the school store Purchasing Policy

the school storeAt Woodberry Forest School, we have a school store where your son can purchase supplies. Our policy for purchasing items at the store is outlined below.

Academic suppliesAcademic supplies include books and school supplies. Your son will receive an ID card that will enable him to charge academic items. These charges will be billed to you. If you wish, your son may pay for academic supplies at the time of purchase.

Non Academic ItemsOur school store also carries non-academic items such as snacks, drinks, clothing, and souvenirs.Woodberry Forest School does not offer charging privileges on non-academic items. These items must be paid for at the time of purchase.

For your convenience, the store accepts cash, checks, credit cards and debit cards as methods ofpayment. A Virginia National Bank ATM is available on campus. The store can cash checks for students with checking accounts. There is a $35 fee for returned checks.

We encourage you to make arrangements so your son can purchase what he needs at the school store.

Business Office Statement Policy

statementsPlease note that you will receive monthly statements via email from the business office on the last day of the month (or the first business day following the last day if it falls on a weekend). You will not receive a paper copy in the mail. You may click on the link embedded in the email to pay your account online via either credit card (a fee does apply) or e-check (which does not have a fee) or you may mail a check to the address printed on the statement. The process is very user friendly if paying online and it will walk you through with step by step instructions.

Transportation Policies

Making ReservationsAll transportation must be reserved by Wednesday at 1 p.m. the week you wish to travel. Students make reservations by speaking with Mrs. Tracey Stakem. All transportation is arranged according to reservations. Thus, transportation will not be available if students do not make reservations by Wednesday.

Holiday reservations have different deadlines than regular weekends. Students should pay attention to announcements from the transportation office regarding holidays.

The Cost of TransportationAll weekend transportation costs quoted in this booklet are based on a one-way, single-passenger rate. If more than one student needs a ride, then the cost will be split between them.

The rates listed for holiday and start-of-school transportation are a one-way, per-student price. All students pay the listed price. Prices may vary depending on bus charges.

Transportation for Medical AppointmentsTransportation is available for medical appointments in the local area. The fees listed below reflect typical costs and may vary depending on length of appointment and distance.

For appointments in Orange: $25.00For appointments in Culpeper: $40.00For appointments in Charlottesville: $100.00

short WeekendsShort weekends extend from after a student’s last academic and athletic commitment on Saturday to 6:00 p.m. Sunday evening. Since classes end at 11:00 a.m. on Saturday, the earliest possible time to provide transportation for your son is at 11:15 a.m. All transportation will depart campus at 11:15 a.m. for short weekends.

Students are expected to be back on campus for seated meal on Sunday evening. Return transportation has been scheduled to meet this expectation.

long WeekendsA long weekend extends from Friday after classes to 6:00 p.m. Sunday evening. Since classes end at 12:30 on Friday afternoon, the earliest possible time to provide transportation for your son is at 12:45 p.m. All transportation will depart campus at 12:45 p.m. for long weekends.

Students are expected to be back on campus for seated meal on Sunday evening. Return transportation has been scheduled to meet this expectation

college WeekendsDue to the variable nature of college weekend transportation, please contact the Woodberry transportation office to arrange your son’s college weekend.

holidays and breaksHolidays and Breaks are Thanksgiving, Christmas/Winter Break, Long Winter Weekend and Spring Break. Transportation is available for all times that Woodberry closes for any period of time. All buses will depart from campus at 6:00 am. If a student is permitted to leave campus prior to the beginning of break, school transportation is NOT guaranteed.

The “Southbound Bus” carries students from Woodberry to Columbia, SC; Charlotte, NC; Winston-Salem, NC; Greensboro, NC; Danville, VA, and Lynchburg, VA. A bus also takes students to Raleigh, NC. These buses only run when there is enough interest to fill the bus to a capacity suitable for covering the cost of the bus.

students under the age of 15Many airlines require an adult to be present at check-in when the traveler is under the age of 15. Please check to see if this policy is applicable to the airline your son will be using and contact Woodberry’s transportation office to make special arrangements for your son.

International StudentsStudents whose families live outside of the United States are allowed to leave on the final day of classes or exams in order to make their international flights. International students should arrange with their teachers and the academic dean an appropriate time to take an exam early. This only applies to students traveling outside of the United States.

All international students must be off campus by the beginning of the holiday break and return to campus on the last day of the break.

Delays and CancellationsIf your flight, train, or bus is delayed or cancelled or you miss its departure, please contact the transportation office and the administrative master as soon as possible to notify them of the change.

Woodberry cannot be held responsible for any delays due to road conditions, airport security delays, or any other unforeseen circumstances. The suggested departure times provided in this handbook are the best approximations we can make given our experience. You may want to schedule your son’s departure later than the suggested times to ensure he does not miss his transportation.

Dear Parents,

Here at Woodberry Forest School, we believe that technology should enhance your son’s educational experience. We are committed to helping our students learn how to live in a computerized environment and use technology responsibly.

Shortly after your son arrives on campus, he will take a class called Ethical Conduct in a Computerized Society. Through this course, and through daily exposure to all types of academic technology, he will learn what it means to use technology appropriately. He will learn that the sanctity of Woodberry’s honor system extends into the technological world. He will be introduced to, and will be expected to comply with, our Acceptable Use Policy.

Your son, like all Woodberry students, will have access to computers, email, and the Internet throughout campus. We have many computer labs and we offer wireless access in all our academic and dormitory spaces. Unlike many schools, we do not charge a technology fee.

While it is not mandatory for your son to bring his own computer to Woodberry, we encourage him to do so. The school’s common areas contain enough computers to meet a student’s needs; however, if he brings his own computer to school, he will be able to work on assignments in his dorm room and across campus. All of our dorms have wired and wireless network access, and your son will have access to our learning management system, file servers, email, and the Internet from his dorm room.

Should you decide to purchase a computer for your son, we strongly recommend that you consider a laptop. Laptops can be used in the library, in class, and taken to away games and other off-campus events. They also take up less space in the dorm. We make every attempt to support Apple and Windows® platforms through our Technology Department. If you send your son to school with a computer, please send with him all software licensing and warranty information. Here are general guidelines to follow when selecting a computer:

We will provide the latest Microsoft Office® product to your son at no charge. He will have access to Office 2013® for PC or Office 2011® for Mac. He will receive directions on how to download this software once he is with us here at Woodberry Forest.

Woodberry’s wireless network also supports smartphones and tablets. Your son will need to register his computer and other devices before he is granted access to the school’s network.

Below is a list of supplies which will be required by each department. The Woodberry Forest School store has academic supplies readily available for last-minute needs; however, you might find it more economical to purchase the basics prior to Opening Day.
