Shipping Instructions and handling tariff

European International Fairs Ltd is pleased to provide Freight Forwarding, Customs Brokerage & On-site Handling (Drayage) Services for the above event.

We strongly recommend that you do not ship direct to the hotel as they may not have the facility to receive, store and handle your shipments. International goods that will require customs clearance can not be consigned to the hotel or your company or your staff c/o the hotel as they may not clear customs.

The following shipping instructions & tariff should contain all the information exhibitors will need to prepare and arrange the timely dispatch, delivery and return of their shipments, however should any clarification or further information be required please do not hesitate to contact us as follows:

To assist exhibitors we have nominated official partners in most countries; a list including the contact details are included. By choosing to use one of our official partners, exhibitors will benefit from accurate and prompt advice in preparing their shipments, local collection, as well as an all-in round-trip quotation - inclusive of all applicable charges.

Using Courier companies (FedEx, DHL, UPS, etc.)

We would advise you not to entrust your shipment to courier companies. Remember that couriers will have to be customs cleared, and duty/tax will be charged. There may be delays during customs clearance.

Case Marking/Packing

Goods for temporary import must be packed separately from goods which are for permanent import (literature, stationery, giveaways etc.)

Please ensure packing is suitable to allow for multiple handling, stacking, handling via a forklift or pallet truck. We recommend the use of strong, re-usable crates with screw-down lids to prevent loss or damage. Please note facilities

for empty case storage during the show may be limited and empty cases will be stacked. Please note that it is the responsibility of the exhibitor to properly pack their outbound cargo sufficiently to withstand the return transit.

WOODEN PACKAGING REGULATIONS

Fumigation & Wooden Packaging Materials ISPM 15

For ALL SHIPMENTS FROM OVERSEAS with wooden packing material, such as wood block cases, lath cases, wood pallets, wood frames, wood drums, wood axes, chocks, stow-wood, cross-ties and so on, fumigation must be arranged in the country of origin before sending the cargo to Malaysia.

Wood packing materials MUST be marked with the IPPC logo and the two letter ISO code for the country that treated the WPM. The marking must also include the unique number assigned by the national plant protection organization to the company responsible for ensuring the WPM was properly treated, and either the abbreviation HT (heat treatment) or MB (methyl bromide).

WOOD PACKING MATERIALS WITHOUT ACCEPTABLE STAMP OR NOT IN COMPLIANCE WITH THE ABOVE REQUIREMENTS MUST BE DESTROYED OR COMPULSORILY RE-EXPORTED WITH THE CARGO WITHOUT ENTRY INTO MALAYSIA.

Information for Agents Consolidating Airfreight

If you are sending 1 x MAWB with more than 1 exhibitor on it:

Each exhibitor must be on a separate HAWB.

It is not necessary to put the permanent and temporary goods for the same exhibitor on separate HAWBs.

Each ATA Carnets must be on its own HAWB.

You must supply a consolidation manifest and state on the MAWB that it is a consolidation as per the attached manifest.

Documentation/Commercial Invoices

Goods for Temporary import must be on separate invoices from goods for permanent import.

FOR TEMPORARY IMPORT UNDER OUR LOCAL IMPORT BOND

All dutiable items that are to be temporarily imported into Malaysia for the purpose of exhibition should be exempted from payment of customs duties. A fee (non-refundable) for obtaining customs bond for these exhibition goods will be charged as follows:

Customs Bond Fee 3% of CIF Value as assessed by the Malaysian Customs Authorities

Minimum charge USD 150.00 per application per exhibitor for the 1st month.

Subsequent months 2% of CIF value per month (Min. USD 150.00 per application)

These exhibition goods must be re-exported within 3 months from the date of arrival of goods in Malaysia. Otherwise, customs duties/taxes will have to be paid.

FOR PERMANENT IMPORT

It used to be that all goods were imported on a temporary basis and then items that were not reexported were accounted for using a consumption entry. Malaysian Customs have started to insist that literature and giveaways etc be imported as permanent clearance goods on arrival. Applicable to all materials for give-away and or consumption during the event, local duty and tax will be levied/pre-paid at costs plus 15% with a minimum outlay of $25.00.

PLEASE DO NOT SHIP ANY FOOD OR BEVERAGES AS THESE WILL NOT CLEAR CUSTOMS AND IF PACKED WITH YOU MAIN SHIPMENT COULD RESULT IN THE ENTIRE SHIPMENT NOT BEING CLEARED. Restricted items, such as electrical goods, will require a permit for import.

Please use the attached Excel commercial invoice to list all your materials; completion is self explanatory but if in doubt please contact John Beresford for assistance.

Please make sure that all goods sent are itemised and that they are given individual values

general terms such as giveaways are insufficient.

Tariff numbers must be supplied

All machinery must show serial numbers

If the invoice is printed in black Ink, please sign it in Blue Ink.

FOR TEMPORARY IMPORT WITH AN ATA CARNET

As Malaysia has signed up to the carnet system you may use an ATA Carnet if you wish. The goods covered by the ATA carnet have to be packed separately from any other goods you send. Goods covered by an ATA Carnet have to be sent on a separate HAWB from any othr goods you send. Only goods for temporary import can be put on the ATA Carnet.

In order to handle the carnet on your behalf we need a letter of authority on your company Letter head as Follows:

Attach the ATA Carnet to the AWB when you send your goods.

When you send the goods, please make sure that the following is attached to the AWB:

We need copies of your invoices by 22nd February 2012 in order to apply for permission for temporary import. It can take 7 working days to get customs permission for temporary import, so it is important that we have this information in advance. In case it is necessary for you to amend you invoices we suggest that you send us a drft copy invoice one week before, i.e. by 15th February, so we can check if anything needs to be changed.

Insurance

It is the responsibility of the exhibitor to arrange comprehensive insurance cover of their exhibits and other display materials, both whilst in transit to/from the exhibition, as well as whilst stored and on display there. Exhibitors should take a copy of the insurance certificate or policy document with them, as it will assist us in the event of a claim having to be made.

End of show

Please note that it is the exhibitor s responsibility to repack their goods at the close of the exhibition. We cannot be held responsible for the loss or theft of materials left unattended or unpacked. Full return instructions for your shipment must be advised to our on-site representative, or via email or fax to our office. Shipments left without any return shipping instructions or not collected by your carrier will be removed from the exhibition floor and held in our warehouse pending instructions. Please note charges as per our handling tariff will apply.

Films, Video tapes and or CDs

These must be sent via courier for censorship, to arrive with Agility in KL by 13th February 2012. Please send via courier with a covering letter to:

Please note we would advise you against hand-carrying these items into Malaysia, as they may be detained by Malaysian Customs and once detained it will be very difficult for us to clear them in time for the exhibition.

The following handling charges will apply for censorship items:

Per Courier Shipment/Courier AWB items for censorship

Minimum charge for first 2 items for censorship $ 150.00

Thereafter $50.00 per additional copy of tape/disc etc.

Note: If you send any items by courier they should be delivered already customs cleared by the courier company, with Duty/Tax billed back to the shipper. If our partner Agility becomes involved in the customs clearance of a courier shipment the charges will be increased to those in the attached airfreight tariff, and any extra charges/duties etc will be charged at cost plus 15%. This will have to be paid on site prior to release of the shipment.

We do not recommend the use of couriers for sending items to this event. We understand that sending items for censorship ids best done by using a courier. And we understand that sponsors who send items for the delegate bags will have a small amount of freight, and using a courier may be the most economic way of doing this. But Non-Literature items may well be stopped by customs and have to undergo a full customs clearance; this will cause delays, and if we become involved we will charge as though we are clearing an airfreight shipment. We do not recommend couriers for sending booth material.

Terms & Conditions of Trading

Please Note: Goods for permanent importation should be shown separately from goods for temporary importation, and should also be packed separately.

For the basis of these instructions (unless otherwise stated)

Seafreight: 1 cubic metre = 1000 kilogrammes Airfreight: 1 kilogramme = 6000 cubic centimetres The charging will be according to whichever yields the greater.

All work is undertaken at owner s risk and in accordance with our terms and conditions of trading, copy of which is available on request. European International (Fairs) Ltd acts as an agent only and does not operate its own vehicle, containers, aircraft or vessels. Where carriage is undertaken by these modes of transport it is subject to the terms and conditions of that carrier. We do not insure goods on your behalf; we recommend that you ensure that your goods are adequately covered for the movement to, the duration of and the return from the exhibition.

All rates quoted are based on current freight and exchange rates and if these change we reserve the right to reflect this in our final invoice. They are based on the suitability of available services and if this availability changes we reserve the right to adjust timings and final prices accordingly. They do not include any surcharges raised by carriers in special circumstances e.g. pallet surcharges on light but bulky shipments. All rates are based on work being carried out in normal working hours and exclude overtime, upper floor surcharges etc.

Unless specifically stated rates do not apply to hazardous, perishable or out of gauge items, or any items which require special handling; these will be subject to an individual quotation.

All goods should be received, ready packed, together with necessary documents, by our given deadline. Otherwise they may be subjected to a late arrival surcharge and/or have to fly as a separate shipment, with attendant extra costs.

Unless otherwise stated all rates exclude the following:

Marine Insurance.

Local duties and taxes.

Case fumigation

Labour and materials to re-pack (original materials will be used. Any fresh supplies are chargeable).

Customs Examination Fees.

Any official fees/charges that are imposed which are not specifically mentioned by us.

Waiting time, container demurrage, Port/Airport storage.

UK collection/delivery.

Storage before/after the exhibition.

Charges for removing waste/empty cases/unwanted stand materials.

Any full containers will be loaded/unloaded on wheels and removed from site unless otherwise instructed.

Payment

The invoiced amount is due for immediate payment. Any disputes or queries relating to invoices should be notified to European International Ltd immediately.

By placing your freight with European International Ltd, or consigning it according to our instructions, the exhibitor accepts our charges for handling, transportation and customs clearance related services, either quoted or un-quoted. We suggest that you obtain a quotation from us in advance and give us all the necessary information in advance to help us provide it.

A fully completed Order Form / Contract for Services will be required prior to commencement of work. Our intention is to invoice clients but in order to guarantee our charges we require credit card information in advance. Please send the fully completed Contract for Services Form to us before you ship your goods as we will not undertake any work on your behalf without this information. Exhibitors using our agent network will be invoiced by our agent and do not have to supply this information to us. Email the completed form to [email protected]

. A bank fee of 5% will be levied on all credit card transactions, which are billed in Pounds Sterling.

We reserve the right to demand payment before release of goods, either before an exhibition or during onward shipment from one.

Handling tariff Shipments via KUL Airport

Please note all charges are per exhibitor, per shipment in US Dollars, based on work performed during normal work hours, applicable to cargo classified as general crated/palletized cargo, and for individual pieces not to exceed 300 kilos or W120 x L130 x H195cms and which do not require any special handling.

Cases larger than these dimensions will not fit into the Hotel Elevators and will have to be unpacked downstairs and handcarried to the correct location. If this is necessary there will be extra charges payable depending on what extra services were provided.

1. Customs clearance, administration and service fees

Service/Agency Fee per exhibitor per shipment @ $95.00 Temporary import or Permanent or export clearance/documentation fee up to 3 headings @ $75.00 each Documentation Fee for entering customs entry into computer @ $18.00/page Minimum @ $54.00 AWB documentation fee per MAWB/per HAWB @ $30.00 Non-refundable bond fee inbound and or outbound 3% CIF Value Minimum bond fee @ $150.00

2. Transport and Handling 1 cubic metre = 167 kilos

Airfreight: Form arrival KL airport to delivered stand including pick up from the airport, THC, delivery to the hotel, lifting and delivery to the stand/booth, warehouse handling in and out, supervision and the removal/storage/return of empty packing materials. Rate per kilo/volumetric kilos will be $1.95 per kg/volumetric kg with a minimum charge of $495.00 per consignment.

3. LATE ARRIVAL SURCHARGE

Shipments which do not meet our deadlines for freight or document arrival will incur a 50% late arrival surcharge for import customs clearance and for transport and handling.

Other Charges:

Duty/VAT Cost plus 15% Minimum $25.00 Application for permits for restricted item from $95.00 Cost of permit $ 150.00 sometimes required for electrical and other items. Security escort if applicable $85.00 Break bulk and or 3rd party handover fees at cost plus 15% minimum $45.00 Airport storage at costs plus 15% minimum $25.00 Export packing/packing materials on request. 4. RE-EXPORT CHARGES

The handling and customs clearance charges will be the same as the import charges. Export freight rates will be by individual quotation.

5. COURIER SHIPMENTS

If exhibitors need an address to send courier shipments to they can send them to the address of our partner, Agility Logistics. Sponsors can use couriers for sending goods for inserting into the delegate bags but we cannot recommend using couriers for sending booth materials.

Courier shipments should be sent to be delivered customs cleared, with any Duty/Tax or other 3rd party charges billed back to the shipper.

If Agility Logistics has to become involved with the customs clearance then we will charge for receiving airfreight couriers as per our tariff above.

Courier shipments should be delivered to Agility Logistics on a customs cleared, duty paid basis, 4 working days before they are needed. It is the shipper s responsibility to ensure that the delivery is made in time and to chase the courier company to achieve this.

Please note that courier companies cannot clear goods on temporary import.

The charges for receiving courier shipments at Agility s office and transferring them to the venue will be as follows:

First 2 pieces - $ 150.00 Each subsequent piece - $ 60.00 Any shipments over 50kg will be subject to an additional charge of $20.00 per piece.

If your courier company uses a different AWB / Tracking number per case and we have to arrange customs clearance per AWB / Tracking Number then our charges will increase accordingly.

If you wish to re-export courier goods using a courier you should arrange this yourself. If you wish us to remove the goods to the Agility office for later collection by your courier company, the above charges will be applied again.

We will require payment in cash or by credit card in advance for the handling of courier shipments.
