When it comes to Technology or Equipment…

Technology is NOT the “Need”.

Tools are only a portion of a total solution you are implementing.

Whether it is graphing calculators,  computers, projectors or internet infrastructure – the tool is simply a means to achievean educational goal.  EX – graphing calculators are needed to allow students to perform complex calculations, to simulate and explore math and science concepts, and to build models of  those concepts.

A few reminders:‐ Be sure the technology supports the grant– Don’t just add technology for the sake of adding it.

‐ Are you eligible for the grant? 

‐ Is there a collaboration/partner component?

‐ Are there matching requirements? How will those be met?

‐ Is the application a large commitment of time and effort? Do you have the time? Is the deadline too soon?

‐ Do you know anything about the funder? Is there a track record with them?

Who can help you write your proposal?   

   Review your proposal? (Include at least 1 person that is not in the field of education)  

   Does your proposal have legal documents required such as Conflict of Interest, Lobbying, etc? If yes, what is your district legal counsel’s turn‐around time on document review and approval?  Who is your contact?

           Who will manage the funds – track spending, gather in‐kind and or match documents and ensure match is fulfilled?        Who will manage implementation of project goals?        Who will track and/or evaluate project success?  Will this person also be creating reports to disseminate results?            If your project requires uses of facilities after normal hours, do you require janitorial staff?        Will there be a facilities usage fee?  Electric or food related fees?

   Is MATCH required?  

Match can be a dollar for dollar match requiring actual cash money at varying rates . Some are dollar for dollar meaning if grantor gives you $100 and you (and/or partners) have to meet that with $100 of your own.  If partners are NOT required, your match can come from your partners – grantor gives $100, you get $100 from your partners.  If partners are required to also meet match it would be $100 from grantor, $100 from you, $100 from each partner.  Some are dollar for dollar at a percentage for match meaning if grantor gives you $100 and the percentage for match is 10%, then you (and/or partners) will need to meet that with $10 of your own. If partners are NOT required, your match can come from your partners – grantor gives $100, you get $10 from your partners. If partners are required to also meet match it would be $100 from them, $10 from you, $10 from each partner.  Some Match requirements call for in‐kind.  In‐kind is where match is paid in goods, commodities, or services instead of money. The Grantor gives you $100 and you donate $100 in consumables needed by the project, or your partner provides $100 in materials or services.  If in‐kind match is required from you and/or your partners, you and your partners will need to use standard rates and in‐kind guidelines to meet the match and will need to include documentation that records the match.    GRANT MATH School A applies for a grant for a coding camp with an in‐kind match for the school and for 3 partners.  The grantor will provide $5000 in funds, but requires the grantee and at least 2 partners to each provide a 20% match in in‐kind .  The grant project will be using a classroom afterschool for 5 days and the school’s expenses for the use of the room after school would normally be $100 per day to cover electricity and a cleaning fee.  The grantee has 2 teachers that spend 2 hours after school running the coding camp project (NOTE – these are NOT hours included in the normal workday).  The standard value in Tiny Town, GA for an hour of a teacher’s time is $50 per hour with an allowance of 23% for benefits.  The partners:  Bob’s Big‐town Groceries is providing $1000 in snacks, paper goods, and other consumables for the coding camp; Texas Instruments is providing 15 TI‐Innovator Kits at an MSRP of $93.00 per kit.

 Documents needed to include this in‐kind in the proposal – Letters of Support from each partner that outlines their understanding of your intent with the project, their support of your project and what they will provide or the total value/amount of in‐kind they will provide should you be awarded.  At the end of the grant, you will need an in‐kind report from each partner that details what was provided as in‐kind with the date provided and the in‐kind value.  You will also need to include receipts/invoices for any purchases made with the grantor’s funds.   

Resources already available and are there costs associated with using them?  ie… if you run a science program after school and use the science lab equipment – beakers, test tubes, etc… there is typically no cost to use these existing tools, but the room itself, or janitorial services, electric, or consumables typically do.        Identify what resources are available at no cost.         Identify what resources are available that have a cost.  Who can you contact to find out costs?     How much time does the reporting for the grant require?   Does the grant have a specific reporting format?

Proposal Components – the majority of all grants have these basic components: 

The Executive Summary (Abstract) – This is the Big Picture Summary of your Proposal – WRITE LAST 

 

 

 

 

 

The Statement of Need –  

• Presents the facts and evidence of the need. 

• Establishes knowledge of the problem and solutions. 

• Supports the case with research, experience (yours, experts). 

• Highlights why your solution is unique and likely to succeed, or highlights how your existing solution is successful and 

needs to expand. 

 

 

 

 

The Project Description – A picture is worth a thousand words – help the review to really “see” what you are proposing 

• Objectives – what are your goals? 

 

 

 

 

• Methods – how do you intend to meet those goals? What is the timeline? 

 

 

 

 

• Staffing/Administration – who is doing what? 

 

 

 

• Evaluation – how will you determine if you are successful?  What are the milestones? 

 

 

 

• Sustainability – How will you keep it going when their money is gone?

  The Budget ‐ Your budget should be a line item description of all expenses related to your proposal including staffing costs, 

consumables, and technology.  It should also report any in‐kind services with dollar amounts your project would receive 

from any partnerships.  See the sample budget included in the session packet. 

 

 Organizational Information ‐ In two pages or less.  Pull from Writing Assignment #1 

• Describe your school and/or class; state its mission, being certain to demonstrate how your proposal fits within or extends that mission; and describe the organization's structure, programs, leadership, and special expertise.  

• Provide details on the staff, including the numbers of full and part‐time staff, and their levels of expertise.  Focus especially on the staff that will be participating in your proposal and why they were selected.  

• Describe the audience you serve, any special or unusual needs they face, and why your proposal is needed. Cite the number of people who will be reached through this proposal.  

 

 

 

 

  Proposal Letter – Similar to the Executive Summary only in shorter form – sometimes this may also be called your LOI or Letter 

of Intent that is submitted prior to being invited to submit a proposal.  ie – the grantor wants to get a taste of what you 

will ask for to see if they want to read a full proposal and/or make you complete a full proposal.  This may take the place of 

the Executive Summary in smaller grant applications. 

The components of a good letter proposal:  

•   Ask for the gift: State why you are writing and how much funding is required from the particular foundation.  •   Describe the need: Tell the funder why there is a need for this project, piece of equipment, etc.  •   Explain what you will do: Provide enough detail to pique the funder's interest. Describe precisely what will take place 

as a result of the grant.  •   Provide agency data: Include your mission statement, brief description of programs offered, number of people served, 

and staff, volunteer, and board data, if appropriate.  •   Include appropriate budget data.  •   Close with a strong concluding statement.

How much detail should you provide? Usually you should include enough information to illustrate how you arrived at the amount requested. For example:

Itemize "other" and provide enough info for a clear picture of how funds contribute to the project.

Indirect costs:  Thes e are the institution's costs which are not readily identifiable with a particular project or activity, but nevertheless are necessary to the general operation of the institution and the conduct of the activities it performs.  The funding agency's application materials will state if it allows inclusion of indirect costs.  For more information on indirect costs, contact the Grants/Project Mgmt Office.

Matching funds:  Some funding agencies will call for the applicant to contribute toward the proposed project, either in the form of cash or in‐kind services or items.  For more information on matching funds, contact the Grants/Project Mgmt Office.

Project revenue:  Some funding agencies require applicants to show anticipated project revenue, which may be from other funding sources, ticket sales, or matching funds, and may include in‐kind or cash support.  Revenue status may be "committed" and/or "pending."  Contacts Grants/Projects Mgmt for more info.

TIPS AND TRICKS WITH MSWORD  1.  SELECT TEXT QUICKLY You can triple click anywhere within a paragraph to select the entire paragraph in Word.  Or press the CTRL Key and click anywhere within the sentence to select the entire sentence.    You can also select rectangular blocks of text in a Word document, similar to the marquee tool in Photoshop, and apply formatting to the selected area.  Hold down the ALT Key and drag your mouse to select any rectangular area.        2.  THE EXTENDED CLIPBOARD Word has a useful “Spike” feature that you can use to cut (move) text and images from multiple locations in a document and paste them all at once to a different location.    To use Spike, select some text, images or other objects in your document and press CTRL + F3 to move that selection to the Spike.  You can highlight and append more entries to the same Spike using the CTRL+F3 shortcut.  Now press CTRL + Shift + F3 to paste the content of the Spike anywhere in the document.   Word document, similar to the marquee tool in Photoshop, and apply formatting to the selected area.  Hold down the ALT Key   3.  WRITE ANYWHERE ON A PAGE  You can write anywhere on the page in a Word document.  Just double‐click wherever you want to type your     text and start writing.  4.  CONVERT TO PLAIN TEXT When you copy snippet from a web page into Word, all the styles and formatting are retained.  There is an easy way to remove the styling from any block of text in Word – just select the block and press CTRL + Space Bar and the rich text will be transformed into plain text.

 6.  PLACE HOLDER TEXT  There is a Lorem Ipsum generator built inside Word to help you insert filler text anywhere inside a document.  Type =rand(p,l) and press Enter to insert ‘p’ number of paragraphs each having ‘l’ lines.  For instance, =rand(2, 3) will generate 2 dummy paragraphs with 3 lines each. Place holder text is helpful when working on different sections throughout a document or when multiple people are writing various sections.

8.  WORD COUNTS, READABILITY, AND OTHER PROOFING TOOLS  For writing tasks that have word, paragraph, or sentence limits, using the Proofing tools can save lots of time.  To select the types of proofing tools you want active at the beginning of a new document, click on FILE ‐> Options ‐> Proofing and then select the proofing features you want working from the start such as spell check or grammar check.  If you need to make sure that what you are writing is at the appropriate level of the reader, be sure to check mark the READABILITY STATS as this will give you data on the Flesch‐Kincaid grade level and Reading Ease.    

The Review tab will also have shortcuts to spelling and grammar, research, Thesaurus and Word Count stats.  You can also find the word count in the lower left corner of the document.  Proofing errors will also show up here.   

    

If you have multiple reviewers sending you document edits, you can also use COMPARE under the REVIEW Tab on the ribbon which will allow you to either COMPARE versions or COMBINE versions.    

 Below is an example of COMPARE.  Open one version of the document, click on Review then click on REVIEW and select COMPARE (this is a helpful tool especially when comparing edits made to a legal document.                  The next example is of the COMBINE feature.  Both documents are combined to make one final version with the  edits marked on the sides.
