Stages of installation on the network

Installing the EX/i Print Server on a network requires configuring the network environment, connecting the EX/iPrint Server, preparing computers for printing, and administering the EX/i Print Server after installation.Configure the network and servers, and ensure that there is a live network connection before you configure networksettings in Setup. This allows the EX/i Print Server to query the network for zones, servers, and server-based queues.Whenever you change the configuration of the EX/i Print Server, printer, or network at your site, alter the settings tocorrespond to the changed environment. Changing network or port settings may require that you make changes toother Setup options, as well.

1 Configure the network environment.Configure network servers to provide users with access to the EX/i Print Server as a network printer. Forinformation about configuring network servers in Windows and UNIX network environments as they relatespecifically to the EX/i Print Server, see Windows networks on page 17 and UNIX networks on page 17. Forinformation about using your network, see the documentation that accompanies your network.

2 Physically connect the EX/i Print Server to a functioning network.Prepare a network node for the EX/i Print Server. Obtain cable, route it to the location where the EX/i PrintServer is to be installed, and attach the cable to the network connector of the EX/i Print Server. For details, see Connector panel on page 18.

3 Set up the EX/i Print Server.Configure the EX/i Print Server for your printing and network environment according to the information in thisdocument.

System requirements

We strongly recommend that you review all system requirements before you set up the EX/i Print Server.

Levels of access and control

When you configure the EX/i Print Server during initial setup, you implement a particular level of control byconfiguring users and groups, print connections, and access to WebTools.

Users and groups

Use Configure to create users, assign passwords to users, create groups with specific privileges, and assign users tothe groups.Several groups are provided by default, and you can create new groups. All users in a group have the same privileges. In addition to assigning the users to a group, you can add users from your organization’s global address list if youenable LDAP services on the EX/i Print Server. The following topics are an overview designed to help you prepare asecurity strategy. You can view detailed information about users and groups in Command WorkStation. For more information, see Command WorkStation Help.

User authentication

The term “user authentication” means the EX/i Print Server verifies that the user who is sending a job belongs to agroup, and the group has printing privileges (“Print in B&W” or “Print in Color and B&W”).You can control user authentication from Configure in Security > Printing Privileges. Note the following:

• By default, Allow printing from is set to All users, meaning authentication is not required and anyone can sendjobs to the EX/i Print Server. Even if you assign passwords to users and assign users to groups, authentication isnot required.

• If you set Allow printing from to Authorized users, users must enter their user name and password in the printerdriver when they print. Users must specify their user name and password if they create files from the printerdriver for printing later (such as an email attachment that is sent to the EX/i Print Server).

Note: You cannot enable EX/i Print Server authentication and printer authentication at the same time.Because jobs that are sent through FTP do not require a printer driver, you can specify that FTP jobs areauthenticated. In Configure, see Job Submission > FTP Printing > Require Password for Printing).

Fiery passwords

Use Configure or Fiery Setup Wizard to manage passwords. When you create a user in Configure in User Accounts, you can set a password for the user. Set passwords for theAdministrator (default user in the Administrators group) and Operator (default user in the Operators group) inConfigure in Security. You can also set a password for the Administrator during initial setup with the Fiery SetupWizard.

Important: The default Administrator password is Fiery.1 (case-sensitive). We strongly recommend that youchange passwords periodically to protect the EX/i Print Server from unauthorized changes. For more information, see

• About Fiery Setup Wizard on page 31

• Administrator privileges on page 12

• Operator privileges on page 13

Operating system password

Note: The information in this topic applies only to the EX Print Server.Since the EX Print Server is a Windows-based system, a password for the Windows operating system is required. You must enter the operating system password when you access the EX Print Server from the Fiery AdvancedController Interface (FACI) monitor (if available) or from Remote Desktop. The operating system password is separate from the Administrator and Operator passwords (see Set the operatingsystem password on page 47).

Important: The default Windows operating system password is Fiery.1 (case-sensitive). It is strongly recommendedthat you change passwords periodically to protect the EX Print Server from unauthorized changes.

Administrator privileges

Users in the Administrators group have the highest level of control.Administrator privileges include:

• Configuring the EX/i Print Server from Configure

• Adding and deleting users and groups

• Setting and changing passwords for users

• Deleting, printing, exporting, and viewing the Job Log

• Deleting, viewing, and modifying users’ print jobs

• Clearing the EX/i Print Server of all job data

• Printing black-and-white or color jobs

• Publishing print connections

• Adding and deleting fonts

• Controlling print jobs from the job management tools

• Overriding job settings

• Setting default settings for print options

• Saving, editing, publishing, and deleting Server Presets and Virtual Printers

• Calibrating the EX/i Print Server

Operator privileges

Users in the Operators groups can controls print jobs from job management applications.Operator privileges include:

• Printing, exporting, and viewing the Job Log

• Deleting, viewing, and modifying other users’ print jobs

• Printing black-and-white or color jobs

• Clearing the EX/i Print Server of all job data

• Calibrating the EX/i Print Server (if allowed by the administrator)

Guest privileges (no password)

Users do not need a password to log on as a Guest from job management applications.Guests can view the status of active jobs but cannot make changes to jobs or to the EX/i Print Server state.

Print connections

Several print connections are available, which determine how users can submit jobs to the EX/i Print Server andsubsequently the printer.

Note: To use utilities and WebTools, you must enable at least one print connection. The following print connections are available:

• Hold queue on page 14

• Print queue on page 14

• Direct connection on page 14

• Sequential Print on page 15

Note: This feature is supported only on the EX Print Server.

Turn print connections on or off from Configure, see Job Submission > Queues. To specify Sequential Print settings from Configure, see Job Submission > Sequential Print. All published print connections are constantly checked for the presence of jobs. The Print queue and DirectConnection give users more direct access to the EX/i Print Server than the Hold queue. Therefore, do not publishthe Print queue and the Direct Connection in environments where maximum control is required.

Hold queue

Jobs sent to the Hold queue are spooled to the EX/i Print Server hard disk drive for printing at a later time, or forreprinting.Because the Hold queue is a storage area, jobs sent to it cannot proceed through the printing process until theoperator intervenes using the job management tools.

Print queue

The Print queue is the standard EX/i Print Server queue. Jobs sent to the Print queue are processed and printed inthe order in which they are received.Jobs prioritized by an operator with the job management tools and jobs sent via the Direct connection take priorityover jobs sent to the Print queue.

Direct connection

The Direct connection transmits jobs directly to the EX/i Print Server, but only when the EX/i Print Server is idle.If the EX/i Print Server is busy, the job remains at the user’s computer until the EX/i Print Server is ready. The job isthen processed as soon as the previous job is finished and before the next queued job is processed. The Directconnection is intended for downloading fonts and for use with test applications that require back channelinformation from the EX/i Print Server. Generally, it is not recommended that you use Direct connection to printjobs.

Note: To download fonts to the EX/i Print Server, you must first publish the Direct connection.

Important: In most cases, jobs sent to the Direct connection are not stored on the EX/i Print Server and cannot beselected for reprinting, moving, or deletion. Therefore, the Direct connection provides a measure of security forsensitive files. Jobs sent to the Direct connection do appear in the Job Log, for accounting purposes. However, for fullsecurity, it is recommended that you use Secure Erase. Some jobs sent to the Direct connection cause temporary files to be stored on the EX/i Print Server. This may occurwith the following types of jobs:

• PDF jobsPDF jobs are redirected to the Print queue. However, PDF jobs sent to the Direct connection via LPR can beprinted.

• TIFF jobs

• Freeform jobs

• VDP jobs

• Jobs with the following settings:

• Reverse order printing (for large jobs)

• Booklet Maker

• Mixed Media

• Combine Separations

• Paper Catalog

Sequential Print

Note: This feature is supported only on the EX Print Server. The Sequential Print queue retains the order in which a group of jobs are sent to the EX Print Server. In order to beconsidered as part of the group of jobs, the jobs must be sent before the timeout elapses. They are then processedand printed in the order in which they are received by the EX Print Server. To specify Sequential Print settings, see Configure > Job Submission > Sequential Print.Although the EX Print Server attempts to retain the order of jobs sent to the Sequential Print queue, users candisrupt the printing order with any of these options or actions:

• Rush Print

• Print Next

• Process Next

• Suspend on Mismatch

• Preview

• Hold

• Send a job to the Direct connection

Cancel a job from the sequential printing group Sequential Print jobs are not supported for these protocols:

• FTP printing

• E-mail printing

• IPP printing

Jobs print without a cover page even if Cover Page is selected.

Additional security features

In addition to traditional security features such as passwords, you may want to use other features to improvesecurity.

• E‑mail access

• IP addresses and ports

• Secure Printing

• LDAP authentication

Controlling email access to the EX/i Print Server

Because you can allow users to print file attachments in email messages sent to the EX/i Print Server, the EX/i PrintServer accepts only valid attachments (for example, PostScript or PDF files).Typically, viruses transmitted via email require execution by the receiver. Attachments that are not valid files arediscarded by the EX/i Print Server. Because file types such as .BAT, .VBS, and .EXE can cause virus activity, the EX/iPrint Server does not process these file types. The EX/i Print Server also ignores e‑mails in RTF (Rich Text Format)or HTML (Hypertext Markup Language) format, and any included JavaScript code. You can define lists of authorized email addresses on the EX/i Print Server. Any email that the EX/i Print Serverreceives from an email address that is not in the authorized list is deleted.

Restricting IP addresses and ports

To restrict unauthorized connections to the EX/i Print Server, you can permit only users whose IP addresses arewithin a defined range. You can also close unnecessary ports to reject inbound access from the network. Commands or jobs sent fromunauthorized IP addresses or ports are ignored by the EX/i Print Server.

Secure Printing

This option allows the printing of highly sensitive or confidential files.A user printing a file with the printer driver assigns a password to the job. The user must then enter the password atthe printer control panel to print the job. For more information, see Printing.

LDAP authentication

When LDAP communication is enabled to retrieve names and other information for people at your site, you canspecify the type of authentication. For more information, see Command WorkStation Help.

Network requirements

You must configure network servers to provide users with access to the EX/i Print Server as a network printer. Before you install the EX/i Print Server on the network, it is strongly recommended that you read Stages ofinstallation on the network on page 10. One of the steps is to configure your network environment.

Network protocols

When the EX/i Print Server is connected to a network, it behaves as a networked printer. The EX/i Print Server supports the following network protocols:

• TCP/IP, which also includes the DHCP, FTP, HTTP, IMAP, IPP, IPv4, IPv6, LDAP, LPD, LPR, NBT, POP3,Port 9100, SMB, SMTP, SNMP, SNTP, and SSL/TLS protocols

• AppleTalk (for font downloads only), Bonjour

These protocols can run concurrently on the same cable. Computers that use other protocols can print through aserver that uses one of the supported protocols. The EX/i Print Server automatically switches to the correct protocol, and handles all connections simultaneously.

Windows networks

You must configure the EX/i Print Server to work with Windows network.

The EX/i Print Server requires a valid IP address, subnet mask, and gateway address

Type these addresses manually or use the DHCP protocol to assign them dynamically. Make sure the EX/i PrintServer name and address are listed in a domain name server (DNS) or hosts name database used by your system. If more than one EX/i Print Server print connection is published (for example, if both the Print queue and Holdqueue are published), consider creating a printer for each print connection, so that users can print to eachconnection directly.

Configure the EX/i Print Server with the correct Windows domain name

This is especially important for Windows printing, also known as Server Message Block (SMB) printing. To useMicrosoft Active Directory, you must assign the EX/i Print Server to a domain. If you assign the EX/i Print Server toa workgroup, you cannot use Microsoft Active Directory.

AppleTalk networks (only for font download support)

AppleTalk networks support only font downloads, if you enable AppleTalk. To allow Mac OS computers to access Bonjour printers, you must enable Bonjour. You can find related settings in the following locations:

• In Configure, see Network > AppleTalk.

• In Configure, see Network > Bonjour.

UNIX networks

You must configure the EX/i Print Server to work with UNIX networks.Note the following information about using UNIX networks with the EX/i Print Server:

• When you configure a UNIX workstation with the lpr protocol and connect to the EX/i Print Server over aTCP/IP network, you can print directly to the EX/i Print Server.

• Setting up UNIX workstations requires an administrator with root privileges. After the initial configuration,UNIX users submit print jobs to a named printer.

• The EX/i Print Server is a printer controller that understands lpr protocols.

• The EX/i Print Server has a remote printer name that you must use in order to communicate with it successfully.

Regardless of the UNIX workstation you use, the name that you use for the remote printer (or rp in the /etc/printcapfile) in configuring the network for the EX/i Print Server must be one of the following:

• print

• hold

• direct

• name of virtual printer

• sequential

Computers on a TCP/IP network can print directly to the EX/i Print Server as a remote printer, or can print to aWindows Server 2003/Server 2008/Server 2008 R2/Server 2012 server or UNIX workstation acting as a print server.

Connector panel

You must physically connect the EX/i Print Server to the network with a network cable. Before you install the EX/i Print Server on the network, it is strongly recommended that you read Stages ofinstallation on the network on page 10. One of the steps is to physically connect the EX/i Print Server to the networkwith a network cable. Use the network port on the EX/i Print Server.

Securely clearing job data

The Secure Erase feature provides a high level of document security by clearing job data from the EX/i Print Serverhard disk drive after a job is deleted. Each job data file is overwritten three times, which prevents recovery with disk recovery tools. The algorithm foroverwriting data is based on the DoD specification US DoD5220.22M.

Configure Secure Erase

You can enable Secure Erase in Configure if the feature is supported on the EX/i Print Server. Before enabling Secure Erase, verify the following:

• Make sure that the information screen on the EX/i Print Server control panel displays Idle. If Printing orRIPping appears, the EX/i Print Server is processing, and you must wait until the system finishes and reachesIdle.

• Print a Configuration page and check if Secure Erase is not already enabled under Security Setup.

1 In Configure, as Administrator, click Fiery Server > Security > Secure Erase and then select Enable Secure Erase.

2 Click Save.

How Secure Erase works

When a job is deleted from the EX/i Print Server, the job cannot be viewed or retrieved using software provided withthe EX/i Print Server. However, if the job was spooled to the EX/i Print Server hard disk, elements of the job mayremain on the hard disk and can possibly be recovered with disk recovery tools.Secure Erase clears job data securely from the hard disk after a job is deleted. When data is getting cleared, each jobfile is overwritten three times.Secure Erase applies to jobs only after they have been deleted. It is not recommended to enable Secure Erase only on a single-file basis. Keep Secure Erase enabled at all time toensure that data security is properly enforced.

Job deletion

When you enable Secure Erase, the feature is applied whenever a job is deleted from a queue or when a user deletes ajob.A job can be deleted in the following ways:

• A job is automatically deleted from the Printed queue after the queue is full.

• A user deletes the job from the Hold queue.

• A user deletes the job from the Printed queue.

• A completed print job is sent to the Direct connection.

• A scan job expires based on the scan configuration setting.

• A job is deleted when the user performs any of the Clear Server functions.

• A user prints or deletes a Secure Print job.

Jobs not affected by Secure Erase

When you enable Secure Erase, the feature does not apply to a deleted job depending on whether Secure Erase isenabled, where the jobs are located, and how the jobs are submitted.Secure Erase does not apply to jobs in the following circumstances:

• Jobs deleted before Secure Erase is turned on

• Jobs located in systems other than the EX/i Print Server:

• Copies of a job that are sent to another EX/i Print Server (“load balancing”)

• Copies of a job that are archived to media or network drives

• Copies of a job that are located on user computers

• Pages of a job that are merged or copied entirely into another job (for example, Fiery Impose jobs or PDFs thatare otherwise merged)

• Jobs submitted through the following methods:

• FTP server

• SMB connection

• Portions of a job that are written to disk because of disk swapping and disk caching

Additionally, note the following about Secure Erase:

• Job Log entries are not deleted unless the administrator uses the Clear Server feature to delete the entire Job Log.

• If the EX/i Print Server is manually powered off before the deletion of a job is finished, the job may not be fullydeleted. To determine whether job deletion has finished, verify the status in Command WorkStation.

VDP search path

Note: This feature is supported only on the EX Print Server.A file search path specifies where common VDP resources (for example, PostScript images and fonts) are stored, ona network computer or on the EX Print Server. The EX Print Server searches predefined paths until it finds thenecessary resources. If the resource is not found, the job fails. The EX Print Server searches paths for VDP resources in the following order:

• Path that the user specifies in the job

• Paths that you define in Configure for common global objects

• Path that the application specifies for VPS or PPML resources when it generates the data stream

For any of these paths, the EX Print Server searches the folder, and then the subfolders within that folder. After theEX Print Server locates the first resource, it attempts to locate the second resource in the same folder. If the secondresource is not found in the same folder, the EX Print Server searches according to the original order.

Set common global search paths

Set the file search path for VDP objects in Configure. Inform users of the paths that you specify so that their jobs canaccess the resources.1 In Configure, as Administrator, click RIP > VDP and then click Add.

2 In the Add Path dialog box, enter a path in the Common Global Path field. For example, use the format of amapped drive (for example, Z:\folder) or a UNC (for example, \\computer name\folder.

3 If the path is located on a computer that requires authentication, select Remote Server Authentication, enter theappropriate user name and password, and click OK.

4 If needed, add more paths.

5 Click Save.

User-defined search paths for a single job

A user can enter a single search path when the user sends the job from a Windows printer driver, or when someonelater overrides the job to include a search path. The path must be fewer than 256 characters, and in the format of a mapped drive (for example, Z:\folder) or a UNC(for example, \\computer name\folder).To use a mapped drive, it must be recognized by the EX Print Server. For example, if the user specifies a path on theuser’s computer (for example, C:\My Documents\VDP), the EX Print Server assumes this is the C:\ drive on the EXPrint Server. In another example, if “Z:” is a network drive that users access on their network, the EX Print Serverdoes not know the location to which “Z:” refers. Therefore, you must map a drive so that the EX Print Server alsorecognizes the location where resources are stored.

Map a network drive

Note: The information in this topic applies only to the EX Print Server. To map a network drive to the EX Print Server, you must access Windows through either the Fiery AdvancedController Interface (if available) or Remote Desktop. This task is an example of how to map a network drive and is specific to Windows 7 only. For information about howto map network drives on other operating systems, refer to the Help for that operating system.

Maintaining optimal EX/i Print Server performance

The EX/i Print Server does not require maintenance. In addition to servicing and maintaining the printer andreplenishing consumables, you can improve the overall performance of your system by regularly monitoring theperformance of the EX/i Print Server.

• Make the best use of your network connections.Publish only connections that will be used. The EX/i Print Server constantly checks all published connections, even if they are inactive.Review the published connections by printing a Configuration page. Eliminate the connections that are not beingused. It is easy to re-establish them when needed.

• Leave less urgent jobs to times when there is less network traffic or printing. You can print recurring print jobs or jobs that are not urgent to the Hold queue. At low-traffic times, theadministrator or a user of the job management tools with Operator privileges can move (or copy) all the Holdqueue jobs to the Print queue for printing.

• Reduce unnecessary network communication.Large numbers of users running Fiery utilities, especially with frequent updates, may have a significant effect onEX/i Print Server performance.

• Make sure that you have adequate disk space on the EX/i Print Server.Periodically review the list of jobs in the Hold queue, and the number of jobs being retained in the Printed queue.

An administrator can print or delete jobs that are in the Printed queue and Hold queue. Consider printing oroffloading inactive jobs. If disk space on the EX/i Print Server is frequently low, you can disable the Printed queueand choose not to publish the Hold queue (in Printer Setup). To move or remove queued jobs, use the job management tools. When you free up disk space by removing inactivejobs, new jobs are spooled and printed more quickly.
