CREATE A BATCH FOR EXPORT ELIGIBILITY ASSESSMENT

1. Purpose This procedure shows you how to create a batch in Wine E-Cert for export eligibility assessment. General information and packaging details are required for all markets. EU and Brazil details should be completed if exporting to those markets. After you have created a batch you must create a sample before export eligibility assessment can be done.

2. Start Creating a Batch

a. In the Wine E-Cert module click the Add Batch link from the left hand menu. The following screen will display:

3. Add General Information a. Complete the required fields in the General Information section:

Wine Company - defaults to the wine company you are associated with.

Vintage - select from the drop down box.

Region - select from the drop down box.

Special Process - select from the drop down box or leave blank if not applicable.

Grape Variety - uses predictive text. Click the box, start typing the grape variety and select the option required.

Main Wine Name - defaults to the vintage, region and grape variety selected. Type additional information you may wish to add to identify the wine in the second and/or fourth boxes:

Winemaker WSMP Number – uses predictive text. Click the box, start typing the Winemaker WSMP ID and select the option required.

Winemaker Reference - type the wine company’s reference in the field i.e. the Lot number.

Colour / Style - select from the drop down box.

Tank Volume (Litres) - type the volume of wine in the tank in litres without any commas or decimals. The exact number of cases bottled or bulk litres filled is entered under packaging details when that information is known.

Alternate Wine Names – if additional labels are being used for the wine batch add them here: o Click the Add Wine Name button and type the name exactly as it appears on the

label including vintage, region and grape variety if they are on the label. This name will then be available to select when requesting export documentation. The vintage should be included at the start of the name regardless of where it appears on the label for documentation purposes (as below):

MORE ON ALTERNATIVE WINE NAMES

You can add up to up to six alternate names by clicking Add Wine Name.

To delete a name tick in the left hand box and click Delete Wine Names as shown below:

b. Click Save to store the details. The batch will be created and displayed in view mode. The

batch number is displayed at the top of the screen.

WHERE TO FROM HERE?

You must create a sample for the batch before export eligibility assessment can be done. See Create a Sample. If the Format for Shipping is Packaged (Cases) a sample can only be created after packaging details have been entered. If the Format for Shipping is Bulk (Flexi tanks) a sample can be created at any time.

4. Start Adding Packaging Details a. Click the Add Packaging button at the top of the batch:

The following new fields will display:

Format for Shipping - select Bulk (Flexi tanks) (shipping in flexi tanks for bottling overseas) or Packaged (Cases) to continue. The batch cannot be formatted as both bulk and cases.

b. Continue by adding packaging detail.

5. Add Packaging - Cases The following fields are displayed:

a. Complete the required fields for the Packaging Details:

Bottler WSMP - uses predictive text. Click the box, start typing the Bottler WSMP ID and select the option required.

Bottling Runs: o No of Cases - type in the field. o No of Extra Bottles – type in the field if required. o Bottles per Case - type in the field. o Bottle Size (ml) – defaults to 750ml. Select from the drop down box for a

different size. o Bottling Date - select the date the batch was bottled using the calendar. This

must be today or earlier. If it is a multiday packaging run you should add the first day of the run.

o Bottler Reference - type the bottling run number in this field as it will appear on the bottle. The lab will use this to cross check against the bottle they receive for testing.

o Complete – tick the Complete box if the run is complete and you have the final quantities packaged. The batch eligibility cannot be assessed until packaging is complete.

b. Click Calculate Total Litres. c. Click Save to store the details. The batch will be displayed in view mode. You must create a sample for the batch before export eligibility assessment can be done.

6. Add Packaging - Bulk The following fields are displayed:

MORE ON THE PACKAGING FIELDS To add another line of cases, click Add Run as below:

o Add different formats of bottles per case or bottle size if required. o Add different bottling dates if required. o Enter up to five lines.

To delete a run, tick the box on the left hand side of the line to delete and click Delete Runs as below: o The first line cannot be deleted but it can be edited if necessary.

Use Calculate Total Litres anytime while adding or deleting runs to update the total.

Once general and packaging information is saved, EU eligibility, Brazil eligibility and sample detail can be added in any order.

Packaging runs can only be added up until the point the WSMP has been confirmed by the WSMP owner or the wine has been receipted by a laboratory. After that time contact WECS if you need to add an additional run.

a. Complete the required fields for the Packaging Details:

Packager WSMP - uses predictive text. Click the box, start typing the WSMP ID of the company who is filling the flexi tank(s) and select the option required.

Filling Runs: o Filling Date - select the date the flexi tank was filled using the calendar. This must

be today or earlier. o Packager Reference - type the reference in the field as it will appear on the

outside of the flexi tank (for example container and seal numbers). o Litres - type the litres without any commas to separate thousands or millions.

b. Click Calculate Total Litres. c. Click Save to store the details. The batch will be displayed in view mode.

You must create a sample for the batch before export eligibility assessment can be done.

7. Add EU Eligibility

a. Click the EU Eligibility button along the top of the batch:

The following fields will display. Scroll down to see them if necessary:

b. Complete the required fields in the EU Eligibility section:

Geographic Indication - select from the drop down box. (If the detail for Brazil eligibility has been filled out for the batch, the geographic indication will auto fill to that entered there. The fields must be the same to save).

Has the wine been enriched? Click Yes or No as applicable.

EU Wine Category - select from the drop down box.

Oenological Practices - tick the box if you are able to truthfully make the declaration.

c. Click Save to store the details. The batch will be displayed in view mode.

You must create a sample for the batch before export eligibility assessment can be done.

8. Add Brazil Eligibility

a. Click the Brazil Eligibility button along the top of the batch:

The following fields will display. Scroll down to see them if necessary:

Geographic Indication - select from the drop down box. (If the detail for EU eligibility has been filled out for the batch, the geographic indication will auto fill to that entered there. The fields must be the same to save).

Brazil Declaration - tick the box if you are able to truthfully make the declaration. c. Click Save to store the detail. The batch will be displayed in view mode.

CREATE A SAMPLE FOR SENSORY AND/OR CHEMISTRY TESTING

1. Purpose The purpose of this procedure is to create a sample for Sensory and/or Chemistry Testing. A sample needs to be created from the batch to capture the testing details required. You need to create a sample from a batch in order to:

a. Get sensory testing done for export eligibility assessment of the wine. b. Request additional testing for EU or Brazil. c. Extend the eligibility of a batch if it is expired or about to expire.

2. Prerequisites

To add a sample to a batch when the format for shipping is packaged (cases), the packaging detail must be filled out first.

To request a Brazil top up, chemistry testing for EU must have been previously requested for a sample associated with the batch.

3. Find and Open the Batch for Which you Want to Create a Sample a. Find the batch in the Wine E-Cert module you wish to get tested (See Search Batches in

the Getting Started document). b. Click the batch number to open and view the request.

If you want to create a packaged sample, for wine to be shipped in the final retail package

4. Add a Sample – Packaged Product a. Click the Add Packaged Sample button along the top of the batch:

Note: the Add Packaged Sample button will not display until you have entered the packaging details for the batch.

The following fields will display:

b. Complete the required fields in the Sample Details section:

Bottling Date - if the batch has only one bottling run this will default otherwise select from the drop down box.

Bottler Reference - if the batch has only one bottler reference this will default otherwise select from the drop down box.

Date Sample Collected - select the date the sample was physically collected and sent for testing by using the calendar. The date cannot be a future date.

The first sample created against a batch will automatically have a request for a sensory test created.

5. Add a Sample - Bulk a. Click the Add Bulk Sample button along the top of the batch:

The following fields will display:

b. Complete the required field in the Sample Details section:

Date Sample Collected - select the date the sample was collected using the calendar. The first sample created against a batch will automatically have a request for a sensory test created.

NOTE

If adding a bulk sample before adding the packaging details you will only be able to ship this batch in bulk format. The following alert will appear at the top of the screen to remind you of this:

6. Request Sensory Test The first sample created against a batch will automatically have a request for sensory testing created. You may need to request a sensory test to extend the eligibility of the batch if it is about to or has already expired. a. Click the Add Sensory Test button:

Note: This will not display if it is the first sample created on the batch as a sensory test is automatically created.

The following field will display:

When you save the sample a sensory sample will be created.

This can only be done before the sample is saved. To remove a test after the sample is saved, see section Cancel a Sensory or Chemistry Test.

7. Request Chemistry Test a. Click the Add Chemistry Test button if chemical testing is required for export:

The following fields will display:

c. Complete the required fields in the Chemistry Test section:

Chemistry Laboratory - defaults to that previously used or select from the drop down box to use a different one.

Chemistry Test Required - select EU, EU & Brazil or Brazil top up from the drop down box (Brazil top up will only display if you have already requested chemistry testing for EU on a previous sample created for the batch).

Expected Alcohol Content (%) - type in the field. This should be entered for all samples to assist the lab. This figure will not appear on any documentation.

If chemistry testing is requested to extend the eligibility of the batch for EU or Brazil, a sensory test is not required if the batch already has general export eligibility. To delete a chemistry test request click the Delete Chemistry Test button as below:

This can only be done before the sample is saved. To remove a test after the sample is saved, see the section on Cancel a Sensory or Chemistry Test. To get the batch assessed for EU or Brazil eligibility you must also complete the EU or Brazil sections on the batch.

8. Save the Sample a. Click Save to store the detail when you have finished adding sensory and/or chemistry

tests. The sample will be displayed in view mode with the Sensory Sample Number and Wine Test Number (if chemistry testing was requested) displayed as below:

EDIT A BATCH

1. Purpose

This procedure shows you how to edit a batch in the Wine E-Cert module. You may need to edit a batch to:

Complete the packaging details

Add another bottling run

Make amendments to mistyped fields

Add an Alternate Wine Name. Changes can be made to a saved wine batch up until the WSMP has been confirmed by the WSMP owner. After this time changes can only be made by contacting WECS.

2. Find and View the Batch a. Find the batch in the Wine E-Cert module you wish to edit. (See Search Batches in the

Getting Started document). b. Click the batch number to open and view the request.

3. Edit Batch Details a. Click the Edit button from within the batch:

The fields that can be edited will be displayed in a new screen. Changes can be made to the general, EU eligibility, Brazil eligibility or packaging details.

b. Make changes as necessary and click Save.

EDIT A SAMPLE OR CANCEL A TEST

1. Purpose

This procedure shows you how to edit a sample or cancel a sensory and/or chemistry test for a sample in Wine E-Cert. You may wish to edit a sample if you have made a mistake entering details. You may need to cancel a test against the sample where you no longer want the sample to be tested for either sensory or chemistry. For example you asked for sensory and chemistry testing but your order for the EU has been cancelled so you want to cancel the chemistry testing. Changes can be made to a saved wine sample up until the sample has been receipted by WECS for sensory testing. After this time changes can only be made by contacting WECS.

2. Find and View the Sample a. Find the sample in the Wine E-Cert module you wish to edit. (See Search Samples in the

Getting Started document). b. Click the sample number to open and view it.

4. Cancel a Sensory or Chemical Test Request a. Open the sample and scroll down to the Sensory or Chemistry test field. Click the Cancel

button next to the sensory or chemistry test to remove it:

NOTE

A chemistry test cannot be added to a sample after it’s saved. If chemistry testing is required create a new sample. Do not request sensory testing again.

The following screen will display:

b. Complete the Reason field. c. Click Save to cancel the test. The sample will be displayed in view mode. d. You must contact the chemistry laboratory or WECS as appropriate to advise them not to

test the sample.

NOTE

Tests can only be cancelled before results are entered against the sample. After this time if you determine that a sample is not representative of the batch contact WECS and request the sample be withdrawn.

VIEW BATCH

1. Purpose This procedure shows you how to view batch information in Wine E-Cert. You may wish to view a batch to:

Find the status of the batch. Confirm if WSMP confirmation, sensory testing or chemistry testing has been completed.

Review the associated samples and test results for the wine.

2. Find and View the Batch a. Find the batch in the Wine E-Cert module you wish to view (See Search Batches in the

Getting Started document). b. Click the batch number to open and view the request. c. The request will display as follows:

3. Action Buttons

Action buttons are displayed at the top of the batch screen. These allow you to:

add more information to the batch;

view the history of the batch; and

create samples for testing. The previous actions taken dictate which buttons are available at any specific time.

4. Alerts Alerts may also be shown at the top of the batch as in the following screen:

In this case the alert will display until the first sample has been created.

5. Batch Banner

The batch banner shows:

the batch number. Batches created in Wine E-Cert have the format WB/YY/BBBBB, where YY indicates the calendar year and BBBBB is a sequential number within the year. For batches migrated from the WECS website the batch number will be in the format SC/YY/XXXXX where XXXXX are the digits from the SC number in the WECS website.

the total litres packaged; and

the available litres for export at the time the batch is viewed. If a batch is banned for export the information will also display in the banner. A batch may be banned for all markets, EU or Brazil. WECS will contact you with details on why the batch is to be banned prior to this happening.

6. Batch Status The Batch Status screen displays near the top of the batch:

The fields are explained below: a. Export Eligibility The fields in the Export Eligibility Column for General, EU and Brazil will display as follows:

N/A (where that section of the batch has not been completed).

Not Assessed (when the WSMP confirmation is pending or testing hasn’t been requested).

Pending (when WSMP confirmation complete and sample for testing created).

On Hold (where WSMP is disputed or second sensory test failed).

Eligible (where all requirements for the market are met).

Not Eligible (where eligibility requirements are not met).

Expired (where the eligibility period has been exceeded for the batch). b. WSMP Status The fields for General EU, Brazil and Packaging will display as follows:

Pending (WSMP confirmation of this section has not been completed by the WSMP owner).

Confirmed (the WSMP owner has confirmed the batch details).

Disputed (the WSMP owner has disputed the batch details).

N/A (where that section of the batch has not been completed). c. Sensory Testing The fields in the sensory column will populate only once WSMP confirmation is complete. The status of the latest sensory testing for samples against the batch will display as follows:

Sample required (where no sample has been created against the batch).

Sample created.

Pending 1st, Pending 2nd, Pending review (when the sample has been received by WECS and allocated to a tasting session).

Passed (where sensory testing is passed, either 1st, 2nd or review tasting).

On hold (where sample failed 2nd tasting and you have 30 days to request review).

Failed (where sample failed 2nd tasting and 30 days have passed without review or the review sample has also failed sensory).

N/A (the WSMP confirmation is pending or disputed).

If WSMP confirmations are not complete you can view the status of testing by viewing the individual samples (see Samples below). d. Eligibility Date The Eligibility Date column will be populated with the date eligibility is given for the market i.e. General, EU or Brazil. If EU or Brazil eligibility assessment has not been requested then the eligibility date will not display for that row. e. Valid Until The valid until column shows the date when the eligibility for the market (General, EU or Brazil) will expire.

For general markets this is two years from the eligibility date for packaged product and three months for bulk product.

For EU and Brazil markets this is one year from the eligibility date for packaged product and three months for bulk product.

7. Batch Sections Completed by Request Submitter From within the batch you can view the details which will have been entered by the request submitter as follows:

General Information.

EU Eligibility Details.

Brazil Eligibility Details.

Packaging Details.

8. Additional Sections to Confirm Eligibility In addition there are sections which will appear as the batch goes through the process of being assessed for export eligibility. Scroll down to see these:

Winemaker WSMP Confirmation:

Bottler WSMP Confirmation:

Eligibility Assessment: The Eligibility Assessment section of the batch displays information about whether the current samples pass or fail the assessment criteria. The most recent samples tested are used to assess eligibility and display here.

Open the Sensory Assessment, EU Chemistry Assessment and Brazil Chemistry Assessment fields to view more information about whether samples passed or failed specific criteria. The samples displayed in the Eligibility Assessment section (in the screen shot below testing was not requested for Brazil):

9. Random Sampling and Ban Sections Additional sections may also appear as follows if the batch has been selected for random sampling or if it has been banned for export.

Surveillance (Random Sampling): if the batch has been selected for random sampling this section will display under the packaging details section once the pass or fail result has been entered.

If the Surveillance Result is Fail you can view the reason why through View History. WECS will contact you in the event the surveillance testing fails.

More detail on the surveillance testing can be seen under Samples below.

Ban Details: if the batch has been banned for export this section will display and the markets for which the batch is banned for will be shown along with the reason for the ban.

10. Samples Scroll down from within the batch to view the samples associated with it:

The samples raised against the batch will display. There may be samples tested for:

Sensory: required for general export eligibility.

Chemistry testing: required for EU or Brazil.

Review: where a sample has failed two sensory tests and you request a sensory review a review sample will be created in the system by WECS.

Surveillance: as part of the random sampling programme your batch may be randomly selected for retesting and WECS will need to raise surveillance samples in Wine E-Cert to capture this.

Sample status can be displayed as follows:

Created.

In Progress (received by the laboratory and is suitable for testing).

Complete (results entered into Wine E-Cert)

Withdrawn (withdrawn samples will not be used to assess eligibility. A sample may be withdrawn if established that it does not represent the batch).

Unsuitable (received by the laboratory but is not suitable for testing).

Cancelled (cancelled before testing completed). The sample numbers are hyperlinks. If you click on them you will be taken to the detail for that sample. Each sample number is derived from the batch number – it is the same number but prefixed with WS. The first sample created from the batch will end in .01, the second .02 etc.

VIEW SAMPLES

1. Purpose This procedure shows you how to view sample information. You may wish to view a sample to:

Find out when it was received by the laboratory

See when a sensory sample is scheduled to be tasted

Review the test results.

2. Find and View the Sample a. Find the sample in the Wine E-Cert module you wish to view either by using the Search

Samples function from the left hand menu or using the hyperlink from within the batch (see Samples above).

b. Click the sample number to open and view the request. c. The sample will display:

A summary of the batch displays. The following general Sample Details display:

Created By – the user who created the sample

Date Sample Collected

Bottling Date

Bottling Reference

3. Sensory Test If the sample has been tested for sensory the following displays:

Sensory Sample Number.

Status: Created, In Progress or Completed.

Laboratory Reference Number. This will display if the sample has been received by WECS. Use this if in communication with the sensory lab. (WECS)

Receipt Information Receipt Information will appear if the sample has been receipted by WECS. Click the sideways triangle to expand and view the Receipt Information as below:

Receipt Date – the date the sensory lab received the sample.

Sample Suitable - if the sample is not suitable the Reason will show.

Taste Test Results Results will appear if the sample has been tasted and the results entered into Wine E-Cert. Click the sideways triangle(s) to expand and view the Taste Test Results section(s) as below:

Date – the date the sensory tasting is to be, or was, held.

Result – pass or fail. If the result is a fail, the reason will show as below and a second taste test will be scheduled. The result of the second taste test will show once entered.

4. Chemistry Test If the sample has been tested for chemistry the following displays:

Receipt Information Receipt Information will appear if the sample has been receipted by the chemistry testing lab. Click the sideways triangle to expand and view the Receipt Information:

Receipt Date – the date the chemistry lab received the sample.

Sample Suitable - if the sample is not suitable the reason will show. An unsuitable sample cannot be tested.

Test Results Results will appear if the sample has been tested and the results entered into Wine E-Cert. Click the sideways triangle to expand and view the chemistry Test Results the lab has entered.

5. Surveillance Test Surveillance Test If the batch of wine has been selected for testing under the random sampling programme a surveillance test will be added by WECS. The Surveillance Test Information completed by WECS and the laboratory shows as below:

The sample only displays the result of the individual tests. To see if they meet the required limits for Brazil or EU eligibility see Eligibility Assessment in the batch section.

The surveillance sample only shows the results of the testing. To see the outcome, view the pass or fail result in the batch. See Random Sampling in the batch section. Acceptable differences between batch surveillance samples are:

GETTING A BATCH REASSESSED TO EXTEND THE ELIGIBILITY PERIOD

1. Purpose This procedure shows you how to re-apply for export assessment when the eligibility of a wine batch has expired or is about to expire.

2. View the Eligibility of a Batch Click the Expiring Batches button under Batch Management on the home screen. It will display all batches which will be expiring eligibility in the next 60 days as below:

Note – the same batch will be repeated on different lines where the eligibility is expiring for more than one market. The columns in the table can be sorted. You can also check to see what batches are expiring by using the Search Batches function from the left hand menu. Use the filters ‘Next Expiry Date From’ and ‘Next Expiry Date To’ on the table.

3. Extend the Eligibility of a Batch If a batch has expired, or is about to expire, and is still required for export, a new sample should be added to the batch for sensory and/or chemistry testing. You do not need to create a new batch. Adding a sample is detailed in this document in the section Create a Sample. In brief - a) Find and open the batch.

b) Click Add Packaged Sample or Add Bulk Sample as appropriate. c) Complete the Sample Details section. d) Click Add Sensory Testing if the general eligibility of the batch needs extending. e) Click Add Chemistry Testing if the eligibility for EU or Brazil needs extending and

complete the details. f) Click Save.

Send two wine samples to WECS for sensory testing (general eligibility). Send one wine sample to the chemistry laboratory selected (EU or Brazil eligibility).

NOTE

You may require one or both tests.

The general eligibility period is currently two years for bottled product and three months for bulk. For EU or Brazil it is one year for bottled product and three months for bulk. If a wine is eligible for export to general markets and chemical analysis is required for EU or Brazil as it is expiring, there is no need to retest for sensory unless the eligibility period for general export has elapsed since the original sensory analysis.
