    HP Web Jetadmin10.0 has many significant improvements compared to HP Web Jetadmin 8.1. In addition,some features that exist in HP Web Jetadmin 8.1 are not included in HP Web Jetadmin 10.0. Some of these areconsidered discontinued features and will not be available in any future versions.

    How to evaluate peripheral management software

    Determining what you want to accomplish

    Before installing peripheral management software, it is important that you consider how you wish thesoftware to be implemented for your business. Youll first want to determine which non-system-based tasksthat you need to accomplish, and then determine which system-based tasks will help you meet your goals.

    Non-system-based and system-based tasks

    ! Non-system-based tasks are business and management decisions that describe why you should

    implement peripheral management software and how you will determine what software componentsand features will be most useful for your organization.

    Examples of non-system-based tasks include deciding the number of devices to manage with thesoftware, how many network administrators and users will be responsible for monitoring andmaintaining device resources, and the business needs that make implementing the software necessary.

    Installation and setup

    When you install HP Web Jetadmin, you only need to install it on one hardware platform that meets therecommended minimum requirements and is centrally accessible on the network (for more information on systemrequirements, please see Appendix A, Technical specifications, on page 43). You may then access thesoftware from any supported Windows desktop on the network. You must use an HP Web Jetadmin authorizeddomain user account (for more information on how to set up domain user accounts, please see Active Directorydomain users and groups on page 29 and User roles on page 30).

    Easy migrationHP Web Jetadmin 10.0 offers a new migration tool so you can enjoy a smooth transition from versions 8.1,8.0, or 7.8. Settings and data from versions 8.x or 7.8 can be applied to version 10.0. The migration toolprovides the ability to upgrade HP Web Jetadmin on the same host or to migrate settings from an alternate host.

    Most settings and data will be retained during migration. The following table shows which settings and datacan and cannot be migrated to version 10.0 from one of the three previous versions. Since the HP Web

    Jetadmin 10.0 architecture is different from previous versions, some settings will not be retained.

    License agreement

    Read the License Agreement and select I accept the license agreement to begin installation of HP Web Jetadmin.

    HTTPS Notification

    HP Web Jetadmin uses encryption based on .NET to provide authentication and privacy between the HP WebJetadmin client and the server. If you require HTTPS server authentication, please see HTTP port on page 29.

    File locationYou may choose the location for the files during installation or use the defaults chosen by HP Web Jetadmin.

    Confirmation

    Before the installation begins, the installer will confirm the HP Web Jetadmin version and the locations of theinstallation, update service, and shortcut files. When you click Install, the installation begins.

    Note If .Net 2.0 is not detected the software will provide assistance in installing .Net 2.0.

    SQL 2005 Server Express

    SQL 2005 Server Express installation is performed as part of the HP Web Jetadmin installation. OSQL andother commands install the base SQL components and the HP Web Jetadmin database instance. This instance isnamed HPWJA (data engine).

    Installing HP Web Jetadmin

    During the final step of the Web Jetadmin installation, a progress bar tracks the progress of the installation. Thismay take several minutes. When the installation is complete, a Results window is shown. When this window isclosed, you will be asked if you want to run HP Web Jetadmin.

    A browser page will present a Run button. Click Run to activate the.NET ClickOnce bootstrap application loader. A short time will elapsewhile Microsoft ClickOnce installs the application to your desktop.

    Once the installation is complete, HP Web Jetadmin can be launchedfrom a supported browser by entering the hostname or IP address of thecomputer on which it is installed, followed by the port number andpath. For example, HP Web Jetadmin can be activated on a supported

    Windows desktop with the URL (http://myhost:8000/). Typical defaultport numbers for Web services have a value of 80. Since HP Web

    Jetadmin may be running simultaneously with another Web service onthe same computer, HP Web Jetadmin uses a port number of 8000. Ifdesired, the port value may be altered. However, no matter what the default port number, if SSL is enabled, aredirection will occur to port 8443 whenever the default port number is attempted. Once the specified HP Web

    Jetadmin 10.0 URL is entered, HP Web Jetadmin attempts to launch it automatically. The Microsoft ClickOnce

    installer application loads and runs and the HP Web Jetadmin smart client is downloaded and/or updated.

    Ease of use

    With network management utilities, tool consistency saves time and reduces operator confusion. HP WebJetadmin offers an intuitive user interface that deftly performs complex operations for IT administrators whileproviding effortless access for more casual users, such as helpdesk personnel.

    The task-oriented user interface allows easy navigation using a tree-structured layout within a Windowsapplication and gives you a birds eye view of your entire printing network. You can see all of your devices atonce or define filters so you can manage groups and sub-groups. You can quickly search for devices by nameand see which devices you discovered last, and which you are monitoring.

    Page layoutThe user interface is designed to be efficient and intuitive, limiting the number of steps required to complete atask and streamlining software operation. Each HP Web Jetadmin page features a Navigation area, an area todisplay content or task modules (sets of related tasks), and an area where task modules can be docked. ACurrent Task module is initially included in the docking area to help you through the required steps toaccomplish common tasks. All task modules can be hidden or made visible and can be moved within thecontent area.

    Customizing screensHP Web Jetadmin provides numerous opportunities to customize screens.

    Minimizing or hiding the Task ModuleDocking Area

    You can easily hide or auto-hide the TaskModule Docking Area. To auto-hide, clickon the small tack icon at the top of themodule (top right corner). The module isthen hidden but still available on the page.Click the minimized area to view the TaskModule again. To show the Task ModuleDocking Area permanently, simply clickthe tack icon again.

    To completely hide the Task ModuleDocking Area, clickView, Task ModuleDocking Area. For example, in the imageto the right, the Task Module Docking Areais minimized and theAll Devices sectiontakes the space. Repeating these steps willshow the module again. You can also hideor auto-hide the Task Module Docking

    Area by right-clicking the heading andchoosing which action to take.

    Arranging screens

    The Task Module Docking Area can beplaced in one of eight different areas ofthe screen using drag-and-drop. Click onthe Task Module Docking Areatool barand hold down the mouse button to dragthe module to a region of the screenindicated by the arrows. The three imagesto the right show the Task Module movingfrom top right to top center.

    Changing screen size

    You can resize sections on a screen andcolumns within a section using drag-and-drop. To resize a section, place your cursoron the boundary between two sections.Once the appearance of the cursorchanges, click and drag the boundary to anew location. In the image to the right, theDevice section is made larger.

    Resizing columns

    To resize columns or set the width of acolumn, click and drag the column markerin the list header to the desired width. Or,to resize the column to the broadest widthrequired to display the data, double-clickon the column header. In the image to theright, the IP Hostname column is madewider.

    Current Tasks and Common

    TasksThroughout HP Web Jetadmin, the CurrentTasks task module lists those tasks that areincluded in each specific area. Forexample, in Groups, the Current TasksGroups task module lists all tasks withinGroups.

    Within the Task Module Docking Area, youcan choose to show, underneath CurrentTasks, common tasks for any area by right-

    clicking in the Task Module Docking Areaand selecting the tasks you wish to show.This capability provides a way to specifytask modules that you use most often to bereadily seen and accessed within in thetask module docking area no matter whatpart of the tree structure you are accessing.In the image to the right, Report ReportGeneration tasks are being selected to addto the Task Module Docking Area.Alerts Recent Reports andAlerts Common Taskshave already been added.

    Top menu bar featuresAcross the top menu bar you will find File,View, Tools, and Help.

    File

    Depending upon where you are in the navigation tree, File options change and include such capabilities as:

    ! NewCreate a new group, alert template, or print queue, pre-configure drivers, and more.

    ! Print previewPreview the device list to be printed.! PrintPrint the device list.

    ! ExitExit HP Web Jetadmin.

    View

    ! Columns LayoutsCreate custom views by identifying which columns are displayed for all device lists (All,Error, andWarning).

    ! Refresh SelectionRetrieve the data for a selected device directly from the device. This is useful if yoususpect the data displayed for a specific device might be out of date. Refresh Selection is only available ona device list (All Devices, Groups, and Filters) when one device is selected. You can also access this featurethrough any device list; select a device, right-click, and then select Refresh Selection.

    ! PreferencesSet preferences for UISettings, Device Filters, and DeviceIdentification. Device Identificationsettings provide device informationchosen by you to uniquely identify adevice, such as address, devicename, and location. The settings areprovided when you add or remove adevice from a group. DeviceIdentification settings are used forboth device groups and suppliesgroups and may be different for eachgroup created.

    Tools

    ! Export DevicesExport data representing device attributes to a file to be stored on a disk or sent via e-mailthrough SMTP. While many data elements exist within HP Web Jetadmin, the data that is actually availableon devices will vary depending on model and device firmware revision.

    ! Device DiscoveryLaunch the HP Web Jetadmin Discovery wizard to begin or schedule any type of activediscovery method.

    ! Application Logging MenuView a log of all transactions, including the user, the details of the activity, andwhen it happened.

    ! Data SynchronizationSynchronize data between HP Web Jetadmin servers on your network.

    ! OptionsChange the default settings in the Application Management and Device Management sections.Application settings are options like e-mail, SNMP, server, or HTTP. Device Management settings includediscovery, device lists, status, and reports.

    This option provides online help for HP Web Jetadmin. You can read context help or find help information froma list of contents, from an index, or by searching.

    Drag-and-drop functionalityHP Web Jetadmin has new drag-and-drop functionality that makes creating and editing simple and fast. Thefollowing are examples of how drag-and-drop functionality can be used.

    ! To add devices to a group from theAll Devicespage, highlight the device or devices and drag-and-dropthem onto the group in the left navigation pane (the Device Groupstree must be expanded). This also worksfor adding devices to supplies groups.

    ! To move a group to a different parent group, within the left navigation pane highlight that group and drag-and-drop it onto the desired parent group.

    ! To discover a specific device and monitor its status all in one step, drag a device from any device list intothe Devices Quick Monitortask module.

    ! To list all of the configuration templates, expand Configuration in the left navigation pane and then expandTemplates. You can drag-and-drop one or more devices onto one of the templates listed underConfiguration.

    ! To sort theAlert History details by any of the columns listed, drag that column to the top left of the page.

    Three HP Web Jetadmin sections

    HP Web Jetadmin is separated into three sections accessible through the lower portion of the left navigationpane:

    ! Device Managementused for all device-related functions.

    ! Print Managementused to manage print queues and drivers on remote servers and workstations.

    ! Application Managementused for application functionality such as users and roles, security, softwareupdates, and discovery of other versions of Web Jetadmin Device Management.

    Device Management section

    Device Management helps you manageprint devices on the network. Thesefeatures can be used to find andconfigure devices, group devices, setalerts for devices, upgrade firmware,manage supplies, and create andschedule reports.     Print Management

    Print Managementprovides control overremote print queues and drivers. Thesefeatures can be used to create, edit, anddelete existing queues as well as install orupdate printer drivers. HP Web Jetadmincan act as a driver repository for deploying

    new HP drivers onto remote systems. And,HP Web Jetadmin Print Managementfeatures use HPs Universal Print Driver(UPD). For more information, please seePrint management on page 22.

    Application Management

    Application Management allows you to setup HP Web Jetadmin roles and users, getapplication updates, and discover otherinstances of HP Web Jetadmin. Thesefeatures can used to secure access toHP Web Jetadmin features and ensure thatadditional functionality, device support,service patches, language support, andmore are always current.

    For example, you can useApplicationManagement to assign local or domainusers to user roles. A role is a set ofpermissions for HP Web Jetadmin features.Once a user is assigned to a role, that userwill have access to the permissionsdesignated by the role. For moreinformation, please see User roles on page 30.

    Viewing devicesQuick Device Discovery can be used to find a device based on any of the following network searchableparameters:

    ! IP address! IP hostname

    Quick Device Discovery initially looks in the HP Web Jetadmin cache to see if the device has already beendiscovered. If not, Quick Device Discovery can use the information provided to locate the device on the networkand add it to the HP Web Jetadmin cache of discovered devices. Once found, the device Status page will bedisplayed.

    Note Quick Device Discovery does not work for PC-connected devices.

    LayoutsYou can create different layouts to apply to any Device List. At the top of each Device Listis a Layout field with adrop-down list from which you can select any custom layout or default layout or create a new layout. Thelayouts can be:

    ! Sharedany user can access them! Privatecannot be accessed by other users

    Steps for adding a customized Device List1. In the toolbar, clickView, Column Layouts. The Column Layout Managerpage is displayed.2. Click New. The New Column Layoutpage is displayed.3. Type the name of the custom view in Name.

    4. Select the column to display on the device lists by highlighting it and clicking the arrow buttons between thetwo lists. Then click Next. To show all columns, check the box for Show Advanced columns. Then select thecolumns as you did earlier.

    5. If this view can be seen or used by other users, check the box for Shared (or public).

    6. Click OK. The Column Layout Managerpage is displayed. The view you just edited is available to select onthe device lists.

    Device FiltersFilters are used to limit the content of anylist based on specified criteria. Filters canalso be applied to other features such as

    Automatic Device groups.

    ! Multiple layers of filtering can becreated using and/orfunctions.

    ! Filters can be stored and also shared

    with other users.

    ! There are a few built-in filters thatexist when HP Web Jetadmin is firstinstalled.

    Peripheral management software should be easy to navigate, organize, and use. To evaluate the softwaresease of use, open the software and perform some common tasks. All levels of users should interact with thesoftware, and take note of any problems or weaknesses. When comparing products, consider the following:

    ! In general, is the software easy to use?

    ! Can you easily customize the softwares look, tasks, or settings? Can you create profiles for various types ofusers?

    ! Does the software offer right-click and drag-and-drop capabilities for added convenience and efficiency?

    ! Can you quickly locate peripherals and discover their capabilities? Can you use the software to locatedevices based on different criteria, such as model or capabilities?

    ! How helpful is the user documentation? Is it easy to access help information? What kinds of help or supportoptions are offered?

    Fleet deployment

    By using one peripheral management utility for all of your network-connected printing and imaging devices, youcan do more in less time and turn your attention to other IT matters. HP Web Jetadmin is designed to makedevice discovery, organization, and configuration easy so your business experiences maximum efficiency infleet deployment.

    Advanced device discovery

    The discovery feature searches the network for connected devices or PC-connected devices, displays the resultsin a list, and adds the devices to a device cache on the host computer. HP Web Jetadmin is capable ofdiscovering devices automatically. The discovery feature provides the following advantages:

    ! You no longer have to manually search for devices to be able to add them to HP Web Jetadmin.

    ! You can schedule discoveries to run automatically at specified intervals and capture devices as they aremost visible on the network (such as in the middle of a workday), or when off peak network usage isdesired (such as late at night).

    ! You do not need to be present when discoveries run.

    ! Without leaving your workstations, you and helpdesk personnel can quickly find specific devices or thosewith particular capabilities.

    After you install HP Web Jetadmin, run an initial discovery to build a cache of device information. HP WebJetadmin discovers devices in two ways: by sending a query to devices and listening for their responses and bymonitoring the network for SLP signals that the devices send to indicate their presence on the network. Thesoftware uses industry-standard SNMP queries to recognize devices and collect device information.

    Network device discovery

    The following table describes HP Web Jetadmin discovery mechanisms:

    Local BroadcastIP Broadcastdiscoveries

    Sends a general SNMP request to all of the active devices on the local subnet.

    Multicast/SLP discovery Sends a single SNMP request over an HP-specific multicast address. Only HP multicast-enabled

    devices respond to this request. You can limit the discovery mechanism to the local subnet or configureit to cross up to 15 routers for remote subnets.

    Specified Addresses discovery Searches for all of the devices listed in a host file that you create.

    Note The IP Hostname can be used but DNS lookups must be enabled (they are by default).

    IP Range discovery Searches for the devices located within a range of IP addresses (multiple IP ranges can bedesignated). IP ranges can also be uploaded.

    Active Directory Discovery Searches the Microsoft Active Directory domain for published print queue details. Once these arediscovered, Web Jetadmin looks within the Windows print queue to determine if the device isnetwork-connected. Discovery settings include AD domain or organizational units.

    Listen for New Devices discoveries Finds devices without sending active queries onto the network by listening for device SLP packets.

    Other installations of HP WebJetadmin discovery

    Searches the network for other HP Web Jetadmin host machines. These remote hosts can also havetheir device list synched with the HP Web Jetadmin device list on the local host.

    PC-connected printer discovery

    HP Web Jetadmin can discover printers connected directly toPCs. This discovery both facilitates learning about devices thatare connected directly to PC hosts and also gathers detailedinformation about those devices when the SNMP Proxy Agent isbeing used. SNMP Proxy Agent is a small software package thatcan be installed onto a PC and facilitates HP Web Jetadmincommunications with select locally connected HP printers.2PC-connected discoveries can be performed without the SNMPProxy Agent being installed onto remote hosts but this type ofdiscovery will only gather a minimal amount of deviceinformation. This discovery queries desktop and server hosts inorder to find locally connected devices. These are devices thatare not connected directly to the network, but are connected tothe LPT ports or USB ports on the local host.

    When one of the types of discoveries for PC-connected devices isinvoked, HP Web Jetadmin communicates directly with the remote host in one of two ways:

    ! By looking for an SNMP Proxy Agent on the local PC. If the agent exists, HP Web Jetadmin begins to query

    the device through the proxy in much the same way as it queries devices directly connected to the network.Through the agent, many pieces of information for select locally connected HP printers are available, suchas status, page count, and supply levels.2

    ! Through WMI (Windows Management Instrumentation). WMI is a Microsoft service that runs on mostWindows operating systems and is used by remote management applications to gather information.HP Web Jetadmin performs a query through WMI on workstations found by way of its various discoverymechanisms. This query attempts to resolve Windows printer model details for devices that areplug-and-play compatible. The WMI PC-connected discovery solution does not gather status or other detailsfrom the device. The WMI PC-connected discovery also requires administrator (local) credentials on eachhost queried.

    PC-connected device discoveries use different query protocols depending on the method used. The table belowshows differences in primary and secondary protocols. The primary protocol is used first. If communication ispossible through the protocol, devices are queried. The secondary protocol is used when no communication isattained through the primary protocol.

    Grouping devices for easy managementWhen the devices list in HP Web Jetadmin becomes too large to quickly locate or manage devices, it can bebroken into subsets, or groups, in order to manage the devices more easily. Benefits to dividing a large list ofdevices into groups include:

    ! Devices are easier to locate when organized into smaller subsets.

    ! Dividing a list into smaller, logical subsets makes tracking assets easier.

    Organize devices according to your specific peripheral management needs. For example, organize devices bygeographic location for simple, logical management. A main group might be named after a city, subgroupsmight be associated with the city for each building site, and additional subgroups might be associated witheach building for floors or departments. For asset management purposes, group devices based on model type.

    Groups are displayed as nested folders under the Groups option in Device Management. Nested folders make iteasy to differentiate between groups, and to distinguish main groups from subgroups. Click Groups to displayall groups. Folders will turn green, red, or yellow depending upon the severity level of any one of the devicescontained within the group.

    Creating groups

    Groups can be populated from theAll Devices list, another group, or any list that has had an HP Web Jetadminfilter applied to it. HP Web Jetadmin 10.0 has drag-and-drop functionality that makes creating and editinggroups simple and fast.

    You can add devices manually or you can selectAutomatic to automatically add devices to groups.Automaticallows newly discovered devices to be added to a group based upon criteria or filters defined for the group. Forexample, a filter based on the device model can be assigned to a group and all devices discovered in the futurethat match the device model name or number will automatically be added to the group.

    Subgroups

    Just as groups of devices in HP Web Jetadmin are subsets of the list of all devices, subgroups are subsets of

    other groups and are created to provide organization and structure to more easily manage devices. It isgenerally easier to work with smaller groups, especially when large lists of devices exist in HP Web Jetadmin.Subgroups can minimize wait times for actions to be performed on lists of devices.

    Ungrouped Devices

    The Ungrouped Devices folder of the Navigation tree displays devices that have not been added to a group.

    Fleet configuration management

    Remote installation and configuration

    HP Web Jetadmin allows you to select multiple devices or groups of devices and change the options for all ofthose devices at once. For example, you can install multiple devices at once or assign the same password toseveral devices that have already been installed. Spend a few minutes entering the information once and thenapply it to all selected devices, rather than entering the same information repeatedly for each device. It alsoensures that redundant information is entered consistently and correctly across multiple devices.

    The following are some of the many options that you can configure for multiple devices:

    Automatic device configuration

    You can apply settings and features to new devices on the network with minimal user intervention. The GroupsPolicies feature auto-configures peripherals with device-based, alert, and report settings. This is doneautomatically as HP Web Jetadmin filtering populates the Automatic groups memberships.

    Multiple HP Web Jetadmin installation synchronization

    If you have a distributed enterprise running multiple instances of HPWeb Jetadmin, HP Web Jetadmin not only helps you discover those

    other instances, but also offers the ability to share device databetween those instances. This capability can be found withinApplication Management.

    Firmware updates

    HP Web Jetadmin software facilitates device or HP Jetdirect firmwareupdates on supported product models. Devices can be updated in one-to-one mode or through batch and schedule settings. You may obtainfirmware directly through the HP Web Jetadmin interface (requiresHTTP connection between HP Web Jetadmin and the Internet), fromany print device Software and Driver Downloads page, or from theHP Web site at www.hp.com/go/wja_firmware for Jetdirect devices.

    You can also enable the automated firmware retry capability, so that ifproblems do occur when updating firmware, the firmware downloadercan be configured to automatically retry up to three times.

    Print management

    HP Web Jetadmin Print Management features allow administratorcontrol over remote print queues and drivers. These features can beused to create, edit, and delete existing queues as well as install orupdate printer drivers. HP Web Jetadmin can act as a driver

    repository for deploying new HP drivers onto remote systems. Inaddition, HP Web Jetadmin Print Management utilizes HP UniversalPrint Driver.

    How it worksUse HP Web Jetadmin Print Management to locate a workstation orserver on the network. Once the host is found, you may addadministrative credentials and begin to manage the print queue anddrivers on the remote host. You can change settings or the driver forexisting queues, or add or remove queues. It is important to have localadministrator rights on remote systems when performing thismanagement activity.

    Driver installationHP Web Jetadmin facilitates driver management. Drivers can be added to the HP Web Jetadmin host which actsas a driver repository. Drivers are installed on remote hosts where queue management is being performed. Thedrivers can be removed when they are no longer the latest revision or no longer needed. Pre-configured driverscan be applied during print queue management operations or exported to disk as stand-alone .INF driver installfile sets. All drivers installed onto remote hosts by HP Web Jetadmin are installed using .INF driver install filesets. They are not installed with any additional software such as utilities or toolboxes.

    Driver pre-configuration

    Many HP drivers can be pre-configured, allowing you to define device defaults and feature availability. Forexample, you can restrict color printing to those who need it, for multiple devices and users. Features that canbe set to a particular state for greater resource management include Duplex/Simplex, Portrait/Landscape,Print in grayscale, Print quality, and more. Some of these features can be locked. Typically, PCL5 and PCL6 HPdrivers for newer HP devices can be preconfigured in a variety of ways.

    To pre-configure a driver, select the driver from theAvailable Drivers list, then choose the Preconfigurecontrol. This launches the Driver Pre-configuration interface where settings are enabled and disabled.

    Enhanced print queue management

    Within the Print Management section, HP WebJetadmin can install print queues and drivers onto

    multiple remote hosts. This fleet print queue creationcan be done remotely from the HP Web Jetadminclient interface and in one configuration session.

    Fleet deployment is often essential for companies thatare geographically distributed, and where differentdevices or different user rights (such as the ability toprint in color) may be implemented. Using the CreateQueue tool, drivers can be pre-configured with theproper rights and deployed to the users PCs orlaptops without having to travel to the sites.

    To create a print queue, complete the following steps:1. Launch the Create Queuewizard by right-clicking

    in the Print Managementnavigation tree or byselecting Create Print Queuefrom the PrintManagement Common Taskstask module.

    2. Select a device from either a group or theAll Devices listing. Only one device selection is possible.

    3. Choose one or many remote hosts from the Select Serverscreen. Credentials are required for each hostselection.

    4. Select a driver and pre-configuration.

    5. Name the queue and select from the share options.

    6. Confirm the settings. Web Jetadmin will begin queue creation on each of the designated hosts.

    The HP Universal Print Driver postscript emulation is bundled with HP Web Jetadmin and is installable fromany create or edit queue interface. HP Universal Print Drivers PCL 5 and PCL 6 can be added to HP Web

    Jetadmin throughApplication Management,Application Update. The HP Universal Print Driver can be pre-configured to define user specified print defaults such as duplex or grayscale. When pre-configured withHPs Managed Print Administrator or Active Directory templates, these defaults can be locked so users cannotchange the settings.

    When HP Web Jetadmin creates a queue using the HP Universal Print Driver, the driver and printer (specified inHP Web Jetadmin) are installed in traditionalmode, which is similar to a product-specific driver.

    Evaluating fleet deployment

    Peripheral management software that boasts multiple capabilities but is difficult to use and configure provideslimited value. To ensure that it is easy to use and offers the features you need, open the software and performsome common tasks. When comparing products, consider the following:

    ! Can you quickly locate peripherals and discover their capabilities? Can you use the software to locatedevices based on different criteria, such as model or capabilities?

    ! How easy is it to add new network-connected devices? Does the software include peripheral discoverycapabilities, or do you have to manually search for devices?

    ! How easy is it to create groups of devices based on various criteria? Can you create sub-groups?

    ! Can you remotely install and configure peripherals?

    ! Does the software allow you to manage peripheral software and download firmware updates for multipledevices at once?

    ! What are the softwares print job management capabilities? Can you configure print queues for multipledevices and classes of devices?

    Proactive management

    Because HP Web Jetadmin contains many tools for troubleshooting peripherals, it is increasingly being used asa helpdesk troubleshooting tool. The software includes several features that enable helpdesk personnel toremotely troubleshoot devices without having to physically interact with them, which can significantly reducetime spent resolving issues. Proactive measures, such as regularly querying for status or enabling e-mail alerts,can be enforced so that potential problems can be prevented.

    For example, helpdesk personnel can perform the following actions remotely using HP Web Jetadmin to

    troubleshoot a device issue:! Quickly locate a device with Quick Device Discovery or the List Search feature! View the status of a device to determine if it is experiencing an error! Generate a test page, which acts as a ping test to determine network connectivity! Switch the device online and offline! Power cycle the device! Perform a cold reset to factory defaults! View critical diagnostic information, such as firmware version! Upgrade supported device or HP Jetdirect firmware! Configure network or device parameters

    Locating devicesWhen clients contact the helpdesk with a device issue, helpdesk personnel can use Quick Device Discovery orthe List Search featureto remotely access device information. Search criteria include:

    ! IP address! IP hostname! Searchable lists (any field strings)

    Quick Device Discovery first looks in the HP Web Jetadmin database to see if the device has already beendiscovered. Once found, Quick Device Discovery highlights the device within the HP Web Jetadmin list anddisplays the devices status.

    Troubleshooting devicesOnce the helpdesk has accessed a device, a variety of troubleshooting options are available to remotely resolveissues. A significant amount of time can be saved if a problem can be solved without having to physicallyinteract with a device.

    Print Test Page

    From a device list within HP Web Jetadmin, select Test Page from a devices Troubleshooting tab to print aninternal self-test page, or send a print job directly to the device. By sending the job directly to the device, thehelpdesk can more quickly determine print queue versus device issues. This feature can also be used todetermine whether network communication with the device is possible.

    Determine support options by selecting HP Support (HP Instant Support) from a devices Troubleshooting tab.This tool provides instant access to reference material that can aid your helpdesk in diagnosing device issues.

    Reset Options

    From a devices Troubleshooting tab, select Resets to power cycle a device remotely.

    Printer Web ServerConnect directly to a printer HTTP server from within HP Web Jetadmin. This provides additional one-to-onetroubleshooting. The printers Embedded Web Server can be accessed through either the Status or theTroubleshooting tabs.

    Device statusThe status of individual devices or groups of devices can be viewed to determine the current state of eachdevice. The status feature allows many warning or error issues to be remotely resolved before they are detectedby end-users. DeviceStatus can be enabled in device lists, with a column describing the device condition, byenabling Status through Select Columns. The Severity column (enabled by default) uses a combination of color

    and icons to represent the severity of each devices status. This makes sorting devices easy and facilitates quickand proactive problem resolution.

    AlertsAlerts are a very powerful and frequently used feature of HP Web Jetadmin that provide proactive notification ofprinting and imaging problems. E-mail message alerts may be sent whenever certain predefined events occur.For example, error or warning conditions on devices, such as paper out or toner low, can prompt e-mailmessages to be sent that contain detailed information pertaining to the condition, allowing the recipient to actupon that condition immediately. Receiving early notification of device events allows administrators to correctproblems before they impact end-user productivity.

    HP Web Jetadmin attempts to provide the message that appears on the control panel of the device in order toprovide specific information about the event in the e-mail message.

    Available alerts

    The following types of alerts can be subscribed to:

    ! Generalalerts include detailed information about device events and rely on traps. Polling is establishedwhen traps destinations cant be configured.

    Supplies alerts

    Supplies alerts can be sent at various thresholds in order to receive a warning that a supply, such as a tonercartridge, is running low. While the default is 10%, thresholds can be set at virtually any level. This can bevaluable for individuals who order supplies and require advanced warnings of low supplies. Supplies alertsinclude tray/media level, fuser, drum, toner, and other device supplies.

    Configuring alerts

    HP Web Jetadmin allows you to select which devices will be monitored for alerts and to configure which eventswill be monitored for each device. Two key features, Subscriptions and Templates, enable administrators toquickly edit, apply (subscribe to), and manage HP Web Jetadmin alerts on fleets of devices.

    For each alert type monitored, it is possible to configure the Time to Ignore Duplicate Alerts, a parameter thatcan dictate how often a particular alert e-mail is sent. For example, an administrator may only want to benotified once per day that toner is low on a device, but may want to receive a notification every time paper hasrun out in a device so that it can be refilled promptly.

    In addition, Ignore First Alert may be selected to eliminate any e-mails from being sent until the Time to IgnoreDuplicate Alerts time period has passed and the condition still exists. For example, while an administrator maynot wish to receive an e-mail alert whenever a user simply opens a printer cover and closes it again, theadministrator may desire an e-mail alert if the cover has remained open for several hours.

    Customized settingsCustomized settings for individual devices can also be copied from one device to others by creating a

    subscription template. Simply drag and drop the devices onto the subscription template to quickly apply thetemplate to multiple devices.

    Select recipients to receive alerts

    The administrator can select recipients to receive e-mail alerts. E-mail accounts can be entered to receive allalerts for a single device, or individual accounts can be specified to only receive messages for unique alerts thatoccur on a device. For example, a Toner Low alert could be sent to someone in charge of ordering supplies,while a Paper Jam alert could be dispatched to a helpdesk or service desk.

    Language preferences can also be associated with particular e-mail addresses, and the same alert messagemay be sent to different people in different languages. HP Web Jetadmin also offers the ability to assigndifferent content lengths of e-mail messages to different types of events. The different content lengths include:

    Concise A brief message that contains the event, the message that appears on the front panel, the device name, a link to detaileddevice information, and contact information.

    Verbose A detailed message that contains all of the information in the concise message as well as detailed device information.Verbose is the default category that is assigned to alert types.

    Custom A user-defined message that may contain any available parameters in any order.

    Evaluating proactive management

    A proactive peripheral management utility should meet your needs for managing all of your network-connectedperipherals and drastically reduce or even eliminate the need for you to physically manage individual devices.

    Security

    Because HP Web Jetadmin can be accessed from nearly any desktop and installs and configures devices, itmust be able to secure itself against unwanted access. HP Web Jetadmin not only safeguards itself againstunauthorized users, it can also protect the devices it manages. Securing devices is important for many reasons,including:

    ! Reducing printer down-time! Reducing helpdesk calls! Minimizing troubleshooting visits! Minimizing supply usage

    HP Web Jetadmin offers several levels of authentication and privacy to secure devices and itself againstunwanted access. A firewall protects the internal network from external access, and is the first defensemechanism that ensures against unwanted Internet users browsing to an installation of HP Web Jetadmin.

    HP Web Jetadmin offers additional security to ensure only desired users within the intranet have access to thesoftware. These are described in the following sections.

    HTTP portThe HTTP port number can be changed to align the HP Web Jetadmin port to security standards within a given

    environment. HP Web Jetadmin defaults to using port 8000 in order not to conflict with any other Web serviceon the machine that may be using the typical port 80. However, the port number can be changed by theadministrator to any desired number.

    SSL/TLSHP Web Jetadmins HTTP server can be further protected by implementing SSL/TLS, which forces authenticitybetween the HP Web Jetadmin server and the desktop browsing. A self-signed certificate must be installed onthe HP Web Jetadmin host computer when implementing SSL/TLS.

    Data encryption with .NET RemotingHP Web Jetadmin can encrypt information passed between a browser and HP Web Jetadmins host machine(such as passwords) using HTTPS. .NET Remoting provides its own encryption independent of the initial browsersession that is used to launch the product.

    Active Directory domain users and groupsHP Web Jetadmin uses user accounts or groups within the Active Directory domain as a means of authenticatingend-users. The user that initially implements HP Web Jetadmin must be a member of the local Administratorgroup on the host where the software is being installed. Any user (including an Active Directory domain user)that is a member of this local group has Administrator rights within HP Web Jetadmin.

    Note HP Web Jetadmin 10.0 is also compatible with Windows NT domains.

    User rolesUser Roles determine which elements of HP Web Jetadmin various users can access. For example, you can useRoles to prevent unauthorized users from changing system-wide settings, starting discoveries, and creatingdevice groups. All roles are assigned to Active Directory groups or users that authenticate to HP Web Jetadminvia Single Sign-on. By right-clicking the Run-as option for Internet Explorer 6, users can also authenticate with analternate domain identity on another persons desktop. User and password management are no longeradministrative functions in HP Web Jetadmin, as these items are now managed within the Active Directory

    domain.

    Local users and groups

    Local users and groups can be created at the HP Web Jetadmin host and can be used in place of ActiveDirectory domain user credentials. This is helpful in environments where neither Windows NT nor ActiveDirectory domain credentials are used.

    Device-level securityWhile an installation of HP Web Jetadmin contains several methods for securing itself against unwanted access,devices may still be configured with other installations of HP Web Jetadmin or other SNMP utilities. For

    example, configuration of a device can be accomplished through a variety of utilities including:! HP Web Jetadmin! HP Install Network Printer Wizard! Telnet! HP Embedded Web Server! Any SNMP utility! Communicate securely with devices supporting SNMPv3

    With all of these avenues for potentially changing device configuration, setting security at the device level is thesurest way of restricting access to the device. Users can access devices in a variety of methods, but settingsecurity at the device level is effective no matter which technique is used to access the device. There are severalsecurity mechanisms that can be enabled with HP Web Jetadmin to guard against all forms of access, including:

    ! Upgrading HP Jetdirect firmware to the highest level! Disabling all unused protocols! Specifying an administrator password (through Embedded Web Server and Telnet)! Specifying an SNMP Set Community name! Locking the control panel

    Note HP Web Jetadmin version 10.0 will no longer use the HP Jetdirect password as a form of security todeter unwanted SNMP Set request attempts. We recommend using SNMPv3 to stop unwantedconfiguration of the device using SNMP.

    IPsecAn IPsec plug-in package is available for HP Web Jetadmin. This can be obtained directly by using theApplication Update feature inApplication Management (requires HTTP connection between HP Web Jetadminand the Internet). Or, users can manually download the application update package file from the HP Web siteat www.hp.com/go/webjetadmin_software.

    Once the IPsec plug-in is installed, additional device configuration items appear within the Networkconfiguration category. Using HP Web Jetadmin, you can configure an IPsec policy and then apply it to one ormore selected Jetdirect devices. Through an IPsec policy, IP traffic can be processed or discarded, andprocessed traffic can be protected by IPsec authentication and encryption protocols.     When you know exactly what is going on in your print environment you make better management decisionsand youre in a better position to control costs. To aid in that effort, HP Web Jetadmin 10.0 provides a rich setof data collection, supplies management, and reporting features. These include:

    ! Data collectionAn administrator can enable Web Jetadmin to automatically gather a wide variety ofinformation for a device or group of devices.

    ! ReportsOnce data are stored in a database, users can create reports to track everything from who uses

    color and how often they use it, to which devices are used most heavily and which have the highest uptime.Reports can be displayed through the client host, stored in an archive, or sent to e-mail.

    ! Supplies managementAn administrator can enable monitoring, alerts, and reporting capabilities fordevice supplies.

    Enabling data collectionData collections are groups of devices that have specific collection types enabled. An administrator can apply adata collection type such as Device Utilization to a single device, multiple devices, or a device group.

    Note Apply data collection to a device group via Group Policies.

    When a data collection is first applied to a device or devices, HP Web Jetadmin launches a data collection

    immediately to establish a data baseline. Once the device is populated under a specific data collection type,data collections occur at specific intervals or triggers. All data collections start at midnight (local server time) butcan be offset (in hours) using the Data Collections tool.

    Data collection types all have a specific collection cycle. When By User Tracking data collection is started,printers will start sending job-trap packets into the HP Web Jetadmin host. All other types are scheduletriggered. All but Peak Usage are collected once every 24 hours. Peak Usage is collected once every hour toprovide greater reporting resolution.

    As data is collected, they are stored in tables within the HP Web Jetadmin database. Data retention isautomatically set to one year beyond the initial collection date. This value can be changed in Tools, Options,Device Management, Reports, Data Retention. Data collections for reports can be retained for up to five years.

    Types of reportsReports are generated through a combination of user specified settings and stored data. Finished reports can bedisplayed through the HP Web Jetadmin client host, stored in an archive, or sent to e-mail. Reports can begenerated in a summary format, a reporting period format, and through any number of graphical formats.

    Administrators can schedule reports to occur automatically.

    Generating and scheduling reportsReports can be generated as you request them (after data collection has been enabled) or they can bescheduled to be generated at a future time.

    To generate and schedule a report, follow these steps:

    ! Click Reports in the left navigation bar and then right-click and select Generate Reports to begin the ReportWizard. In fact, HP Web Jetadmin 10.0sSupplies feature set includes the best of reporting and alerting functionality, focusing on an important aspect ofkeeping devices up and running.     Supplies groups

    A key feature in HP Web Jetadmin 10.0 is Supplies groups. These are special groups that only appear in thenavigation tree under Supplies. They consolidate supplies alerts and supplies reports for grouped devices. Forexample, an individual with responsibility over supplies for a set of devices in one part of the corporation cangroup the devices in supply group A. Another person with responsibility for managing supplies in a different

    part of the corporation, perhaps in another city, can create supply group B. These two individuals can createsettings and manage supplies separately in a way that fits their individual needs.

    Viewing Supplies groupsSelect a supply group from the navigation tree to display that group in the workspace. In the upper portion ofthe workspace are displayed the same device and supply details that can be obtained through the Supplies tabin any device list. Under Supplies groups, however, the focus is on supplies group membership rather than listselection.
