Page 1Loader Checklist and Verification
Smith Middle School : T 56 99/00LOADER CHECKLIST
Term DataVerify that the Terms defined in the Term Codes Table (zterm) relate to the Terms per Year in the Track (track.tpy). The Term Start (zterm.trmstart) and TermDuration (zterm.trmdur) values need to be set properly so that they cover the Terms per Year in the Track.
Consider the following example: You have a Track that is set-up with 4 Terms per Year, where both Semester-long and Year-long Courses are offered. The TermCode for Semester 1 would have a Start value of 1, and a duration of 2 (2 of the 4 Terms per Year). The Year-long Term Code would have a Start value of 1 and aDuration of 4 (all 4 of the Terms per Year).
Print the 'Term Codes Listing' and verify proper set-up of the Term Codes Table for this database.
Master Schedule DataOnly Courses that are assigned to this Track through the Course Selection Editor (trkcrs table) may be used to construct the Master Schedule for this Track. Makesure that all of the Courses needed for this Track were selected.
Refer to the Data Exceptions Listing to obtain a listing of any Master Schedule Entries that are invalid because their associated Courses are no longer assigned to thisTrack.
The Sections and Segments in the Master Schedule need to be checked to ensure that there are no bad, or orphaned, records in the Master Schedule tables (mstschedand mstmeet). Orphaned records may cause the Loader problems while it is attempting to schedule students into particular Courses.
Run the Data Exceptions Listing to verify that no such records exist in your database. If these records do exist, they will need to be removed before a Loader run isattempted.
Note that only Courses with 'Can be Scheduled' (mstsched.isschedule = 1) will be scheduled by the Loader. Verify that this option was set correctly for Sections inthe Master Schedule for this Track.
Refer to the Data Exceptions Listing to get a listing of the Sections in the Master Schedule that DO NOT have the 'Can be Scheduled' option selected.
Verify that the proper Sections, if any, are designated as 'Conflict OK' (mstsched.conflictok = 1). These are the only sections for which the Loader will allowscheduling conflicts. Sections without 'Conflict OK' designated can not be scheduled at the same time as other Sections that do not have 'Conflict OK' designated.
The Data Exceptions Listing will return a listing of Sections in this Track, if any, that are designated as allowing schedule conflicts. Verify that the Sections listedshould actually be defined as such.
Course Request DataOnly Courses that are assigned to this Track through the Course Selection Editor (trkcrs table) may be used as Student Course Requests for this Track. Make surethat all of the Courses that students in this Track have requested have been assigned to this Track through the Course Selection Editor.
Look at the Data Exceptions Listing for a printout of students with Course Requests that are invalid because their associated Courses are no longer assigned to thisTrack. Students with such requests will need to have their invalid requests edited or removed through applications such as the Course Request Editor or Mass RequestChanges.
Course Requests should also be validated based on whether or not the requests that have been entered have been included in the Master Schedule.
Refer to the Data Exceptions Listing to check for students with Course Requests that are invalid because the Courses requested do not exist in the Master Schedule.Invalid Requests must be removed or edited.

Team Data (if Teams are used in this Track)Ensure that the Teams defined for this Track are still valid.
Check to see that the Team Definitions for this Track are still good by running the Teams Listing option of this report.
Ensure that the Teams selected for use in the Master Schedule for this Track are valid.
Check to see that valid Teams were used in the Master schedule for this Track by running the Data Exceptions Listing to see if there are any Team selections that areno longer valid in this database.
Ensure that the Teams requested by students in this Track are still valid selections, based on the Team Definitions.
Refer to the Data Exceptions Listing for a record of students with bad Team Requests. Students with such requests will need to have their invalid requests edited orremoved through applications such as the Course Request Editor or Mass Request Changes.
Section Linking Data (if Section Linking is used in this Track)Make sure that Section Links defined for this Track are valid by verifying that 'Common Roots' have been used for related Links.
Links that are somewhat related (the same basic Courses are selected, just different Sections) should use the same Course as their Common Root. Links do not haveto be made in the chronological order that Sections meet during the day. The Loader will know which Section should be scheduled into which Period based on theMaster Schedule. Pick one Course for these related Links and use it as the Common Root.
Having 'uncommon' or 'rotating' Roots within related Links may cause the Loader to have great difficulty scheduling the students. Obtain a listing of offendingSection Links by referring to the Data Exceptions listing, and fix the Links as needed through the Section Linking Editor.
Ensure that Course Requests that are involved in Section Linking are valid by verifying that 'excess' Course Requests have not been requested.
'Child' Courses do not need to be requested; they will be handled by the Root. All that needs to be requested, for Courses involved in Linking, is the Root.
Having Child Courses requested in addition to Root Courses may cause the Loader to have great difficulty scheduling the students. Check the Data ExceptionsListing for Requests that have this problem. Excess Requests should be removed through applications such as the Course Request Editor or Mass Request Changes.
Note that the Team set-up and Section Linking set-up should not conflict with one another. If you are using both Teams and Linking in this Track, make sure that ifTeams were selected for Sections that are included in a Link, that there are no Team exclusion conflicts within that Link.
Check the Data Exceptions Listing to see if there are any Sections involved in a Link that are tied to a Team as well.
Loader Rules (if Loader Rules are defined for this Track)Verify that Rules defined do not have overlapping or contradictory instructions for the Loader. An example of this type of improper Rule set-up would be having oneRule that tells the Loader to always schedule 'English' with the SAME Section as 'Math'; and then another Rule saying to always schedule 'Math' with a DIFFERENTSection than 'English'. This would cause the Loader difficulty in scheduling these Courses.
Refer to the Data Exceptions Listing to check for invalid Loader Rules.
Make sure that the Team and Section Linking features are not conflicting with any Loader Rules that may have been defined for this Track.
Conflicts between Teams, Links, and Rules can make it very difficult for the Loader to successfully schedule students.
Check the Data Exceptions Listing for problems in these areas of the scheduling set-up.

Loader Options & Other NotesStudents scheduled by hand, or 'Pre-Scheduled', through Assign Students, the Student Schedule Editor, or Mass Schedule Changes should have been scheduled withan Entry Code of 'PS - Pre-Scheduled', so that their schedules will not be over-written by the Loader.
Schedule Entry Codes may be edited through the Schedule Change History Editor in the Scheduling Module if necessary.
Remember that the Track to be scheduled must have no Attendance or Mark Reporting entries linked to it yet. Tracks that do contain such data will not be selectableon the main Options Tab of the Loader application.
The grade-range selected for Loading needs to be valid. When this selection is left at 'All', that means that the Loader will attempt to schedule students in ALL graderanges in your database. In databases where there are special circumstances, such as a student in a High School being listed in the 13th Grade, it is likely that theLoader should not really attempt to schedule such a student. Leaving the Grade selector at 'All' in this case could cause the Loader to get 'hung-up'.
The best thing to do in such cases is to select the Grades that you know you want to Load schedules for. In the above scenario, select Grades 9 through 12 to ensurethat the Loader will attempt to schedule only the proper students.
