The life of your policy
Policy set up and administration
Annual Renewal Review
Once we have received your membership data we will send you a ‘statement of accounts’ and ‘policy schedule’, which give you more detail on the ins and outs of the policy you have taken out with us. Payment for the first year is needed by the start date agreed.
Congratulations! You now have a back-up plan in place.
Each year before your policy renews we will ask you to provide us with updated membership data so that we can ensure your employees remain covered. You will also make your next payment unless you have monthly billing.
At this point our underwriters will look at your scheme again. A number of factors will be assessed to ensure that your premium is set at the correct level.

Our Vocational Rehabilitation Consultants (VRCs)
Our VRCs have backgrounds in a number of disciplines, including occupational therapy, psychology, nursing and disability management that allow us to effectively support your employees back to work.
We can help you to plan for an employee’s return to work by identifying barriers, suggesting practical adjustments that may need to be made, designing a graded return to work plan and supporting both parties through its implementation.
VRCs can also carry out functional capability assessments which help to objectively measure an employee’s capacity to perform work tasks.

Glossary of termsClaim (otherwise known as loss) When you apply to your insurance company for a payment under the insurance policy you hold.
Deferred period The time between when your employee goes off sick and the date they start receiving insurance benefits. For example, if your employee became ill and could not work from January, and your Income Protection policy had a 6-month deferred period, your policy would start paying out in July if their illness continued beyond those 6 months.
Exclusions Things your insurance won’t cover.
Financial Ombudsman Service An independent organisation which deals with disputes between consumers and financial businesses, like banks or insurers.
Free cover limit The maximum amount of benefit an insurance company will insure members to without medically underwriting them.
Material fact This is anything that an insurer might take account of when deciding whether to provide cover or deciding on the premium and terms and conditions of the policy. For example, this could include information on a medical condition that you already have when you apply for medical insurance, or for Income Protection. You have to tell the insurance company about any material facts when applying for insurance.
Non - disclosure When you fail to tell your insurer about a ‘material fact’ - such as a pre-existing medical condition - before the insurer assesses your application.
On risk This is when your policy has started and you have a back-up plan in place.
Policy The agreement you have with your insurer - what you’re covered for, what it costs, and the all-important small print.
Policyholder You, the company who is insured. Sometimes known as ‘the insured’. A policyholder may also take out cover on the life of another, in which case the policyholder and insured are different people.
Premium The amount you pay for your insurance.
Risk The ‘danger’ insured against, or the probability of the danger happening which the insurer is willing to insure against.
Schedule The detail of what a policy does and doesn’t cover.
