The key actors in the environment
TALENTSET GATEWAY Ltd (TG) has the largest provider of skills training in the
country with many employers to provide training for employees in a wide range of
administration. With the lead of 6 departments, the TG leads for professional qualification
with wide range of courses.
Managing director (Fiona Santander) is now planning for new process, the KPI pilot study to
measure the performance of the company. The managing director starts the KPI study with all
departments in the company to collect KPI data. The analysis of KPI data will help to
improve the company performance. But there are some conflicts between managing director
and departments as the KPI process is not cross for ICT and marketing directors.
Finance director (Winnine Yip) works with managing director to watch the KPI study.
Finance director view the spread-sheet KPI result from Finance Administrator for KPI
performance and view the courses.
Finance administrator (Amanpreet Gill) collects the KPI information reported from Sales
Department and made the spread-sheets. Finance admin unzip and print off the spread-sheets
received from personal assistant of Sale Director. Finance admin also product analysis of
weekly KPIs and email reports to Finance Director.
Finance administrator (Kofi Kankam) collects the data of KPI for courses and centres by
eBook to make spread-sheets. If there are bookings from employer, the finance admin makes
the employer feedback form. The finance admin email reports to managing director and
finance director at the end of each month.
IT director (Georgios Savvas) is ignored for KPI process as no one on the department listen
about the views of KPI pilot system. The in-house developers of IT department develop
eBook system for TG.
Sales and marketing director (Mike Hutchinson) is depress for KPI process as many sale
environments are very pressured and staff have to meet targets all the time. Some sales
executives are not like the KPI study left the company and the director is also need to focus
more on sales strategy with staffs and environment. The director receives reminder emails
from personal assistant to complete spread-sheets.
Training managers serve for day-to-day management of the centre and recruitment to local
trainers to deliver the training material. Each training manager reports to the Director I f
Course Development and meet at head office monthly.
Employers need to learn and train for courses. The employer executive team books courses
for staffs and to advise them about new courses and special promotions. All employers can
apply feedback form and send to training managers for KPI pilot study.

Clients can register and attend for courses from training centres. And clients can also apply
the feedback forms for KPI pilot study.
Consultant (Damien Cornwell) is to review the KPI pilot study process and interviews view
heads of the company invited by managing director.
Organisational culture
In TALENTSET GATEWAY Ltd (TG) system, there are 6 departments to control all process
of the company. The Senior Executive Board is made up of directors from human resource,
IT services, sales and marketing, finance, and managing director of the company and
executive chairman. TG has successfully equipped training centres across the country and
employee training courses. Each training centre is managed by training manager for day-to-
day management and training services to local trainers. The training managers need to report
the courses monthly for course development.
After changing new managing director, the process of the company is designed to measure
the performance with the use of KPI pilot study. KPI data are collect from new eBook system
and throughout the feedback from clients and employers at the end of course. All KPI data
are passed from different place via spread-sheets that are given to each member of the sales
team. Sales staffs need to email the spread-sheets to personal assistant of sale director to
check and forward to finance department. With this flow of producing spread-sheets for
weekly and monthly, the KPI data are collected for performance.
All KPI data are collected from spread-sheet taken manually to help in the future. But the
directors of ICT services department and sales and marketing department does not like the
KPI study.
Key issues and conflict areas in the environment
On processing with the KPI pilot study, there is some conflict area between the departments.
The common conflict cases are;
Sales and marketing director dislike the KPI process as he left to learn about KPI
process and so he doesn’t know what the managing director is doing.
Many sales environments are pressured and staffs have to meet their targets all the
time in sales and marketing department.
The managing director didn’t discuss with the sales and marketing director for KPI
pilot study and so the sales and marketing director doesn’t know what plans are
designed for process.
Staffs of sales and marketing department are difficult to complete the spread sheets as
they are not trained for this operation and unhappy to complete the spread sheets.

Personal assistant of sale director is wasting time as the spread sheets made by sales
staff have various conflicts and analyses are needed.
IT director is not satisfied for KPI study as anyone is listening or follows about his
views about the KPI pilot study.
Managing director miscarried to discuss with the IT director to bring a software
consultant to make changes.
Collecting the KPI data process may difficult for managing director and whole
organisation as the staffs are not trained with this study.
The fundamentals of KPI data are collected via clients and employees from training
centres.
IT provision and issues
Talentset Gateway is spending greatly in IT departments, the IT structure is the company's
electrical arrangement system. E-books provide training center lectures and can be delivered
directly to individual customers, either by employers or online. Individual customers of a
salesperson can use the book in place of a bookstore. The eBook system receives a
registration certificate for courses at the end. This online learning project is named as
“Learning Gateway”. There are problems with data collection as they use manual system at
the organisation. The data are difficult to collect and the organisation is planned to use
computerised system for better improvements.

B3: Discussion
Use case diagrams are used to show the process and actors to clearly identify the process of
the system. On the designing of the overall use case diagram for Talentset Gateway, there are
9 key actors in the system with their related process. The key actors are clearly identified and
their roles are defined as follows;
Managing director starts the KPI pilot study process and plans to collect the KPI data with
steps by departments via spread sheets. Managing director is watching the whole process and
manage with finance director.
Sales and marketing director is planned to manage the sale teams; telesales executive team
and employer executive team. Sales team need to collect spread sheet data for KPI and send
to personal assistant of sales director.
Personal assistant of sales director create reminder emails to marketing director, the personal
assistant also unzip the spread sheets sent from sales teams and analyse the spread sheets for
KPI.
IT director of the ICT has in-house developers to make the eBook software. This eBook
software is used for planned system, “Learning Gateway”.
Sales teams are needed to advertise, make booking, phone and email to clients and employees.
They also collect spread sheet data for KPI pilot study. The director is also need to focus
more on sales strategy with staffs and environment and receives reminder emails from
personal assistant to complete spread-sheets.
Finance director includes in Senior Executive Board and view the KPI pilot study with
managing director, and view courses from finance administrator.
Employees need to contact to training centres and apply employer feedback form. Employers
also need to learn and train for courses. The employer executive team books courses for
staffs and to advise them about new courses and special promotions. All employers can apply
feedback form and send to training managers for KPI pilot study.
Clients can register and attend for courses from training centres. And clients can also apply
the feedback forms for KPI pilot study.
The consultant is invited by managing director to view the 6 months KPI pilot study pro cess
and interviews with the staffs of the departments.
There are some assumptions in the use case models. The common questions interviews
planned to discuss with staffs are as follows;
“What processes of marketing plans are designed after completing KPI processes?”

This question is planned to ask sales and marketing director for further improvement of KPI.
After KPI study, more advertisements and marketing need by the result of KPI.
“What additional data are planned to add in eBook software?”
This question is planned to ask for IT director what security and data protection requirements
are planned to add in “Learning Gateway” online system for data protection and customer
trust.
“How many people planned to take study for KPI study?”
This question is planned to ask for managing director to ask how many people (staff) include
to take the whole process of KPI as the whole KPI process need to undertake with may staffs
divided with their staffs.
“Do the staffs of the company need staff training for KPI?”
This question is also planned to ask for managing director for staff training for the KPI
process. Staffs need staff training to take their tasks with no faults.
