HOW TO PLACE PATIENT SPECIFIC ORDERS Go to Medline.com and click the “LOGIN” button:
Enter your username and password. After logging in you will be directed to your home page.
This is your menu bar.

Step 5 - Add Products to Order: (from Templates, Online catalog, type in product numbers, etc.)
Step 4 – Select Clinician or add Clinician
Option #1 To place a new patient order click “Create New Order” and start filling in the order detail.
This will not affect shipping of the order.
Step 2 – Select Patient from database or add patient
Clicking “Shopping Lists (Templates)” or “Online Catalog” will not erase the order detail you have already completed. If you have navigated away from the Order Screen click on Green Cart in Upper right corner to return to order.

Option #2 To place a new patient order click “Shopping List (Templates)” and select the items you want added to your cart. Note: This can be done before you enter your order detail – patient info, shipping, etc.
Complete order now by filling in order detail – Ship to, Package for, Patient, etc.
Step #1: Select the template you want to add products from
Step #3: After Adding product quantities from templates click “Add to Order”
Note: Products are moved to a new order (Cart value increases)
Continue selecting products on templates or click on Green Cart

Before calling or logging in to place your order, please be prepared with the following: » Patient Demographics: These include Name, Date of Birth, Mailing address and Phone number.
» Insurance Information: Not only will we need the primary, secondary and tertiary plan name, but also the policy number (or subscriber ID) and group number (for accuracy).
» Diagnosis Information: We do not require an ICD-10 code, but we do need to know why the supplies are being ordered.
» Physician Information: We need the ordering physician name and contact information to assist us in obtaining written authorization.

Insurance Order On this screen, click “Continue Order”.
There will now be five steps to complete. Each step should be saved at the end of each screen.
HOW TO PLACE AN INSURANCE ORDER
A pop-up box will then appear. Select “Yes, Bill To Insurance” to get into the Triage system and place the order.
If you choose “No, invoice agency” you will stay in Medline.com to place the order and bill the agency. The reason you may choose this is when you are ordering over the allowable or a non-covered item, but want to order and bill the agency for supplies.
To place an insurance orderLOGIN into Medline.com and select “Patient” for both “Ship to and “Package For” in the drop down box. Be sure to disable any pop-up blockers you may have.

Step 2: Insurance Information
Step 1: Patient Demographics
If the policy holder is the same as the patient, leave the answer as YES. If they are not, click NO and enter in the relationship and name of policy holder.
Each Red box should be filled in. The only box you need to complete is the “Visit Date”. All other information should auto-populate from the Medline.com demographic page.
Complete “Visit Date” by clicking on the calendar or by clicking on “Save and Continue”.

After you click “Add to Order”, the next screen shows a picture of the item. Click “Order”.
Next enter the quantity and diagnosis code needed. At least ONE diagnosis code is required. The items can be added by entering the item number or description. Click “Add to Order”.
Step 3: Order Items and DiagnosesThe items you want to order will be added along with the diagnosis code. The items can be added by entering the item number or description.
Click “Add to Order” to enter in the order.

Step 5: Responsible Party and Shipping InformationThe first question indicates where the order should be shipped. This will be hard coded to NO, meaning the order ships to the patient’s home. If you need to ship to another address, click “Yes” and change the address. This is a one time address change.
If there is a co-pay indicate the financially responsible party who should receive the bill. The common answer to this is “Yes”, but you can select “No” to enter a different name and address.
If the supplies are being ordered are for a wound select yes.
After clicking continue with YES marked – this is the next step: Enter the number of wounds (this is required). The assessment is optional

Step 7: Order Summary - Review and Confirm
The last screen is Order Summary. You can review your order and make changes, if necessary. Click on the pencil icon next to the area you need to change.
Step 6: Ordering Provider
The doctor signing off on supplies should be entered here. If the NPI # is known, enter that and the remainder of the boxes will auto-fill. If you don’t have the number, click “Search” to find the Doctor by name.The system validates the Physician is PECOS enrolled (Medicare only). If the Provider is not enrolled with PECOS the order stops. The system will not allow you to continue until a new physician is selected or the physician enrolls with PECOS.
Once completed, click “Save and Continue”.

Step 8: Order Summary - Review and Confirm
Edit supplies, if necessary.
Provide the name of the person to contact if Medline Customer Service has any questions or updates for this order.
Once completed, click “Confirm Order”.
Step 9: Final screenRecord the seven digit confirmation number for the order.
Successful Ordering Tips: » Make sure you have the correct insurance company. If you also have the group ID, member ID and phone number for the
plan, provide it to the agent placing the order. If you are entering the order yourself, put it in the notes to the right. » Make sure you have the most current doctor, phone and fax number. The NPI register is only able to be updated and
current by the physician. Correct information gets the order expedited much faster, so it is important to confirm that information whenever you can.
» Correct ICD-10 codes are critical for diagnoses and supply accuracy. Many wound orders get held up if the correct information is not provided.
» Always provide a contact number for the person at the agency who can answer questions to keep the order progressing.
