will be
made of clear glass to view the internal design of the store. The door handle is H shaped and made
of Stainless Steel and the logo of the store will be located above the door. The logo colours are
green, white and black.
The design of Nvey Eco store will consists of paint, furniture, electricity, marble and the
equipments.
First of all, the shop floor will be covered with white stone marble that have a square shape. Each
piece of marble floor tiles is 60cm x 60cm. The side walls (left and right walls) will be painted as
stripes using white, silver and green colours. However, the wall which is facing the front door will
be painted with green and white colours with waves design. The logo will be painted in the middle
of this the cashier will be a half meter away from this wall. The cashier table is black and made out
of glass. It will have two lockable drawers on the bottom with rounded metal handles.
There will be three shelves on each one of the side walls. These shelves will be black woods
designed as stair steps. The skin cares products will be presented on the right side shelves.
Makeup will be presented on the first two shelves on the left side and the brushes will be
underneath them. Right under the shelves on both sides there will be three small display drawers
besides each other to store the products. The drawers will be black and made of recycled
materials (durable highly processed recycled plastic tube). The handles of these drawers will be
rounded and made of silver metal.
The display table will be located in the middle of the store and it will be black and made out of
glass. The table will have three separated sections. The first section will present the face products
(Foundation/powder/ Blush), the second Section will present eye products (shadows/eyeliners/
mascara) and the lip products will be presented in the third section.
Behind the first and the third section, there will be two small mirrors. Each one of them is two-
sided 6-inch diameter circular mirror with chrome finish. Between these two mirrors, tissues and
cotton pads will be provided on the table.
Finally, there are some equipments that will be presented in the store which are the cash register
and the safety and security equipments. The black cash register will be in the middle of the cashier
table. The Voice alarm will be in the middle of the top ceiling and it combine carbon monoxide and
smoke alarm. The CCTV image sensor with white vandal proof will be in the right top corner which
will be connected to the mall security department. The red fire extinguisher will be right under the
CCTV. Also, there will two Rounded Stainless disposal bin, one will be under the display table and
the other one will be on the left of the casher table.

9. Executing a project
9.1 start-up meeting
9.1.1 Project vision
9.1.1.1 Rational
Nvey Eco will solve the problem of most females that actually live in Bahrain as they are no longer
forced to use any makeup that contains a lot of chemicals that could possibly harm their skins.
9.1.1.2 Product
Envey Eco store that will be located in Seef Mall in Muharraq will be opening everyday from 7 am
to 10 pm. The store will painted with green, white and grey colors. The decoration , equipments
and the furniture of the store will be mostly colored by black and silver colors to match the colors
of our logo. The store provide chemical free Makeup for face, eyes, lips as well as skincare
products and brushes.
9.1.1.3 Process
First, The team will research and select the best location (seef mall in muharraq) . Then we will
obtain necessary approvals from Nvey Eco then from ministry of health, ministry of commerce,
ministry of municipalities. The interior designer ( Dukan) that we will contract with, will help to
design the store by drawing a sketch for a suitable theme for Envey Eco store and research the
furniture and the equipments. Retaj company will be responsible for painting the store draw the
design requested in the walls. The team will make a contract with the SGS inspection company to
inspect the store in regular basis. Abbas Gallery will be providing us with the marble . Then the
team will order and install the furniture and the equipments that will be from received from
Amazon and Ahmed Sharif store. After that, the team will have fateh cleaning company to clean
the store before the opening day that will be held by the team members (Shaikha, Ali and Lulwa).
9.1.1.4 Logo
Since we are franchising Nvey Eco products, we must use their original logo for our branch in
Bahrain. The logo contains three colors (Green, Black and white) which reflects the environment
friendly image of the Company.

9.1.4 Joint commitment
joint commitment ensures that each individual team member works together with other team
members, this is very important because a group working together with shared ideas and goals is
much stronger than a group of team members working alone. In this project, joint commitment
was established by first naming the project (Nvey Eco), and then explaining to each team member
why this project is important, and also showing excitement about the project.
9.2 team leadership
A good team leadership can make the team members happier and more productive. There are five
factors to a good efficient team:
1- Focus on deliverables: to focus on deliverables is to ensure that each activity is evaluated based
on its relationship with the final product. Nvey eco does so by providing team members with
documents such as the work breakdown structure and network diagram, which give an insight on
how each activity is linked to the final product.
2- Providing feedback: it ensures that all team members are performing as they are expected. In
this project formal feedback such as group meetings is very important; it ensured that all team
members worked together and provided feedback to each other's work at the same time.
3- Rewards: the two types of rewards that can improve team morale are extrinsic and intrinsic, the
first is tangible rewards and the second is intangible rewards. In this project, most rewards were
intrinsic in form of praise and recognition.
4- Communicate change: it is important that each person involved in the project is up-to date with
all changes that happen in the group and in the right time. In this project important information
was always communicated as soon as possible through a WhatsApp group that was created during
the first week of work. In addition to that the team sent all documents through email to ensure
that no one is left behind, which can lead to mistakes.
5- Celebrate success: similar to rewards, celebrating success is an important aspect of an efficient
team; it boosts morale and makes team members feel good about their achievement. This is
reflected in the form of a team dinner that Nvey eco members will have at the end of the project.
9.3 balancing project communication
There are four questions to be asked by the project manager before communicating with team
members:
1- Who needs the information: each team member has different responsibilities; therefore not
everyone needs to know everything. For instance, it is important for the project manage to know
which jobs are going to be affected by a cut in the marketing department's budget, so that he can
inform the people affected by the change.
2- what information do they need: similar to the last example, it is important for the project
manager to know the kind of information that he needs to communicated to those whom jobs are
going to be affected, so they do not miss out on any important detail.
3- When do they need it: expanding on the example in the first question, the team leader needs to
communicate that specific change to the marketing department in a timely manner so that it can
take the information into consideration before making decisions.
4- How do you get it to them: the project manager must consider what form of communication he
wants to use to deliver his information, taking in consideration factors such as urgency and
confidentiality. For instance, in the example provided in the first question, the project manager
might want to share that information by sending a copy of the new budget to the marketing
manager.

Planned Vs Actual Record and communicate Adjustments
In July 2014 , the plan was to
spend BD7000 but the actual
cost is BD7500
The actual cost of drawing the design
layout of the store and creating it was
increased by BD500 because the interior
designer is not only responsible for the
interior design but also the external
design (installing the logo outside the
store and installing lights as an external
decoration outside the store) so it has
increased to BD7500. This variance will
be communicated with the financial
controller (Lulwa) to adjust it.
The team has decided to adjust
this variance cost (BD 500) with
October variance since it has
been reduced by BD 1330.7.
In August 2014, it was
assumed that the project
will spend BD 100 but the
real cost is BD 250
It was assumed that BD 100 will be
spent to paint the store according to
RETAJ company . However, the actual
cost is BD 250 which increased by BD150
because Retaj company decided to take
extra charge since the design of the
store walls is complicated and needs
more than one color.
We have ignored this Variance
because BD 150 won’t make a
huge impact in the progress of
the project.
In September 2014, it was
planned to spend BD3383.25
but the actual cost was
reduce to BD3113.25
It was planned to spend a total of BD
BD3383.25 on furniture, electricity and
marble. However, the actual cost was
reduced by BD270 due to the fact that
Abas Gallery offered a 10% discount of
the marble actual cost (2700) which
resulted to reduce the total cost to
BD3113.25.
We have refused to adjust the
cost due to the fact that this
variance is beneficial for the
project since we are spending
less than we have expected.
In October 2014, the plan
was spend BD
13536.62 .However, the
actual cost was reduce to BD
12205.92
BD 13536.62 was the planned cost for
purchasing the products (face, lips,
eyes, brushes and skincare) from Envey
eco and ordering electricity. However
the actual amount was 12205.92 due to
the fact that Nvey Eco offered us a
further 10% discount from the planned

cost (BD 13307) so it was decreased by
BD 1330.7 . This variance will be
communicated to the financial
controller and other team members as it
will have a magnificent impact toward
the budget as it will be reduced.
The variance analysis shows that the actual cost is less than the planned cost by BD 950.7 which is
a good result. Therefore, this project considered to be successful regarding the budget as it was
better than it was expected.
11. Closing
Contract closure:
Check performance
The team members and the contractors checked the performance of the interior designer,
the painting company, cleaning company and the inspection company to make sure that
everything was completed to the quality of the work that they provided is identical to the
standards required.
Obtain sign-off:
The project will be sign off by the project stakeholders, project manager, authorizing
stakeholder and the principle stakeholders. As well as a sign off from Nvey Eco and Seef
Mall.
Archive data:
All the data regarding Nvey eco project is documented and backed-up in a document lib-
rary in Microsoft SharePoint under the name: organic makeup

The plan of our project is to create a physical store that will be located in the new Seef mall
in Muharraq. The store will provide different types of organic makeup products as well as
skin care and brushes. There will be a range of things that need maintenance and updating
on a regular basis. For instance, when the lights dim they need to be changed as the light-
ning is very important for our store to present out products in an attractive way. Also, if the
sockets were not working properly they have to be changed as well as the fire alarm and

The negotiator (Ali Al haddad) has shown a brilliant skill in the negotiating for the project
as well as solving the problems that might affect the project plan. For instance, he tried to
reach a suitable agreement with Nvey eco about the price of the franchising license and
the products that will be provided in the store. Moreover, the accounting manager (Lulwa
Yusuf) has done an excellent work regarding the budget of the project, as she tried to
choose the suitable prices for each part of the project to suite the budget.
Document lessons:
While doing the project, many lessons have been learned by the team members. The first
lesson is to have several options of companies that provide the same business or service to
prevent any unexpected circumstances. As we first chose OPI company to inspect our store
but, one day before the inspection they called the project manager and inform her that
they will not be able to inspect our store due to an employee mistake, as they had a con-
tract with another company at the same day. Luckily, we found another company to in-
spect our store which is SGS Inspection Company. Second lesson is to avoid dealing with
OPI Inspection Company in the future as they have lack of commitment towards their cus-
tomer. On the other hand, it is recommended to deal with SGS Company due to the effi-
cient customer service and the high quality of providing the service. Another lesson, the ac-
tual cost of the project might be different than the planned cost so, we have to take in our
consideration that the cost might be higher or lower than the planned cost. Regarding our
project, the cost of our project became lower than the planned cost and it is considered as
a good result for our project. Final lesson, some time when you deal with online shopping
you have to take into your consideration that the quality of the products might be lower
than the quality expected. For our project, we received some of the furniture in lower qual-
ity than we the quality we expected.
Obtain sign-offs:
A sign off and signatures from the project manager, authorizing stakeholder, principle
stakeholder and the team members have been obtained by the team members.

The project Nvey is stored according to the policies and procedures of our company on
SharePoint document library under the name organic makeup.
