How Topage 2

This how-to article shows you a quick way to customize the views of lists in your Magaya Explorer and make it easier to find information. For example, you may need to create a list to view one consignee at a time. We’ll also look at how to make a report for an individual shipment.

Steps:

Go to: Warehousing > Shipment List 1.

Filter the list to see the information you want such as a list of just one consignee. 2. Select to include the Masters or Houses.

Save the filtered list so you don’t have to reset the filter conditions again: Click the 3. blue star on the top of the list, and select “Save this View”.

Give the list view a name in the dialog box:

To find the list view later, click the dropdown next to the star.

Views can be created and saved in any list. The list view can be printed, exported as a PDF via the “Actions” button, or emailed as a PDF or in HTML format by clicking the “Email” button.

Shipment Reports

To create, save and send a report about a specific shipment, use the options in the Actions list for the shipment. For example, see all the VINs for cars in containers and save the report.

Go to the shipment you need.1.

Click “Actions” and select the report option you need. The report screen opens in 2. a separate tab in your Magaya Explorer. You can click back and forth between the report screen and the shipment screen without closing the report.

The options in this reports menu enable you to group cargo in different ways to see the items per shipper, supplier, consignee, etc. View the House listing or create a cargo manifest report.

Choose the columns you want in your report by clicking the “Actions” button at the 3. bottom of the report menu.

Customize the report by clicking the “Configure” button on the bottom toolbar. 4.

Save the report by clicking the “Save” button on the bottom toolbar. Any reports you 5. create in the future can use the same configurations you saved.

All saved shipment reports are available from the “Saved Reports” menu via the “Actions” button in the Shipment. You can print, email or send a report through the Magaya Network.

Africa 2000 Inc. of Houston works closely with their office in Dakar,

Senegal, and agents on the West Coast of Africa who receive

shipments at ports such as Lagos, Luanda, the Port of Onne, Malabo,

Tema, Pointe-Noire, and other locations. After the cargo arrives, Africa

2000 unloads ships through stevedoring services they provide using

approximately 30 trucks and trailers operating at the Port of Dakar.

They also move cement, iron ore, and other raw materials up and down

the coast of West Africa via charter vessels.

Typical cargo they ship includes oil field equipment, drill pipes, pumps,

engines, trucks and trailers. Commercial vehicles are also needed in

this region where industry has expanded in pursuit of many natural

resources such as oil, diamonds, coal, copper, gold, and more.

Sharing information between offices helps the staff of Africa 2000

ensure quality service for their customers worldwide. Since the

region can experience political instability which can lead to service

disruptions, the staff at Africa 2000 is ready to present alternatives to

their customers either by re-routing shipments or holding items until it

is safe to ship them.

Traffic Manager Jose Lozano commented on their method of serving

their customers: “We put all the pieces together so the customer

doesn’t have to worry about what’s behind the scenes. All they know

is that their cargo will go from A to B on this date and be there on time.

That’s it. We worry about the details for them.”

Starting SmallMr. Lozano started working at Africa 2000 about two years after the

company opened. The company was started by Mr. Lo, who is from

Senegal. Mr. Lozano said it was just the two of them back then. Now

there are over a dozen employees, and the company provides a wide

range of logistics services from its 40,000 square-foot warehouse and

2 acres of land next to Houston’s George Bush Intercontinental Airport.

In the first few years, they kept track of shipments and invoices in

spreadsheets. “It was simple in the beginning, but as we grew we

needed a better way to manage the operations,” Mr. Lozano said. He

used his background in freight forwarding and computer science to

evaluate logistics software. After receiving a demo of Magaya software,

he liked what he saw. He and his staff combined their training from

hands-on training offered by Magaya and the free video tutorials

online.

Software Evaluation and Process ImprovementsOne of the needs that drove the search for logistics software was a

requirement to improve warehousing with a shipping and receiving

system that included labeling. They also wanted a system to link

the invoicing, payments, and Accounts Receivable (AR) with the

operations.

Their warehouse procedures before implementing the Magaya Cargo

System included placing stickers on boxes, hand writing information,

and other manual, paper-based tasks. One of the improvements they

have gained is from a detailed label printed from the system that

includes all the cargo details and its location within the warehouse.

When heavy equipment is too large to fit inside a container, it might be

disassembled into parts, packed into custom-made crates, and placed

inside containers. If an item would be better transported whole, Mr.

Lozano arranges a Roll On Roll Off (RORO) vessel.

If a customer needs cargo insurance, Africa 2000 offers that service as

well. Their destination agents in West Africa can perform the Customs

procedures, or the customer can handle that themselves.

“We try to help our clients find the best way to ship their goods by

being flexible and open to accommodate different requests,” Mr.

Lozano said.

In addition to providing their customers with assurance, Africa 2000

has gained improvements in its own operations. To ensure a business

is running well, it’s necessary to see data about the income and

expenses. Mr. Lozano commented that the software helps them keep

track of receivables and aging accounts. They also create reports from

the system to see what inventory they have for each customer and

to look at shipments per month. He creates reports for the TSA to

comply with their Cargo Screening status and to give the airlines the

certificates needed for air shipments.

Mr. Lozano customized some documents such as adding the company

logo on invoices, the loading guide, and packing list. They also

automated ocean and air freight charges and documentation fees so

that they automatically appear on each transaction, ensuring that no

charges are forgotten.

These in-house improvements combined with the company’s

flexibility and transparency has helped the company grow, Mr. Lozano

said. “We’re more efficient,” he said. “Now everything is in one place.

The sky is the limit. We’re ready to take off.”

“We have a lot of repeat clients who refer new customers to us. Our

slogan is ‘Service, Integrity, and Trust.’ We pride ourselves on being

honest and available for our customers,” he said. “In fact, some

customers have become friends. We try to make them feel they are

part of the family.”

Mr. Lozano keeps track of all the items in the software. He replicated

the physical layout of the warehouse by assigning each location with

a code. Some locations are assigned to certain customers. Since Africa

2000 is a Certified Cargo Screening Facility (CCSF) certified by the U.S.

Transportation Security Administration (TSA), other storage areas are

separated into air and ocean sections.

The warehouse processes are more organized since implementing

the software. The warehouse staff and office staff work together to

input data about all cargo received and to ensure the information is

correct and complete. They scan documents and attach them to the

Warehouse Receipt transaction in the software, including documents

such as packing lists, commercial invoices, and certificates of

compliance. They email all the information to the customers, including

the attached documents. They also include storage fees, pickup

charges, and other charges.

When items are to be shipped out of the warehouse, the staff prints a

loading guide from the system. “We have a Quality Assurance checklist

to ensure the correct cargo is shipped to the correct destination,” Mr.

Lozano said.

They also create the Bills of Lading, Air Waybills, Dock Receipts, and

other documents which are included in the system. Keeping customers

informed is easy, Mr. Lozano said, by using the integrated email feature

that enables the staff to send updates of cargo arrival dates and times.

Putting the Pieces of the Puzzle TogetherMr. Lo and Mr. Lozano begin the process of finding the best solution

for each customer during their conversations about the cargo and

destination. They discuss their shipment and recommend a carrier and

route.

If a shipment requires trucking, that service is arranged through an

in-house carrier. The trucking company obtains the permits needed

for wide-load transports that must travel on highways. For example, a

recent shipment of oversized cargo had to be routed from California to

the East Coast so it could be loaded on a vessel going to Africa.
