Sort Emails: Right-click Sorted by above the Content Pane. Click the Arrow to sort by ascending or descending order. Create a New Email: - Click the New Message button. - Enter email addresses: in the To: box (or click the To: button to use the address book); in the Cc: box (or click the Cc: button to use the address book); in the Bcc: box (click Show BCC link to the right of the Cc: box). - Enter the Subject of the message. - Enter your message in Plain Text or HTML (Options/Format As HTML). - (Optional) To select a different email signature click Options/Signature. - Click Send button Arrow to Send now or Send Later (enter Date and Time). Actions Shortcuts: Click an email then click the Actions button. Read an Email: Click an email and view it in the Reading Pane. Open an Email: Double-click the email. An open application tab appears on the Application tabs line. Reply to Sender: Click the Reply button. Type your reply. Click Send. Reply to All: Click the Reply to All button. Type your reply. Click Send. Forward a Message: Click the Forward button. Type comments. Click Send. Delete an Email: Click an email. Click the Delete button. Open or Save an Attachment: In an open email, or in the Reading Pane, click to Preview an attachment or Download it to your computer. Attach a File or Contact Record: Create or open an email. Click the Attach button. To attach a file, click My Computer, Browse to the file, click Open then Attach. To attach a contact record in .vcf format, click Attach/Contacts. Your account opens in Mail (Inbox) view. Click Application Tabs to access other applications. Accessing Your Zimbra Web Client Account

Access Zimbra Web Client at: https://zimbra.coloradohomes.com

Email Tasks and Features

• Access the Inbox: Click Inbox in the Navigation Pane. • Sort Emails: Right-click Sorted by above the Content Pane. Click the Arrow

to sort by ascending or descending order. • Create a New Email:

- Click the New Message button. - Enter email addresses: in the To: box (or click the To: button to use the

address book); in the Cc: box (or click the Cc: button to use the address book); in the Bcc: box (click Show BCC link to the right of the Cc: box).

- Enter the Subject of the message. - Enter your message in Plain Text or HTML (Options/Format As HTML). - (Optional) To select a different email signature click Options/Signature. - Click Send button Arrow to Send now or Send Later (enter Date and Time).

• Actions Shortcuts: Click an email then click the Actions button. • Read an Email: Click an email and view it in the Reading Pane. • Open an Email: Double-click the email. An open application tab appears on

click to Preview an attachment or Download it to your computer. • Attach a File or Contact Record: Create or open an email. Click the Attach

button. To attach a file, click My Computer, Browse to the file, click Open then Attach. To attach a contact record in .vcf format, click Attach/Contacts.

Toolbar, Contacts and Calendar Tips Changing Views

• Conversation View – (Click View Access Open Applications from Your Toolbar

Button) Messages are grouped to easily follow the thread of an email exchange. Conversations can span folders including Sent and Trash. Message View – View and manage messages in columnar format. Sort by clicking a header.

Tag Contacts to Easily Search and Sort

Move the Reading Pane –Click the View Button and select where to display the reading pane.

Address Book/Contacts

• View Your Address Book: Click

the Address Book Application tab. • Create a New Contact: Click the

New Contact button. Enter information. Click Save.

• Find a Contact: To search your personal contacts or the Global Address List, enter the name in the Search box and click the magnifying glass. To save the search, click the Save button. The saved search will now appear in the Navigation Pane.

• Edit a Contact: Double-click the contact or click the Edit button.

• Delete a Contact: Select a contact. Click the Delete button.

• Create a Contact Group: Click the Arrow on the New Contact button. Select Contact Group. Enter a name and contacts. Click Save.

• Edit/Delete a Contact Group: In the contacts list, click the Contact Group name. Click the Edit/Delete button. Note: The Actions button/Contact Group function is not for opening or saving Contact Groups. It is for adding a Contact to a group (click a Contact name, click the Actions button, click Contact Group, click the Group name).

• Import and Export Contacts: Go to Preferences_Import/Export. Import a .csv file: Browse for the File, Type=Auto-Detect, Destination=Contacts. Click Import. Export to a .csv file: Type= Contacts /Outlook Contacts, Source=Contacts. Click Export.

Calendar • Change Views: Choose day, work

week, week, month or list from the calendar toolbar. Change the default view in Preferences.

• Schedule an Appointment: Click the New Appointment button. Enter the subject, attendees, location, appointment date and time or check All Day. To create a recurring appointment click the Repeat drop- down box. Select a Reminder time. Add notes. Click Save & Close.

• Edit an Appointment: Double-click the item. Make changes. Click Save and Close.

• Create a New Calendar: Click the New Appointment button arrow. Click Calendar.

• Share a Calendar: In the Navigation Pane, right-click the Calendar Name. Click Share Calendar. Enter the recipient’s Email address, Role and Viewing Permissions. Click OK.

Tasks

• View Your Tasks: Click the Tasks

Application tab. • Change Task View: Click the View

button on the toolbar. • Create a New Task: Click New

Task. Complete the Details, Progress, and Notes. Click Save.

• Edit a Task: Double-click the task. Click the Status drop-down to change a task’s status.

• Delete a Task: Select the task. Click the Delete button.

Preferences • General tab: Change login, theme

and time zone settings. • Mail: Set up mail rules. • Address Book: Set default view

and auto complete rules. • Calendar: Set default settings. • Sharing: Rules, permissions for

sharing folders and documents. • Mobile Devices: View devices

configured to receive messages. • Import/Export: Import/export

contacts in “.csv” format. Export appointments in”.ics” format.

• Shortcuts: View keyboard shortcuts

Setting Up Your Mobile Device • Use the Exchange ActiveSync

software built into your iPhone or Android Smartphone to access Zimbra mail.

• Tutorials are available.

Tips and Tricks • Mouse over email addresses, mini-

calendar dates, folders, etc., to display pop-up information.

• Right-click on words and objects to produce a menu with shortcuts for often used functions.

• Drag and drop objects to locations. • All open applications appear as a

tab on the Applications Toolbar. • To refresh a page, click the circular

arrow under your name. • For Help click the arrow next to your

name.
