This guide should take you through the key aspects of the workbook and helpyou get the most from it.

We are constantly evaluating and developing the workbook on the feedback weget from teams and organisations, so do feed back your thoughts throughoutthe year and we will consider them within future edits and developments.

1. Signing up and Logging in

When you first arrive at yourorganisation’s workbook, registeryourself if you are new to theprogramme.

Click on the register link to signup for the first time.

Once you have registered, yousimply click Login each time youarrive.

You can fill out your details, andeither add yourself to an existingteam if you are joining adepartment to take part, or createa new team yourself.

Be sure to add as accurate anumber as possible when it asksyou how many people are in yourteam, how many people yourteam covers and where it isbased.

This really helps us to monitor thereach of the programme and knowwhere to find you if we need to!

2. Welcome to your team

You can see who else isin your team in the‘members’ section on thefront page of yourworkbook.

The main body of text onthe front page will talkyou through how theprogramme will run atyour organisation –

the scoring system,submission deadline andanything else importantfor the year ahead.

If you need to change any ofyour log in details after signingup to the workbook, you canaccess this by clicking theprofile button.

Here you can change yourpersonal details, password ornumber of staff covered in yourteams.

If required, you can also changewhich team you are part of bypicking the team you want tomove to from the drop downmenu.

If the old team is no longer in useby any team members, pleaseinform your Project Officer whowill be able to delete the group.

4. Your scoring system

You can see how eachaward level is calculated onthe Welcome to GreenImpact page after loggingin.

This will also explain howany additional tabs, such asLabs or Catering are scoredand whether you and yourteam need to work on themor not.

5. The workbook tabs

The majority of organisations have acombination of Bronze, Silver, Bonusand/or Gold tabs (but yours may belabelled differently). These are whereyour tasks for each level are located,each level being slightly morechallenging to push you further inyour greening actions!

Click on each tab to start working onyour awards.

Some organisations have additionaltabs for specialist departments orareas of their buildings. You will beable to see these in the list of tabsdown the left hand side if yourorganisation is taking part in these.Read the instructions on theWelcome to Green Impact pageafter you log in to see which ones arerelevant to you.

6. Your Green Impact criteria

We have broken down each awardlevel into clear themes within theworkbook. We hope this will make iteasier for you to see what isincluded in each award, and lookless daunting than one big long list.

You can see how many criteria youhave completed and what yourscore is at the top of each page.

By clicking on Show All you canexpand each theme to show you thecriteria within it.

Each criterion comprises 4 sections:

1. The criterion itself – this should be a clear outline of what action you can take in your department to make an impact but is open for you to complete as you wish within your team.

2. Further Information – this will let you know why the criterion is important, where you access further resources and may give guidance on the type of activity you can take to complete it.

3. How you will be audited – simple outline of what evidence you need to collect.

4. Comments/evidence – your space to record progress to date, coordinate with your team members and upload final pieces of evidence.

When you are ready to say you havedone a task, simply click on the button tothe right of the criteria.

If you click done a pop-up box willappear and ask if you have completedthis task as a result of Green Impact.Please select Yes or No accordingly asthis helps us see what tasks you andyour team were doing already, and whichones green Impact inspired you tocomplete.

If you can’t complete any action forreasons out of your control, you canselect ‘Not Applicable’ and still get theaward. Auditors may need evidence ofwhy this is not applicable to you.

Just make sure, as with any edits youmake in the workbook, you click savechanges before leaving the page!

7. Uploading evidence

When you have completed an action, you can upload evidence to submitwith your workbook.

Click on the red ‘upload a file’ button in the criteria you have evidence for,and then attach your file. It will accept most types of file (Excel, PowerPoint,Word, PDF) up to a maximum size of 4MB.

(Please note that for successful upload, file names cannot have any fullstops in the title).

You do not have to store your evidence in this way, but it is advisable tomake your filing and submission a lot easier. Look in the ‘How you will beaudited’ section and ask your local GI lead for any specific details of howthey would like you to evidence your criteria. It will also make the auditquicker.

7. Uploading evidence

By clicking on the ‘view allevidence’ hyperlink within eachcriterion, you will be able to seewhat evidence has been logged inyour workbook, download it ordelete it.

Here you can download what is on the workbook or remove any files or bits of evidence you no longer want to be included.

8. Leaving Comments

You can also leave comments in the finaltab for each criterion. You can give yourteam information about what action youhave taken, or provide more details forthe auditors on why you have donesomething in a particular way.

To edit or delete your own comments, click on ‘activitylog’ on the main welcome page.

You will then be presented with a list of all thecomments that have been inputted. Click on the criterionreference you want to edit to see the comment. You canthen edit or delete your own comment – remember toclick update!

9. Using last year’s submission

If your team took part inprevious years, you can transferevidence and actions to thisyears workbook.

Click on the ‘Archive Workbook’button on the front page of theworkbook.

This archive workbook will beun-editable but will allow you toselect individual actions andevidence to migrate over to yournew workbook.

The Archive workbook will appearas a pop up tab, so you can movebetween your current and archiveworkbook easily.

The most recent past year willappear first. You can see thisfrom the title below thedropdown box. If you have takenpart for more than one year, youcan select an older year’sworkbook by selecting the datehere.

This will open a second pop upworkbook.

The workbook actionsshould appear grey – thisindicates you are in thearchive workbook and it isun-editable.

Open the criterion you would like to transfer evidence/action from.

You can choose whether to migrate ‘comments and status’ (i.e. any commentsyou made and whether the criterion was ‘Done’, ‘Not Applicable’ or Not Done),or just migrate ‘evidence’ (i.e. uploaded documents) to your new workbook.

Click the green text to choose which activity you want to migrate.

Select which criterion in your current workbook youwould like to copy the evidence and action to, and click‘migrate’.

NB: Criteria reference numbers may vary betweenyears, so the criterion reference last year may bedifferent from the criterion reference this year.

You can flick between the archive pop-up workbook andcurrent workbook to ensure you are transferring data tothe correct criterion.

You can now edit, delete and change the action in thecurrent workbook as with any evidence or action youwould complete.

NB: you cannot edit or change any evidence,comments or actions within the archive workbook.

10. Your Achievement Report

You can track your progress, see what the rest of yourprogramme and what all other participatingorganisations are achieving through Green Impact byclicking on this button on your workbook homepage.

Your Team – this will show you how you are gettingon so far this year and what award you gained lastyear.

Your Programme – this will show you what everyoneworking on your workbook is achieving so you cansee what impact you are collectively having

International Picture – this will show how manypeople are taking part, how many actions have beentaken and how many organisation are all making animpact across the UK and world!

Be aware that some of the data on yourachievement report will be updated overnightso will only be correct first thing in themorning each day. This is due to morecomplex calculations being required to gatherthis data and show it to you through thereport.

Those highlighted here will be updatedovernight. The rest will be live data.

NB: not all of these tiles may be visible toyou and your organisation – they arechosen by your programme administratorto best fit the needs of your programme.When tiles are not displayed, a grey tilewill appear in it’s place.

11. Using the Glossary

The Glossary is a list to explainterms you may not be familiarwith, or give further explanationas to why they are important.You can access our full glossaryby clicking the book icon onevery page.

Within many criteria you mayalso find hyperlinked words.Simply click on the word and itwill open the glossary in aseparate window so you can findout more about the term.

12. Downloading and printing the workbook

To help you use the workbookwith those who maybe don’t havecomputer access, or to enableyou to use a hard copy of theworkbook to plan with your team,you can print and export it.

These icons let you print theworkbook, or export each awardtype to an excel document.

Obviously we would encourage you not to print lots of copies, so hopefully theexcel function will help you use the workbook without needing to print. TheExcel function also shows you the comments and actions completed, so is a liverepresentation of your work at the point of download.

12. Sharing good practice and resources

If you have some great evidence orphotos you think others across thecountry could benefit from seeing, or ifyou would like to see what others haveproduced we have an area just for you!

Head to

www.green-impact.org.uk/team-resource-bank

and you can email through yourexamples or click to download thoseadded from others.

13. Submitting your workbook

When you are happy that you andyour team have completed asmany criteria as you can,uploaded all of the right evidenceand edited your comments to besuitable for your auditors to use,you are ready to submit yourworkbook.

Simply click on the ‘submitworkbook’ button and you will beasked for any final commentsbefore your workbook gets sent tothe Green Impact team at NUS.

You can then get excited for yourawards ceremony!
