IMPORTANT: DO NOT pay Western Union Business Solutions before the order is committed. Check the “MANAGE ORDERS” tab to see the status of your payment. When Western Union Business Solutions receives your payment the order is sent to your benefi ciary bank account.

Every committed order must be funded to Western Union Business Solutions via a cheque, a GIRO, or a book transfer. Late settlement will delay the payment to your benefi ciary. Should you need to cancel an order, service charges and potential FX losses may be incurred.

Initiate your payment.

View and manage all your orders.

Add or edit your benefi ciaries.

Download current and past transactions.

Change your password

1. Enter your user ID (your user ID is auto-generated and cannot be changed).

2. Enter your password.

3. Click “LOGIN.”

4. The fi rst time you log in you will be asked to change your password. You will need to use upper and lower case characters, numerals, and at least one special character, e.g., &, $, @, !, ?.

Step 1:

• Input benefi ciary name

• Use the “Familiar Name” fi eld to enter a benefi ciary nickname for your personal records.

Step 2:

• Select bank country from the drop down list

Step 3:

• Select currency. This will be the home currency of the country you have selected.

• Select a different currency if required—the system will ask you to confi rm.

• A new benefi ciary must be created for each different bank account.(Fields marked with * are compulsory fi elds)

• Click “NEXT.”

Step 4:

• Click “NEXT.”

• You may edit the records entered so far by clicking on “EDIT.”

Step 5: Provide the following details of the benefi ciary address:

o Street Address

o City

o Post Code

o Country

o Phone Number

o Notifi cation email

o Language

• You are able to add up to 3 email addresses by clicking on the ‘Add Another’ link. A different language can be set for the notifi cations sent to each email address.

• Click “NEXT.”

Step 6: Enter the bank details of your benefi ciary

There are several options that you can use, depending on the currency and sending country:

• Search by IBANThe system can help you fi nd and retrieve most banking details when you search by IBAN. An account auto-check is made when entering the account number.

• Search by bank detailJust enter the SWIFT Code and the name of the bank (fi rst word is enough) and the system will retrieve the details for you.

• Enter Bank details manuallyFor certain currencies, you need to enter bank details manually.

NOTE: the same research tools are available when you add a correspondent bank. If these details are unknown, our operations staff will pick up these payments and fulfi ll the gaps. Eventually, they may revert with additional questions.

• Click “NEXT.”

Step 7: Payment Options

For Compliance purposes, you will be required to inform Western Union Business Solutions about the type and purpose of the payment.

If you click “SAVE & PAY,” the system will ask for confi rmation “CONFIRM & PAY” and you will then be taken to the “CREATE ORDER” page.

Step 8: Save Details

• Select whether you would like to save your benefi ciary’s details and continue building up more benefi ciaries, or whether you would like to save and immediately initiate an order to the benefi ciary.

Example: If you’re importing goods, then you must select ‘Trade’ for the Payment Type fi eld, and “Trade Related Services’ for the Payment Purpose fi eld.

To inform the benefi ciary the payment is eventually for a subsequent recipient.

There are two ways you can search for a benefi ciary:

1. Using the sub tab “FIND BENEFICIARY” where all saved benefi ciaries are displayed.

2. Expand the Search option by clicking the button on upper left hand side of the page. You will then be able to search by fi lters such as Name, Currency, time period, country or when the benefi ciary was created.

Click “SEARCH.”

All of the benefi ciary’s details can be amended except the currency. Should you need to amend the bank country or the currency, a new benefi ciary must be created.

There are several ways you can pay a benefi ciary: you can select the benefi ciary from the “BENEFICIARIES” page and click “PAY” (see topic 4) or you can use the “CREATE ORDER”

NOTE: to send an invoice number or additional details to your benefi ciary, use the Notes to Benefi ciary fi eld. The Payment reference and ID are saved for your own reference and not sent to your benefi ciary.

Create a benefi ciary

Step 1: Under “Who is being paid”:

• Select the benefi ciary by typing the fi rst letters of their name or press “enter” on your keyboard

• You can view or even create a new benefi ciary if required

• Note the currency is automatically populated, based on the benefi ciary’s details

Step 2: Foreign currency amount or base currency amount:

• Enter either one of the amount that you wish to use.

• Type in the amount, expressed in either the benefi ciary’s currency or your local currency (see Settlement currency at the top left of the screen shot above)

Step 3: Select currency

• Currency is the home currency of the bank country you selected.

• Select a different currency if required—the system will ask you to confi rm.

• A new benefi ciary must be created for each different bank account. (Fields marked with * are compulsory fi elds)

Step 4:• GlobalPay Lite can provide real time foreign exchange rates. The system can provide pricing for

an order at any moment. You can also leave a pending order and get a re-quote at a later stage if necessary. Use the “MANAGE ORDERS” tab to check your pending orders.

• Once quoted, an order may be saved as a template for subsequent use. If needed, you can discard a pending order and start a new order.

Step 5: • Select “SUBMIT FOR APPROVAL” if authorized personnel are required to approve payments.• Or select “SUBMIT” if you are an Approver or a Super User.

ATTENTION: if you select “SUBMIT” your order will be committed.• If the order is submitted for your approval: Go to the “MANAGE ORDERS” tab, click on the sub-tab

and on the “+” button to expand the order and review it.

From here you may:• “PRINT ORDER DETAILS” if not committed, the foreign exchange rate is for information only.• “REJECT” the current pending order (order is deleted). It is mandatory to provide a reason for the rejection,

you will need to click “REJECT” a second time to process the request. You may partially reject a line item inside an order by using the arrow.

• “REQUOTE” the order and “PLACE THE ORDER” to complete. ATTENTION: order is now committed.

From here you may:

• “VIEW” the order so you can get a new quote, make an “EDIT,” “ADD PAYMENT,” or “DELETE” the order.

• “PRINT ORDER DETAILS” if not committed. Foreign exchange rate is for your information only.

At any time, while on the “MANAGE ORDERS” page, you can click “REFRESH” to review current status of the order.

There are two ways to create an order:

• Using the “CREATE ORDER” tab.

• By fi nding a benefi ciary.

Topic 6 – Create an Order

Step 1: Click on the “CREATE ORDER” tab

Step 2: Under “Who is being paid”:• Select the benefi ciary by typing the fi rst

letters of their name or key “enter” on your keyboard for a drop-down list.

• You can view or create a new benefi ciary if required.

Step 3: Currency• This is automatically populated based on the

benefi ciary you have selected.

Step 4: FX amount • Enter in the payment amount.

Step 5: Select “ADD PAYMENT”:• If you are making multiple payments you can

use the “ADD” button.

Step 6: Select “GET QUOTE” to price your order

Step 7: Select “SUBMIT”• The order is submitted for processing to

Western Union Business Solutions and its status changes to ‘Processing’. Use the “MANAGE ORDERS” tab to see the status of your payment.

• When processing ends the status of the order automatically changes to ‘Committed’. Use the “MANAGE ORDERS” tab to see the status of your payment.

IMPORTANT: DO NOT pay Western Union Business Solutions before the order is committed.

• Once the order is committed, you will receive an email with the Western Union Business Solution bank information along with instructions on how to make the payment to Western Union Business Solutions.

► If you have setup Direct Debit, you will receive an email with the order details and information on the account being charged.

• Make a WIRE transaction using the Western Union Business Solutions bank details provided on the email you received.

IMPORTANT: Make sure to provide the Order ID as the reference number on the WIRE transfer.

• When Western Union Business Solutions receives your payment the funds are sent to your benefi ciary’s bank account.

All transactions can be grouped and sorted by:

a) Status

b) Order number

Status of your transactions

If you are a ‘preparer’, the “MANAGE ORDERS” screen will look like the below with 1 single tab showing “ALL TRANSACTIONS.”

As an approver or a super user, the “MANAGE ORDERS” will look like the below, with 2 tabs: “AWAITING APPROVAL” and “ALL TRANSACTIONS”

NOTE: Click on the “+” button to view order details. You can view, print or resume an order if saved. An audit trail is also available.

Topic 7 – View your Transactions

COMMITTEDOrder is confi rmed and Western Union Business Solutions is currently processing the payment. At this stage, you may write a cheque or issue a wire to fund the order.

QUOTEDA foreign exchange rate has been received from GlobalPay Lite and the order is still pending. Your action is required should you need to proceed with the payment.

PROCESSINGGlobalPay Lite is currently checking the order. No action required.

AWAITING APPROVALThe order has been submitted for approval to authorised personnel in your company. Action is required.

Step 1: Select date range using calendar

Step 2: Fill in the relevant details under

• Order No

• Branch code

• Account number

• Benefi ciary

• Min and max amount

Step 3: Select output to receive your report as a CSV fi le for further data sorting

Step 4: Select “PROCEED” and download the report into a fi le compatible with Excel.
