What is Asset Management?

Asset Management is the complete process of administeringthe operations of a property development.

With the delivery of each phase of the development, aprofessional Asset Management Team must be ready totake over the administration of the complex operations ofthis major investment.

Their preparations must begin many months earlier in orderto ensure that each building is handed over with all systemsoperational from Day 1.

The team will be comprised of experienced specialists whoare highly trained to provide the professional effect

expected by the owners.

Leadership

The team must be led by a General Manager, with manyyears of broad experience, supported by specialist seasonedsenior managers to lead the essential functions of:

Facilities Management

Investment Management

Leasing Management

Marketing/Public Relations.

Property Management

This is the business management function within AssetManagement.

The senior property manager and his/her staff maintain goodrelations with staff, tenants, customers, and government officials.

They supervise the preparation and oversight of detailed operatingbudgets using a sophisticated Computerize ManagementInformation System to maintain the most current informationavailable relating to all of the important parties.

This department is responsible for maintaining the accountingrecords for the development and the ongoing calculation andcollection of rent.

The senior property manager then uses the relevant informationand his diplomacy to promote positive behavior from allconstituents which enhances the operation of the subjectproperties.

Facilities Management

This is the technical maintenance function within AssetManagement.

The senior facilities manager and his/her staff isresponsible for the smooth and efficient functioning of allbuilding systems within the development with theapplication of various technical professionals to achieve this.

They produce the financial budgets for the senior propertymanager’s review and recommendation to the AssetManager for approval annually.

This department processes procurement requirements,issues purchase orders, receives and evaluates goods andservices, and recommends for payment all invoicessubmitted to the senior property manager who decidespayment and processes it with a request to accounting topay.

Investment Management

This is the financial management function within AssetManagement.

The senior investment manager and his/her team use asophisticated software system to forecast the performanceof the various project elements as well as overall andmonitors it to see if it is matched by actual results

He will then know what improvements can berecommended to improve it.

His forecasts will be based on very detailed annualoperating budgets produced by the facilities and propertymanagers.

They must conform to the philosophy of the owners inrespect to their investment objectives and the level ofservice to be provided to the tenants and visitors.

Leasing Management

This is the tenant leasing/retention function within AssetManagement

The senior leasing manager and his/her team areresponsible for maintaining contact with the leasingmanagers for all of the tenants within the development inorder to efficiently deal with any outstanding issues arisingfrom the original lease and to successfully re-negotiate thelease extensions when they are due for renewal.

The senior manager is responsible to produce annualbudgets with recommended lease/renewal terms for theGeneral Manager’s approval.

The senior manager is responsible to meet or exceed theapproved annual expectations of the General Manager.

Marketing and Public Relations

This is the communications function within AssetManagement.

The senior manager marketing and public relations andhis/her team is responsible for coherent and consistentcommunications with all of the constituents of thedevelopment in order to maintain excellent relations withthem.

The department maintains close contact with the media andserves as the single point of contact for all mass messagingto the various constituents.

The senior manager supervises the preparation and releaseof all advertising for the development and coordinates alljoint marketing efforts of the retail shops.

Preparation

A core team must be assembled early in the development process

They will initially establish the necessary systems and proceduresin order to support their activities

This will include an advanced Computerized ManagementInformation & Accounting system

The Asset Management team will serve as an essential resource toprovide guidance to the design team to ensure the most efficientset up for effective operations

A professional training programme must be established to ensurethat each member of the team is able to operate at the highestlevel of efficiency. This programme is a permanent feature in orderto ensure that all new members are trained when they join theteam.

Checklist

Set up Hiring Procedures with HR to ensure properlydetailed job descriptions are prepared and conformed to inthe hiring process

Set up Training Programmes with HR to prepare for thefamiliarization of all new hires for each department

Develop Policies and Procedures

Establish an effective Recruitment Programme with HR withschedule for Executive Management approval

Review available Computerized Accounting, Investment,Management Information, Marketing and Procurementsystems; Select and Procure
