What is a Pre-admit account?

• If a patient is scheduled to come to the hospital for an inpatient visit, a pre-admit account should be set up to alert different areas of the admission.

• Insurance Management can then start getting pre-certification (if applicable)

For Bed Management staff: usually you will get your pre-admit information from a face sheet that is faxed from the transferring facility.

When/How do I set up a pre-admit account?

1. Receive faxed requests after 3:45pm.– Ex) Transfer Center Direct Admits or Admits from Clinic

2. Check Request for Patient Type– Ex) Inpatient vs. Observation (outpatient)

3. Search for the patient using VISI to prevent creating a DMR using the “HDI 1111 How Do I Appropriate Search” guidelines.

4. If request indicated ‘Inpatient’, Shift-tab to the function field and type PAD then hit ENTER and F9 for same account.

If Patient wasn’t found using VISI, under PAD enter search criteria as seen below. Press ENTER to select the correct patient

from the CPI Person Selection Screen or F9 to create a new Patient MR

Person Information – 1 Screen

All required fields (highlighted below) MUST be completed, then press ENTER

ORType part of the Emlpoyer Name at the NAME FIELD to search the employer directory.

ENOF = Employed, but not foundUNEM = Unemployed

(type these at ID#1 field)

Person Information – 2 Screen

Complete all required fields then press ENTER

Select appropriate employment STATUS

When registering a NEW patient, this screen displays generating a visit suffix as well as

the Medical Record Number, press ENTER.

When registering a RETURN patient, this screen displays with previous visits listed. Type a “C” next to a

previous visit to copy information into a new visit, press ENTER.

Guarantor Selection Screen

Patients over 18 will be their own guarantor, the Y defaults, Press Enter to accept.

Nearest Relative ScreenIf known, enter the required field info: name, phone and

relationship to patient, then press ENTER .

If info is unknown, enter unknown in the Name field, and Rel to Pt, and enter 9s for phone#

This info is SHARED with EPIC

Emergency Contact and Accident Screen

Type three equal signs to pull forward the Nearest Relative if no known Emergency Contact is given, and press ENTER.

After pressing Enter, the information below will display.

Insurance Selection ScreenLoad ALL applicable insurance plans.

Use Passport to verify eligibility when available.

Press F9 to accept the changes/bypass screen

Physician/Clinical Screen

TAB to this field to enter the PCP. If PCP is unknown, type UNK or type the pcp’s last name, press enter and choose from the list and press ENTER again.

TAB over to this field and type the attending physician’s last name, press enter. Choose from the list and press ENTER. (populates both sides)

Change to Admitting dx

Press ENTER to go to the next screen

Profile/Plate Generation Screen Allows you to print a Face sheet or Patient Plate

ADTP BY PATIENT Display

Select 1 Face-sheet, and then press ENTER

Completing the Pre-Admit

• Staple the printed face-sheet to the faxed request.

• Keep all paperwork together with the Direct Admit Log.– This will be used later when the patient arrives.
