HASTINGS MUSIC CENTRE WELCOME to both our new and existing pupils who will be attending the Hastings Music Centre either at: The St Leonards Academy, Edinburgh Road, St Leonards-on-Sea, TN38 8HH (Main Centre) Blacklands Primary School, Osborne Close, Hastings, TN34 2HU (Recorder Ensemble only) This booklet contains details of the timetable which corresponds to the enclosed Music Centre letter (the letter does not give details of school lessons) and the dates’ list for sessions for the academic year. EQUIPMENT (not needed for Young Music Makers or Choir) The following items are required for all instrumental groups and should be brought to each session:- Instrument Named Music Stand Pencil (preferably 2B) Eraser It would be helpful if Young Music Makers pupils could wear a badge with their name on for the first few weeks. BEHAVIOUR Could I ask you to impress on your child that all of us are guests in the various venues and that the continued goodwill of the schools will depend on a high standard of personal responsibility and behaviour. SUPERVISION As there will be no supervision outside of the lesson times, parents should make their own arrangements. An identified area or room will be provided for students to use during the letting period provided that it is well respected and kept tidy. CAR PARKING (The St Leonards Academy) Please park vehicles in the spaces provided, but only those parents with disabled family members should use the designated parking spaces. No one is to park in the dropping off bay. Please note that the gates to school premises are locked at the end of the sessions. Any cars left at the end of sessions are, therefore, likely to be locked in. WITHDRAWAL Notice to withdraw from East Sussex Music activities must be received at the Lewes office by the following dates: 1st March, 1st August, 1st December for lessons to cease at the end of the term. If notification is received after these dates the full term’s fees will be payable in lieu of notice. QUERIES If you have any queries, please contact your child's teacher in the first instance. GOOD PRACTICE FOR ENSEMBLE MEMBERSHIP
Welcome! It is important that you are well prepared for the rehearsals you are now to attend. Please try to follow the few points made below, they will help you and contribute to the success of the ensemble: 1. PUNCTUALITY Arrive 10 minutes before the rehearsal is due to start. You need to take your instrument out and find your place. The conductor always appreciates those people who are ready to start on time. 2. EQUIPMENT Please bring a music stand each week. A 2B (or softer) pencil will be needed to mark any points made by the conductor. You will also require an eraser to change any previous markings that need alteration. 3. QUICK REACTIONS String players will need to put in bowing, and wind players breath marks. Automatically put these in when the conductor, leader or tutor points them out. Think about these markings, they are very important for good ensemble.

4. BE HELPFUL Helping put away chairs, tables and any equipment used is always appreciated by the tutors. 5. PRACTISING You will be given a folder of music. Please try to practise your parts between rehearsals. Rehearsals are for making music together – not for learning notes. 6. TEAMWORK Playing in an ensemble needs you to be the very best of team members, ensuring that you attend all rehearsals and the concerts in which the group will be performing. If you are unavoidably absent, please telephone the Music Centre (01273) 336770 and try to return your folder of music – it may be needed during the rehearsal.
7. CONCERTS
It is an essential part of Music Centre life to perform in concerts throughout the year. A concert programme will be available each term to ensure your child can attend performances.

Music Centre sessions held at The St Leonards Academy The guidelines in this document act as a safeguard and to formulate a procedure in the event of any accident or difficulty arising at the Music Centre. a) Staff, parents and students are requested to be vigilant concerning strangers in the building. b) HMC owns a First Aid box which is kept in the percussion store. c) Staff and ‘Friends’ wear ID badges for children to recognise. d) The Caretaker acts as gate keeper. e) All visitors to the school are requested to use the main entrance at the front of the building. f) If using the car park, drivers are requested to drive safely with an awareness that there are
children in the vicinity. Drivers should not park in the specified ‘dropping off’ area. g) Parents are requested to collect their children on time. h) Students will only be supervised during lesson times. Parents are responsible for their own
children outside of these times. All students should be in the canteen when not in a lesson. i) The staff have mobile phones or access to a phone in the event of an emergency.

HASTINGS MUSIC CENTRE FIRE DRILL FOR THE ST LEONARDS ACADEMY
PROCEDURE 1) A continuous ringing of the bell (or hand bell if electricity has failed) is the fire alarm. 2) Pupils should leave the building and quietly proceed to the tennis courts. 3) All windows and doors are to be closed.
The teacher should be the last person to leave the room (ensuring that he/she has the register with them).
4) Pupils should leave EVERYTHING in the teaching room. Do not pack instruments etc. when the fire bell rings. 5) The teacher should walk with the pupils to the tennis courts and retake the register. 6) The Head of Hastings Music Centre will collect the registers from the teacher responsible for each
group. 7) No one may return to the buildings until authorised by the Area Manager or Music Centre Leader.
STAFF RESPONSIBILITIES Brief all students in each of your groups the procedure for evacuation of building in the event of a fire/fire drill at The St Leonards Academy carefully going through the route to be taken to the Assembly Point.

QUESTIONS AND ANSWERS What do I do if I think my child’s timetable is incorrect? If you think your child’s timetable is incorrect either because classes have been omitted or they have been entered for unwanted classes please contact the Lewes office as soon as possible on 01273 336788 or email [email protected] Are registers taken for each class? Yes. It is essential that we know the whereabouts of all our pupils so please contact the East Sussex Music if your child is going to be absent. If your child has 3 or more unexplained consecutive absences you will be contacted by the Lewes office. How do I let someone know that my child is going to be absent? Please call or email the East Sussex Music office on the address below and they will pass your message on to the appropriate teacher. How will I know if a class has been cancelled? You will be contacted by the admin team in the Lewes office via telephone, email or text, so please inform us of any changes to your telephone/mobile/email details. Will I get a credit for cancelled classes? Credits will only be given if we are unable to cover the class with a supply teacher or if we cannot provide a make-up session. If your child attends any other activities at the Music Centre either on Saturdays or weekdays and these classes are taking place, credits are not applicable. In the case of adverse weather or situations beyond our control no credits will be issued. Will I get credits if my child attends classes but leaves before the end of the term? No. Please see the Code of Practice for further details Will I get a credit if my child elects to miss Music Centre classes to take part in other events? No. Please see the Code of Practice for further details. What happens at the end of each term? Membership of the Music Centre is continuous. Your child will be placed on the register/s for the following term unless we are informed that they have been withdrawn by the due dates. Please see the Code of Practice for further details. How do I let the Music Service know if my child is leaving? Please telephone, email or write to the Music Service office in Lewes. The teacher is not obliged to pass on any information from parents about withdrawals. Messages from pupils will not be accepted. Lost property Classrooms are cleared by the teacher after the last class and any lost property is kept in the cupboard provided by the host school. Please ask your child’s teacher at the next lesson. You can ring the Lewes office who will make the teacher aware whose property has been lost. Withdrawals from Music Centre Sessions will continue until we hear from you otherwise. Notice to withdraw from lessons must be received at the East Sussex Music office by the following dates: 1st December (for withdrawal before Christmas) 1st March (for withdrawal before Easter) 1st August (for withdrawal before summer holiday) Verbal notification by pupils or parents to teachers is not accepted. If notification is received after these dates the full term’s fees will be payable in lieu of notice. Any hired instruments must be handed back to the teacher concerned when sessions are ceased. If, in the opinion of teaching staff, Music Centre Leader and Area Manager, a pupil is persistently disruptive, or if attendance is poor, then that pupil may be asked to withdraw. Temporary Absence through Illness If a pupil suffers a long-term illness (i.e. four or more consecutive sessions missed) please let us know. A doctor’s confirmation letter may be required. Either a credit (for a continuing pupil) or a refund will then be available. Curriculum Instrumental/vocal teachers follow the East Sussex Music’s current curriculum documents and Schemes of Work. Payments Please note that we will allocate your payments to the oldest outstanding invoices. For the purposes of East Sussex Music invoicing the word ‘termly’ refers to the periods: September – December (Autumn Term); January – March (Spring Term); April – July (Summer Term).
