Welcome to the Q2 issue of NAVUG™ Magazine!

I’d like you to consider how far technology has come since The Stone Age.

The cavemen had a limited set of tools at their disposal (spears, sharpened

stones, and carved bones). Imagine a caveman’s regret when realizing he

didn’t bring his trusty spear to the mammoth hunt! The same holds true in the modern world:

You won’t get very far without the right tool for a job, and there are many to choose from.

The theme for this issue is Tools, specifically Microsoft Tools. We all know that tools are

great. They can help us efficiently complete tasks both at home and at work. In fact, I have a

lot of tools at home (my wife would probably say more than I need!), and there are ones I use

often and others infrequently. There are also some tools that I don’t even remember that I

own! The key to using these tools is to know which tool to use and when, and what are all the

features the tool offers. In other words, am I really getting the maximum value from the tool?

Tools in our professional life are like this, too. We have so many tools at our fingertips:

Apps, add-ons, plug-ins, software packages, and customized programs, and that’s just naming

a few. There are some that I use every day and others that I might just use once a week or

only as-needed. In this issue, we’ll focus on Microsoft Tools and how they help us work

smarter and more efficiently, leverage business intelligence, integrate with our Customer and

company data, and help us share information. You’ll find articles on Microsoft Excel® and

Outlook®, as well as tips and tricks to help you be more efficient with these tools and increase

your awareness of they offer.

Smarte Carte, Inc. is the leading

concessionaire of self-serve vended

luggage carts, electronic lockers,

commercial strollers, and massage chairs,

as well as other passenger and guest

services. Smarte Carte provides luggage

cart concessions at airports and major bus/

rail stations, electronic locker concessions

at amusement/theme parks, indoor

and outdoor waterparks, ski resorts,

entertainment centers, and transportation

centers, stroller concessions at shopping

centers, amusement/theme parks and

zoos, massage chairs at transportation,

shopping, and entertainment centers,

long-term baggage storage, baggage

NAVUG™ takes on Manhattan when the New York chapter

converges on Microsoft’s New York City office.

“Collectively, our meeting this past December was our best, and

the group, aided by increasing attendance, really had a spirited and

wide-ranging discussion in a face-to-face session that allowed for

multiple ‘off the cuff ’ conversations,” says chapter leader Steven

Chinsky of Columbus. “I love that our group fosters a give-and-take

of opinions and sharing of information. It is our quarterly meetings

and facetime that yield mini-discussion groups that a webinar

cannot replicate.”

The group hosts quarterly meetings and has great success in

helping each other solve issues during their time together.

“I most enjoy the fun in coming together, discussing how we

deploy Microsoft Dynamics NAV, and discussing what needs to be

improved with the product,” says Steven. “The camaraderie with

local Microsoft Dynamics NAV Users and companies is great.

In addition, meeting Users and seeing what commonality exists

between companies and talking about alternative points of view is

so rewarding because it helps everyone understand different ways

of approaching an issue.”

been meeting quarterly, is sure to have a good turnout at their next

meeting in May as they’ll take the Karbach Brewing Company tour

(which includes a tasting after the next chapter meeting).

“As a team, we really enjoy bringing together the Microsoft

Dynamics NAV User community in Houston,” says AJ. “We’ve been

able to foster a sense of community, delivering User-requested

content at local, face-to-face events.”

The group also recently took their show on the road, traveling to

the Dallas/Fort Worth area to reach even more NAVUG Members.

“As an individual, I really like that I’m able to share my knowledge

What is the number one reason other Microsoft Dynamics NAV Users should join NAVUG?NAVUG Members are like-minded in trying to help each other. It’s a group of

collaborators. Joining NAVUG gives you the opportunity to reach out to other Users

for help and advice.

Describe a tip you received from another NAVUG Member that has made your life easier:I have been using Microsoft Dynamics NAV since 1999, and I have worked with

versions 1.2 through 2015. However, I had never used consolidations until we created a

new company in 2010, and we needed to use the consolidation functionality. Since the

only entries in the consolidated company are G/L entries, whenever we restated a prior

period, I used my developer’s license to delete all the G/L entries in the consolidation

company before reconsolidating the restated period. Kerry Rosvold showed me that

the consolidation process will automatically delete the entries when you re-consolidate

a prior period.

Describe why you volunteer with NAVUG:I have worked with several other ERP/accounting systems and as a CPA, I appreciate

the ease of use, the flexibility of the functionality, and the reporting capabilities within

Microsoft Dynamics NAV. I like to solve problems so when Users share their issues, I

try to provide solutions.

Our NAVUG community has a significant investment in Microsoft Dynamics NAV and

collectively, our companies have been using the solution for a number of years. You may

be at a point of wondering what you can do to breathe some new life into your system.

This article aims to help.

Qualifying Statements

First, let’s define driving value. I mean saving time or effort in a business process. Your company will

address new technology and platform strategies such as Windows Azure and Office 365. New business

requirements and other events will drive change, but I would classify these types of changes as projects.

The approach I will detail is based on Microsoft Dynamics NAV being the catalyst for day-to-day process

improvements.

Second, the ERP system can’t reach its full potential without input from Users. There will always be

something that can be done to improve performance and create efficiencies, and the resources who are

closely associated with the system are the best ones to recommend improvements. As you gain more

experience with Microsoft Dynamics NAV, you will find more opportunities for improvement and reap

more of the benefits the solution has to offer.

Software decisions are decisions about business processes – it is the change in business process that

is the most valuable part of the implementation. Investing in software and technology was not done to

duplicate what is currently being done, but rather to improve what is done. Lean proponents would tell you

that this effort is ongoing and never-ending.

Those things considered, here is a very simple and cost-effective approach that has been proven to

successfully re-energize Microsoft Dynamics NAV Users with the focus on both saving time or effort in

day-to-day business processes and leveraging your Microsoft Dynamics NAV investment.

Re-energizing your Microsoft Dynamics NAV

implementation

» Form a Microsoft Dynamics NAV User team.

» This group is made up of Users from various departments.

» The members are rotated periodically; the goal is to include all Microsoft Dynamics NAV Users over

time. (By rotating members, you will keep the group energized with new ideas.)

» Microsoft Dynamics NAV super Users and key Users are required and probably will not rotate out.

» Group meets once a month for an hour. (Initial meetings may be longer.)

» Include your Microsoft Dynamics NAV consultant as needed. Their role is to be a member of the

team, not to lead the team. (Note: When I was a Microsoft Dynamics NAV User, I valued an outside

view of how other companies were addressing the same issue from someone who also understood my

industry, common business processes, and Microsoft Dynamics NAV processes.)

Goals and Topics for the User Team

» Meeting topics – Microsoft Dynamics NAV/information issues and day-to-day process improvement

opportunities.

» Start with identifying any critical issues that the team needs to know.

» Users identify new day-to-day Microsoft Dynamics NAV/information issues since last meeting.

» Users identify and quantify opportunities to improve a process for the group.

» One of the best ways to get more out of your Microsoft Dynamics NAV system is to invest in more

training, including additional training at regular intervals. That leaves the question of what to train on.

Resolutions deliver time savings and reduction in the amount of effort it takes to do the work.

Action Items

» After the first meeting, any group-approved issue or improvement opportunity will be converted to

an “action item” with an assigned number for future reference. A list will be maintained. This will be

the starting point for each successive meeting.

» Action items are assigned additional values to help organize:

◊ Microsoft Dynamics NAV consulting

◊ Microsoft Dynamics NAV development work

◊ Microsoft Dynamics NAV training

» Select action items to be worked on, looking out 30 to 90 days to implement improvements even if it

is only one or two items. Once action items have been identified, the solutions should have clear tasks

and ownership.

» Ongoing action item improvements will “re-energize your Microsoft Dynamics NAV implementation”

by saving time and reducing the amount of effort to complete tasks. Users will see results, which in

Pam Bird is a Dynamics NAV User and System Administrator for Clean Control, a manufacturer of multiple high quality cleaning, deodorizing and specialty products for families and industry professionals worldwide. Bird first attended NAVUG Summit in 2012 and discovered that the that the ability to hone in on one’s product version, industry and role provides a customized conference experience and return on investment year-round.

NAVUG: Microsoft Dynamics NAV 2016

released in October of 2015. What were some of

the most pivotal enhancements in that release?

Chad Sogge (CS): We had a lot of great

enhancements, from financials to workflow to new

client functionality, giving Users the choice of using

Microsoft Dynamics NAV across their tablets,

phones, and/or desktop computers. Our main

goal was enhancing the day-to-day experience of

getting work done simply and quickly.

We also introduced a new extensibility

architecture, enabling our ISV community to

extend Microsoft Dynamics NAV with defined

offerings. Users can simply install extensions to

their solution without heavy customization. This

enables Users to easily move to the next version of

Microsoft Dynamics NAV and their ISV solutions

will upgrade right along with the core Microsoft

Dynamics NAV. That’s a pretty fundamental

change in the future of Microsoft Dynamics NAV.

NAVUG: That’s a huge change to the product!

What has been the User feedback to that change?

CS: It’s been exciting. This strategy ties into the

culture Users have with other devices, and the

desire people have for apps to be easy. They want

to try them, and if they don’t use/like them, simply

uninstall and continue with work.

That consumer app mentality is permeating the

business community, maybe not at the same level

of ease, but when people care about expanding

functionality and don’t want to customize their

system, this is a way of building out a solution

without changing the core code. As we move

into this cloud world, that’s how we think about

adopting broader technology without the

customization that was inherent in the past.

NAVUG: And how do ISVs feel about the change?

CS: Many ISVs, especially those with horizontal

solutions, have adopted this architecture, and we’ll

see more as we move towards the Madeira release.

Keeping an app isolated makes an ISV’s life easier

as they’re able to make changes and updates more

quickly.

As ISV adoption picks up, there will be more

Microsoft Dynamics NAV compatible apps

in the Marketplace, which makes it easier for

Users to shop for what they want to use in their

organizations.

NAVUG: Let’s talk about the Madeira release.

What can Users expect to see?

CS: In Maderia, we continue the optimization and

simplification of work. One area we’ve focused on is

making the Office 365 integration seamless across

mail, calendar, and Microsoft Dynamics NAV so

Users can get work done in a timely fashion. We’re

also simplifying forms (quote to cash, purchase to pay,

and reporting) to make the experience frictionless.

Another is further work on the client experience

and how we streamline the look, feel, and processing

of Microsoft Dynamics NAV so that a User can see

the data they need and what the next steps are in

their transaction. Really, it’s about completing the

end-to-end scenario faster than ever before.

NAVUG: You’re a veteran of the Microsoft

Dynamics GP R&D team who is now focused

on both Microsoft Dynamics GP and Microsoft

Dynamics NAV. Has that been an easy transition?

CS: It has. The teams worked closely before, and

we’re able to leverage a lot of great learnings between

the two products. For example, the learnings the

Microsoft Dynamics NAV team had for the web client

transferred over well to the latest release of Microsoft

GP team was able to bring local knowledge of the U.S.

which has helped with the localization tasks. It’s been a

nice harmony to have a unified direction for the team.

NAVUG: What are the best ways for Users to

share product feedback with your team?

CS:

provides us with a lot of really focused feedback on

code and User experience.

The face-to-face event experiences, such as NAVUG

pivotal times for us as we can hear directly from a

number of Users as to what they like and what they

wish was improved. That “day-in-the -life” experience,

hearing the obstacles they encounter and what they’re

trying to accomplish, helps so much.

As we continue to evolve our design, if we can

think about what a User is trying to accomplish

in a day, we can tie the solutions together from

finance to BI to productivity and really create a

holistic, beautiful solution for the User. NAVUG

In June, Microsoft Dynamics NAV Users will gather in the Chicago Metro Area (Schaumberg, IL) to dig deeper into educational topics focusing on roles, industries, and product versions. This year’s conference

will feature three primary tracks: Manufacturing, IT, and Finance. Each track will offer intensive, 90-minute sessions where Users can get their questions answered and gain new skills to add to their Dynamics NAV toolbox.

Lewis Rosenberg is the IT Manager at Mars Fishcare, a leader in the Aquatics industry developing and perfecting products and solutions for indoor aquariums. Lewis is a member of the NAVUG Programming Committee, and like his peers he

learn about topics important to the NAV community.

We were able to ask Lewis a few questions about this year’s conference:

NAVUG: How will NAVUG Focus help solve a problem an organization is facing?

Lewis Rosenberg (LR): NAVUG Focus will help solve problems an organization is facing because NAV experts, who are Users, partners, and ISVs, will all be there for the purpose of sharing information.

NAVUG: How will Focus help solve a problem an individual might face in their role?

LR: NAVUG Focus attendees will be able to meet with NAV Users from other companies in similar roles. It is a great opportunity to share information, ideas, and learn new things.

NAVUG: What advice would you give to someone considering attending Focus?

LR: Make new NAV connections! Bring lots of business cards and network with as many people as you can.

NAVUG: How do you expect Focus to help elevate Users professionally?

LR: NAVUG conferences, like NAVUG Focus, allow people to network and meet people in similar roles at other companies, as well as connect with NAV partners and ISVs. Attending NAVUG Focus is a great way to build and grow an individual’s professional network.

NAVUG: What are you looking forward to the most about Focus?

LR: I always look forward to a wealth of new knowledge and ideas, along with making new friends and contacts at NAVUG conferences.

Always have a, well…can’t say what he said in polite

company, but a “you-know-what” fund. At any given time,

have enough savings in your bank account to live on for six

months so that if your job gets really, really bad, you can say

“see ya later”, and just walk out the door.

Clean Up Your Inbox Act!Tips to Being More Efficient and Less Stressed About Your Inbox

Schedule 30 minutes per month on filing maintenance, making sure files are still relevant. This helps a ton in

easy placement of emails and access to information. NAVUG

inspiration to clean up your inbox act! To

help counter this problem with productivity,

Ginny Ferguson presented a session called Inbox

Overflowing? Take Back Control! based on the

popular book, “The 15-Minute Inbox”.

This content is part of the OneSource Microsoft

Tools webinar series, the goal of which is to spread

education regarding Microsoft technologies to

NAVUG Members.

Here’s a quick summary of this webinar; be sure

First and foremost, identify the types of email

you’re receiving:

» Critical and Urgent – Needs to be

addressed immediately.

» Critical and Not Urgent – Helps you to

advance your goals, project, or business, and/

or required action is part of your job.

» Not Critical and Urgent – Everything else

that enters your inbox and is not critical, but

carries a sense of urgency.

» Not Critical and Not Urgent – Even if you

don’t have to act on it, it’s still in your inbox.

Delete!

Ginny urges you to think of your inbox as a busy

airport terminal. You need to organize it so you can

quickly process the emails and move on. Prepare

your terminals and define a strategy to keep that

inbox clean!

» Action Today – Emails that require your

action as quickly as possible.

» Follow-Up – You are either waiting on

someone else’s input, or you need to check

progress on an action.

» Read Later – Emails that don’t require

action, but you do need or want to read

content.

There’s nothing like a fun word equation

when trying to change your email habits. Try to

implement The 4+1 Action Ds strategy, and you’ll

be well on your way to a cleaner inbox!

» Delete It – Ask yourself, do I really need

this? Is it part of my job?

» Deal with It – If you can deal with it in less

than two minutes, just do it immediately.

When you are done with the message, put

it in an ARCHIVE folder or FOLLOW-UP

folder if it needs follow-up by you or delete it.

» Defer It – If it will take longer than two

minutes but less than one hour and is part of

your job, move it to your ACTION TODAY

folder. If it’s longer than an hour, plan it into

your calendar.

» Delegate It – If it requires another’s action,

include clear instruction (what, by when,

how, next action, answer to be sent, etc.) and

follow-up and archive it.

» Done – Keep moving when you’re

Public or Member Only WebinarsSomething we’ve heard from the community is you’d like an

easy way to see which webinars are open to everyone (public)

and which ones are only available to paid NAVUG Members.

We’ve added a filter on the webinars page that allows filtering

in three categories: All (default view), Public, or Member

Only.

Registrations for You and Your TeamMany of our Member companies have asked to see all the

registration activity happening for their company. This helps

when determining to move from subscriber to paid Member

or when looking at annual renewals. Account administrators

and the primary contact will see a new button in their profile

area – Company Registrations. This gives an all-up view of all

registration activities for your company.

Find Your Add-On ActivitiesWhen you register for a conference, often times there are additional registration activities you can choose (like Pre-Conference Academy classes

prior to NAVUG Summit). Previously when you looked at your registration in the My Registrations area of your profile, you would not see those

additional registration activities. Now when you look at your registrations, you can see those details.

Am I Logged In?You may have noticed when registering for an event that you are

sometimes prompted to log in (again), even though you can see

your profile picture in the upper right of the site. We’re releasing

a fix that will address this discrepancy and eliminate the need

for multiple logins.

Are We There Yet?We’ve heard (and experienced) some poor performance issues when registering for events on the site – specifically the loading speed. This

release includes fixes to help with the screens loading during the registration process. We will continue to improve this process with additional

fixes in future 2016 releases.

We were thrilled to roll out new features and enhancements to the NAVUG™ website during Q1. Released on

January 26, we hope these updates have improved your User experience when visiting www.navug.com.

NAVUG: When and how did Silverware get its

start?

Sara Silver (SS): I started the company in the

late ’80s before ERP was even an acronym, and

it came about it by accident, really. I used to help

people out with their computers and started to

represent an accounting system that came with

the full dBase source code. With that, I developed

a small client base and slowly grew a company,

changing the software to fit the way the clients

wanted to do business. I added employees in the

early ’90s, including my husband, Bob. Eventually

our source code system was clearly becoming

obsolete. One look at Microsoft Dynamics NAV

(then Navision), and we were hooked; I loved the

concept of a modifiable solution that out of the

box could cover 80 to 90 percent of my clients’

needs. Microsoft Dynamics NAV was a perfect fit

for our business model, and we’ve been delivering

Microsoft Dynamics NAV solutions for more than

eight years.

NAVUG: Tell us about your acquisition of

Gilbert & Associates.

SS: I have been good friends with Hub Gilbert

for years, and his company also supported the old

dBase solution. We’ve collaborated over the years

and brought on Microsoft Dynamics NAV around

the same time.

We acquired Gilbert & Associates a year ago,

and Hub is still on board with us. It’s been a

wonderful synergy and allowed us to grow our

company to 24 employees and expand to two

offices. The whole is greater than the sum of its

pieces, and the entire experience has been positive

for everyone involved. Our employees benefit

from more knowledge sharing, and our clients

benefit from a deeper bench with more expertise

and enhanced support.

NAVUG: Where are your offices?

SS: We have offices in Phoenix and Seattle. We’re

a bit different than most companies in that we

require employees to work at the office. There

is such a tremendous amount to be gained from

people working in one space. We learn so much

from each other. It also ensures comradery is

intact and creates a great company culture because

everyone knows each other and sees each other

every day. I think that’s one thing that sets us apart.

The synergy of people working together is what

makes us better for our clients.

NAVUG: What other products and services do

you offer?

SS: We also offer cloud-based accounting with

Intacct, which is purely financials and not

competitive to Microsoft Dynamics NAV. We did

not want to compete with ourselves, and it’s clear

to us which should be offered to our Customers

from the get-go.

NAVUG: You also have a vertical niche. Tell us

more.

SS: We brought a tremendous product called

TRIMIT on board about 18 months ago; it

allows us to focus on fashion and apparel and

outdoor industries. We recently completed our

first implementation of TRIMIT and Microsoft

Dynamics NAV, and it’s been wildly successful.

NAVUG: How do TRIMIT and Microsoft

Dynamics NAV make the perfect solution for

the fashion and apparel industry?

SS: The TRIMIT add-on has a lot of functionality

for matrix order entry. TRIMIT adds configuration

of products so you’re able to choose options

beyond just color and size, such as embroidering

logos or hemming pants. The number of options

for retailers is endless.

With Microsoft Dynamics NAV and TRIMIT,

you can track the entire product life cycle to

manage design of the product and samples before

it goes to market.

There is also a very helpful workflow built into

TRIMIT with triggers and updates so you can see

where orders are and what process they’re going

through with checks and balances along the way.

We ultimately found TRIMIT to be engineered

really well, and it’s a great fit for us. We’re looking

forward to doing more in that space as we have

never had a vertical focus until now.

NAVUG: What else do you have planned

for 2016?

SS: We’ll really be pushing the move to

Microsoft Dynamics NAV 2016 for those

that are on prior versions, and we’ll be

doing more Office 365 integration as well.

I think the next level of ERP is CRM

integration. Customers have swallowed

the ERP pill and are now ready to do

more with CRM and their websites. That’s

where things are headed: Automation and

integration, and that’s where we’ll be.

NAVUG: What do your Customers think

about Microsoft Dynamics NAV 2016?

SS: There is a lot of new functionality that

is very exciting, such as new workflows

and revenue recognition for subscription

billing or recurring invoices. There are lots

of configurable goodies, and Microsoft is

really improving the role-tailored platform.

NAVUG: What do you like most about the

NAVUG community?

SS: I love NAVUG Summit and think it’s

the greatest conference. I’m encouraging all

of our Customers to go. NAVUG in general

is just a wonderful resource for end Users.

I’m always impressed by the knowledge of

Users when they teach, and I’m proud of

them for taking the software and making it

their own.

NAVUG: Any final thoughts to share

about Silverware?

SS: Our main foundation is “Customer for

S In training clients over the past 18 years on what we like to call “NAV 101”, it has become apparent

there are some basic items that should be addressed with every implementation, upgrade, or even

new employee training.

Under the “You Should Know This” Category

» Terminology. The importance of understanding new terminology is vital to good communication

and efficient results. As an example, Microsoft Dynamics NAV has not had a “tool bar” for several

versions now. To keep in alignment with other Microsoft products, it is now referred to as the Ribbon.

Keep your ears open for new terminology.

» Get familiar with your current Ribbon, Navigation Pane, and Pages, BEFORE you begin personalizing.

However, keep in mind, personalizing your work area will make your work more efficient by not

cluttering your work area with unnecessary menu items, icons, and the like, so don’t wait too long.

» Have no fear. The rule of thumb that I attempt to instill in each trainee is if Microsoft Dynamics NAV

allows you to do something, it will allow you to undo it.

Under the “Well I’ll Be Darned” Category

» Within any entry field that has a quantity or dollar amount, you can perform all basic math functions:

Add, Subtract, Multiply, and Divide. You can also get more advanced and use brackets for ordinal

calculations. This can be performed in Sales Orders, Invoices, Quotes; Purchase Orders, Invoices,

and Quotes; and General, Recurring, Payments, and Inventory Journals.

The above list is just a sample of where this can be used.

Note: Operators are: + (add), - (subtract), / (divide), and * (multiply)

Try this as an experiment:

The number remaining will be the result. You may also add a combination of any operators.

(X + Y)/Z or, A + B + C + … This is especially useful, for example, in calculating a Unit Price

based on a Unit Cost with a markup percentage.

» On occasion when you are sorting on fields you forget, and need to page down or up to determine if

the order is ascending or descending, the quick and easy way to tell is by which way the Sort button

not just minimize it. If you are using

Zetadocs, this will do the same thing.

» Have a long report to run, but you

don’t want it to take up room on your

monitor? Send it to the scheduler and

forget it. If you don’t put in a scheduled

start time, it will start right away, and

the report will show up in your report

inbox when it’s ready.

At the risk of sounding dramatic, I think it’s safe to say that Microsoft

Excel is – by orders of magnitude – one of the most incredible

applications of human ingenuity, occupying a nice, warm seat right

next to the Polio vaccine, space travel, and those little clips that you

put on bags of cereal to prevent your Lucky Charms from going stale.

Microsoft Excel, when considered as a tool, can do so much

more than just create lists and add cell values; it is used to perform

statistical and scenario analysis, reporting and data pivoting,

automation, intermediate databasing and cataloging, and even as a

canvas for artwork! I use it for everything at work and at home, from

budgeting to quick numeric reconciliation to robust list creating to

data cleansing. I can’t count() the number of times that having a

strong understanding of Excel came into play to not only simplify my

work, but also in some ways advance my career!

Somehow this simple software has grown to functionally become

both the back-of-the-napkin drawing board as well as the de facto

standard for powerful and visual data analysis.

OneNote is my favorite Microsoft tool.  I was a Franklin Planner

girl and still have my last one from the early ’90s on the shelf; just

can’t throw it away. OneNote has become my cyber planner; I use it

for everything. I have pages for my children: Married with children,

one in college, and one in high school, and they can access their

section from anywhere, and we can share information and files. I have

a section for work with meetings, department information, and task

lists. I even have a NAVUG section with all the posts, blogs, trainings,

and meetings I am involved in with NAVUG.

I love that it syncs to my Outlook, Excel, Word, and files on my

computer at home, work, and my phone. If that was not enough, it

now syncs and is integrated with Microsoft Dynamics NAV!

If you are a planner/organizer person, OneNote is for you.

My favorite Microsoft tool is the Snipping Tool, and most people

don’t know that it is included in your Windows operating system.

Go to Programs on your computer, type Snipping Tool, and add it

to your task bar, then try it out.

It allows you to take a snapshot of your computer screen to copy or

save, and you can use it almost anywhere. I use it to make screenshots

for procedure manuals, send error messages to our support Partners,

or just to include snapshots in OneNote.

Try it out and see if you don’t agree that it is a very valuable tool.

Microsoft Excel® is one of the top reporting tools used in today’s business world, so it’s crucial to stay up to speed on what it can be

used for, especially when it comes to your business intelligence.

Noah Kluge, senior manager of BI practice at Armanino LLP, presented a “powerful” presentation at the last Summit to help Users make the most of Excel by using Power Pivot, Power View, and Power Query.

First and foremost, definitions are in order:

» What is a Power Pivot? Power Pivot allows the creation of a monster cube/report within Excel. It collects information from disparate data sources and types with its own calculation language called data analysis expressions (DAX).

» What is a Power View? Available in Microsoft Excel 2013 Professional, Power View is a data visualization tool.

» What is a Power Query? Power Query is the ability to bring data from many different sources, such as publicly available information from Facebook, stock info, etc. into a similar format (e.g. number of columns) and append sources. Power Query accesses structured SQL and has limited additional benefit over Power Pivot directly.

The benefits of these tools are that they make data and information quick and easy to access, it’s within the familiar Excel interface, and it’s readily available and free for those with the right version of Microsoft Excel. However, they should not replace a data warehouse system, an extract, transform, load (ETL) tool such as SQL Integration Services (SSIS), or production OLAP cubes.

Before you jump into using these tools, take some of these considerations into account:

» It requires understanding of the underlying data model.

» There is limited ability to apply business rules to data.

» You may not have access to virtual company support or multi-company support.

» It involves learning new calculation language.

» There is no support for hierarchies/ordering (this is resolved with SQL 2012). NAVUG

NAVUG™: What got you into the world of

e-commerce 18+ years ago?

Michael Kulik (MK): It was a natural evolution of

my interests to get into e-commerce right out of

university. I started out on my own in 1997 with

an office that had five rooms. Slowly but surely, I

filled them all with employees. In those early years,

we didn’t focus on Microsoft Dynamics NAV. We

were hard-core e-commerce with companies like

Sony, Canada Post, and Honda.

NAVUG: When did Microsoft Dynamics NAV

come into play?

MK: We were approached in 2000 by a colleague

that was a substantial Navision (now Microsoft

Dynamics NAV) player; he was the president of

Navision Canada before Microsoft bought it. He

pointed out a considerable gap in the market, and

there didn’t seem to be a lot of people that could

provide e-commerce around Navision. We quickly

got involved in that world with a product called

Commerce Portal and became the go-to Partner

for that solution.

Commerce Portal was a very limited solution,

so we were encouraged by Microsoft to explore

creating a better solution in the 2001 to 2002

timeframe. That is when NAV-to-Net™, our

flagship product, was born.

Not long after that, Microsoft discontinued

Commerce Portal and were a great Partner to us,

proactively inviting us to software planning and

Partner advisory board-type meetings. We were

also the prototype Partner for the CFMD program

when that began.

NAVUG: Tell us more about NAV-to-Net.

MK: We have a few other ancillary products in

addition to NAV-to-Net, but that has been our

main focus for 10 to 12 years. It’s an e-commerce

platform built exclusively for Microsoft Dynamics

NAV and managed entirely in Microsoft Dynamics

NAV as well. Every element has a management

mechanism in Microsoft Dynamics NAV.

NAVUG: How would you say that sets you apart

from other e-commerce providers?

MK: Our main mission is to make e-commerce

work within Microsoft Dynamics NAV. We didn’t

want to create a black-box solution that hooks

up to everything or integrates with a number of

other third-party products. Our claim to fame is

our familiarity with Microsoft Dynamics NAV and

how it works at every level. So if Customers have

customizations, we have the skills to look at their

code and workflow and really understand what

they’re trying to do.

In NAV-to-Net, Microsoft Dynamics NAV is

also the master of the data. Whatever the website

does, it’s important that Microsoft Dynamics

NAV can achieve that same process. To ensure it’s

all seamless, we won’t create pricing, discounts,

or business flow that aren’t already in Microsoft

Dynamics NAV.

NAVUG: What made you decide to put all your

eggs in the Microsoft Dynamics NAV basket?

MK: Technologically speaking, the Microsoft

Dynamics NAV community is really exciting to

us. Microsoft Dynamics NAV as a financial ERP

system is interesting because, in my opinion,

most companies that choose it, do so because of

its flexibility, and it can reflect that Customer’s

business intellectual property. Many companies

choose Microsoft Dynamics NAV because it can

be customized and encouraged to do things that

other ERPs cannot do. Business leaders that believe

they are unique can get Microsoft Dynamics NAV

to reflect that uniqueness right within the system.

Microsoft Dynamics NAV is not just cookie cutter solution building;

it gets us into the exciting space of learning how companies are

special.

The second reason is because we felt it was possible to become

the best in the world at what we do. We didn’t seek to make broad

promises. We wanted to narrow our focus, and Microsoft Dynamics

NAV is sophisticated and cooperative enough where we could work

with our Partners to be the best in the world.

NAVUG: What unique requests are your Customers asking for in

terms of e-commerce needs, and how do you see that changing or

staying the same moving forward?

MK: In our industry, it’s very difficult to just put a pin in our solution.

We can’t stop and ride this version. Too many pieces constantly

evolve.

Recently, that’s been driven by a few factors…

» Responsive design has been requested over the past couple of

years and is now becoming a requirement. This is where NAV-

to-Net changes its presentation based on the User’s interface.

» Performance is always a huge factor, and I don’t see that ever

changing. People want information faster and faster these days,

so the speed of a website is crucial.

» Also big are product configurators that help consumers build

what they’re shopping for online, such as a car, furniture, or

even clothes. The color, size, and amenities are built into the

configurator so consumers can customize their purchase. This

has previously been a challenge for us to provide, but in the

newer versions of Microsoft Dynamics NAV, we can proudly say

it’s possible and are very excited about providing that interface

within NAV-to-Net.

» Companies want more control these days, too. Historically, we

would meet with the marketing team and create the website for

our Customers, but now they have more skill and want to do it

on their own. We spent a lot of time moving User interface-type

elements into the style sheets of the website, giving our clients

flexibility to make changes without having to contact us.

NAVUG: How does Microsoft Dynamics NAV 2016 affect your

offerings?

MK: We’re especially excited about 2016 because of the attention to

extensions and events.

From very early on as Microsoft Dynamics NAV developers,

we’ve tried to avoid having NAV-To-Net be too invasive by

minimizing the touchpoints where it hooked into the core

Microsoft Dynamics NAV code. The main reason we do that is

because you don’t want an add-in to affect Microsoft Dynamics

NAV, so we constantly looked for opportunities to reduce our

footprint. Extensions in Microsoft Dynamics NAV 2016 help us

isolate code units, tables, and field labels in a more contemporary

and current way. The Microsoft Dynamics NAV folks are doing

brilliant things with this technology.

Events in Microsoft Dynamics NAV 2016 makes it possible to

reduce that footprint even more. We can listen for a certain event and

act independently on the occurrence in our own code. It’s exciting to

see this evolution in Microsoft Dynamics NAV and creates a huge

opportunity for ISVs to work more effectively in Microsoft Dynamics

NAV.

NAVUG: What do you like most about the Microsoft Dynamics

NAV community?

MK: It tends to be composed of people who see Microsoft Dynamics

NAV as a way of implementing exciting business intellectual property.

I don’t mean inventions, but rather someone who has a concept

or workflow and sees Microsoft Dynamics NAV as a great way to

achieve those dreams.

The community is also broadly varied, from technically experienced

people and people who are more focused on their business, not

necessarily the technical side of it. That creates an interesting and

broad range of Customers we get to work with. Partners in Microsoft

Dynamics NAV tend to be brilliant, generous, patient, passionate,

and very aware of their business. It’s all-around a really engaged,

welcoming, and positive community. It’s tight-knit enough that we’re

all in it together.

I think all of the above is what makes NAVUG so great as well.

Users like to share and exchange information and ideas, and I’m not

so sure that happens in other User communities. NAVUG
