SolutionImproving the flow of information with Microsoft SharePoint

LEWA partnered with Avanade due to our consulting and implementation competencies, to help create an intranet that satisfies the requirements of a multinational group in which the majority of employees are internationally active. The objectives: improve the flow of information, ensure daily relevance, make the company more transparent, digitize processes and enable project management globally, based on Microsoft technologies SharePoint and Active Directory.

“We didn’t have deep SharePoint competencies in-house and needed someone to show us the playing field,” says Pastow, underlining another reason LEWA selected Avanade.

“Avanade recognized what we wanted, and they implemented our wishes. Conceptually, it was important for us to decide what we would implement and what would go beyond the scope, because we lacked experience,” recalls Pastow. “We didn’t want to overwhelm employees with the features that SharePoint offers.”

Avanade guided LEWA on a step-by-step process to deliver the solution. From conceptualizing the needed features, to development, testing and a launch campaign. After a series of crucial internal trainings and interactive awareness campaigns, focused on the benefits to end users, up to 80 percent of the company's employees began using the intranet, every day.

SituationRapid growth creates need for unified communications

Innovative technologies are the core business of LEWA Group, a leading global manufacturer of pumps and fluid metering systems. Based in Germany, the company represents 14 subsidiaries and over 80 sales partners on all continents and has more than 1,100 employees.

LEWA’s rapid, worldwide growth created the need for a modern, unified internal communication solution.

“We were thinking about how to improve collaboration with our colleagues,” says Moritz Pastow, a project manager of digital business development at LEWA.

Previously, a group newsletter was published every three months. But the information was rarely up-to-date and contained minimal content from its subsidiaries. Meanwhile, virtually every branchhad its own administrative processes – which included visitorregistration, absence notification, investment and procurement requests – leading to delays, extra costs and inconsistencies.Finally, LEWA wanted to improve project management, especially for international projects, so that all participants could access the same data, knowing it was current and accurate.

ResultsDelivering global collaboration, rapid onboarding and engaging employee experiences

Thanks to the new intranet, the communication process is no longer based on the classic top-down principle. Today everyone can and does contribute.

“We want to make LEWA feel like one big team, regardless of where employees work in the world,” says Pastow.

Other results include:

• Improved processes: The intranet is being used to standardize and automate administrative processes— such as visitor registration, absence notification and procurement requests —by using online forms and integrating into Active Directory.

• Increased employee engagement: Shortly after the introduction, positive effects such as higher information transparency and active employee participation were also noted. The various departments, from finance to marketing, are now controlling their projects on the intranet. “For project management, the intranet solution is clearly superior to all alternatives,” said Pastow.

• Platform for innovation: In the future, additional processes will flow through the intranet, such as investment applications, which were previously manually completed and sent by mail.
