Western PA Riding and Driving Club

Minutes: January 16, 2019

1. The meeting was called to order at 7:10 pm, by president Miranda Creacraft, 15 memberswere present.

2. President's report. Miranda thanked everyone who stepped up this year to fill the 2019 officerpositions.

3. Minutes from the December meeting were read and approved, but with the followingcorrections: a. Public Relations, it was noted that past member, Tammy Barr underwent adouble lung transplant and is at the Cleveland Clinic. b. the budget committee presented the2019 budget. was discussed and voted to approve by the members. Note: include that WPRDCwill cover the Camping fees for Curt Nyweide as payment for his work doing the ringMaintenance this year. C. the request made by Patty Dunham was for the Audit ( not theBudget) d. Regarding the rules for Game changes: complete names were Patty Dunham madea motion and 2nd by Susan Callahan.

4. Treasurer's report was given by Nicole Varee. Balance in checking on 12/19/18 was $8, 472.06.No deposits made and no bills paid between the December Meeting and 1/16/2019.Current balance in checking is $8,472.06

Nicole reported that she received $1405.00 for deposit which include:$165.00 for a NSF check reimbursement$ 395.00 for Membership Dues$125.00 Sponsor Money$720.00 for Stall reservation

In addition, the following bills need to be paid:$16.00 to Heather McKinney/ reimbursement for WPRDC's Domain Name$30.00 to Nicole Varee for reimbursement of postage of the schedule mailers.$75.00 to Heather Mckinney/ Last qtr compensation for 2018 webmaster

A year end summary was given:Jan 1, 2018 checking balance was: $ 7,039.41

Income + $ 47,600.54Expenses - $ 46.167.89

Net difference + $1,432.65

Carryover/Beginning Balance for 2019 is$ 8,472.65

A motion was made to accept the Treasure's report and to pay the bills by Ona Mahoney,Seconded by Patty Dunham. Motion was approved.

Committee Reports:

5. Public relations; Jan Smith reported that she sent get well cards to Tammy Barr, Paul Gatz, SueSnippert, and Barb Benak. A sympathy card was sent to the family of Dav~hJ,i!}~O-e._the passing of Leigh's father. She mentioned that WPRD received a card, thanking the'cfub tothe enjoyable time she experienced while attend the shows in fall. She asked if the club had anyother concerns that she could address. It was mentioned that Tammy Barr had a set back and isback at Cleveland Clinic and that her contact person would be her sister Kelly Alter. And thatmember Brenda Gruber is recovering from surgery.

6. Judges. Lee Kraft reported that we have 7 judges committed for 2019. May 18 / Lisa Miller;May 19 / Debbie Melvin; Jun 8 / Kathy Kilbane; Jul 13/ Danielle Simpson; Jul 27/ ElizabethPhillips; Jul 28/ Lauren Brown and Sep 21/ Dwayne Stutzman. Lee asked if the members had anyissue that the Judges names and dates be posted on our website. The club will continue to doso as we have done in the last years. Goal was to have less 'repeat' judges.

7. Audit: Ona Mahony presented the 2018 Audit report along with committee members, NicoleVaree, and Miranda Creacraft. Committee met on January 14th• She stated that expenses andincome were reconciled. The club expenses were $46, 167,89. The deposits came to$47,600.54. The club had a net balance of $ 1,432.65. She mentioned that the only issuefound was for the Outstanding NSF check for $132.00. She verified that treasurer, PattyDunham contacted the individual several times, but as of the audit date WPRDC had notreceived the $132.00 amount and the $30.00 ODF.

8. Show: Moving well. A. Cherie Anderson contacted Scott Audio for the Loud speaker system.8. The open paid positions include. Show manager, Ring master/mistress, Show secretaries forFriday night and for Sat and Sunday, and announcers, points mgr, Barn Steward. Theapplication is posted on the WPRDC website. They should be sent to the Secretary, PattyDunham. The deadline is March pt to submit. All interested, whether the individual has held aposition in the past, must submit an application. Interviews will be done by Dean Maynard, .Al!:JC) t)OJennifer Loucks and Tracey Laufer. C. e 2019 Rental contract was presented. The g' Il11 'commissioners have increased the cost . Miranda will talkwith the commissioners to perhaps lower the cost for 2019. D. promotion of the showschedule to be posted on fakebook and ads in the Area Shopper. E. A $10.00 per day FoodVoucher will be given out to Judge, Ring master/ mistress, Performance classes announcer,Secretaries for Sat and Sunday. F. Score sheets & Patterns for the new jumping classes werediscussed. It was determined that Lee Kraft and Ona Mahoney would design and present themto the club. G. patterns and score sheets for Ranch Horse classes were discussed.

9. Banquet; Cherie Anderson will contact the Riverside Golf course and check on available dates.10. Tack Swap: Jennifer Loucks: The Registration form is posted on the website and facebook. As

of January, we have 2 paid vendors. It is at the Crawford Co Fairgrounds, Beef complex April13th. Sames location as 2018. Hope that the weather will be warmer. The 4-h Club will providerefreshments.

Old Business

1. Webmaster: Need to determine if the Members wish to continue to compensate the position,or incorporate the position into the secretary's. It was not discussed in December when thebudget was approved. Discussion followed and the members determined that due to costssavings and the type of work that is to be done, the secretary will do these duties. It wasdecided that president, Miranda Creacraft would meet with Heather McKinney/ Webmaster inperson, explain to her that the decision made in not due to her performance, but rather aneconomic need. The club would like her to be accessible if there are future technical issue thatshe could be consulted on.

2. Points. What classes will be included for awards. It was discussed by the members anddetermined that the new classes added to 2019 show bill will be eligible for ist place awardrecognition and Not to be included for High point tally. It was then discussed that the In-HandTrail class, and Mini Jumping class will be included for High Points. A motion was made by OnaMahoney, 2nd by Tracey Laufer to do the Point classes as discussed above. Motion was carried.

New Business:

1. VEDA Club: WPRDC's Small Games of Chance Permit; Can we use it for VEDA Club fund raiser.Request was made by Miranda Creacraft to get permission to use WPRD permit on Feb 2d Bingoevent. The VEDA Club does not have a permit, and Miranda contacted the Erie Co Treasureroffice to see if it is permissible (the event is in Erie Co, and our permit is for Crawford). It wouldbe ok for to do, provided that WPRDC submit a letter to the Erie Treasurer stating the clubapproved the use for Feb 2nd and include a copy of our permit. Discussion followed, and amotion was made by Ona Mahoney and 2nd by Tracey Laufer. To allow VEDA use our permit.Motion~ppro.H@d. (!_q t'l- '4;r/

2. Exhibitor Appreciation Show: Date was discussed and it was decided to have it on Saturday,Sep 21st• Motion made by Patty Dunham, 2nd by Nicole Varee. Motion carried. Will try to bookKen Sines to come in and take photos that day

3. Speakers/ race horse barn: Issue to have the system set up at the race horse barn: not feasibleIt is only set up for the Crawford Co Fair dates. General Concern; that WPRD pays for thespeaker system, but it is used by all who have shows. Should WPRD seek a fee to offset our rentcost from Scott Audio? Tabled.
