AUA NATIONAL CONFERENCE

On behalf of the Axium Users Association Board of Directors, AUA Committees and the AUA Administration, I welcome you to

Franklin, Tennessee and the 2015 AUA National Users Conference. This year’s conference offers a variety of sessions presented by some

of the most knowledgeable people in our industry. You are about to have an extraordinary learning experience—and hours of fun!

To help you make the most of your conference, we encourage you to participate in the learning and social activities available to you.

In addition to the learning sessions, take advantage of:

• Networking – Networking with others during the conference dramatically enhances your conference experience and becomes

a valuable benefit of membership in the Axium Users Association. Take this opportunity to meet and talk with other users, certi-

fied consultants and Deltek/Axium representatives. Discover solutions to your issues. Share your own experience and knowledge—

Much of the credit for the success of the AUA National Conference goes to the volunteers from Deltek/Axium, consulting firms and

AUA is an independent, not-for-profit organization comprised of users of Axium software. It was founded to provide support for

users by users, with the assistance of very special Axium employees. You, as a user, are invaluable to the success of the AUA. The level of

success, however, is directly related to the users’ investment in AUA. I would like for more users to become involved in AUA, making it

BEGINNING &INTERMEDIATE

Ajera for New Users – Project Set Up & Rate Tables: This beginning level session will introduce you to how information entered in Project Setup and Rate Tables affect your Ajera system. Project budgets and schedules, special reports, and Custom Fields will all be discussed. Here is where you’ll expand your knowledge of the basics. We’ll give you all the ins and outs and tips and tricks, to make Ajera work for you. We’ll show you how to get help when you need it. You’ll have plenty of hands-on time and can ask all those ques-tions you’ve been saving up. The session in-cludes hands-on computer usage and Q & A.

Ajera for New Users – Workflow & Billing: This class will move you from Project setup to beginning invoicing processing and basic invoice setup. We will also cover standard in-voice template setup, paperless invoicing, AR reporting, statements and will bridge into the Beginning Reporting Session. The session in-cludes hands-on computer usage and Q & A

Ajera for New Users – Reporting: This be-ginning level session will introduce you to how information entered in Ajera can be accessed with an inquiry, reports, downloads and how you filter that data further. After completing this class you will be able to recognize the dif-ference between conditions and basic links, and how to set basic conditions on an inquiry or a link. You will be able to process reports and export data for additional information. The session includes hands-on computer usage and Q & A.

Ajera for New Users – HR Setup: Everyone has to begin somewhere, and this is where

you start to know how Ajera can be custom-ized for information useful for your Human Resources depart-ment. We’ll give you tips and tricks, using inquiry, custom field and dashboards to make this information easily available at the click of a button. There will be hands-on ac-tivities as well as Q & A time.

Beginning Dash-boards & Widgets: This beginning-level session will introduce you to Widgets and how they can provide live information to the decision makers of your firm. Widgets are the building blocks of the Ajera 8 dashboards. They allow you to access and present infor-mation in a clean and user friendly interface. After completing this class you will know which widgets come premade from Axium, how to modify an existing widget and how to create one from scratch.

Getting Started with Inquiry: This begin-ning-level session will introduce you to Inquiry and show you how to use it to accommodate some of your firm’s most common informa-tion needs. Inquiries allow you to target spe-cific data in Ajera’s database so that you can easily access only the information you need. You will learn how to modify Ajera’s set of standard inquiries and save them with condi-tions and links. After completing this class you will be able to work with and modify standard inquiries to create custom inquiries that are further defined by conditions and links.

Intermediate Inquiry: This intermediate level session will introduce you to how informa-

tion entered in Ajera can be accessed with an inquiry and how you filter that data further. This will include setting condi-tions on links between inqui-ries, allowing for information to be targeted to different people in your firm. After completing this class you will be able to recognize the difference be-tween conditions and links, and how to set conditions on an inquiry or a link.

Session Level: IntermediatePrerequisites: Getting Started with Inquiry

Invoice Designer: In this course we will venture beyond

of the basics of making the custom selections in the Invoice Format setup screens. The first half of the class will focus on how Ajera “com-municates” with the invoice formats. The dis-cussion will continue with how your choices in the setup screens affect the data that is passed to the invoice formats. In the second part of the class we will open the custom invoice designer and discuss the basics. Ex-ercises will cover making common changes to invoice formats, and the pros and cons of custom invoice formats.

INTERMEDIATE/ADVANCED

Financial Statement Designer: In this two-part training course, you will learn how easy it is to use the Financial Statement Designer to create financial statements tailored to your firm’s needs. You’ll see first-hand how to build a statement, add columns and rows, create accumulators, and add budgets to your design. You’ll soon be modifying or creating financial statements such as balance sheets

Lectures, in-depth workshops, hands-on classes, and one-to-one assistance make this year’s AUA National Users Conference an unmatched learning and networking experience. No matter what your level of expertise, this conference has something for you! Come to the sessions to learn and enjoy being with other users. You and your ideas, questions and problems are all welcome.

and profit and loss statements. Additional in-formation covered includes the use of Orga-nizational Levels and Reporting Entities when you are a departmentalized firm. We will be doing hands-on work to create several tem-plates that you will be able to export and take with you to apply to your own firm. This class will also help show you how to organize your monthly report into groups so you can quickly produce many different sets of financial state-ments at the push of a few buttons.

Session Level: IntermediatePrerequisites: Basic Accounting Knowledge

Alerts: This intermediate-level session will open up your eyes to powerful capabilities able to tie together Ajera and the real world. Have a PM that needs to sign off on an invoice but isn’t just sitting at his or her desk waiting to do it? Need to reach outside the system to get your employees’ attention? Alerts are your answer. This session will review the setup of Alerts in Ajera, both from an IT and from a functional standpoint. Then it will branch into how to solve common AE business needs with this simple solution.

**Disclaimer – Currently Alerts are not avail-able for Ajera users in a hosted (cloud) or SAAS environment. It is absolutely Deltek’s plan for this to be a temporary answer, so even if this is you, please still attend to see what is coming just around the corner!

Session Level: IntermediatePrerequisites: Basic understanding of Ajera and Dashboards/Widgets

Formula Madness – Logistical decisions resulting in advanced formulas: Let’s dis-cuss formulas that you need and can use. I need you to send in some of your requests, so we can plan to discuss them during the session. (I do not promise that we will solve all formula issues, but we will actively work on them and have an active Q & A session.) Email discussion points to [email protected]. We will discuss advanced formulas for Inquiry, reports, dashboards, and widgets. The functionality is all similar. The session in-cludes hands-on computer usage.

Session Level: IntermediatePrerequisites: Beginning Inquiry, Dash-boards & Widgets

Advanced Inquiry/Widgets Using SQL: Get things from Inquiry the way you want them! Learn SQL formulas and how to get Inquiry to show you things that don’t appear to be

there! If you liked the other Inquiry sessions or you think you have a good grasp on Inquiry, come and see what more you can do. You do not need to know T-SQL, but it is a plus for this class. Don’t let the level of advanced scare you away–come and see how to unlock the power of Inquiry and make you the star of your firm. Open your mind up, and be pre-pared to amaze yourself. Learn some more difficult ideas, but have them explained to you in ordinary user language that you will “get”.

Session Level: AdvancedPrerequisites: Attendee should be on the software for at least 6 months and have a technical understanding of the software in general. It is helpful if you have attended beginning and intermediate Inquiry OR that you have done some basic designs on your own.

Intermediate Dashboards & Widgets: This intermediate-level session will build upon the lessons introduced in Beginning Dashboards & Widgets. It will show you how to create second level widgets, links to other widgets, basic widget formulas, conditional formatting and security. After completing this class, you will be able to create your own tab, add new widgets within the tab, and secure the tab and the widgets to specific users and groups.

Session Level: IntermediatePrerequisites: Beginning Dashboards & Widgets

Revenue Recognition: Come learn about one of Ajera’s newest features, advanced Rev-enue Recognition tracking!! Class is designed for individuals that are either responsible for financials representation of your revenue and / or the setup of projects in Ajera and spans across both categories in your training:

• Discuss what Revenue Recognition is and the industry best practices for AE firms in regard to their financials and

their projects.• Discuss Company Preferences and mak-

ing the high level decision of what cat-egories of revenue recognition your firm could utilize. What does this affect in the system?

• Discuss the setup of Revenue Recogni-tion in regards to your projects and your phases.

• Review the ongoing workflow within your system for monthly and yearly reporting.

• Discover Ajera’s report, inquiries and Dashboard widgets that can bring your revenue recognition tracking to life.

Session Level: IntermediatePrerequisites: Need basic experience with projects in Ajera, as well as an understand-ing on how your firm tracks revenue finan-cially and the project requirements that your firm has for tracking revenue recognition per agreements.

Payroll Matters: All aspects of payroll will be open for discussion. We will start with in-sourcing vs. outsourcing. We will discuss setup, i.e. pays, deductions, fringes, taxes, WC, tax reporting and payments and the con-cept that all pays for employees flow through payroll, which will simplify your life. We will also discuss those items that should not flow through payroll. We will discuss planning and reporting, Excel versus Ajera concepts, direct deposits and in and out pays. Send in your questions early and we will incorporate them in the course materials and discussions. (email questions or topics to [email protected]). This session will have hands on and Q & A.

Session Level: IntermediatePrerequisites: Basic Payroll

PROJECTMANAGEMENT

Measuring and Calculating Project Profit-ability: In this course, we will discuss how to calculate your project profits in three parts: what is cost; how to calculate profit on a T & E project; and how to calculate profit on a fee billing project. We will take you through the components of the profit equation and provide recommendations for how profits should be calculated and managed while the project is active, as well as when it was com-pleted and closed. In addition, we will show you the reporting capabilities in Ajera that will assist you through this process. In addition

to coverage of the core functionality of Ajera standard reports, we will discuss the pitfalls and challenges surrounding this topic. The goal is to prepare the attendee for hard dis-cussions with management and / or to set the expectations of management on this subject.

Session Level: AllPrerequisites: Intermediate understanding of project setup and tracking in Ajera, as well as basic accounting knowledge.

Project Management Skills – How to Groom an Effective Project Manager: This beginning-level session will first discuss the key elements and characteristics of an ef-fective PM and how to break bad habits that might have sunk in over the years. From there we will dive into how to foster and develop these best practices, and how to utilize Ajera to make sure you are hitting the mark.

Session Level: Basic - IntermediatePrerequisites: None, but basic Ajera project exposure preferred.

Billing Workflow & Paperless Billing: In this hands-on session we will explore the traditional and paperless methods of billing workflow. You will learn how to utilize multiple features in Ajera to facilitate the information flow from Principals or Project Managers to Accounting to create accurate and timely invoices.

Session Level: BasicPrerequisites: A basic knowledge of Ajera and Inquiry is helpful, but not required.

Business Development: This two-part ses-sion will provide insight to the complete so-lution for tracking, managing and integrating business development efforts within your firm. It will also help you put what you learn back into action when you return to the office. Items covered include:

• Tracking opportunities through the various business development stages.

• Forecast future project workloads.• Analyze marketing investment and perfor-

mance.• Manage the Business Development pro-

cess throughout the firm with Tasks.• Get introduced to how Ajera’s new CRM

can take your marketing tracking to the next level.

Session Level: IntermediatePrerequisites: Basic knowledge of standard marketing processes and Ajera project set up

Advanced Budgeting & Resource Scheduling:

• Discuss project creation within Ajera and where their roles come into play during the project lifecycle.

• Discuss the practical use of Project Tem-plates and their many benefits.

• Review Ajera workflow for initial project creation. This will conclude with a discus-sion on phases and forms they take.

• Discuss budgeting of projects and the access to utilize resource management within Ajera for allocating all hours/cost/contract (fees) to those projects.

• Answer the age old question, what is the perfect level of micro-management?

• Have the ability to schedule out the tasks/resources/phases/projects on your roster to completion.

• Make the futuristic leap into PM driven project and employee hour and / or dol-lar management within Ajera. Introducing Schedule Manager.

Session Level: Basic Prerequisites: Strong interest in Project Man-ager interaction with the management of hours (and dollars when warranted)

Ajera for Project Managers Workshop: This class is intended for, but not limited to, project managers and is led by an accounting professional and a Deltek Project Manage-ment Consulting Manager. Accounting pro-fessionals may find this workshop helpful to develop their own training program for their project managers. A working knowledge of Ajera would be extremely helpful as this class is very hands-on. Class participants will learn how to create and utilize widgets using Ajera 8 that provide valuable information and links specific to project managers. We will learn to customize Ajera views so that project man-agers are only viewing the information they need to better manage projects. Participants

will then learn best practices on how to set up projects, create project budgets, and allocate resources. We will use Schedule Manager to schedule employee hours for a project we create in class. This will enable us to compare the scheduled hours with the budgeted hours and analyze employee workload. Finally, the participants will learn how to utilize various reports available in Ajera and how to build a custom Inquiry report or two. After completing this course, attendees will be better equipped to use the many tools available in Ajera to ef-fectively manage projects and will be able to train others.

AJERA &MANAGEMENTCLASSROOM

Tips & Tricks to Building a Dashboard: Ajera’s dashboards can offer your business unlimited capabilities for accessing your data. With so many possibilities, the challenge can be determining what you want your team to see. In this session we will discuss multiple techniques to set your firm up for success with dashboards and alerts.

Session Level: BasicPrerequisites: None

Audit Proofing Your System: The purpose of this course is to educate Ajera users on how transactions are mapped (get assigned Gen-eral Ledger account numbers) to the General Ledger (GL), provide a working knowledge of the Federal Acquisition Regulation (FAR) in re-gards to classifying and accounting for costs, and how to setup an Ajera system to be FAR compliant. Time permitting, users will further learn how to calculate and report their FAR compliant overhead rate.

Meet the Designers – Part 1: This general session will be facilitated by Lead Ajera De-signers and will cover the newest and slick-est features of your system. These features include, but are not limited to: Ajera CRM, Purchase Orders, Widget Enhancements and the Cash Forecast Widget. Come be the first

Disaster Recovery Planning: Only about 30% of American companies are prepared for a man made or natural disaster. Is your company one of the few that are ready for a tornado, hurricane, fire or disgruntled em-ployee? Don’t be caught thinking we should have done disaster planning! This class is designed to put you on the road to building a comprehensive plan for disaster recovery, not only for IT but to protect your business as a whole. We will discuss the importance of disaster recovery along with how to develop a disaster recovery plan and what should be included in your plan. We will show you how to protect your most important company asset - your data. We will discuss how to implement and test your disaster recovery plan.

This class will introduce a new level of project collaboration that every firm needs. You will also learn how Kona integrates with Ajera and other Deltek products. You will see for yourself how easy Kona can setup new spaces for your projects and start collaborat-ing with your team in a matter of minutes.

Find the Lost Dollars – 6 Steps to Increase Profits in Architectural, Engineering and Envi-ronmental Firms: Learn to get the most from peo-ple, processes and tech-nology to gain a competi-tive edge and increase your firm’s profitability. This session will provide valuable best practices and advice that will show you how to improve your firm’s performance and prepare the firm’s future leaders to successfully take the reins. In this ses-sion you will:

• Evaluate three key metrics and calculate the ROI from improving your business.

• Learn where to focus your attention to get the biggest financial impact.

• Gain practical advice for improving nine areas that can have a huge impact on your Win Rate, Utilization, and Project Profit Margin.

• Learn to implement a six step process to “Find The Lost Dollars” in your A & E Firm.

Development of Performance Based Com-pensation Plans: A good salesperson typical-ly knows long before their check is received what their commission will be each month or quarter. This is because the commis-sion structure is typically “black and white” (straightforward) and well understood by the salesperson. They know what level of sales that must be achieved to get that free trip, bonus, etc. In the A & E industry, that level of clarity is evasive and not present in most firms. In this class, we will discuss these very issues. Potential solutions and guidance will be provided on how to begin developing a clear and well-defined incentive compensa-tion plan.

Employee Development – Retention & Compensation: As the manager or owner of a firm, retention and development of staff and management is constantly on the forefront of personnel issues. We will discuss reten-tion methodologies that keep people at your firm and progressing in their career. Each firm

and individual is different and we will discuss considerations of retention. Compensation is always an issue of retention and employee satisfaction. We will discuss comparative methodologies for establishing compensation and benefits packages. We will also discuss some cultural issues that increase retention and job satisfaction.

Growing Pains & Succession Planning: Whether your company is growing from 5 to 10 or 100 to 300, you will be dealing with some common issues that will determine the success of your growth plan. Firms also share a common issue in how the firm continues after the current principal retires or how the current principals can manage their succes-sion and have a successful firm after their buyout. Succession planning and grooming of staff to a more responsible position is an issue for every firm. Please bring your ques-tions and situations for discussion.
