Qualification Sync with StudentWH\EP\PS\UT\QS
The qualification sync is a part of the Skyward Business Suite.
Certification Language WH\EP\PS\CO
We have been tracking for 6 years now and have the following in place:
• 10 Cert. Deficiency
• 11 Cert. Deficiency
• 12 Cert. Deficiency
• 13 Cert. Deficiency
• 14 Cert. Deficiency
• 15 Cert. Deficiency
HOUSSE Plan data can be entered as well to alleviate deficiencies from populating when the utility runs.
Establish District Qualifiers• All Florida courses contain 7 digits
• We utilize the following qualifiers in the 8th position of the course number to identify ESE scheduling methods:
A=Self-Contained
C=Co-teaching
L=Gifted
R=Resource
S=Support Facilitation
Y=Autism
Configuring the SystemThe following 4 sections must be reviewed annually:
• Qualification Types
• Qualification Maintenance
• Course Configuration
• Class Meet Qualification Processing Configuration
Section 1: Qualification TypesWS\SF\PS\CF\QT
Section 2: Qualification MaintenanceWS\SF\PS\CF\QM
Section 3: Course ConfigurationWS\SF\PS\CF\CC
This is where you enter your district qualifiers. Additionally, you will add any courses under the English/Reading umbrella to identify teachers out of field for ESOL should an active “LY” be enrolled.
Section 4: Class Meet Qualification Processing ConfigurationWS\SF\PS\CF\QP
This is how the utility determines what value to enter into the HQ and certification fields for each teacher on the student side.
Create a Timeline
Communicate the Process• School Data Specialists enter "I" (Certification/Licensure), "Z" (Highly
Qualified Teacher), and "Z" (Team Teacher Training) when building course meets.
• Mass Change Course Master Fields (Resetting all fields to “Z”)
WS\OF\CS\BC\PS\UT\MC
• Provide the timeline
• When all else fails…adapt
Running the Utility and Reports• Business Report
This is a product of the utility run. This report has come a long way! Over
the years, we’ve requested additional details be added so that I’m not
trying to manipulate through multiple screens when reviewing the data.
• Student Report WS\SF\RP\SQ
• Highly Qualified Verification Report WS\OF\CS\BC\RE\HQ
I use this to verify how the schedules looked when the utility ran. This is
helpful because schedules are constantly changing. It also helps to
troubleshoot if you don’t understand why the utility processed a course a
certain way.
Reviewing the Data• Determining what you keep and what is erroneous
• Adding additional ESOL records
Example: Mrs. Smith was identified as out of field for ESOL during the 13-14 school year, however when the utility ran for 14-15, she did not have an active “LY” to produce a 15 Cert. Deficiency for ESOL. We now data-mine to ensure that we continue to track teachers each year once initially identified.
Updating the Fields on the Student SideWS\OF\CS\BC\PS\UT\HQ
Data-Mining• This has allowed us to select specific fields from the profile to create
our Board Agendas for out of field reporting.
• E-mail addresses are also a field available to data mine. This has allowed us to complete e-notifications for employees with certification deficiencies.
Monitoring Course ChangesWS\AF\AECurrent Year Master Schedule ChangesThe system sends an e-mail directly to you when a specified event trigger occurs. Event triggers include “Add, Remove, Activate or Inactivate a section" and/or "Change to Teacher or Teacher Type".
Employee Access
Additional Benefits• District level oversight and monitoring of HQ and OOF data
• Scheduling data mining reports of certification deficiencies to arrive via e-mail each month to school administrators
• Using the deficiencies records to identify teachers not eligible for reappointment
