    Greetings Sorors, Zeta Amicae, and Youth Affiliates,

    It is with esteemed pleasure that I greet you as part of the “Members’ Administration,” under the

    leadership of our International President, Valerie Hollingsworth Baker. The host chapters, Iota

    Zeta, Mu Tau Zeta, Upsilon Omega Zeta, and Planning Team look forward to welcoming each of

    you to the leadership conference. We hope you leave the leadership well-equipped with tools in your

    toolbox to embark upon greatness (i.e. greatness in your service to the community; greatness in your

    works/actions; and greatness in your spirit of fostering sisterhood).

    I send a resounding greeting of welcome to the Sorors, Zeta Amicae, and Youth Aff iliates as we

    convene for the 86th Annual Great Lakes Regional Leadership Conference in Indianapolis, Indiana from

    April 17, 2020 through April 19, 2020. The Great Lakes Regional Planning Team and I look forward to

    welcoming and fellowshipping with the International President, Valerie Hollingsworth Baker; the

    20th International President and 2020 Centennial Commission Chairman, Dr. Jylla Moore Tearte;

    International Officers and Appointees; Regional Officers and Appointees; State Officers and

    Appointees; Zeta Amicae Officers and Appointees; as well as, the Youth Affiliates.

    Zeta is doing amazing work throughout the world. Zeta continues to make history with the forward

    thinking of its leaders and members. The Great Lakes Region has quite a bit to celebrate in general, but

    especially in this, the Centennial year. The train bound for the Centennial Boule in Washington, D.C. in

    June 2020 will make two historical stops along the way. The first stop is Howard University, the

    birthplace of our beloved sorority. The next scheduled stop is the Hyatt Regency in Indianapolis,

    Indiana for the 86th Annual Great Lakes Regional Leadership Conference. Sorors, Zeta Amicae, and

    Youth Affiliates, join us for this historical leadership conference. During the leadership conference, you

    will have the opportunity to celebrate, learn, donate to those in need, as well as, showcase your talents.

    The Zeta Train with Indianapolis, Indiana as the destination, will provide positive, productive, and

    enlightening experiences. Please register now!

    In closing, I am hopeful that you will have the opportunity to explore the diverse attractions in

    Indianapolis, Indiana (i.e. visit the Historic Soldiers and Sailors Monument; test your skills at the Escape

    Room Indianapolis; stop by the Indianapolis City Market; and/or spend time at the Eiteljorg Museum,

    to name a few). I am thoroughly excited for this leadership conference as the Great Lakes Region

    upholds the principles and ideals set before us by our Beloved Founders in this, our Centennial Year.

    January 2020 Greetings Sorors, Zeta Amicae, and Youth Affiliates, On behalf of the Great Lakes Region Executive Board, it is with great pleasure to welcome you to the 86th Annual Great Lakes Regional Leadership Conference in Indianapolis, Indiana. This leadership conference will celebrate One Zeta, the trendsetters, the change agents, and leaders of the Great Lakes Region. The schedule is jam-packed with social service, scholarship, learning opportunities and the celebration of accomplishments of the Blue and White Family, Graduate and Undergraduate Sorors, Zeta Amicae, and Youth Affiliates throughout our region’s seven states. Our task during this leadership conference is to acquire more Zeta knowledge; put the knowledge gained into action in your chapters and your communities. Take time to reacquaint yourselves with Sorors and Friends you have lost contact with. Meet new Sorors and friends; networking is essential and important. Please take advantage of the support and experience of one another throughout the conference and the year. Handle the business of Zeta, let’s work! We would like to extend a special welcome to all national elected and appointed officers. Congratulations to our Regional Director, Connie V. Pugh on your Great Lakes Regional Leadership Conference. We are wishing you well and great success as you continue to lead this region. We are not the Largest Region, we are not the Smallest Region, but we are the Greatest Region! Enjoy the conference. The Almighty knows his soldiers, and knows where and when to facilitate them for such a time as now.     As we prepare for our upcoming 2020 Great Lakes Regional Leadership Conference in Indianapolis, Indiana consider sharing your talents and learn new skills as a member of the 2020-2022 Great Lakes Regional Leader- ship Team. Please consider the time commitment required for members of the Executive Board.

    The open positions are as follows: Executive Board Chair, Tamias-Grammateus, Phylacter, Indiana Represent- ative-at-Large, Michigan State Representative-at-Large, and Ohio State Representative-at-Large. Please review the duties of each office and give serious thought to the privilege to serve and participate in the forward progression of the Great Lakes Region.

    As you review the criteria, make sure that you are clear on the qualifications; you meet them prior to submitting your application for consideration; and you are willing and able to fulfill the duties of the office. Consider consulting with someone who has held the office which you are seeking. Understand that the Great Lakes Regional Executive Board is one that is responsible for working to guide the business of the Region forward.

  • Great Lakes Regional Nominating Committee Rules and Duties April 2020

    Only Sorors who are eligible to be elected may be nominated with their name placed on the ballot. Open Offices: Executive Board Chair, Tamias-Grammateus, Phylacter, Indiana State Representative-at-Large,

    Michigan Representative-at-Large, and Ohio State Representative-at-Large.

    Great Lakes Region Bylaws, Sixth Edition-2016 Article V - Officers Section 1: Elected Officers - The Elected Officers of the Great Lakes Region shall be the Executive Board

    Chair, Grammateus, Tamias-Grammateus, Tamias, Phylacter, Undergraduate Member-at-Large, Regional Nominating Committee Chair, National Nominating Committee Representative, and State Representatives-at-Large.

    State Representatives-at-Large shall be elected at their respective State Meetings; and installed at the Regional Conference. Clause1: Duties - Duties of the Regional Offices shall parallel the duties of said offices in Zeta Phi Beta

    Sorority Constitution and Bylaws. Clause 2: At-Large - The Great Lakes Region shall elect one (1) Representative-at-Large for each state in the

    Region, which representative shall become a member of the Regional Executive Board. Clause 3: Term - All elected officers shall serve a term of two (2) years; subject to re-election to a second two (2) year term for a total of four (4) consecutive years in the same office. Section 2: Elections - The developed method of a primary ballot shall be the standard usage for electing officers. The procedure for electing officers shall be according to Robert’s Rules of Order. Official term is two (2) years; subject to re-election to a second two (2) year term for a total of four (4) consecutive years in the same office. Section 3: Vacancies - Should an elected officer find it necessary to vacate her office, she must submit a letter of resignation to the Chairman of the Regional Executive Board. Upon motion and acceptance of the resignation at the Board meeting, the Chairman of the Regional Executive Board shall appoint a person to fill the unexpired term. Article VI - Qualifications Section 3: Regional Officer Qualifications. No member shall be elected who shall not have been an active, participating member of the local chapter, the Great Lakes Region, and the Region from which said Soror transferred, for a period of five (5) consecutive years preceding her nomination; and, who shall have had a minimum of two (2) years Regional Conference experience; and, two (2) years Boulé experience, except the members for the office of Undergraduate Member-at-Large who shall have been active, participating members of the local chapter; and, the region from which said Soror

    transferred, for a period of one (1) year preceding her nomination; and, have had a minimum of one (1) State Meeting and one (1) Regional Conference experience; and shall have a minimum of one year remaining before her Baccalaureate degree.

    Section 4: The elected officers may serve no more than two (2) consecutive two (2) year terms in the same Regional office. Article VII - Duties Section 2: Regional Executive Board Chair - The Regional Executive Board Chair shall coordinate the business aspects of the Region; approve vouchers; and, appoint committees within the Executive

    Board to accomplish a plan of work for the year and provide annual report to the Region. She shall call and chair Executive Board Meetings; approve vouchers, with proper receipts, for reimbursement of Regional Executive Board Officers, to be submitted to the Regional Director for processing; prepare the agenda for Executive Board Meetings; apprise newly elected Executive Board Members of their duties. She shall provide a written report to the body within sixty (60) days of Regional Executive Board meetings detailing its proceedings; and she shall countersign all contracts. She must possess a working knowledge of this document; as well as, the National Constitution & By-Laws of Zeta Phi Beta Sorority; and, Robert’s Rules of Order.

    Section 4: Tamias-Grammateus - The office of Tamias-Grammateus shall hold an active financial roster of each regional chapter. The Regional Tamias-Grammateus shall be bonded. She shall issue receipts for all regional dues, fees, and assessments. These funds shall be turned over to the Tamias during the session. The Regional Tamias-Grammateus shall make written reports at the Executive Board Meetings and Regional Conference; work with the Registration Chair and Credentials Committee at the annual regional conference; and serve on the Budget and Finance Committee. Section 6: Phylacter - The Phylacter shall be the Parliamentarian. She shall be knowledgeable of Parliamentary Procedures; prepare rules for the Regional Executive Board and Regional Conference Business Meetings; make report to the Regional Executive Board; shall be chair of the Bylaws Committee; and is Regional Representative to the National Constitution and Bylaws Committee. She shall be present at all Regional Meetings; and advise members on rules and regulations governing the region, in accordance with the Great Lakes Regional By-Laws; the National Constitution & By-Laws; Robert’s Rules of Order, Newly Revised; and the Laws of Incorporation. Section 7: State Representative-at-Large - The State Representative-at-Large is under the direction of the State Director; and, all of her activities pertaining to state affairs should be assigned and approved by the State Director. The State Representative-at-Large may: verify the membership, financial or program participation status of chapters or auxiliary groups; chair a state committee; conduct workshops or programs; implement undergraduate programs or retreats; or, carry out special projects as assigned by the State or Regional Director. Past and Present Practices ▪ Nomination materials received after the deadline will not be accepted. ▪ Nominees for office shall complete a Nominating Form before their names are submitted as candidates. ▪ Sorors whose names appear on the ballot must be in attendance at the Regional Conference at the time of nomination and voting.

    ▪ Any candidate who wishes to participate in the National Candidates Forum and/or would like information regarding her candidacy to be included in any forum materials must notify the Regional Director via e-mail no later than Sunday, February 16, 2020 at [email protected]. ▪ Your notification will be forwarded to the Great Lakes Region Representative to the National Nominating Committee, who will forward the Great Lakes Regional Leadership Conference National Candidate Inquiry Form for completion. ▪ The Candidates Forum will take place during a plenary session on Saturday, April 18, 2020. ▪ Additional details will be provided to the participating candidates consistent with the Campaign Reform Policy.

    The mission of The Villages is that abused, neglected, and abandoned children need stable families and loving environments in order to flourish. In the 1960s, Dr. Karl Menninger established homes for neglected youth in Kansas, Michigan, and Indiana. It was his work that became the basis for The Villages of Indiana.     Instructions for History Book Submissions

    ▪ Each graduate and undergraduate chapter should prepare chapter milestones in narrative form dating back to their charter date. Share what is unique about your chapter.

    ▪ Each chapter’s history should not exceed three pages.

    ▪ Chapters should ensure their auxiliary and/or affiliates are included as part of their history.

    ▪ Please submit in Times New Roman - Font 12.

    ▪ Chapters should submit profiles in narrative format (write full paragraphs).

    ▪ Please do not submit information in bullet points.

    ▪ Chapters are encouraged to submit high-resolution photographs (vintage and current).

    ▪ Photographs are restricted to three (3) per chapter.

    ▪ All photographs submitted may not be used due to space limitations.

    ▪ All images must be supplied in 300 dpi high resolution Jpeg, Tiff, or Eps format.

    ▪ All logos must be supplied in high resolution 300 dpi.

    ▪ Vector format or PDF artwork is the most acceptable form for logos.

    ▪ Each chapter should submit their individual histories to their State Historian on or before January 31, 2020.
