Zetafax Exchange Online Connector

The Zetafax email gateway enables users to send faxes using their email client, and to receive faxesdirectly to their email Inbox. It supports a range of different email systems, including Microsoft Exchange,Lotus Domino and other SMTP mail systems.

The Zetafax Exchange Online Connector adds support for Microsoft Exchange Online, which is part of theOffice 365 cloud services suite. It enables users with corporate Exchange Online mailboxes to send andreceive faxes simply using their corporate Zetafax Server, while ensuring that the fax traffic remainsconfidential and protected.

How Zetafax integrates with Exchange OnlineThe Zetafax Server uses a mailbox on the Exchange Online system, with a configuration setting inExchange Online called a Transport Rule to redirect outgoing fax messages to that mailbox. To send a fax,the user simply sends an email to a specific domain – eg [email protected]. Exchange Onlinemoves the message to the Zetafax Server mailbox for the Zetafax Server to retrieve.

Because Zetafax retrieves the stored messages, there is no need for any changes to the corporate firewall,and no requirement for any changes to register the chosen domain name or associate it with the ZetafaxServer computer. Faxes for sending, sending notifications and received faxes are passed directly to theExchange Online system using a secure connection (rather than unsecure SMTP mail), so faxes remainconfidential.

Supported Office 365 plansThe Exchange Online Connector uses the Transport Rules feature in Exchange. This feature is not availablein all Office 365 plans, so it is important to ensure that the Office 365 plan being used has this feature.

The Zetafax Exchange Online Connector supports the following plans:

Note that Small Business and Small Business Premium plans are not currently supported, as these do notallow use of Transport Rules. Companies using a Small Business plan will need to upgrade to a supportedplan to allow use with Zetafax. Please contact Equisys for further information.

Installing the Zetafax Connector for Microsoft Exchange Online

To get Zetafax working with Exchange Online requires you to have the following items installed on theZetafax Server computer:

Microsoft .NET 4.0 Framework

The following items are all prerequisites of the Exchange Online configuration. Please note: The WindowsAzure AD Module for Windows PowerShell does not support Windows Server 2008 SP2 and earlier, thesesteps can be carried out on any later Windows operating systems including Windows 7/8. The associatedExchange Online setup actions can be completed on any machine and do not need to be installed on theZetafax Server computer.

Windows PowerShellMicrosoft Online Services Sign-in AssistantWindows Azure AD Module for Windows PowerShell

Download links and further information for each of these can be found at www.equisys.com/downloads/ExchangeOnline.

Step 1: Install Microsoft .NET 4 FrameworkThe connector requires the Microsoft .NET 4 framework, the installer for which is available for downloadusing the above link.

Download the dotNetFx40_Full_x86_x64.exe installation program and run it.This will extract and then check your system to determine whether you have the same or a higherversion of the .NET framework installed. Follow the setup program and install .NET 4 as instructed.

Step 2: Install Windows PowerShellThe connector installation process uses Windows PowerShell. This is already installed on some operatingsystems, but must be installed on the Zetafax Server computer if not already present.

To check whether Windows PowerShell is already installed, and install it if not, download and run theWindows PowerShell installation program from the above link.

Note that you may be required to restart the computer after installing this component.

Step 3: Install Microsoft Online Services Sign-in AssistantThe connector installation process uses the Microsoft Online Services Sign-in Assistant to access theExchange Online server. This must be installed on the Zetafax Server computer if not already present.

Download the Microsoft Online Services Sign-in Assistant installation program from the above link.Run the Microsoft Online Services Sign-in Assistant and follow the prompts to complete the installation.

Step 4: Install Windows Azure Active Directory Module for Windows PowerShellThe connector installation process uses the Windows Azure AD Module for Windows PowerShell to accessthe Exchange Online server. This must be installed on the Zetafax Server computer if not already present.

Download the Windows Azure AD Module for Windows PowerShell installation program from the abovelink.Run the Windows Azure AD Module for Windows PowerShell installer and follow the prompts to completethe installation.

Configuring Microsoft Exchange Online

Configuring your Exchange Online Account to work with Zetafax requires a PowerShell script to be runwhich will automatically do the following:

1.Create a mailbox called “Zetafax” in Exchange Online, for use by the Zetafax Server2.Create an Exchange Transport Rule to redirect messages sent to a given domain name to the Zetafax

mailbox. This domain name can be selected during installation, and typically has the formatfax.mycompany.com.

In order to run the script you will need to specify the mailbox (username) and password for an Office 365account with administrator rights – ie an account which is able to create mailboxes and configure theExchange Online system.

Running the Zetafax Exchange Online setup scriptTo enable Zetafax to access and automatically configure your Exchange Online account you need to run aPowershell script to carry out the steps mentioned above. If you do not wish to run the configuration scriptto automatically configure your Exchange Online account you can instead carry out the steps manually.

Download the version on the ZetafaxExchangeOnlineSetup.exe file relevant to your operating systemfrom the Exchange Online resources page.Run the file and a Windows Powershell window will open.You will then be asked to press enter to establish a connection to Exchange Online.A window will appear requesting an administrator username and password, enter these and click OK. Note that this must be an account with rights to create additional Office 365 users.If you have multiple domains setup as part of your Exchange configuration e.g. if we have setupequisys.onmicrosoft.com as our Office 365 account we may wish to add the domain equisys.com so thatcommunications via Exchange Online come from this address. In this situation you need to inform Zetafax which domain you wish to create the mailbox for, the scriptwill ask you to select the domain as shown below.

Enter No. of the Domain to use:

Choose the relevant domain by entering the corresponding number and pressing enter.Next you are prompted to enter the Zetafax mailbox password. This password will not expire, so it isimportant to enter a complex password (using a combination of upper and lower case letters, numbersand punctuation characters) to ensure that the Zetafax mailbox is fully secure. Enter this twice asdirected.

Please note: Keep the password for the Zetafax mailbox to hand as you will need to enter it in the ZetafaxConfiguration program to establish the connection with Exchange Online.

The script will then create the account. You may be presented with a warning message indicating thatyour connection is being redirected, this is normal and is not a cause for concern. Next the script prompts for the domain name to use as the email address when sending faxes, using theOffice365 details to suggest a default, it then asks if you wish to change it. To accept the default enter n then press Enter, the script will finish setting up the transport rule.The default uses the format “fax.mycompany.com” – eg a user “[email protected]” (or“[email protected]”) would send a fax by sending an email message to “[email protected]”.The default is recommended for most users to help with support, but can be changed if required. A typicalsession for domain name “equisys.onmicrosoft.com” is shown below.

Configuring Zetafax to connect to Exchange Online

To enable Zetafax to communicate with Exchange Online you need to configure the Email Gateway usingthe Zetafax Configuration program.

Step 1: Enable the email gatewayOpen the Zetafax Configuration program, choose the Server settings option from the left pane,then click the Email Gateway icon to display the email gateway configuration settings dialog.

The default setting is for the Email Gateway to be disabled. Select the Enabled radio button to enable the Email Gateway.

Please note: Whenever you switch between Enabled and Disabled, all email addresses held by Zetafax areremoved. These addresses can take some time to set up again, so take care not to disable the EmailGateway unless you really need to.

Step 2: Add the Exchange Online email systemThe first step in configuring the Email Gateway is to add Microsoft Exchange Online as a service in the EmailGateway Services Configuration dialog.

Stop the Zetafax Server if it is runningClick the Add Email... button to display the E-Mail Gateway Services Configuration dialog.

Add Exchange Online to the Installed Drivers list, by selecting Exchange Online in the Available Driverslist then clicking the Add button.If your Zetafax system was configured to connect to another email system before installing the ExchangeOnline Connector files, then add each of these email systems now by selecting each in turn then clickingthe Add button. The configuration settings are retained, so you will not need to reconfigure theseadditional systems.Click the OK button to return to the Email Gateway configuration settings screen.

Step 3: Configure the Exchange Online driver settingsThe Email Gateway Properties dialog allows you to configure various settings for Exchange Online.

Click the Configure button to display the E-Mail Gateway Properties dialog.

Set the Polling interval to 30 seconds.For Exchange Online, the Zetafax Server polls the Exchange Online server across the Internet at thefrequency specified by this setting. This interval can be reduced when configuring or testing the system,

however we recommend setting it to 30 seconds or longer for use on a live system.Highlight Exchange Online in the Email systems column and click Setup to display the settings dialogfor the Exchange Online driver.

Set the options as follows:o Driver enabled – set to selected (enabled). This option enables or disables the Exchange Online

portion of the email gateway.o Username – enter the email address for the Zetafax mailbox account created earlier – e.g.

[email protected]” or “[email protected]”. Note that this must be the Zetafax mailbox, not the administrator account.

o Password – enter the password for the Zetafax mailbox account created earlier.

o Return sent files after transmission – set to selected. This option specifies whether a copy of the

sent fax should be included in the email message sent back to the user when a fax completes.o Default coversheet – set to your company default coversheet. This coversheet will always be used if

the 'Always use default coversheet' option is selected, overriding any options specified when sendingfaxes. The drop down list shows all coversheets configured on the Zetafax Server – it is updatedautomatically by the Zetafax Connector.

o Always use default coversheet – set to not selected. Selecting this option forces all faxes sent

from this account to use the default coversheet. If the option is selected then users will not be able tooverride the coversheet using the message commands.

o Omit coversheet if no text – set to not selected. This option is used in automated systems where

fax messages including a coversheet are submitted by attaching to a mail message.

o Default letterhead – set to (NONE)

o Always use default letterhead – set to not selected. If this option is selected then users will not

have the option to select a letterhead using the message commands.Next click the Test Connection button to check the username and password entered above are correctand test connectivity with the Exchange Online server. On a newly configured system this can take up to two minutes to run – please be patient. When the testis completed a dialog box will be displayed giving the result.Once the connection test has completed successfully, click OK to return to the Email Gateway Propertiesdialog, then click OK again to return to the Zetafax email gateway configuration options screen.

Step 4: Configure rendering optionsOn the Zetafax email gateway configuration options dialog, click the Rendering... button to display theE-Mail Gateway Rendering Properties dialog.

On the Applications tab, add ASCII to the Installed Applications list by selecting ASCII in the AvailableApplications list then clicking Install. Do not add any other applications, as this is used for a legacy rendering mechanism, and attached filesare now rendered directly by the Zetafax Server using a more efficient mechanism.Click OK to return to the Zetafax email gateway configuration options screen select OK.

Step 5: Export the list of mail usersOn the Zetafax email gateway configuration options dialog, click OK to close the dialog. You will now beasked if you wish to export the list of users. If the prompt to export mail users is not displayed automatically when you close the configuration optionsdialog, then you can start the export process manually from the main screen of the Zetafax Configurationprogram by selecting Users and user groups > Email gateway users, right-clicking in the main right handpane (list of users), then choosing Refresh.

Click Yes to display the Export Mail users dialog.

Enter the username and password for an administrator account for the Exchange Online system.The username is the email address for the account (eg “[email protected]”)

Note that this must be an administrator level account, in order to retrieve a list of all users. If you supplydetails for a standard user account, then the exported list will only contain details of that single account.

Click the Export button to start the export. The progress window will provide details on how the exportis going and how many users it has retrieved.Once the Export has completed, confirm that the number of users found is as you would expect, thenclick Close to close the dialog.

Configuring Zetafax users to use the Email Gateway for Exchange Online

Having configured your connection to Exchange Online, you now need to configure Zetafax user accounts toenable email users to send and receive faxes.

There are several ways of doing this, depending on the number of users you want to enable and whetherusers have individual direct dial (DID) numbers for receiving faxes.

Enabling an existing Zetafax user accountThe simplest way of enabling a mail user to send and receive faxes is to create a Zetafax user account forthe person, then enable the options to send and receive mail.

From the main screen in the Zetafax Configuration program, choose the Users and user groups optionfrom the left pane, then choose Zetafax users.Create a new Zetafax account by choosing the Add new Zetafax user (Action menu) button oralternatively select an existing account by highlighting the user's entry and selecting Edit (Action menu),to display the Zetafax User Details dialog.

Set the mail options as follows:o Allow sending from email gateway – set to selected (enabled).

o Forward received messages via email – set to selected. This option causes received faxes to be

sent to the person’s email Inbox, rather than the Zetafax Inbox (displayed using the Zetafax Client).o Email user name – this can be entered directly, or chosen from the exported list of users by clicking

the Browse button.Click OK to save the settings and close the dialog.

Enabling multiple email usersOnce you have tested the configuration with a single user account, you can then enable other usersindividually, or enable multiple email accounts in a single operation. Email users can be configured to useindividual Zetafax user accounts, or to use a shared mail profile account. Using an individual account is the

most flexible option, but a shared account is more efficient and simpler to manage for larger numbers ofusers.

You should use individual (private) accounts if:You wish to allocate a personal direct dial (DID) incoming fax number for each user. The Exchange OnlineConnector does not currently support storing DID numbers in Active Directory, so these must beconfigured for each user account within Zetafax.Users will run the Zetafax Client to send faxes or monitor progress, in addition to submitting faxes viaemail. The Zetafax Client cannot be used with shared mail profile accounts.You wish to use advanced user configuration options such as permissioning or automatic printing, withdifferent settings for each user. The features can be used with shared mail profile accounts, but theyapply to all users using that account.

To enable multiple email users to use Zetafax, do the following:From the main screen in the Zetafax Configuration program, choose the Users and user groups optionfrom the left pane, then choose Email gateway users.Select the email users you wish to enable to use Zetafax, then choose Enable (Action menu). The systemasks what type of account you want to use.Choose the account type (as described above), then follow on-screen instructions to complete theprocess.

Auto EnrollmentYou may prefer to use the auto enrollment feature provided by the wildcard entries created during the userimport. This option does not allow the administrator precise control over who will use the gateway, as eachuser sending a fax from an enabled domain will be auto enrolled and tallied by Zetafax until the licensednumber of users is reached. At this point any further users you may need to use the gateway will berejected. The following table gives examples of the options:

Click the appropriate wildcard entry in the right pane of the Email gateway users list with the rightmouse button and choose Enable from the pop-up menu.

In the Enable Email Users dialog , Single shared account will be the only option.

Click the OK button to proceed: In the Add new Zetafax email user profile dialog, enter EXONLINE and click OK: In the Zetafax user details dialog, click OK:

The enabled wildcard entry will now appear in the right pane of the Email gateway users list with theemail user profile account as its Zetafax name.

Sending Options for a Fax Message

Sending a fax message is simply a matter of sending the message by e-mail to an e-mail addressconsisting of the fax number, followed by @ the transport rule we created earlier [email protected] or the standard rule of [email protected].

1. Launch your e-mail client program.2. Create a new message.3. In the To: field, enter a fax number followed by the transport rule e.g. @fax.mycompany.com

or @fax.fax, resulting in [email protected]. Complete the Subject and body fields of the message.5. Send the message.

The characters allowed in the fax number are: The digits 0-9 for example [email protected] international dialing character '+', for example [email protected] Zetafaxautomatically replaces this by the configured international dialing prefix upon dialing.Zetafax ignores period '.' and minus '-'.

Please note: That you should not include the .onmicrosoft.com extension in fax addresses, whilst thisis the Zetafax Exchange Online account details, we are not attempting to send to this account. Instead youare identifying to Exchange Online that you would like to use the transport rule that was configured earlier.Therefore even if the sending account was [email protected] to send a fax you wouldneed to address it as [email protected] where fax.mycompany.com matches the transportrule configured earlier.

Specifying the nameWhen you address a fax using just the fax number as described above, the Name field on the cover sheetor letterhead will be blank. If you want to specify the text for the Name field, you use the following form ofaddress:

Name<[email protected]>

For example: Sam Smith<[email protected]>

In the Name position, the / \ [ ] ( ) and ~ characters have special meaning, so you are unable to usethem directly in a name. To include any one in the name you must precede it by a \ character. Forexample, to set the name to: Sam Smith/Sally Smythe you use for example:

Sam Smith\ /Sally Smythe<[email protected]>

Like addresses of all forms, this may be stored in your e-mail client program's address book.

Specifying the organizationSimilarly unless you specify the Organization text, it will be blank on the coversheet or letterhead. If youwant to specify the Organization text for the Name field, you use the following form of address:

name {organization}<[email protected]>

For example:

Sam Smith {Smith and Sons}[email protected]

Specifying Fax SettingsIt is also possible to instruct Zetafax to apply coversheets, letterheads and other options by addinginformation to the address or subject lines. The fax settings can be specified in a number of locations which

are listed below in priority order, meaning that an entry in the subject line for a particular coversheet willoverride one for the To address. This means that you can configure these settings in your address book tospecify a particular coversheet or letterhead for a user without having to specify it each time.

1. Zetafax Exchange Online Setup - The options specified in the previous topic when configuring themailbox.2. Subject Line - Added to the subject line of the message3. To Address - Added to the address line of the message4. CC - Added to the CC field of the message Please note: That the To address and CC fields are not compatible with the /after command as emailaddresses cannot contain the : character and as such should be added to the subject line. Similarly spacesor other characters which are not valid as part of an email address should be added to the subject lineinstead of an addressing line.

Specifying the coversheet or letterhead

Normally when you send a message, Zetafax will use the default configured coversheet. If instead youmeant to specify the coversheet to be used for the message, you add a special option to the end of themessage's subject text, such that the subject is of the form:

Subject linetext /cov=coversheet_nameSimilarly this can work with the To and CC fields:

12345678/[email protected] cause the message to use the coversheet named 'formal'.

Where Zetafax is configured to use a coversheet by default for each message it sends but you wish to senda message without a coversheet, you use the following option:

You may specify a letterhead in a similar way:Subject line

text /let=letterhead_name

Similarly this can work with the To and CC fields:12345678/

Specifying send time and date

Normally your message is sent at a time that is configured for you or your user group - usually as soon ashigher priority messages have been sent. You may delay the sending by specifying a send time option onthe end of the subject.

Please note: That the To address and CC fields are not compatible with the /after command as emailaddresses cannot contain the : character and as such should be added to the subject line.Worked example:

Previewing

You may specify that the message be sent as a preview to you rather than to the recipient, allowing you tocheck it before resending it as normal. You specify a preview using an option on the end of the subject or inthe address fields.

Manually Configuring Microsoft Exchange Online 2010

If you do not wish to run the configuration script to automatically configure your Exchange Online accountyou can instead carry out the steps below to manually configure it. This process differs between ExchangeOnline 2010 and 2013, most users should be on the 2013 version. To configure the Exchange OnlineAccount to work with Zetafax there are 3 main steps:

1.Creating a Zetafax Exchange Online Mailbox.2.Creating a rule in the mailbox to redirect faxes to Zetafax.3.Setting the Exchange Online account password so it does not expire.

Exchange Online 2010 Log into Office 365 as a user with Administrator permissions and select the Admin section.Locate the Exchange section and click Manage to display the Mailbox details for your Office 365account.Click New… to open the New Mailbox dialog shown below.Populate the fields ensuring that the Display name and User ID fields are set to Zetafax and clickSave to continue.

operate as expected. Log into Office 365 as a user with Administrator permissions and select the Admin section.In the left pane, under Management, click Users.Select the check box for the user Zetafax that we just created and then click Edit.Under Assign licenses, select the check box for Exchange Online and then click Save.

Note: You may be required to specify the accounts geographical location, select the correct country fromthe drop down menu and then click Save.

Create a rule in the Mailbox to redirect faxes to ZetafaxNow that we have a Mailbox for Zetafax we need a mechanism to redirect faxes to it.

Navigate back to the Mailbox settings by selecting the Admin section and then finding the Exchangesection and clicking Manage.Select the Mail Control option and then Rules.Click the New… option to create a rule.The New Rule dialog will appear, select the If… drop down menu and choose the “The recipientaddress includes…” option.This will open the Specify Words or Phrases window which allows you to set the criteria under which thisrule will be applied, such as fax.mycompany.com. Add the criteria and select the plus icon to add it, repeat as required before clicking OK.Next choose the Do the following … drop down menu and choose the “Redirect the message to…”option.This will display a list of all the configured mailboxes, select the one we created earlier called Zetafaxand click OK and then Save to create the rule.

You may need to download additional software to run the Windows Azure Active Directory Module, linksfor which are available here. o Microsoft Online Services Sign-in Assistant - Note requires a system restart to complete installation.

o Windows Azure AD Module for Windows PowerShell.

Download the Microsoft Online Services Sign-in Assistant and run it, you will be asked to acceptthe License Agreement before selecting Install and Finish once the setup program has completed.Next Download the Windows Azure AD Module for Windows PowerShell and run it, click Next and acceptthe License Agreement.Choose the install location and click Next and then Install. Click Finish once the setup program hascompleted.Next run the Microsoft Online Services Module for Windows Powershell and import the cmdlets bypasting the command: o import-module MSOnline

Next enter the following command: o Connect-MsolService

Manually Configuring Microsoft Exchange Online

To configure our Exchange Online Account to work with Zetafax there are 4 main steps:

1.Creating a user account for Zetafax2.Licensing the Exchange Online Mailbox for Zetafax.3.Creating a rule in the mailbox to redirect faxes to Zetafax.4.Setting the Exchange Online account password so it does not expire.

Creating the Zetafax UserExchange Online 2013 requires you to first create a user account upon which we can allocate a mailbox.

Log into Office 365 as a user with Administrator permissions. Select the Admin drop down menu and choose Office 365.In the Left hand panel select Users and Groups.Click on '+' button to open the New User dialog.Populate the fields ensuring that the Display name and User ID fields are set to Zetafax and clickNext to continue.

Licensing the Exchange Online MailboxTo enable Zetafax to have its own mailbox you first need to assign it an Exchange license. The next screenallows you to specify which elements of Office 365 you wish to grant the Zetafax user.

On the assign licenses screen uncheck all of the options save for Exchange Online and click Next.On the following screen click Create to setup the account and then Finish.
