The Assess app is a tool to enable you to gather evidence and map it to criteria while working offline and is useful if you are visiting a learner where there is no wifi connection.
It is important to note that if you use the Assess app you must ‘Sync’ regularly. Syncing will ‘pull’ data from e-track into the Assess app so that you have an accurate snapshot of your learners’ progress and visits. Once you have completed your visit(s) and you are back in wifi range, it is important to ‘Sync’ again to ‘push’ the data that you have entered into Assess back into e-track.
Please also be aware that this guide has been put together using an IOS device, specifically an iPhone. For Android devices the display may vary slightly.
Setting up the e-track Assess App Setup iOS (Apple) devices Go to the App Store

Search e-track Assess and download by clicking the icon
Once downloaded click Open
It will appear in your App list once it has downloaded
Open the App and enter your Organisation ID which is PEMBROK (this is not a typo!) and your e-track username and password
Setup Android devices Go to the Play Store
Search e-track Assess and click to download

Click Install and then Accept
Click Open then enter your Organisation ID which is PEMBROK (this is not a typo!) and you e-track username and password
Viewing Your Learners Learner List and Upcoming Visits
When you log into the Assess app you will be able to view your caseload of learners. These are ordered alphabetically

You need to sync your caseload whenever you are in receipt of wifi

By clicking on Upcoming Visits you can see your future planned visits
Objective details
When you tap on a learner to open their details your will see an summary of their qualifications and progress You can tap on a unit to set start and target dates, just like you do in e-track

By tapping on the Start date, Target date, Completion date, or Status you can update these entries from within the Assess app
Click OK to return to the Details page
Visits
By tapping on Visits you can see the learner’s diary Tapping on any visit will enable you to view the details of it or amend it By tapping the icon in the top right corner you can add a new visit

Evidence/Files
By tapping on Evidence you can access the evidence which has been uploaded for a learner By tapping on a file you can see what type of evidence it is and which criteria it has been mapped to
Mappings
By tapping on Mappings you can see the outcomes and criteria that sit within that qualification You can see which criteria have evidence mapped against them By swiping across your screen you can scroll through the qualifications that the learner is enrolled on

Managing Media At any point you can tap the green arrow and open the Manage Media section Here you can take photos, voice recordings, and videos to use as evidence towards the learner’s e-portfolio. These files are then stored here for you to use when you want to map them to criteria as part of a visit
Updating the Traffic Light Status To access the Traffic Light history, tap on the Traffic Light Status

Add some Notes and tap on a Traffic light to update it Click Save to save your changes
Adding a Visit and Gathering Evidence Click the menu option in the top right corner and select Add Visit

By tapping on Planned Type, Starting, Ending, and Actual Outcome, Starting, Ending you can update the visit type and when it took place
You can also upload a file to a visit at this stage like you would normally within e-track. For example, you may have a copy of a certificate which the learner has provided to you. You can take a photo of it, taking care to ensure you have captured all relevant information on it, and then upload it by tapping Select file, and selecting the photo from your selection of media files, then tapping Done
The file will now appear at the bottom of the screen

Alternatively, you can tap the arrow here to open up your media section
Click on one of the icons at the top of the screen to take a photo, video or voice recording Once you have done this, you can close this screen by tapping the arrow again When you tap Select Files again, as in the above steps, the file will be available for selection

Once you have updated the initial visit screen, tap on Evidence at the bottom of the screen You be taken to a list of evidence files, similar to the Files tab on e-track To add new evidence tap the +
When you tap Select file(s) you will be able to select a media file that you have already recorded. Alternatively, you can tap the arrow to open up the Manage Media section and record your evidence using photo, voice recorder or video, e.g. you may want to voice record and professional discussion, or video an observation. Once you have done this, it will then appear in the Select file(s) section for you to select

Next, tap on Type to select the type of evidence that you have obtained. Tap Done once you have selected it Then tap on whichever units you wish to map this evidence to
Tap all the criteria that you wish to map this evidence to. You can repeat this process as required. Tap OK once complete

When you return to the previous screen you be able to see at a glance, how many criteria in each unit have been ticked off
Tap Done to return to the Files tab
Tap on Notes to leave the learner some feedback

To add new feedback tap on the +
Tap on Type and choose Learner Feedback from the options
Add some Notes into the text box
and when finished, tap Save to save the
feedback to the visit

If you are happy that you have completed everything, then tap Done to save the visit to the diary
Tap Save to save the changes you have made to Lizzie’s record, and then Close to return to your list of learners
Important: when you are back in internet reception, don’t forget to tap Sync to sync your change back into e-track
