Title: Los Angeles County Museum of Art exhibition recordsIdentifier/Call Number: EXH.001.001Contributing Institution: Los Angeles County Museum of Art Balch Art Research LibraryLanguage of Material: EnglishPhysical Description: 121.45 Linear feet94 boxesDate (inclusive): 1973-2003creator: Los Angeles County Museum of Art. Exhibitions Division.Arrangement noteWhen the boxes were originally discovered no series or arrangement was immediately apparent. The series in thiscollection were determined largely by looking for similarities in box numbering, folder labeling, handwriting, date range, and subject matter. The first series, consisting of exhibtion files, is arranged into four subseries, arranged in chronological order according tothe earliest exhibition date present in the series. The original order of each of these subseries seems to have beenalphabetical but under non-standardized headings. For example, under the name of the artist featured in an exhibition asopposed to the exhibitions official title or by the acronym for an exhibitions name. The files are now grouped into subseriesby official exhibition title (where one exists) and ordered alphabetically. The original headings for folders were otherwiseretained. No effort was made to arrange folders realated to each exhibition or items within each folder.General Alphabetical files are arranged alphabetically by folder title.Reading files are arranged chronologically.Biographical/Historical noteThe Los Angeles County Museum of Art was originally the Art Division of the Los Angeles County Museum of Science,History, and Art which opened at Exposition Park near downtown Los Angeles in 1913. The Los Angeles County Museum ofArt or LACMA officially became an independent entity in 1961, and opened its own campus on Wilshire Blvd., about 7 milesnortheast of the original museum, in 1965.Scope and Contents noteThese records consist of 115.15 linear feet, 91.25 boxes of records created during the planning, and execution ofexhibitions and, to a lesser extent, public programming (including the Film and Music Programs) at the Los Angeles CountyMuseum of Art from 1973 through 2003. The records also include some materials related other public museum activities, such as film and music programs. The Exhibitions series consists of 87.4 linear feet or 69.75 boxes of records for exhibitions organized by LACMA, touring toLACMA, or under consideration to tour to LACMA from 1973 to 2003. These records also contain a few files related to eventsheld at LACMA that were not exhibitions. The exhibition series seems to have been created by exhibitions staff membersMyrna Smoote and John Passi and their assistants. The General Alphabetical Files series consists of 20 linear feet or 15.5 boxes of records dating from 1976 through 2000.Based on salutations and signatures on correspondence and memos, these files appear to have been created by ElizabethAlgermissen, who held several positions at LACMA including Chief of the Exhibitions Division. Subjects in this seriessometimes correspond to specific exhibitions but are more likely to be related to general administrative matters relating toexhibitions such as ticketing, attendance, and Acoustiguide tours for exhibitions. Subjects addressed in this series alsoinclude events hosted at LACMA such as special installations and the Much Ado About Nothing Fund-Raiser; festivals suchas The Museum of Television and Radio Festival; music programs such as Monday Night Music; as well as exhibitions, publications, grants, and museum attendance. Types of records include memos, brochures, slides, reports, contracts, andapplications. The Reading Files series consists of 7.75 linear feet or 6 boxes of records, organized by month and year. Each folderincludes correspondence, memos, press releases, and other materials of relevance to LACMA's exhibition and publicprogramming activity. It is likely that some of these materials are duplicated in the Exhibitions or General Alphabetical Filesseries. These files were created for use as reference files for exhibitions staff members John Passi and Myrna Smoot.Budget files, confidential human resources paperwork or records, blank forms, multiple copies of documents, and paymentfiles have been removed from the collection.Conditions Governing Access noteOpen for use by qualified researchers and by appointment only through the Los Angeles County Museum of Art Balch ArtResearch Library. Efforts toput out the fire flooded the space and for whatever materials were recoverable, the boxes likely had to be replaced.Appraisal noteFiles of paid invoices, budget back up, blank forms, excessive copies of documents, and sensitive human resources relatedmaterials were removed from the collection.Subjects and Indexing TermsLos Angeles County Museum of Art. -- ExhibitionsArt Museums -- California -- Los Angeles -- Exhibitions

Exhibitions, 1973 - 2003.Physical Description: 87.4 Linear feet, 69.75 boxesArrangement noteThe Exhibitions series is arranged into four subseries, organized chronologically according toearliest exhibition openning date present in the subseries. When originally taken fromstorage the materials were quite dissordered. The subseries were determined in an effort topreserve some of the original order of the records by looking at what records were boxedtogether, similarities in box and folder labeling, and date ranges. The largest subserieswithin this series, Exhibitions, 1973 - 1999, consists of materials that could not be placed inany other subseries. There is some overlap in subject matter among series. It appears that when these were working files they were originally organized alphabeticallyby subject or exhibition "nickname". The nickname was determined before an official titlewas constructed for an exhibition for example, the exhibition The Avant-Garde in Russia,1910-1930: New Perspectives (EX.1630), was called simply "Russian Av. Garde" on file labelsfor much of the exhibition planning process. To ease access to files related to a particularexhibition are grouped together and each subseries is organized alphabetically by officialexhibition or event title as it appears in LACMA's collection management database system,MIMSY. When materials in the series indicated that the exhibition title in MIMSY wasincorrect, the title was corrected in the database. For events and installations, which are present in each series, but are not tracked in MIMSY,the title for the file group was determined by the archivist based on folder labels andcontents. Some subseries also include files that cover more than one exhibition,non-exhibition events, or subjects not related to one particular exhibition (such as ticketing). The titles of these events or file groups and their relevant dates have been supplied by thearchivist based on the folder contents. All folders pertaining to the same exhibition installation or subject are grouped togetherwithin a subseries with their original labeling transcribed. No effort has been made toorganize folders within an exhibition grouping, or the items within folders.Scope and Contents noteThe Exhibitions series consists of 87.4 linear feet or 69.75 boxes of records relating to theorganization of exhibitions at the Los Angeles County Museum of Art that were open orplanned to be open from the year 1973 through 2003. Based on the names ofcorrespondents found in the series, these records were probably created by exhibitions staffmembers Myrna Smoot and John Passi and their assistants.Included are records pertaining to exhibitions organized by LACMA, exhibitions organized byother institutions and then touring to LACMA, exhibitions proposed by outside organizationsto tour to LACMA but ultimately not accepted, as well as exhibitions that were accepted andthen cancelled. Exhibitions that were cancelled or not accepted are noted in the containerlist. For some exhibitions it could not be determined if they were accepted and cancelled ornever accepted. These events are accompanied by the note "unknown." Also included arefiles for installations of artworks and, occasionally, gallery rotations. Since cancelled andexhibitions that are not accepted by LACMA do not appear in the collection managementdatabase, their titles are supplied by the archivist based on file contents. Dates forexhibitions that did not take place are accompanied by the note "(proposed)." When notdate can be determined for such an exhibition, none is supplied. Some subseries include files that cover more than one exhibition, non-exhibition events, orother materials generally related to the work of organizing exhibitions. The titles of theseevents and their relevant dates have been supplied by the archivist based on the foldercontents of those subseries.
