IntroductionThe PS/nVision reporting tool creates reports in Excel format based on financial information from the General Ledger. PS/nVision selects data from the PeopleSoft database using ledgers, trees, and queries. Queries are useful for extracting data from sources other than ledgers. PS/nVision is comprised of a layout, report request, instance and scope (optional)
The layout is the “blueprint” of the report; this contains report criteria, formulas, and formatting.
The report request: o Identifies the requesting business unit, the as of date for the data and trees, and other
run options. o Combines a layout, a scope (optional), and other information necessary to run the
report.
The output from the report request is an instance.
Scopes filter the data returned in the report (fund, department, project, etc.) A Report Book is a grouping of nVision report requests allowing a user to run multiple report requests at one time. The North Dakota University System (NDUS) currently uses nVision primarily for financial statements
and annual budget preparation.

Enter a Business Unit.
Click the Search button.
Select a Report ID from the Search Results.

nVision Report Request
The Report Title and *Layout fields default.
o Do not make changes to these fields; they contain the “blueprint” for the report.
Report Date Selection
o Update the As Of Reporting Date as required. The options include:
Business Unit Reporting Date: To use the date specified for the business unit. For the NDUS Business Units, the Reporting Date is 01/01/1901.
Default: To use the As Of Date from the report request.
Specify: To enter a specific date for the report. Today’s Date: To use the current date for the report.
Output Options
o Verify Type is “Web.”
o Verify Format is “Microsoft Excel Files (*xls.).”
Click the Save button.

Click the Advanced Options tab.
Advanced Report Instance Options
o Update the Time‐out Minutes to “30.”
Click the Save button.
If running BDLOADE, BDLOADR, or FUNCTION Report, click the Query Prompts Tab. Otherwise skip the Query Prompts tab and click on the nVision Report Request tab.
Click the Update Parameters link.

Update the query prompts with the prompt values.
o The prompts vary depending upon the report.
Click the OK button.
Click the Save button on the Query Prompts Tab.
Click the nVision Report Request Tab.
Click the Run Report button.
Select the nVision Report checkbox.

To view the reports in the Report Manager
o Verify the *Type and *Format default to “Default.”
o Click the OK button to return to the nVision Report Request tab.
o Click the Process Monitor link.
o Verify a Run Status of “Success” and Distribution Status of “Posted.”
o Click the Go Back to Report Request link.

o Click the Report Manager link to view the report.
o Click the Administration tab.

o Click the Description link of the report.
The nVision report opens in Excel.

To email the reports to the user submitting the report request:
o Select a *Type of “Email,” the *Format defaults to “XLS.”
The reports will not be available to view in the Report Manager.
See the Emailing reports section of this document to email reports to other
users.
o Click the OK button.

ReportBooksA report book is a grouping of nVision report requests allowing a user to run multiple report requests at
one time.
The Report Book page enables users to group multiple report requests into one process.
The report book saves time manually running multiple report requests as one Book Request
contains multiple report requests.
Report books can be scheduled to run on a regular basis.
Before creating a report book, verify the report requests are updated for all the reports included
in the report book.
DefiningReportBooks
Navigation:ReportingTools>PS/nVision>DefineReportBook
Enter a Run Control ID.
o Do not include spaces, apostrophes, percent signs, or parentheses in the Run Control ID.
Click the Add button.

Update the As Of Date as required. The options include:
o Business Unit Reporting Date: To use the date specified for the business unit.
For the NDUS Business Units, the Reporting Date is 01/01/1901.
o Default: To use the As Of Date from the report request.
o Specify: To enter a specific date for the report.
o Today’s Date: To use the current date for the report.
The Tree Effective Date defaults to “Use As Of Reporting Date.”
o This field does not need to be changed.
Verify the Ignore Runtime Errors box is checked. Checking this box allows processing to
continue if errors occur on one of the reports.
Report Requests o Enter a Business Unit.
o Select a *Report ID from the lookup.
o Click the View button to view the existing report request. (optional)
o The report request opens in a new browser window.
o Verify the Run checkbox is checked.
o Click the “+” to add additional rows.
Repeat the above steps to add additional Report ID’s to the report book.
Below is a screenshot with two rows added.
o Click the Save button.
o Click the Run button.

Select the nVision Report Book checkbox.
To view the reports in the Report Manager
o Verify the *Type and *Format default to “Default.”
o Click the OK Button.
o Click the Process Monitor link.

Click the Administration tab.
Under the Report List, click the Description link of the report.
o The nVision report opens in Excel.

EmailingReportInstancesnVision report instances can be emailed to users rather than reviewing the reports in the Report
Manager.
This section explains how to add an email address to the report request. Refer to the Report Request section within the document for additional information on Report Requests.
Click the Advanced Options Tab
Click the Enter Delivery Template Options – View All link.
The Report Scope defaults from the Scope and Delivery Template if the report uses a scope. o This field is only populated when scopes are utilized.
Directory Name Template – not utilized by the NDUS.
File Template defaults from the layout setup.

o Do not change this value. It is nVision code used to create the Excel file name.
Language Template – not utilized by the NDUS.
Enter the email address(es) in the Email Template field. o The “sender” cannot review the report before sending to the users. It is suggested to
have a copy of the report emailed to the “sender.”
Enter multiple email addresses by entering “,” to separate email addresses.
PeopleSoft emails a copy of the report to each of the email addresses entered.
The Content Description Template field identifies the file name from the layout setup. o Do not change this value. It is nVision code used to identify the report in the Report
Manager.
Security Template – not utilized by the NDUS.
Click the OK button.
Click the Run Report button.
Select the nVision Report checkbox.
Select a *Type of “Email.” The *Format defaults to “XLS.”

o The reports are emailed to the user(s) specified. When the email is received, PeopleSoft‐
[email protected] is the email address displayed as “From” in the email client.

environment.

ReportScopesReport scopes are optional. Multiple instances of a report can be created using the same report layout
and report request. Scopes are based upon chartfields and can be run as summaries or detailed reports.
For example, if the Fund chartfield is selected the report can be run as a summary or detail report by Fund Group, Fund Range, Fund, etc. Please contact the NDUS Help Desk for assistance creating scopes.

Under the Output Option section, click the Scope and Delivery Templates link.

Select a Report Scope from the lookup.
Replace the Content Description Template default value with: “%RID%_%SFV%” to create a
unique file name for each report generated.
o %RID% translates to the Report ID (REVEXPRPT)
o %SFV% translates to the Scope Field Value (Fund, Project, or Department ID)
If this is not updated, the reports generated will have the same name.
Click the OK button.
